ALLEGAN DISTRICT LIBRARY
ALLEGAN, MI
Due to the retirement of the current Director, the Board of Trustees of the Allegan (MI) District
Library seeks a passionate advocate of public library service to become the Library’s next
Director. The Allegan District Library is an independent governing unit, serving a population of
over 17,000 with an operating budget of $620,000 and a staff of 13 (3 with MLIS degree). The
original Carnegie building has been extensively remodeled and expanded and will proudly
celebrate its 100th
anniversary in 2014.
Allegan, located in southwest Michigan, is a charming community with an unbeatable
combination of historic small-town atmosphere and community-minded approach to life. The

The position requires a Masters degree in library science or library and information science
from a program accredited by the American Library Association and a minimum of four (4)
years post-degree experience in a professional public library position, of which at least two (2)
years have been in a position of administration and supervision in a public library.
The successful candidate will have a thorough knowledge of all facets of public library service;
an enthusiasm for and understanding of small-town librarianship; the ability to manage and
prioritize multiple projects; excellent communications skills; strong financial management
abilities; the ability to work effectively with other governmental agencies, civic and community
groups, and the general public; and the ability to address challenges in a collaborative and
creative manner. Experience in a district library setting is desirable and knowledge of Michigan
library law would be a plus.

COMPUTER PAGE
The Computer Page handles the process of signing up and assisting library users at the Public Access computers,
including troubleshooting as needed.
Duties include the following:
1. Signing up and, as needed, checking identification for patrons wishing to use the library’s Internet workstations and
wireless access, including letting users know when their time is up.
2. Assisting patrons with proper and successful usage of the Library Print Release system, including application of
monies to account via the Library Payment Center.
3. Assisting users by doing simple troubleshooting as needed related to printing, emailing, using browsers and Windows
operating system, and connecting to wireless access, Wireless Printing and more.
4. Working on other duties as assigned by supervisor, including, but not limited to book pre-processing, material
discards, database maintenance projects, hardware maintenance and troubleshooting, or Web page updating.
Skills Required:
1. Familiarity with the Windows computing environment, including general knowledge of Windows 7 Pro, Windows 7
Home, Windows 8, Windows XP Pro, Windows Vista, Office 2007 and Office 2013.
2. Familiarity with smart phones, tablets, and mobile technologies.
3. Understanding of how Internet connections work, including networking, wireless, web browsers, HTML, Flash, Java,
Javascript, etc.
4. Excellent and engaging communication skills, including ability to adapt to a variety of age groups and experience
levels among library computer users.

Approval of Minutes from July 25, 2013 Meeting
Motion to approve the minutes as presented by C. Morse (BERK), seconded by T. LaPorte (LIVS.) Motion passed by general consent.
System Update – Anne Neville eResource Central implementation postponed until at least November as site complexity (multiple OverDrive groups, Advantage accounts) requires additional development of the administrative component. SMS Text messaging for holds pickup notices delayed slightly. Had confirmed that it will also work in Enterprise but then discovered that the opt-in feature stopped working after the June Symphony upgrade. SIRSI is troubleshooting this issue now. Please remind staff of the Steering Committee Assumed Lost policy regarding payment for lost items not owned by your library [on TLN website, Circ Services Committee, Circulation Policies]:
“In accepting payment for lost item(s) not owned by your library, a library will contact the owning library by telephone for the desired method of payment. If the owning library is unavailable, the library will accept a check made payable to the owning library, forward the check with bibliographic information to the owning library and clear all associated patron fines. A print out of the patron record including the bibliographic record is recommended. “
A database maintenance project lasting about two weeks will begin on Thursday, October 3rd. During that time BDBS staff will not be able to edit, merge, or update existing records. Linking and adding new bib records will not be affected. Jim Flury will send out more information. John Inman added that, for Enterprise, public catalogs will have to be on version 9 or higher of Internet Explorer, or on Chrome or the latest version of Firefox. There was no Network Update Report from the TLN Board Meeting – Maria McCarville
There was a brief meeting on September 19th which included the Human Resource Committee regarding contracts. Certificates were given to Steven Harper and Paula Gauthier for their service on the TLN Board. Fund balance is $854,455.96
Report from the Executive Committee – Paulette Medvecky Discussed and dismissed idea of SIRSI prepayment. Will proceed with purchase of a CD from fund balance in order to improve investment earnings.
