Getting Started Open SFAREGS. If this is the first time opening, the SOADEST distribution form will open first. Exit this

form by clicking the X icon (top left corner); SFAREGS will show after closing SOADEST.

Enter the term in the TERM field and the student number in the ID field.

To search for a student by name, click the LOOKUP [. . .] button next to the ID field. Select the applicable

option from the list. Choose the appropriate FIELDS and fill in the information; click GO to see the search

results. Double click the appropriate student number and then click GO from the key block.

The student’s Enrollment Information will now appear.

“EL” indicates that the student is eligible to register for the term selected. A blank field, or the inability

to move to the next section, would indicate a student cannot register and the student status should be

checked in SGASTDN.

To view the TIME STATUS tab, click STARTOVER to return to the key block. Click the TIME STATUS

INFORMATION button. Once in SFAREGS, click the TIME STATUS tab to view the student’s time status –

full or part time. Note: Graduate Studies students’ time status is not calculated on this tab; it is manually

entered on their SGASTDN record.

Maximum Hours:

The Maximum Hours that the student is allowed to take in the term is shown in the Maximum field.

Banner 9 will show Minimum Hours, but at this time we do not use Minimum hours therefore it should

never be changed.

Important Note: Prior to a student registering in the term, the Maximum Hours in SFAREGS will show

99.99. After a student or staff registers the student in that term, the Maximum Hours will change to the

rule for that student’s Faculty/Program.

If a student requires a change to their max hours, enter the value in the maximum field and SAVE. The

source will change to USER indicating that the value is different from the faculty rule. This should only

occur on an individual student basis.

Use the NEXT SECTION arrow (bottom left corner) to navigate into the COURSE INFORMATION section.

Note: If the course registration block does not have records (registration does not exist), do not save

when exiting or starting over from the registration block – fees will be assessed.

Adding a Single Term Course In the COURSE INFORMATION section, enter the CRN (Course Reference Number) and tab. The SUBJECT,

COURSE NUMBER, SECTION and related section information will automatically populate, including the

RE status code.

If the CRN is not known, enter SUBJECT, COURSE NUMBER and SECTION number then tab. CRN and

related section information will automatically populate, including the RE status code.

When all sections have been entered, click SAVE (bottom right corner) twice. The first save will update

the student’s registration record. The second save generates the appropriate fees. This will return to the

key block with the following confirmation message in the top right corner:

Late Additions – Once the Revision Period has ended, all requests for late registration additions must

be sent to the Registrar’s Office.

Note: do not use RW when registering a student in INB!

Adding a Spanned Term Course INB spanned course registration (September – April or January – July) must occur in each term. Add Part

A in the Fall Term (201X90), save and change the term in the TERM field to Winter Term (201X10) and

click GO to add Part B. Note: the SUBJECT, COURSE and SECTION numbers are the same for both terms.

Dropping a Course The Registration Status code for a course being dropped within the Revision Period with no fee penalties

is DD – Drop/Delete. All fees will be reversed.

The Self Service equivalent of DD is DW (Drop on Web). Do not use the DW code to drop a student in INB!

1. In SFAREGS, enter the term in the TERM field and the student number in the ID field; click GO.

2. Use the Next Section arrows to navigate in to the COURSE INFORMATION section.

3. In the STATUS field, overwrite the RE (or RW) with the DD drop code.

o Note: Registration Status codes are date sensitive, therefore it will not allow the DD

code to be used after the Revision Period.

4. Any course that has been DD’d must immediately be removed from the record and saved in

order to allow potential registration in the same course at a later date. After the DD status code

has been entered, click DELETE to delete the registration record.

5. SAVE twice (bottom right corner).

Note: If this is a spanned course, go into the appropriate terms to remove the record.

Withdrawing From a Course DV – Drop Voluntarily is based on registration withdraw dates (this will add a VW to Academic History).

The Self Service equivalent of DV is VW (Voluntary Withdrawal on Web). Do not use VW in INB.

1. In SFAREGS, enter the term in the TERM field and the student number in the ID field; click GO.

2. Use the Next Section arrows to navigate in to the COURSE INFORMATION section.

3. In the STATUS field, overwrite the RE (or RW) with the DV drop code.

o Note: Registration Status codes are date sensitive, therefore it will not allow the DD

code to be used after the Revision Period.

