This document refers to the English version of IMDS; the French version is also available. Objectives of the user guide This is the Renault’s suppliers reference document for the declaration of materials and substances attached to every part supplied to Renault (cf. Renault general prescriptions 00-10-415), standard available on the Renault’s suppliers portal. The masses, the materials and the substances for all the constituents of the part have to be declared according to the standard 00-10-050 "Prohibited or restricted substances – Lists and declaration modes" through the IMDS system. Objectives of the entry of Renault in IMDS_________________ The environmental statutory requirements quickly change. In addition to the restriction of use of substances (Directive 2000/53/CE) now comes the certification of homologation (Directive 2005/64/CE). To comply with these rules and their possible evolutions, Renault has to dispose information about materials and substances of all the materials composing parts gone up on vehicle. Therefore, Renault requests the list of all substances composing a material, including these that are or not regulated. Since November 22nd, 2006, the only valid system of reporting is IMDS.

1 Pre-requirements for the use of IMDS

1.1 The IDMS public pages IMDS public pages are available with the following Internet address:

http://www.mdsystem.com/html/en/home_en.htm The public pages allow the users of IMDS to be informed about the evolutions of the system and about the interpretations of rules. You can notably consult the Frequently Asked Questions (FAQ) of the public pages of IMDS: the most frequently asked questions of the users of IMDS are listed and answered in the public pages of IMDS, in the column "FAQ ". The column Frequently Asked Questions is accessible in the public pages of IMDS by clicking the column “FAQ”:

1.3 Register to IMDS When a user wishes to use IMDS for the first time, it is necessary to obtain a user name and a password at IMDS (these accesses are independent of Renault).

- If the company is already registered in IMDS: ask to IMDS administrator of your company for the creation of a personal access. The access is strictly personal, and the Renault’s materials and substances declaration process requires a rigorous completion of your personal information (E-mail address).

- If the company is not yet registered in IMDS, follow the registration procedure

detailed in the "training" of IMDS, paragraph 3.2. You reach to the registration page on public pages/ “system”/ Online registration or directly on http://www.mdsystem.com/html/en/reg_frameset_en.htm

1.4 Connection to IMDS It is necessary to get a user name and a password (cf. previous paragraph) to use IMDS. IMDS homepage can be found thanks to the following Internet address: http://www.mdsystem.com/index.jsp# To reach IMDS screen connection it is necessary to click on the icon of

the homepage. A new Internet page opens: you have to click on the icon of the new page. The connection screen opens: once the user name and the password seized, click the button "Log on".

1.5 IMDS Recommendations The users of IMDS agreed on rules concerning the completion / definition / structure of the MDS. These rules have to be read first to avoid having the MDS rejected because of non compliance with the rules of completion. IMDS recommendations are available once connected to the system IMDS. They are downloadable in the tab "Recommendations" of IMDS application.

A document in French language which summarizes all the recommendations of IMDS is available (in the Renault’s supplier portal and in IMDS portal). It has been created to facilitate in first approach the access to the essential points contained in the whole of IMDS rules. It can’t be substituted to IMDS rules that remain the reference documents.

1.6 Additional trainings

For the suppliers who want more explanations about IMDS or who have difficulties, it’s possible to take part in some training. 1.7 Hotline IMDS: phone support

2 Structure of a MDS: essential reminders A MDS1 is a declaration of materials and substances. A MDS is represented in IMDS by a tree structure. The arborescence of the part gives information about the structure (division of the part supplied to Renault with elementary parts) and the composition of every part (or material) delivered to Renault (Ex: cf. paragraph 2.3.4).

2.1 Components / Materials / Substances Components Definition: the component notion describes the part structure (or the part subset) in IMDS. When a component is at the top of an arborescence, it represents the part delivered to Renault, being at its final state (as it will be found in the vehicle). When the component is in an arborescence, it represents a subset of the part delivered to Renault. Every component of the lowest level contains one or several materials. Materials

Homogeneous material: uniform material in the space, which presents elements, whose all parts are identical or perceived as such. Examples: Body cover, screw body, each layer of a surface treatment of a screw. Definition: a material describes the chemical composition of a material. In IMDS, a material is composed at least of one substance. All substances which compose a material have to be declared. However, it is possible to use substances called "Jokers", at most 10 % in the decomposition of the material. These "Jokers" are authorized when the supplier considers the substances as highly confidential and then these substances are not to be declared according to the standard 00-10-050 of Renault. Substances

Definition: a substance is a chemical element or a compound that is in the natural state or is obtained through any process of production. In IMDS, a material must be broken down (100 %) into substances. A substance is any constituent of a material: for example, the Iron, the Carbon, the Silicon for steel, the raw polymer with no additives PP, and the Dioxide of titanium for a polypropylene. Substances to be declared correspond to substances which stay on the vehicle when it goes out of the assembly line. For example, a painting supplier will have to declare the composition of the baked painting and a sheet metal supplier will have to declare the metal sheet degreased.

2.2 Remarks

2.2.1 Symbols with a black point Sometimes the symbols which help for representing components, semi components and materials are posing a black point: It means that an already created MDS has been included in the arborescence. It can be one MDS received of a supplier of another tier.