Report from the Circulation Committee – Wendy Teagan Group to review patron profiles re-formed. Notes regarding damaged materials were discussed. Receipt printer transit slips discussed. Two libraries shared their experience with using online patron registration.

Wendy Teagan presented a request from the Novi Library that the group revisit the policy that libraries be allowed to renew other libraries’ patrons.
Current SAS policy is on TLN website, Circ Services Committee page, under Resource Documents and Links, Circulation policies and procedure:
“Patrons - A TLN library may renew another TLN community library’s borrower card, as long as the patron has a clean record. If the library renews the card, the library must be diligent in checking identification and updating the patron record to maintain consistency. (SASUG Executive Committee decision 6/5/00). SAS libraries will allow a 30 day extension in expiration date with a note requiring patrons to bring ID on their next visit. (SASUG Executive Committee 4/2006) “
This policy language (“clean record”) leaves some room for interpretation: pay to below the fines cap so not blocked? Or pay off all fines?
Novi Library policy is renewal with a one year expiration timeframe and patrons are required to pay off all fines for renewal of card – not just pay below the cap. Novi provides a card for City of Novi employees and people who live outside the TLN service area but work in Novi – other libraries wouldn’t know what information Novi requires to verify this card. Novi is seeing patrons whose cards have been renewed with a three year expiration and no fines paid off in years; those patrons got cards renewed at other libraries.
Novi advertised 6 months in advance that they would be requiring patrons pay fines in full for renewal of library cards. After one year they have had complaints from three people, two of them being patrons from neighboring libraries.
Staff are used to using their own library policies to renew cards, not the policy of the patron profile home library. This creates an issue because it changes the basic structure of other libraries’ patron records.
Some problems may arise from difference between using “extend user privilege” (which ties to the profile) vs. “modify user” (used to verify all the information; also means you have to set the expiration date.) Novi uses modify so they can go through all the information and verify it.
There were various comments on whether this is a policy issue (policy needs to be enforced/ current policy can’t be enforced/ policy needs to be changed/can’t force renewal at only home library) or a staff education/ training issue (get staff to follow policy rather than change policy.) …. Many libraries will NOT renew other libraries’ cards…. It’s the responsibility of the issuing community to verify that all patron info is correct.
C. Morse stated she agreed it’s preferable to renew card at home library but she has concerns about denying service to a patron in front of you with books to check out. It would be more customer friendly to extend the card only 4 weeks, with notice that the patron must return to home library to renew the card.
C. Morse (BERK) made a motion that, since the current policy comes from ExComm, this matter be referred to the ExComm for discussion at their next meeting and then ExComm would come back to this group with a recommendation. C. Ozinga (COMM) seconded the motion.
Further discussion ensued. Circ services listserv surveyed libraries regarding the length of card before renewal and whether fines are being paid in full or just to threshold. (It’s about half and half for paying below cap.)
C. Morse (BERK) commented that part-time clerks especially don’t always know what other libraries’ policies are. It’s cleaner and easier to state that “if it’s not a BERK card, then renew the card for 30 days and tell patron to go to home library” than for clerk to check a list and verify each libraries’ policy for renewal.
P. Medvecky (WAYN) reiterated preference that a 30 day extension be allowed rather than deny service. Patrons do get an expiration warning if they’re frequent users.
Concern was expressed about staff time it would take if “30 day extension” notes were required in note fields. C. Ozinga asked about the possibility of contacting offending libraries about renewals that do not follow home library policy. W. Teagan replied that it’s not just neighboring libraries and C. Morse added that it’s not just a Novi issue.
Motion approved.
New Business
1) Preview demonstration: Enterprise – Anne Neville and John Inman There’s a lot more set-up to do, this is in no way a finished product Will start everyone the same and insist that we all keep the same background color and TLN branding.
Waited for this version because some (although not all) of the changes being made by TLN staff can “cascade down” rather than have to be repeated 55 times
Software resides on SIRSI server - there is NO TEST SERVER – it’s live – it’s THE PRODUCT There’s a problem with Enterprise function with older versions of Internet Explorer (need v. 9 or higher); Chrome and latest version of Firefox work
Left side of catalog homepage has links to your Library Homepage, Library News and Events (may link to your Calendar), eLibrary catalog, My Reading Log, and Facebook, Pinterest or Twitter if your library has them
Will continue to make the classic eLibrary catalog option available for use; SirsiDynix is focusing most of their development on Enterprise, so don’t expect much in the way of further updates to eLibrary.
