OIT SUCCESS

OIT ASSISTS FINANCIAL AIDEDAS employees Jenine Gainer, Narendra Chaganti, Zachary Potts, Debbie Walsh,

Christopher Jacobs, and Francisco Reyes along with Deb Crocker of OIT Systems created and implemented a new process for the Financial Aid office to load data for the academic year 2011-2012. It was done in less than half the time from the previous year. The customer said, “For our first big data load, we had almost 11,000 records to load. The same number as last year. Around 3000 would have gone into suspense which is about the same number as last year. Last year it took 5 days to work those 3000 records; about a week to run the data load process. This year with the new process to load by transaction number, we only had around 600 go into suspense. We have COMPLETED the data load process in less than two days. This is such an improvement. Great job!! It was an idea I had heard about but you made it possible. Please thank those that helped implement this new process. We look forward to using it this year. This needs to be a presentation at SUMMIT next year. Schools would love to have this.”

STRICKLAND PRESENTATION FEATUREDCongrats to Reata Strickland. She entered a Prezi contest and is featured on the Prezi site.

Her presentation is listed under “stylish” on the Prezi site. Prezi is a “zooming” presentation editor that goes way beyond a simple slideshow. In Reata’s innovative presentation, as the final image zooms out, you see that the wavy black lines surrounding the words you have zoomed in on compose a larger image of Einstein, the iconic “genius” and the final observation appears “prezi + ipad = genius.”

Reata works in Multimedia Services in the Center for Instructional Technology and has assisted UA faculty in the past with their Prezi presentations.

OIT REPRESENTED IN UNDERGRADUATE CONFERENCEMultimedia Services has five students entered in the Undergraduate Research and Creative

Activity Conference on April 11 at the Bryant Conference Center in the areas of Web, Graphic Design, Photography, Videography, and Media Writing.

The conference is an annual event at UA that provides undergraduate students an opportunity to highlight their work in research or creative fields. OIT student assistant, Kayla Terry (her photo pictured), has entered “Through My Lens,” a poster of her work at OIT.

Tobias Hackstedt entered a poster on “Creating a Virtual Field Trip;” Jana Motes created a “Multimedia Services Video Crew, a High Definition Team” poster. Matthew Shea created “The Blueprint of Design,” and Miah Evans entered a poster on “Technology Out Loud.” All posters are on display on the second floor hallway by the Faculty Resource Center.

GOLSON PHOTOGRAPHYThe eye of the photographer brings the inanimate to life. OIT photographer Teresa Golson

just photographed over 60 books of student work for Anna Embree, a professor in the School of Library & Information Studies.

This book is a model of a late Byzantine book structure. The cover is made of wood, and it has been covered in goat skin. Decorated with blind hand tooling, the book has clasps made from brass and leather.

In addition, Golson has one of her photos of Bryant Denny Stadium featured on the cover of College Services magazine, the Spring 2011 issue, which has an article on “My Football Ticket at The University of Alabama,” the award winning program OIT helped implement for online sales of student football tickets.

VIDEO TEAM PROJECTSRecently, the Multimedia Services video group shot a video in which Kavita Ramdas speaks

about her experiences with the Global Fund for Women.

Kavita N. Ramdas provides leadership and direction for the largest grantmaking foundation in the world focused exclusively on supporting international women’s human rights. During Ramdas’ tenure, Global Fund assets have increased from $6 million to $21 million.

Grantmaking has risen to more than $8 million per year, and the number of countries in which the Global Fund has made grants has nearly tripled. Ramdas has also overseen the Global Fund’s first ever endowment campaign and the creation of the groundbreaking Now or Never Fund to ensure women’s participation on critical international issues.

Multimedia Services also produced radio and television Public Service Announcements for “Standup for Autism,” a comedy event benefitting the Autism Society of Alabama and Arts ‘n Autism, a local service agency. Rick Dowling often appears as a comic at this event.

AUDIO/VISUAL SOLUTIONS OPEN HOUSEOIT’s Center for Instructional Technology Audio/Visual Solutions held an open house from

8 to 9:30 a.m. on Tuesday, February 22nd to show everyone their new office space in the newly renovated Lloyd Hall.

OIT staff took this opportunity to meet several new staff members and tour the new space with its expansive equipment rooms.

