Introduction General This document describes the setup of recruitment functionality, using the Oracle iRecruitment (IRC) software. In order to get iRecruitment access and a working environment, it is necessary to: Link a user to an employee (see defining a user in System Administration) Schedule the concurrent process “Synchronize WF Local tables” to run on a regular base, matching your business requirements. All employees that have access to iRecruitment as a user must have a supervisor. Internet settings For optimal use of i-Recruitment and other Self Service applications the following internet options of Internet Explorer should be set.

IRC: Accent Background ColorIdentifies the background color set for action buttons and table background. Set a six-digit hexadecimal value for the corresponding color. If you do notset any value, the application displays the default color set in the xss style sheet.

IRC: Document Upload Count Limit20Set this profile option to limit the total number of documents that a candidate can upload to the iRecruitment database. Enter a value for the number of documentuploads that you want to limit. For example, if you specify 10, a candidate can load only 10 documents. If you leave this profile option blank, then the candidate can upload any number of documents, provided the total document count does not exceed the number of uploads allowed each month.

IRC: Extract SkillsYesIndicates whether skills should be extracted when candidates parse a resume. If you select No, then candidates will have to select theirskills manually

IRC: Job Notification FunctionIRC_VIS_VAC_DISPLAY

This profile option identifies the function used to show advertisements to users when they click a link in a notification.Default are :(IRC_APL_VAC_DISPLAY - for candidate responsibilities IRC_VIS_VAC_DISPLAY - for all other responsibilities)

IRC: Monthly Document Upload Count Limit10Set this profile option to limit the number of documents that a candidate can upload within a period of one month. For example, if you specify 5, a candidate can upload only 5 documents within a calendar month. If you leave this profile option blank, then the candidate can upload any number of documents provided the document upload count does not exceed the total document count.

IRC: Notification List Item TypesIRC_WF,HRSSA,HRSFLSet this profile option to definewhich workflow notifications aredisplayed on the home pages of managers and candidates. For example, in addition to the default iRecruitment workflow item typesyou may want to include notifications associated with business events you have set up. Enter the workflow item types that you want to include and use acomma to separate each item type.Default value is : IRC_WF

IRC: Suitable Seekers FunctionIRC_CM_CAND_DETAILSThis profile option identifies the function used to show candidates to managers when they click on a link in a notification. Default is: IRC_CM_CAND_DETAILS

IRC: Vacancy Approval FunctionIRC_VACANCY_APPROVEWhen a person receives a vacancy to approve, the notification contains a link to a page that displays the vacancy that they have been asked to approve. This profile defines the function for that page. Default is : IRC_VACANCY_APPROVE

IRC: Internal Posting Days

3Defines the number of days the vacancy details appear on the internal recruitment site before these details appear on the external recruitment site. If your administrator sets this profile, youcannot alter the start date of the external posting in the CreateVacancy: Job Posting page. When the vacancy is approved, the application sets the external posting start date according to thenumber specified in the profile.

IRC: Search Criteria Segment MatchingIRC: Search Criteria Segment Matching Determines the flexfield segments that are matched when your managers perform candidate matching for a vacancy, or when you run the iRecruitment Email Job Seekers Details to Vacancy Owner, or the iRecruitment Email Vacancies to Job Seekers.

IRC: Core Background Color

Enter a six-digit hexadecimal value to set the corresponding color for each of these page components. If you do not set any value, the applications displays in the default color set in the XSS style sheet

The setup of Oracle Approval manager is described in the AME setup documentation.See the Documents: HR Self Services Setup and AME vacancy Creation Solution

You can modify or create new approvals processes using Oracle Approvals Management. iRecruitment is delivered with a number of approval rules that will be applied unless you change your iRecruitment settings. If you want some, but not all of these approval rules to be applied you can make a copy of the supplied approval transaction type and remove the rules that you do not want enforced. Answer

iRecruitment has no dependence on SSHR (and vice versa).

3. Why can't I view my external candidates though they have several global competencies/skills matching the competencies required for the vacancy in PUI/core forms?

Answer

When searching for candidates for your vacancy these candidates may not show up because of a few reasons:

1. The match is on skill levels, not just skills - make sure that candidates have skills of the right level2. The candidates may have been set so that they cannot be searched (this is the default)3. There may be other things set on the vacancy which must be matched, e.g. professional area, or qualifications and so on

Skills/competencies entered with IRC.B or earlier, through iRecruitment will not appear in core HR.

4. Does iRecruitment support "Candidate Qualifying Questionnaires" where the candidate must answer vacancy-specific questionscorrectly prior to submitting an application?

Answer

iRecruitment currently does not support this function. For now this can be achieved by having a set of simple questions using flexfield to get those responses and a user hook to validate them as part of the apply process. .

5. How do I get rid of the following error While querying available vacancies in iRecruitment and clicking on one of the results? "oracle.apps.fnd.framework.OAException: oracle.jbo.NoDefException: JBO-25002: Definition GradeName of type Attributenot found"

Answer

There is a field called Grade on this screen which is hidden by default, which has an attribute called GradeName, but it appears that attribute does not exist in the underlying view. This field would have been personalized to be displayed causing this error.

6. Can we change the default currency on job vacancy details?

Answer

The default currency in iRecruitment is always the default currency of the business group.

7. Do we track vacancy history?

Answer

iRecruitment does not track changes to the vacancy. If changes to a field are to be traced use the Audit capability in APPs.

8. Is there a functionality to capture Time and Date stamps of when Applicant first applied and when documents first uploaded available?

Answer

Currently this functionality is not available. The WHO columns like creation_date, created_by, last_update_date and so on, which can be used to determine exactly when any record was created are never exposed in the self service tech stack unlike forms.

These profiles are provided by Oracle iRecruitment Mini-pack C (3197168). Refer to About Oracle iRecruitment Mini-pack C(Note 258295).

10. How do we see the current status of a vacancy submitted for approval?

Answer

The status field allows you to search for vacancies with just one of the many statuses, e.g. Approved. However, a vacancy is not actually created until it is approved if approvals are turned on.

11. How to repopulate the seeded address types in iRecruitment?

Answer

Re-run the patch that delivers in force apply mode OR the ldt file residing at $PER_TOP/patch/115/import/US.

12. What is the order/hierarchy in which default job posting information comes through in the vacancy?

Answer

If default postings are created at multiple levels then all of the fields will be filled out from the position. If there are any blank then it will look at the job to see if any of the blanks were specified on the job. If there are any further blanks, then it will look at organization, and then finally business group.

The order would be as follows:1. Position2. Job3. Organization4. Business Group

13. How to send postings to external websites (such as Monster/Stepstone etc)?

Answer

Refer to the implementation guide.

14. Why should I re-login to view candidate created via Magnaware in iRecruitment?

Answer

The way that HR security works is that security is cached for a session under some circumstances. This is to improve performance. That means that under some circumstances a new user will not be visible until re-logging in, and the cache is refreshed.

15. How do I download an application from iRecruitment?

AnswerWhile creating the vacancy include an html link to the application form document in the job posting. The user looking at the vacancy can just click on the link to download the document.

16. Can the uploaded resume/covering letter be viewed in PUI/form?

AnswerThis functionality is currently available in iRecruitment only.