4. Any course that has been DV’d must immediately be removed from the record and saved in

order to allow potential registration in the same course at a later date. After the DV status code

has been entered, click DELETE to delete the registration record.

5. SAVE twice (bottom right corner).

A VW grade will appear in the class list and be rolled to History overnight.

Important Notes:

If dropping/withdrawing a spanned course (ex. September to April) through INB, both Part A and Part B

must be dropped/withdrawn separately. Drop Part A in the Fall Term (201X90), SAVE changes. Change

the term in the TERM field to the Winter Term (201X10), click GO. Drop Part B and SAVE twice.

Late Drops: Once the Revision Period has ended, all requests for late registration drop must be sent to

the Registrar’s Office.

Searching for Alternate Sections To assist a student in finding alternate sections to fit their time table, use the search function in

SFAREGS to find more sections. Enter the appropriate term in the TERM field and the student number in

the ID field; click GO.

In the COURSE INFORMATION section, enter the CRN and click the LOOKUP [. . .] button and select

SEARCH FOR SECTIONS from the Option List. The ADD ANOTHER FIELD option will need to be selected to

specify what search criteria is needed. Click GO once the selections have been made.

The search results will appear. Notice the student’s schedule in the lower half of the screen. Also take

note the seat availability for all sections.

Click the FILTER AGAIN button to return to the search screen and enter different search criteria.

Auditing Course Registration Students auditing a course will be charged one half of the fees (50%). To accommodate this in the

system, an Audit Grade mode has been set to charge one half of the tuition fees. To trigger this fee, the

grade mode must be changed in SFAREGS.

Note: Sometimes the students register themselves in the course and later indicate they are auditing the

course.

1. In SFAREGS, enter the term in the TERM field and the student number in the ID field; click GO.

2. Use the Next Section (bottom left corner) arrows to navigate in to the COURSE INFORMATION

section.

3. Click in the box under GRADE MODE for the appropriate course and change to A for Audit.

4. SAVE (bottom right corner) twice.

5. A confirmation message will appear confirming the changes have been saved.

Holds SOAHOLD is used to view/update a student’s hold status. Use the SEARCH function in the Toggle Menu

to navigate to SOAHOLD. Alternatively, the RELATED tab can be used to search SOAHOLD and navigate

there.

If a student is on hold for registration, SFAREGS cannot be access unless a password is provided. Click

the LOOKUP [. . .] button next to the HOLDS field to view the hold(s).

The Holds Query-Only form (SOQHOLD) will only show active holds and cannot be updated.

Under no circumstances should a unit override a hold that has been put on by another unit that blocks

registration unless the student needs to drop or VW a course.

To access the registration blocks in SFAREGS, type CAT in the HOLDS field and click GO.

Updating Holds Students are put on hold by date range. The last field shows the user ID of who entered the hold. Some

holds are added by batch process or by someone in the Registrar’s Office (SROBIN, GORDON etc.).

Reason Field: Description of the type of hold (in INB only) if more explanation is needed than the

information the Hold Type Description field shows.

Release Indicator Field: Restricts the release of the hold to the user who assigned the hold. A common

use of the field is Finance for tuition holds. Please use the Release Indicator Field only in consultation

with the Registrar’s Office.

Not all holds restrict registration. For example, Hold Type 51 – Award Recipients, does not prevent

registration. To view what the hold prevents, make sure the cursor is in the HOLD TYPE field and press

F9 or click the LOOKUP [. . .] button to view the Hold Type Codes table (STVHLDD). This can be used to

scroll through to view the hold restrictions applicable to each hold.

Note: Use the scroll bar and arrows to navigate

through the list. If the CODE is known, type it in

the CRITERIA field for easier searching.

Overrides (Registration Permit Overrides) Note: Before entering overrides, please check SGASTDN to determine that the student is in your

Faculty/Department. Space constraints in classes may only be overridden by staff authorized by the

teaching faculty/school of the course. Pre-requisite and co-requisite waivers are entered by the student’s

home faculty (faculty of registration), and only upon receipt of a permission form signed by a suitable

authority in the teaching unit, normally department head (or designate), course coordinator, or

instructor.