GOOGLE ANALYTICS ON OIT WEB SITEGoogle Analytics of OIT's new Web site shows that in a one-month period this past February,

there were almost 50,000 pages viewed on the site.

The new site was launched this past September and statistics show it is producing excellent results in increased traffic to the site.

The top pages viewed were for Crimson mail and the IT Service Desk. Many visits came from other countries with the majority of visits from China (334) followed by Canada (200),

the United Kingdom (171), Thailand (130), and Australia (129). In all, 29,795 visits to the OIT website came from 106 countries with a high percentage of these being new visits.

Interestingly, the top browser used was Internet Explorer (13,203 or 44.31% of visits) followed by Safari (6,635 or 22.27% of visits) and Firefox (6,216 or 20.86% of visits).

Referring sites counted for 27% of site traffic with main referrals coming from crimson.ua.edu (4,165 or 13.98% of visits). Also, site traffic was lowest on Sundays during the 8 a.m. to 12 p.m. maintenance period.

The traffic sources overview for a one-month period shows a total of 29,795 visits to the OIT website with the main referrals coming from Crimson mail and the myBama portal.

WEEKLY SECURITY THREAT DATA• McAfee ePO Antivirus/Anti Spyware blocked 107,623 threats this week on 7275 managed

systems.

• Ironport filtered 13,853,437 threat e-mails out of a total 15,046,585 e-mails the week of 3/11 and 14,753,212, threat e-mails out of 15,799,469 total e-mail messages the week of 3/18.

• Intrusion Prevention: 782,935 external threats and 2,248,918 internal (outbound) threats were blocked this week.

• The firewall blocked 6,960,480 connection attempts this week.

• Despite TippingPoint Blocks on both ResNet segments, 10 File Sharing & DMCA offenses occurred the week of 3/11 on what were thought to be blocked protocols – We are investigating how the filters are being bypassed.

• Security shut down 80.185, 80.45 for port scanning.

• OIT Security is working on blocking and cleaning the “Top 15” list of Botnet systems.

• OIT Security is continuing monthly vulnerability scanning to provide data for campus, HIPAA and (Payment Card Industry (PCI) systems.

OIT GREEN INITIATIVE

RECYCLING CFLS IN TUSCALOOSAWhen shopping, you may have noticed that energy-efficient compact fluorescent light (CFL)

bulbs are replacing incandescent bulbs due to an energy law passed in 2007. As reported in The Tuscaloosa News, CFLs can last up to 10 times longer than incandescent bulbs and use about 75 percent less energy. Since CFLS contain 4 milligrams of mercury sealed inside a glass tube, the bulbs can be harmful to one’s health if broken or not disposed of correctly. To help people properly dispose of fluorescent light bulbs, Lowe’s stores allow customers to recycle their CFL bulbs, along with rechargeable batteries and shopping bags at recycling centers in the front of the stores. TURN LIGHTS OFF

What is the number one way you can help save energy? Turn lights off.

It really is quite simple.

When you leave at night, flip the light switch to the off position. And if you are the last person to leave? Then please turn off the lights in shared areas.

UA has saved 2,006,840 kilowatts of energy this year by turning off lights. For more information on things you can do on campus to help

CAMPUS WI-FI A GROWING ISSUEMarch 28, 2011 - The rapidly changing nature of wireless Internet technology will keep the

University’s Office of Information Technology on its toes as enrollment rises to 35,000 by 2020 and more users with wireless devices must be accounted for, said Christina Frantom, director of public relations for OIT.

Despite integrating upgrades into its wireless Internet service in the 2009-10 academic year and expanding wireless connectivity to most areas of campus, the University has had to respond to reports of poor Internet connection from users across campus, according to a report from OIT.

The chief culprit is the inflation in users without the capacity to handle the growth, according to the report.

For a single access point of Internet coverage, 30 users are recommended for quality wireless connection. The University now has 1,395 access points, and 21 percent have shown peaks of usage above the recommended limit, with some peaking above 100 users, according to the report. Read more.

