VIRTUAL DEMENTIA TOUR™?WHAT IS THE

The VDT™ is scientifically proven to give a person with a healthy brain an experience of what dementia might be like. By understanding dementia from the person’s point of view, we can improve infrastructure and services, reduce challenges and enrich lives.

Our Certified Trainers guide participants, fitted with patented devices that alter their senses, through common everyday tasks and exercises. This simulation enables participants to experience real life scenarios, including the physical and psychological challenges people living with dementia face, and use this experience to inform person-centred care.

By completing the VDT™, participants develop greater understanding and empathy, leading to better outcomes for people living with dementia. The VDT™ supports changes in practice through improved sensitivity towards older people and people living with dementia. The VDT™ also assists in reducing the use of anti-psychotic medication, supporting an increase in positive wellbeing.

WHAT IS INCLUDED?The Virtual Dementia TourTM team will organise all necessary equipment, set-up each room and provide training to the 3 x Assistant Tour Guides nominated from within your organisation.

Prior to the tour, we conduct a short survey consisting of multiple choice questions which measure the participant’s emotional state, as well as their perspective on aspects of living with dementia and the contemporary provision of dementia care.

Immediately after the tour, we conduct another short survey to gather feedback on the personal impact of the experience. Conducting the pre and post-tour surveys allows us to measure changes in perspective, opinion and emotional state, as a direct result of participating in the VDT™.

Once all participants for a VDT™ session have completed the tour, they will be gathered for a 30 minute debrief session. Please note that it is important for all participants to attend the debrief session to complete the VDT™ and fully achieve learning outcomes.

Later on, the data is collated and analysed by the VDT™ team to produce a session report summarising the information for your organisation.

The following information summarises the room requirements for the successful completion of the Virtual Dementia Tour™. It is essential that suitable rooms (as described below) are available on the date/s of delivery for the VDT™.

EXPERIENCE ROOM

A room measuring at least 3m x 4m. This room will need:

DEBRIEFING ROOMThis is a large room to accommodate all participants after the tour and must include:

• Adequate amount of chairs for all participants

So we can assess whether your site layout is appropriate to deliver the VDT™, we require you to email us:

• The floor plan indicating clearly the proposed rooms mentioned above

• Photos of the proposed rooms

We will review the information you provide to determine whether your site layout will meet our requirements to successfully coordinate the VDT™.

If the proposed location is not appropriate, we may be able to suggest an alternative within your region, based on availability and with adequate notice. Additional charges may apply for venue hire.

PLANNING THE SESSION• Certified Trainer & Tour Guide from VDT™ team to arrive 2 hours before the session.

Greet the key contact and set up rooms.

• 3 x Assistant Tour Guides to arrive 1.5 hours before the session is to commence. This allows time for their training.

• Participants to arrive 5 minutes prior to their scheduled slot (with two staff attending at a time). Participants will be away from their area of work for approximately 15 minutes initially and must return for a further 30 minutes for the debrief at the end of the VDT™ session.

• A 30 minutes gap must be scheduled between last person leaving the VDT™ session and the debrief. This is to allow VDT™ staff and Assistant Tour Guides time to prepare for the debrief session and to take a meal break.

• Scheduling must be adhered to ensure flow of the session

It is important to let people know when the Virtual Dementia Tour™ training is announced that the VDT™ is an immersive experience, simulating aspects of dementia. During the VDT™ participants may experience feeling confused, isolated, lost, apprehensive and vulnerable. Individuals may be concerned about their response to the VDT™ due to medical conditions such as; Post-Traumatic Stress, depression or neurological conditions. If they have concerns about their ability to participate in the VDT™, they should be advised to discuss this with their Line Manager (and/or medical practitioner).

APPENDIX 2:TERMS AND CONDITIONS OF DELIVERYChurches of Christ Care (CofC) is proud to offer the Virtual Dementia Tour™ (VDT™) to your employees at ______________________________(You). You agree to CofC providing the VDT™ on these terms and conditions.

Certified Trainer ______________, is certified to conduct the VDT™, and is available to conduct the VDT™ for the staff ____________________ on ______________ (Date). The VDT™ will provide you and your staff:

• Hands on training designed to increase staff’s understanding of what experiencing dementia is like.• In-service debrief to cover person-centred care of people with dementia.

A. The CofC VDT™ Certified Trainer will conduct the VDT™ experience for up to 32 participants a day.

You must provide an area of sufficient size to accommodate the separate areas required for the VDT™ to take place, including some furniture, for the duration of the training. The room and furniture requirements are set out in the attached document titled Virtual Dementia TourTM Training Areas. For VDT™ sessions delivered over more than one day, you must ensure that the room designated as the “Experience Room” is secure and lockable so that VDT™ equipment can be safely stored overnight”.