At ‘Login” TLN will change “Register” to something like ‘Don’t have a library card? Click here to register now’
Will add a “Forgot your PIN?” link “Welcome [Patron Name]” shows at top of page until patron logs out – checking to see if can highlight in red
Patrons need to learn to log out ADA compliance mode button is for ease of reading by visually impaired Still takes patron to OverDrive – will be different with eResource Central (just click on item) When have eResource Central integrated will remove records for MCLS and Download Destination and get metadata from cloud
Plymouth District Library is on Enterprise – download button now takes to OverDrive with search already done
There are four Book Rivers for every library (a series of book jackets float across the screen) Four Book Rivers = New Books, audio books, DVD, music (no separate Book River for Juvenile titles yet)
Imperfections in the Book River are because it’s based on how we use item types. There are a variety of bestseller lists – can choose from a list – there are a lot more Books Rivers searches on ISBN Searching: TLN staff are in the process of adding a line for a search specific to your library as default in the option list on Left side of page
All Enterprise searches are keyword searches – there’s no browse search in Enterprise – based on fuzzy matches – trigrams – three letter segments vs. whole words – is based on usage and will suggest completed terms
Trigram takes care of singular/plural search terms (usually) rather than finding nothing It is primarily relevance searching; relevance is an algorithm on the SIRSI server, based on a number set in the background
Can Boolean search in search bar, default operator is “and” Advanced Search – format is based on catalog record not item types
Q: Is there Call Number Browse? No, but there is in Workflows; you can’t “facet” call numbers Q: Is there Find “Nearby Items on Shelf”? No, but can find ‘similar titles’ Facets along the left side of search hit list are used to limit the search: choose to include or exclude a facet.
Facets can be in any order by library. TLN can change the order of listed facets as well as label names. You don’t have to click on the box next to term to include facet term; you can click on term as a hyperlink.
Libraries are listed in alpha order on left side where choose to limit search results (the facets) Changed search facet label “item category 2” to “age group” (e.g. adult, young adult, tween juvenile)
The hitlist retrieved by a search highlights the relevant search term Hitlist is no longer going to list the newest thing at top, but you can sort by publication date (ascending or descending)
Will only sort top 300 matches if new Will look further into the default sort Thumbnail , list or “cool iris” view options There are icons for formats Click title for availability When you click on a title in the hit list you get a “modal window” with the hit list greyed out behind it. Use the arrows alongside modal window (navigation buttons) to move through the items on current page of hit list (without need to close window to return to hit list.) There are about eleven items on a hit list page. Modal window is a choice that can be made by library.
“Text it to me” is an e-mail sent to a text message gateway. Patron has to enter carrier information for text. There is no cost to TLN, it is all on the patron.
“Accordions” for summary/reviews/add a review have been moved to ABOVE holdings because the holding list can be long, wanted easier access to these services we pay for.
Several attendees commented that at item level the MARC catalog record is lengthy and asked if there is any way to accordion it down so patron can more easily see the accordions for summary and reviews. The MARC data is relatively useless to the patron. Is there another way to access bibliographic data for librarian, e.g. a widget for MARC record?
Have multiple records on hit list - want patron to find copy you own rather than place hold just from hit list
Working on something similar to the red star thing to identify items you own SAILS consortia in Massachusetts is using Enterprise [http://sails.ent.sirsi.net/client/default] SAILS removed the “Personal Information” accordion The back arrow now works because navigation is all done by browser No longer have sessions – can copy into a bookmark and it is static
Can have a Facebook “like” button to put the “like” on the patron’s Facebook page (not on catalog page) - need to test
Foreign language option? Language of the item record isn’t changed – just the search terms You would have to build the language so that when you change the catalog language you have a different set of labels
Book River is based on item type; if you don’t have the item type “new music” (e.g.) it can be taken out of your profile.