IPADS GROWING MORE COMMON IN CLASSROOMSFebruary 6, 2011 – Recipients of iPads who work in the College of Arts and Sciences intend

to integrate tablet computers into their teaching and research, said Rebecca Florence, director of college relations for the College of Arts and Sciences. “Technology is central to how we learn and how we communicate,” Florence said. “This is an initiative to allow faculty to experiment with how tablet computers can help improve and expand their teaching.” Read more.

CYBERSECURITY DEPENDS ON EMPLOYEE VIGILANCEJanuary 31, 2011 – Cybersecurity is not just the concern of University employees dealing

with confidential data, but of every UA employee with a computer, says Office of Information Technology security officer Ashley Ewing. Computer users must resist apathy, according to Ewing. Though no security system is perfect, the assumption that anyone who wants to hack a computer will succeed leads users to fail to use available safeguards. Read more.

FACULTY TECHNOLOGY WORKSHOPThe Faculty Technology Workshop was Friday, March 4th from 10 a.m. to 3 p.m. on the

second floor of Gordon Palmer Hall. Faculty presentations included iPads, Social Media, Mashups, and Virtual Reality.

There were drawings for an iPod Touch, a power charging mat, and a backpack picnic pack. The workshop was well attended. View more photos.

DATA CENTER UPS UPDATEThe Network Management Card in the Data Center UPS was replaced, and we have had no

further issues with lost communications. The firmware upgrade appears to have corrected the false battery runtime calibration.

The cause of the Data Center UPS failure is being investigated by the Platform Engineers at American Power Conversion (APC). The two intelligence modules that were replaced have been installed in a test system at the APC Rhode Island facility and a report of the results is forthcoming.

A non invasive check of the batteries was performed on Wednesday and all checked out ok. A load bank test was performed on the UPS on Sunday, April 3rd between 8 and 10 a.m. to simulate a load on the unit similar to a power outage. This will be the best test, other than an actual outage, to see if the unit is performing properly.

A formal meeting with APC will be conducted after all testing and the failure analysis are completed.

NEW DATA CENTER HYDRAULIC LIFTA new battery powered lift, ServerLift SL500, has been obtained to assist the Network and

System staff in the installation and removal of servers and switches into racks. This unit is capable of lifting 500 lbs to a height of 8 ft.

TELECOM PREPARES NEW UAPD RECORDING SYSTEMTelecom staff is preparing for the new recording system to be used by UAPD. The server will

be located in the Telecom switch room to lessen the length of the many cable runs required for the recording system.

Work is also underway towards UAPD’s temporary move to 3 campus locations during the construction of their new facility.

TELECOM MIGRATES CAPSTONE VILLAGE PHONESTelecom migrated Capstone Village administrative telephones to the University telephone

system. The main number, 248-0028, has been ported to 347-0028, and will eventually be discontinued. The admin office phone numbers will use the 347 exchange.

STAFF UPDATES

VAUGHN CERTIFIEDJustin Vaughn of our Systems group is now a Microsoft Certified Professional (MCP). He is certified in installing, configuring, and administering Microsoft Windows XP Professional.

The exam measured his ability to manage file systems and hardware devices and drivers as well as to optimize system performance and reliability, configure the desktop environment, manage network protocols and services, and implement security.

NEW EMPLOYEESZade Shamsi-Basha (pictured left), an International Studies major, is a new photography

student assistant in Multimedia Services. He started working with Teresa Golson at the end of February. He works as a freelance photographer and his clients include the Salvation Army, 4LOVE Magazine, the Alabama Tourism Department, and the Medical Properties Trust. He says, "I have always enjoyed taking pictures."

EDAS also has a new student assistant, Christopher Jones (pictured right). He will be working with the Student Admin & HR Team. Please welcome him and Zade to OIT.

• Rachel Shuttlesworth has been accepted to present at the Blackboard Connections Summit (on Wimba implementation practices and procedures) in Las Vegas in July.

• Marilyn Staffo, Kevin Halbrook, Rick Dowling and UA Libraries representatives presented a session on copyright on Thursday, March 24th for distance education faculty and CCS staff.

• Kevin Halbrook’s proposal to present at the Tegrity Users Conference in April has been accepted.