B. Insert if VDT#2 in Pricing Schedule - The CofC VDT™ Certified Trainer will be accompanied by one (1) Tour Guide who will assist the Certified Trainer with delivery of the VDT™. You must nominate three (3) of your staff or volunteers to act as Assistant Tour Guides for the duration of the VDT™. The Assistant Tour Guides must attend training for 1.5 hours prior to the delivery of the first VDT™ session. The Assistant Tour Guides then must arrive 20 minutes prior to each VDT™ session commencing and remain until the last participant completes the VDT™. The Assistant Tour Guides will participate in the VDT™ at no cost to you.

C. The CofC Certified Trainer will provide all VDT™ components and materials necessary for a comprehensive tour experience.

D. The VDT™ Certified Trainer will arrange set-up, oversee the tour experience, ensure proper flow, and provide a professional participant post-tour debriefing to maximize the tour experience for attendees.

E. By using the VDT™ and the products associated therein, you, the participant, or any other party associated with you or the participant, assumes all risks associated with the VDT™ and agrees to release, hold harmless and indemnify Churches of Christ Care, Second Wind DreamsTM Inc. and all associated parties from any and all liability, claims, demands or actions that the participant or any other party may now have or may have in the future for personal injury or property damage arising from the use of the products in the VDT™. Individual participants will be required to sign a Hold Harmless Statement prior to undertaking the VDT™.

F. You must have

(a) a public risk insurance policy for at least $10,000,000; and

(b) workers compensation insurance as required under the legislation in any State or Territory of Australia, to cover all staff participating in the VDT™;

and you will provide CofC with copies of the certificates of currency for these policies prior to commencement of the VDT™ training. To avoid doubt, the requirement of insurance does not in any way limit your liability under the indemnities given and in respect of your obligations under these Terms and Conditions.

G. A small strobe light/flashing light is used during the course of the simulation. If any participant is prone to migraines or seizures, they MUST inform CofC BEFORE they take the VDT™.

H. You acknowledge that you have been informed that the Virtual Dementia Tour™ is an immersive experience, simulating aspects of dementia. During the VDT™ participants may experience feeling confused, isolated,

lost, apprehensive and vulnerable. Individuals may be concerned about their response to the VDT™ due to existing medical conditions such as; Post-Traumatic Stress, depression or neurological conditions. You agree to inform participants to consider their personal circumstances, BEFORE they complete the VDT™. If they have concerns about their ability to participate in the VDT™, you will advise participants to discuss this with their Line Manager (and/or medical practitioner).

I. The VDT™ is the intellectual property and proprietary program of Second Wind Dreams®. As such, the VDT™ components utilised during this experience may not be reproduced. Disclosure of or reproduction of the concepts and process of the patented VDT™ will result in legal action taken by the owner of the VDT™, Second Wind Dreams®.

J. You agree to pay to CofC within 14 days of demand being made by CofC, the cost of repairing or making good any damage to the VDT™ components or materials arising out of or incidental to the use of the VDT™ components and materials under these Terms and Conditions other than damage caused by events outside of your control.

K. You must provide 14 days written notice if you want to cancel delivery of the VDT™ from the Date set out at page 1. If cancellation occurs with at least 14 days notice, you will be entitled to a refund of 50% of the Total Cost. If cancellation occurs with less than 14 days notice, you will not be entitled to a refund.

L. CofC will take all reasonable steps to deliver the VDT™ to you on the Date set out at page 1. There may be events outside of CofC’s control that may require CofC to cancel or re-schedule delivery of the VDT™. CofC may cancel or reschedule delivery of the VDT™ for any reason whatsoever and shall not be liable for any loss arising from our decision to cancel or reschedule delivery of the VDT™. In the event of cancellation by CofC under this clause, all payments made by you under these Terms and Conditions shall be refunded to you.

M. This document contains the entire understanding between the parties as to the subject matter of these Terms and Conditions. All previous negotiations, representations or warranties concerning the subject matter of this document are superseded by these Terms and Conditions.

N. You agree to pay the following:-

• Provision of training services of VDT™ and in-service debrief as set out in the attached Pricing Schedule

• Any travel and accommodation costs for our Certified Trainer and Tour Guide/s will be billed separately.

• If applicable, all costs of providing additional Tour Guides, including additional Tour Guide fees, travel and accommodation costs.

You agree to pay to CofC the amounts above within fourteen (14) days of receipt of a tax invoice. CofC may recover any outstanding amount as a debt or liquidated demand.