If an override has been entered, it will display in SFASRPO. This form overrides registration restrictions.

Overrides can be entered on the form, in advance, enabling the student to register in Self Service.

General Course Overrides 1. In SFARSPO, enter the student number in the ID field and the term in the TERM field; click GO.

2. Enter the appropriate override code in the PERMIT field. If code is unknown, click the LOOKUP

button [. . .] to see a list of Registration Permit Override Codes. Select the appropriate code and

click OK (use the scroll bars if necessary to find the appropriate code needed).

3. Enter in the subject in the SUBJECT FIELD and the course in the COURSE NUMBER field to permit

the student to register for any section of a course.

4. SAVE (bottom right corner).

Section Specific Overrides 1. In SFASRPO, enter the student number in the ID field, the term in the TERM field; click GO.

2. Enter the appropriate override code in the PERMIT field. If the code is unknown, click the

LOOKUP button [. . .] to see a list of Registration Permit Override Codes. Select the appropriate

code and click OK (use the scroll bars and pagination controls if necessary to find the

appropriate code needed).

3. To restrict registration to a specific section, enter the CRN for the course in the CRN field. Enter

the subject in the SUBJECT field as well as the course in the COURSE NUMBER field.

4. SAVE (bottom right corner).

Mutually Exclusive Overrides If the mutually exclusive override is used, the system will automatically assume that the student is to

receive credit for both courses. Because of the University of Manitoba’s repeat rule, this may need to be

corrected by excluding the course on the student’s current SHADEGR record. Please see the document

Repeat and Equivalent Rules, and Manual Adjustments on the Registrar’s Office How To page for

complete instructions on including and excluding courses.

Spanned Courses and Overrides Overrides for spanned courses must be added to both terms to enable students to register for both

parts of the spanned course.

Example: ENGL 1200 needs a SFASRPO override in 201X90 (Fall Term) and 201X10 (Winter Term). If

using CRN’s in a section specific override, both parts of the spanned course will have a unique CRN.

Special Approval Overrides When registering a student in SFAREGS that requires Special Approval, simply check the APPR RECD box

for that CRN. If the student subsequently drops the course, the associated override will disappear and

the student will not be able to re-register in the course without obtaining approval again.

If the student will register in Self Service, enter the Special Approval override in SFASRPO.

Page 16: Admin Pages Registration Manual Banner 9intranet.umanitoba.ca/student/records/media/Admin_Pages... · 2020-06-18 · Admin Pages Registration Manual August 2019 5 5. SAVE twice (bottom

Overrides placed in Advisor Self Service populate SFASRPO and will display the USER ID.

Sometimes students will take the pre-requisite to a course in Fall Term and the regular course in the

Winter Term. SFASTCA will show an Error Flag of “O” in the audit trail; the system automatically

overrides this type of registration. If checking in SFASRPO, the student might not have had an override

applied to their account (this being the reason nothing is showing in SFASRPO).

Registration Audit Trail SFASTCA (Student Course Registration Audit) is used to view a student’s registration history by term.

This form can be queried to pinpoint specific registration data. For example, by entering the SUBJECT

and the COURSE number and executing a query, only the information for the specific course will be

returned.

1. In SFASTCA, enter the student number in the ID field and the term in the TERM CODE field.

2. Click FILTER to request a query.

Interpreting the Audit Trail For the purposes of this explanation, the screenshots have been broken into sections. In Banner 9, they

will display with a scroll bar at the bottom to navigate from left to right to see all columns.

SEQUENCE NUMBER: This field

displays the sequence of

registration additions and

modifications. The most recent

activity has the highest sequence

number.

ACTIVITY DATE: Displays the date

and time the user made

modifications to the record.

Activity Date and Add Date are

generally the same except when

late additions to registration are

made by the Registrar’s Office

(e.g. Revisions made after

ERROR FLAG: This field displays the registration error, if one occurred, stating the “status” of the course

at that point in time. Errors are automatically generated by the system, and can be one of the following

values:

D – The course has been dropped and is eligible to be deleted.