2.2.2 Structures type « material of material ». Avoid the structures type « material of material ».

2.3 Others

- If a substance does not exist in IMDS, the supplier can ask the creation to EDS (see paragraph 1.7 concerning the hotline).

- Some substances/materials are already listed in IMDS. Recommendations explain the

generic name that must be entered in order to reach them. It is explained in annex 1 what you have to enter.

- Confidentiality of the sheets: a tier 2 supplier can hide his substances information to

the tier 1 supplier. The tier 2 supplier has to tick the case « confidential » when he enters a substance. The IMDS administrator of the tier 2 supplier has to declare Renault as a company which can have all the substances information. To do that the administrator has to enter Renault in the menu Administration/ Trust user.

2.4 Renault Particularities

2.4.1 Semi component IMDS propose the structure semi component, symbolized by . They are , also called semi-finished product, generally represents a material delivered to Renault, which is not in its definitive state in the vehicle (e.g.: the sheet metals of vehicles must be declared as semi components because they will be treated before being put on the vehicle, in that case, stamped). But for reasons of data exploitability, Renault does not want that its supplier to use

this structure at the first level of a MDS. The MDS type semi component is refused by Renault (a MDS type component which contain semi component is accepted).

2.4.2 Development Sample Report When you create an MDS, it is possible to tick the case “Development Sample Report” in chapter 1 “ingredients”. So you can create a MDS without giving all the substances information. But Renault asks 100 % of the substances information on the MDS. So do not tick this case if you want to send a MDS to Renault. If your MDS contain MDS where this case is tick, the MDS will be refused by Renault. You have to inform your supplier about this information.

2.4.3 Parts declined in several colours Parts with colours of the same mass: For the parts declined in several colours, Renault asks for only one declaration: the declaration of the neutral part which contains also the different colours (the mass declared of each colour is divided by the number of colours). Example of what you have to do: a part is declined in 3 colours. The material has a mass of 1000 g and there are 90 g of colours. The part 3 is done in PP-GF 30 and can be colored in blue, in red or in green. The MDS represents all the colours.

The same type of documentation is asked for: - the batch dyed parts - the parts which can have a colour and which can be without colour in the case of the

different of mass between the coloured part and the part without colour is inferior as 5%.

Parts where the colours do not have the same mass: The total mass corresponds to the average mass of all the colours. With the previous example but: the total mass is 90/3 = 30 g. The blue colour has a mass of 60 g, the red colour a mass of 20 g and the green colour a mass of 10 g. In IMDS the mass of each colour is divided by 3 (because we have 3 colours).

2.4.4 Example of Renault part decomposition

The structure of a part must be described in English. It is tolerated to have fields in French.

It is tolerated to have fields in French or English with the translation in another language.

The air filter is a part possessing a Renault reference (ex: reference N ° 7756889441). It is thus a component ( ).

The pedestal of the air filter (called ‘Socle filtre’ in the example) is a subset of the air filter, it is thus a component ( ). No material is directly connected to it because this component is constituted itself of other components (body called ‘Corps socle’, grasshopper called ‘Sauterelle’…).

The screw is a subset of the air filter. It is thus a component ( ). It consists of 4 homogeneous materials, materials are thus

2.4.5 Material Renault asks its suppliers of materials to document their decomposition in substances into IMDS and to send them to Renault. Renault does not accept published material. In fact, the supply of the declaration of substances is contractual. The main concerned materials are:

- the sheet metal ( a declaration for the metal and an other for the coating) - the adhesive and mastic - the painting - the fluid - the plastics.

The decomposition in substances is corresponding to a material as it is in the customer’s car. A technical father is responsible for each of the material categories. He sends to the supplier the necessary information for the identification of the material and the recipient of the MDS (Renault number of the material called also « code function », to enter in the field « Part No » in the specific Renault screen, and the E-mail of the technical father).

2.4.6 Others

- For the declaration of the references cabling and seat, the supplier must contact the Renault Designer to identify the sheet to document.

- For the parts directed by Renault (fastening hardware “RMU” and standard parts) in

the “composed of” assembly, the supplier of the “composed of” assembly has to receive the information from the directed part. The Renault designer has to give to his supplier this information: the Renault reference, the ID number of the MDS and the name of the person who has done the MDS by the supplier. The supplier of the “composed of” assembly has get in touch with the supplier of the fastening hardware “RMU” via the specified person, be send the MDS and integrate it in the declaration of the rigged.

“composed of” assembly: physical grouping of parts whose composition is not entirely known.

- The component ( ) which is at the top of the tree structure of the MDS has to represent the part supplied to Renault (possessing a Renault internal reference; example 8200123456).

- A declaration of materials and substances has to be made for each part and each

material supplied to Renault. In certain particular cases concerning complex parts

having a big number of declensions or colours, an agreement can be found between Renault and his supplier to reduce the number of declarations of materials and substances.

- If the difference of mass is too important between the calculated mass from the mass

of the material and the known mass of the part by Renault, the MDS will be rejected.

3 Documentation of MDS

3.1 Creation of an MDS

After the identification, a MDS can be created in choosing « create ».