HEARTWALK 2011In addition to on-campus programs, the Office of Health Promotion and Wellness supports

events in the wider community such as the 2011 Tuscaloosa Alabama Heart Association Heart Walk. Employees interested in raising money to fund research and educational programs joined in at 8 a.m. on Saturday, February 26th, at the Belk Activity Center in Bowers Park. Mark Foster was the assistant director of student judicial affairs who died Dec. 25 at his home in Tuscaloosa. A graduate of UA, he served the University for 21 years.

Foster served as PSA President in 2007 -2008 and as chair of Assembly Operations 2010-2011. Mark was active in the formation of PSA and was part of the Professional Staff Constitutional Convention that voted to establish the Professional Staff Assembly.

OUTSTANDING PROFESSIONAL AWARDThe Professional Staff Assembly (PSA) is now accepting nominations for the Outstanding

Professional Award. The Outstanding Professional Award annually recognizes two University of Alabama employees for going above and beyond normal responsibilities and duties, for bringing out the best in others, for offering innovative ideas and for creating conditions for success. Recipients of this award receive a one-year membership to the University Student Recreation Center and a Bama Dining meal card valued at $80. This year’s recipients will be announced and recognized at the May 19th Professional Staff Assembly meeting. To nominate a professional for this award, click here. The deadline for submitting nominations is April 4th, 2011.

PSA ELECTIONSPSA elections to fill assembly positions of outgoing members of the 2009-2011 term were

held in March. Each division on campus may elect a representative for PSA for every 15 professional staff members. Many divisions will elect more than one representative. Each elected representative will serve a two-year term. The email ballot sent on February 14 asked for nominations for representatives in your area. This information determined the names for elections in March.

PROJECT UPDATES

• We have completed the server work for and are working on desktop deployment of the PersonaPro fingerprint readers for CCHS. The project is nearing completion.

• Multimedia Services (MMS) is working on over 50 Web projects — updates of old HTML sites, the migration of several sites into content management, and the new design and development of  sites for customers across campus including but not limited to numerous faculty research sites, WVUA, Crimson Tennis Club, UA System, Army ROTC, and Gulf Coast Restoration sites. MMS is getting about three requests a week and is working with several faculty to get Web costs written into their grants.

• Configuration consulting is about to begin on the SharePoint project.

• OIT is working on a new project for the UAPD, a People Locator.

• The Enrollment Management virtualization project is complete.

• The College of Continuing Studies (CCS) migration is gearing up.

• The 64-bit print server is now operational. This is the first one in OIT.

• Ping Zhang, Blake Newman, and Dana Mathewson met with the Action Card Office, Athletics Ticket Office, and representatives from the SGA to determine if changes are required to MyFootballTicket for the 2011 Football season.

• On 2/24, Susan Hunter, David McMillan, Andrew Watson, Dana Mathewson, Ping Zhang, and Blake Newman met with Student Receivables and Athletics Ticket Office staff for the Freshman Football Ticket Sales Fall 2011 project.

• On 2/20 and 2/21 work was completed by Renetta Brown, Dana Mathewson, Ping Zhang and Jamika Sellers to upgrade the Onestep database to Oracle 11g. Academics team staff completed the updates necessary on the 10 computers in Student Receivables that run this application.

• Banner Financial Aid Release 8.10 was installed in Production on February 13. Thanks to all the EDAS teams who collaborated to have this project ready on time.

• On 2/14, Wendy Chen and Dana Mathewson participated in a conference call with MICROS along with the Action Card Office, Student Receivables, and OIT Security to discuss Credit Card Integration.

• Wendy Chen, Dana Mathewson and Susan Hunter participated in a conference call with Virginia Commonwealth University to check vendor references with Perceptive for the Document Imaging Request for Proposal (RFP).

• Blake Newman, Anita Cutts, Dana Mathewson and Susan Hunter participated in a vendor demo for the Accreditation Management System RFP by LiveText.

• On 2/16, Susan Hunter, Dana Mathewson, and CIT staff met with the Blackboard Learn Account Manager, Jim Johnson during a campus visit.

• On 2/15, Dana Mathewson and Blake Newman completed work on a new report for the Action Card Office and Bama Dining area for Dining Dollar Deposits by Cardholder. This new report addressed issues with the Spring term crossing multiple (2010 and 2011) years on the report server databases.

• Steven McGuigan (Systems) has been working with the DBA group on the SQL 2008 upgrade.