Can have whatever Book River you want as default Could make a “Room” for bestseller list Book River is based on date catalog record added and date item added Updates every Saturday (weekly) Not sure if it includes “in process” but if item is linked and checked out to in process it shouldn’t make a difference
There is one report that TLN filters by library The current eLibrary “Recommended reading” list is built by SIRSI and pushed out to a report to eLibrary.
To replicate this would have to say in item bib record that it’s an Agatha or a Caldecott (for example) because it’s not pushed to Enterprise as it is to elibrary
Holds: In iBistro we didn’t allow the ability to place a hold from the hit list – we could, but never have. Will be carrying this restriction over to Enterprise.
Can place hold on everything on screen Will remove holds “place in queue” as “#1” is meaningless Cannot edit or cancel available holds Can edit hold pickup location Can “suspend” holds and cancel hold suspension In elibrary, pickup location only shows when it’s ready for pickup Enterprise shows pickup location even if “pending”; not sure can change that wording - will check and also check to see if “pending” can change to “unavailable”, also change “Pickup at “ to “pickup when available at”
Default pickup library is library of registration – patron can change preferred pickup location Enterprise will always default to patron’s registration library – if you’re using catalog in another library the default is your registration library, not what’s placed at that library
HOLD map still applies Scenario: if OAPK patron places HOLD on a NEWBOOK at a BERK workstation (a book that both OAPK and BERK own) with pickup location set to BERK then the OAPK copy will go to BERK to fill the hold
A. Neville suggested that, given the complexion of hold fulfillment in Enterprise, it makes even more sense to let demand management work and to get rid of ‘own-library-only” hold designations
RE: "My Account" (patron information): Group recommends getting rid of "Alternate ID" line (no benefit there) and requested possible adds: "If your information is incorrect please contact your Library" and "Expiration date of card" Will add note that can only pay via PayPal if owe $5.00 or more Can turn off payment history by library (TLN only maintains a couple years at a time to prevent database crashing)
Also suggested: Change accordion wording from ”SMS” notification to clarify that its “text” Our Enterprise catalog is up and running, we can look at It is changing all the time, need to refresh frequently as they are debugging and testing Use/test the catalog: http://tlnl.ent.sirsi.net/client/[your library’s 4-letter code] Notify Anne Neville or John Inman of issues like broken links (HelpDesk tickets or e-mail) Not sure if far enough along in Enterprise development to resurrect the elibrary committee - especially since product is customizable by library

Future Meeting Dates; locations needed:
Attendees were encouraged to host meetings in 2014; please contact Chair if able to host.
Discussion: Videoconferencing future meetings:
At this time, committee members felt that the benefits of meeting in person outweigh the convenience
of video conferencing. Many meetings include tours of key outreach services and this would be lost via
videoconferencing. Subject was tabled and may be discussed in the future.
Round Table Discussion: Marketing strategies: Many comments and shared suggestions were
voiced from various libraries. Librarians spoke about volunteer recruitment and retention. Working
with meals on wheels coordinators, hosting an open house with tea and books, communicating with
resident coordinators at various facilities in our home communities.
Additional Discussion: How does an outreach librarian determine who qualifies for outreach services or
homebound services? Novi requires a physician’s note for homebound materials to be delivered.
Library Tour: Kathy, outreach services librarian at Auburn Hills Public Library gave everyone a tour of
her library. Everyone enjoyed the tour and everyone was impressed at the warmth and beauty of this
library.

Clarkston Independence District Library
Job Announcement: Substitute Librarian Salary: $16.00-17.00 per hour based on experience Hours: 10 – 12 per week, including some nights and weekends Primary days needing coverage include: Tuesday evenings, Thursday and Saturday days Primary job duties:
1. Provides quick and accurate reference and reader’s advisory services to adults, children and teenagers, using print and electronic resources
2. Assists patrons with computer catalog, electronic resources, and the Internet 3. Performs other library duties as assigned
Required qualifications:
1. ALA accredited MLS or substantial completion of ongoing studies in an ALA accredited MLS program
2. Professional attitude towards providing public library service to patrons. 3. Familiarity with public library reference sources, both print and electronic 4. Familiarity with popular reading materials and genre collections 5. Strong oral and written communication skills 6. Ability to establish and maintain effective working relationships 7. Broad general knowledge base useful in framing and interpreting reference questions 8. Flexibility to work varied hours 9. Knowledge of popular office computer programs