You can create 3 types of MDS: « component », «semi component », or « material ». You can send to Renault an MDS type “component” or an MDS type “semi component”.

3.2 Ingredients Remark: before creating an MDS type « component », be sure that all the materials that you will use have already an MDS. If you do not have a MDS type « material » created by your supplier, you have to begin in creating one and put it « internal » for you company. To put “internal” a MDS, you have to create one, and then put the information of the supplier. In chapter « Recipient data », the information of the recipient are not asked but you have to tick the case « internal ». The part can then be created and the material can be inserted.

3.2.2 Documentation of a material The information that describes a material is different according to the nature and the composition of the concerned material. There are two different cases of completion:

3.2.2.1 Creation of an MDS type « Material »

When the material is at the top of the tree structure (the MDS is attached to a material):

3.2.2.2 Documentation of the recycled material and the application When the material is attached to a component: In this case, the material was beforehand created. This material is used to describe a component. The user has to attach first of all the material to the component and then inform supplementary information. This information is relative to the use of the material in the component.

At most two tabs can appear when the material is attached to a component: the tab "Recyclate" and / or the tab "Application":

The tab “Recyclate " appears when the material belongs to the categories IMDS 1, 2, 3, 4 and 5.

The tab "Application" appears when a substance used in the material is subjected to a rule (exemptions listed in the appendix II of the directive 2000/53/CE). The applications depend on the classification chosen for the creation of the material. The application “Other application (potentially prohibited)” is to tick when the other proposed application are not relevant. Be careful in this case the substances are not allowed, the MDS will be probably rejected.

3.2.3 Renault’s internal standard 00-10-050 Every supplier has to document the MDS sent to Renault according to the Renault’s standard concerning the substances 00-10-050 (in the last official index), standard available on Renault’s suppliers portal. The Renault’s standard concerning the substances (in its last version) is integrated into IMDS. So every supplier can see if the MDS which he sends to Renault contains Black, Grey or Orange substances. In IMDS, the integration of the Renault’s standard concerning the substances can be seen through filters, as shows in the following screenshot:

In this example, the applied filter is the filter on Black substances. The substance “lead” is thus recognized as being a Black substance according to the standard 00-10-050 (in the last index) of Renault.

3.3 Completion of the supplier’s screen You have to indicate your personal information:

3.4 Completion of the specific screen for Renault

3.4.1 Access to the car manufacturer screen for Renault Renault needs supplementary data necessary for its internal management. Renault implemented a specific screen created to identify correctly the part created in IMDS. The supplier has to ask to the designer the data concerning the reference, the index of the part and the E-mail of the person who has to accept the MDS. Check with the designer when you send the MDS that the index is correct. Warning: The data contained in this screen is very important since control and

validation of MDS will be performed by the Renault's designer in charge of the part whom you are in contact with.

The specific screen for Renault is accessible in the menu "Recipient data", after having clicked on the button "Add" and chosen "Renault" as car manufacturer:

Help concerning the completion of the car manufacturer screen for Renault is available by clicking on the title of every field. This help indicates to the user the way to fill-in correctly every field and provides examples of correct completions. Illustration: Remarks:

- For two identical parts (for example: straight doorkeeper and left doorkeeper), two different parts exist but only one MDS is asked.

- In case of a change of index the supplier has to copy his MDS in IMDS, to modify it by considering the changes of materials and substances. When sending the MDS (chapter 4 « Recipient Data », he has to give the information of the new index: (e.g. « --A ».)

- If the evolution has no impact on the materials and substances (composition or mass), no MDS is requested.

MDS Sending: IMDS gives four sending possibilities:

- Send: pass on the MDS to the recipient (Renault for example). Propose: pass on the MDS to several recipients (you have to add several companies)

- Intern: publish your MDS for your company. You can for example use this function if you create a material and use it later.

- Publish: give the MDS for all the users of IMDS (Renault will not consider your MDS in this case).

When sending an MDS a check popup explains the committed errors. You have to choose an error then click "to correct". With the button "check", you can verify that all the errors were corrected.

Remarks: - When an MDS is send to Renault, it’s not possible to modify it until it is accepted or

refused. To modify an MDS: ask your designer to refuse your MDS; modify it; then send the new MDS to the Renault designer.

- When an MDS is accepted or refused, the user of IMDS is warned in his personnel chapter. He has to connect to IMDS and has to read his message.

You have to choose an error then click "to correct". With the button "check", you can verify that all the errors were corrected.

4 Conversion of the MDS’s data in Excel file The data informed by every supplier via IMDS will be the object of a conversion in Excel file. This file is sent to the E-mail address of the Renault designer seized in the specific screen for Renault and to the user of IMDS who sends the MDS. Every user of IMDS wishing to send one MDS to Renault is warned about the conversion of MDS in Excel file and of its automatic sending to the Renault’s designer in charge of the part: An automatic E-mail is sent to the Renault’s designer and to the user of IMDS who sends MDS: The designer receives a reminder when the MDS is not accepted or rejected, the supplier is warned by E-mail.

In the part SETTINGS, every user of IMDS has to inform correctly his E-mail.