• Systems & Networking has closed 127 tickets. Systems closed 111 tickets. Networking closed 16 tickets.

• The new RC2 cluster hardware is in place and the rack lift is on site. We are waiting on availability of power. The system will go on the new network, which Networking hopes to have in place by the time our power is available.

• CIT Multimedia Services is launching a new version of the monthly OIT newsletter on April 1. It is available on the iPad and smart phone!

• Multimedia Services (MMS) and Audio/Visual Solutions are working on the UA presidential dinner graphics and presentation.

• Teresa Golson and Rick Dowling are working on a virtual tour process for mapping applications. Lloyd Hall will be the pilot. There was some work done on the Foster Auditorium. Rick and Teresa’s work will enhance what has been done and add to the virtual tour capability.

• iTunes U has been transitioned over to MMS, and they are working with the college/department liaisons. There is new content up about every week.

• Emerging Technology and Research is working with Isaac Segal (Tegrity President and CEO) to explore a new opportunity called Tegrity Campus which uses Tegrity’s AAIRS (dynamic authentication, enrollment updating connector) to give users access to free and “premium” McGraw Hill resources as a way to get users to adopt McGraw Hill texts.

• Cameron Purvis (Emerging Technology and Research) is working with Systems to provide significant computing and storage resources for a biological sciences faculty member pursuing genomics research.

• Cameron is working to restore the UAHPC (high performance computing cluster) and other research systems damaged by the power outage over spring break. The non-OIT research systems are running properly.

• The Tegrity vendor, Glen Womack, and D Jay Cervino worked to fix the Tegrity.ua.edu security breach that caused it to go down every morning the week before Spring Break.

• Robert Griffin and Bill Fitts worked with Blackboard via WebEx to fix the file upload error in eLearning. A workaround is being used in the Faculty Resource Center that involves turning off the My Computer Applet on a section-by-section basis for affected users.

• Louis Jenks and David McMillan monitored performance issues during Fall class registration.

• Many EDAS staff worked to get applications operational after an unexpected loss of backup power.

• Ping Zhang, Blake Newman, Dana Mathewson, Athena Farris, Zach Potts, Action Card staff, and Financial Affairs IT staff that support HR, attended a project kick-off to implement faculty/staff payroll deduction for Bama Cash using Banner HR Self-Service. The goal is to go live on August 1st.

• Jamika Sellers, Anita Cutts, and Wendy Chen completed work for the 2011 SGA Election and the Arts & Sciences Senator run-off. This is a cross-team project between the Academics team and the Development team since is it accessed through MyBama.

• EDAS staff completed work for the Banner database upgrade to Oracle 11g.

• The Helios Calendar product was implemented at events.ua.edu on Monday, February 28th. Project team members included Allen Beddingfield, Deb Crocker, Powell Davis, Bryan Carmichael, David McMillan and Trent Gooden.

• A project is underway to install a cable tray system in the Telecom fiber/equipment room. This will involve removing the existing ceiling grid, removal and repositioning multiple cables, alternate lighting, removal of a/c duct work, installation of the cable tray, and adding additional fire suppression agent, FM-200. Some prep work has been done and the project will involve the Telecom staff along with the AC and Electrical shops. Hiller Systems will perform the fire suppression work. If you need access to the Telecom offices, please consider using the south entrance to the area.

• Security staff worked with David McMillian and Powell Davis on a connection issue.

• Security staff worked with LSAC (a third party company) and Powell Davis to allow the LSAC Appliance outbound access to the Law School.

• Security staff worked with Adam Godwin and Todd Hildebrand (Systems) to open up access for a virtualization project.

• Security staff documented all 81 subnets on the firewall.

• Security received a retail quote from CheckPoint for a new disaster recovery firewall bid. The focus will now move to the new network firewalls and implementing the disaster recovery firewalls.

• Our laptop encryption project continues with over 914 completed. We continue to work on upgrading the encryption client for new installs on both Macs and PCs.

• D Jay Cervino completed a phase one presentation on the Common Directory Guiding Principles and Requirements to the Common Directory project team.

• Security is defining a process to provide navigation for the security section of the OIT website. The team reviewed models from several other Universities – VT, Penn State, UGA, UT Austin, and others.