O – An override was used in the registration of the course.

F – A fatal error occurred which did not permit registration for the course.

L – The student is on the waitlist for the course.

For courses where students are registered for an incomplete prerequisite in the previous term and are

now registering for the higher level course, the system will automatically assign an “O” (Override) to the

higher level course. For example, if a student registers for CHEM 1300 in 201890 and then registers for

CHEM 1310 in 201910, Aurora will assign an “O” to CHEM 1310, since CHEM 1300 is not yet completed.

Further, if a staff person registered the student in INB in CHEM 1310, the audit trail will show an “O”

STATUS DATE: The

course registration

status date field

displays the date

that the course

registration status

was recorded for

this record.

ADD DATE: The add

date field displays

the date the student

was first added to

the class list.

MESSAGE: This field will display

registration error messages as they

occur. In many cases, the message

can be inferred from the course

status code associated with the

record. Messages about the nature

of the fatal errors are always

captured and displayed (error flag

with a value of “F”).

associated with the User ID – even though the User did not enter an override. However, it appears that

the “O” will only appear for courses where the prerequisites appear at the section level is SSAPREQ.

When the prerequisites are in CAPP, the “O” will not appear in SFASTCA. Another way to find this system

generated source of the “O” is to look at the Detailed Course Information in the online catalogue. If

“prerequisite override” appears in the entry, an automatic “O” will appear in SFASTCA. The following

example is taken from CHEM 1310:

Prerequisites: CHEM 1310 - University 1 Chemistry: An Introduction to Physical Chemistry (Lab Required) Thermochemistry, chemical thermodynamics, and chemical kinetics. Prerequisite: CHEM 1300 or CHEM 1301 (C).

Registration Time Tickets Groups of students are assigned access times to the registration system based on categories such as

GPA, high school grades and undergraduate versus graduate status.

In order to determine or modify a student’s access time to the system, use the form SFARGRP.

1. In SFARGRP, enter the student number in the ID field and the term in the TERM field; click GO.

2. Click the LOOKUP [. . .] button beside the GROUP field in the GROUP ASSIGNMENT section.

3. Select the appropriate option from the Registration Group Control codes table and click OK. Use

Link Errors Most times “linked course required” messages are a result of time table conflict errors. The following

information has been added to the Ask UManitoba information. Students will see this information if

they inquire about a link error:

If you have received an error message that indicates there is a “link error” (e.g. link error: B1), it means

one of the following:

The lab section you have tried to register for is full.

There is a conflict in your schedule that will not allow you to register for the particular lab

section that you have requested.

The lab section you have tried to register for is restricted to a student type that you do not

belong to.

The lab section you tried to register for is not one of the approved lab sections for the

specific lecture section you registered for.

You have attempted to register for a lecture section without registering for any of the

required lab sections.

You are already registered in the maximum 15 credit hours for that particular term.

How to deal with this issue:

1. Check your specific class in the Class Schedule to see which lab sections are approved for the

lecture section you are interested in. The Look Up Classes screen will not contain this

information; you will need to click on the CRN number to go to the Class Schedule entry. The

Page 29: Admin Pages Registration Manual Banner 9intranet.umanitoba.ca/student/records/media/Admin_Pages... · 2020-06-18 · Admin Pages Registration Manual August 2019 5 5. SAVE twice (bottom

Admin Pages Registration Manual August 2019 27

restrictions for a particular class are listed in Detailed Class Information which can be accessed

by clicking on the title of the course in the Class Schedule.

2. Check your Week at a Glance from the main Registration screen to see if you have a conflicting

course at the same time as the lab section you tried to add. The Student Detail Schedule screen

will tell you how many credit hours you are registered in. Please note that both these screens

will only display courses from your selected term (for example, Fall, Winter or Summer).

Office staff under no circumstances should override a link error which will cause the student to be

registered for two classes that occur at the same time. Students should be carefully checking the times

that lecture labs are offered. If they get an error message, it is important to ask if a timetable error is on

their screen. Once again, if a timetable error occurs, the system still attempts to register the student

which causes a link error. Every office staff at the University of Manitoba should be made aware of this.

Also, if either section is full, the link error is generated.
