Knowledge Workers…

Work out loud, share public if they can

Develop ideas and exchange opinions

Work in multiple communities

Use most apps incl. activities

Organize their work with IBM Connections

Knowledge Workers love IBM Connections, but what about all the other employees…?

Knowledge Workers love IBM Connections, but…Knowledge Workers are only a small minority in most companies.

Knowledge Workers alone can not sustain a Social Intranet.

Without a broad lobby Social Intranet projects have not enough weight and are often delayed.

How can we gain more supporters for Social Intranet projects ?

Let’s look at the traditional Owners of the Intranet: Internal Communications

Internal Communications…

How do you integrate Internal Communications and Collaboration ?

Internal Communications Knowledge Worker

„Employees have to be aware of our priorities, strategy, values and important news. Everything important must be published on my platform. I do not care about social as long as employees do not use it as a propaganda platform. My content needs to look great.“

„I do not care about the constant self praise.I need Enterprise Social Software to get my work done and stay in touch with my peers. Social is great to develop ideas and exchange opinions. My content must be created fast and easy.“

PositioningXCC is an extension for IBM Connections.

XCC leverages and utilizes IBM Connections for authentication, authorization, content storage, content approval, search, notification etc.

XCC enhances IBM Connections with classic Web Content Management and Application Integration capabilities and thus integrates the two antipodes of an intranet, i.e. peer-to-peer collaboration with internal (top-down) communications.

XCC for Internal CommunicationsWith XCC Internal Communications is made social, i.e. its content can be liked and commented (unless commenting is disabled)

Content publishing, liking and commenting is integrated into the Activity Stream and will be noticed by peers

Content maintenance can very effectively be delegated to Line of Business, this reducing work load for Internal Communications

Content masters can not only create and publish content but curate content too (i.e. publish blog entries from employees on landing pages / homepage)

Internal Communications

XCC for Line of BusinessWeb Content Management Systems are excellent for communication professionals, but too complex for part time users from Line of Business

IBM Connections is made for end users without training, i.e. it is very easy to use and thus “management compatible”

Create Landing Pages for each Business and Service Unit. Link all landing pages thru one or thru cascading navigations. Delegate maintenance to Line of Business managers and their assistants.

Business and Service Units can even have their own interpretation of the corporate style guide.

Aggregate content from the community, sub-communities, external content and custom applications

Structure content, let community members and visitors notice important content at first sight

Visualize with complete layout control

Very easy, very fast, very flexible to use

XCC for the Average UserImproved content quality, reduced content fragmentation, overlap, redundancy and inconsistency

Improved user experience, no need to choose between different websites. Communication and Collaboration are either on the same page or available within one click

“Everything is in one place, employees do not need to choose where to browse and search content”

High degree of personalization and targeting - most relevant content is displayed most prominent (personal preferences, region, location, department, branch etc.)

The threshold to participate and engage in the Social Intranet is lowered, content creation can be rewarded

XCC for the IT ManagersXCC dramatically reduces Intranet complexity as it eliminates the need for an extra Web Content Management or Application Integration platform and all requirements for platform integration (single sign on, search integration, access management etc.)

XCC can be installed within 60 minutes, and can be tested and customized without any interference of the production environment. Even complete Intranet re-launches can be prepared in “Stealth Mode”

With XCC Intranet projects shift focus within hours from technology to content. Intranet projects are tremendously accelerated.

US Government Customer Statements II

“Felix, I do not think you will have problems selling your product once people figure it out. Your product completes IBM Connections. As you say in your marketing material it provides the top-down communication that overlays IBM Connections so that the employee has no other place to attend to. They get the top down via your product and the bottom up via IBM Connections. Employees do not have to go anywhere else, everything is in one place.”

US Government Customer Statements II

“Felix:

I am putting together our budget for FY2015, and would like to receive a quote to purchase the Connections Administration Toolkit. We have had such great luck with XCC, that I would like to see if CAT can help us as well.”

Customer Statement"VAUDE has had an conventional intranet with a web content management system. It worked OK for our internal communications. However, the content from line of business outdated / decayed quickly. We were therefore looking for an alternative Intranet platform.

As a medium sized company we wanted to avoid running multiple platforms for communication and collaboration. We were searching for an integrated or hybrid intranet platform that spans collaboration, knowledge management and internal communications.

IBM Connections convinced us as a superior collaboration and knowledge management platform. The Web Content Management Extension (XCC) from TIMETOACT neatly integrates internal communications into IBM Connections.”

Customer Statement“We created an ideal information architecture that seamlessly integrates internal communications and collaboration in an hybrid Intranet. Our new Intranet has been perceived very well by our employees. As it turned out, the integrated internal communications simplifies and accelerates the adoption of IBM Connections withinthe employees. The Web Content Management Extension can be adopted to changing requirements easily. Line of business appreciates the simplicity with which they can create and curate content to maintain their landing pages.

Throughout the project we worked with TIMETOACT for analysis, conception, consulting, customization and implementation. All work was achieved within the agreed budget. Our experiences with TIMETOACT were excellent and we can fully recommend working with TIMETOACT."

XCC drives IBM ConnectionsThere have been some pilot projects with IBM Connections in the last two years, but the general acceptance was low. Only a small minority of knowledge workers were using it regularly.

In 2015 we launched IBM Connections with XCC for the whole company. XCC enabled us to transform IBM Connections in a real intranet platform for everyone. The “for all effect” is amazing. Our intranet is now entirely used for both: Collaboration and Internal Communications.

The relaunch of IBM Connections with XCC was a big bang, an absolute success. XCC gave us the push we needed. Now IBM Connections is widely adopted from Management to accountants.

I wish we had initially launched IBM Connections with XCC from the very beginning, that would have made things much easier.

After only 90 minutes training, even our IT layman were able to create great landingpages for their departments. That’s absolutely incredible!

AppendixIntranet Strategies for Internal Communications and Collaboration

Focus on Internal Communications

Web Content Management Systems are made for the Internet– Pixel Perfect Layout, Asset Management, Extensive Approval Workflows

– Multisite Management, Commerce Support / Conversion Optimization (Analytics, Campaign & Lead Management, Targeting)

– Supply Chain Management (for Portals only)

Web Content Management Systems are too complicated for LOB– Poor LOB Adoption

– Outdated Content

Prediction: In 3-4 years from now Web Content Management for Internet and Intranet are going to be completely separate markets

Internal

Communi-

cations

Focus on Internal Communications

Inefficient collaboration with mail and file servers

All knowledge locked up in mail- and file-servers

No expert identification

No employee participation

No informal learning

Not appealing to young employees accustomed to social media

Internal

Communi-

cations

Focus on Collaboration

Peer-To-Peer

Collaboration

Difficult to communicate the organization’s priorities, strategy, values.

Difficulty to distinguish opinions and ideas from binding / formal information and directives.

Difficulty to identify important information.

No structure, everything sorted by last update / popularity.

Side-By-Side Communication and Collaboration

Confusion and Governance Problems– How should managers communicate,

as them-selves or thru internal communications?

– Where should employees look for content,in the Web CMS based Intranet or in Social Software?

Attention and Content Fragmentation– Half of the employees visit Web CMS based Intranet and ignore

collaboration, the other half use collaboration and ignores Internal Communications website.

Overlap, Redundancy and Inconsistency– Some content is inevitably going to be stored in both platforms.

Enhance Communication with Collaboration

Insufficient collaboration– Collaboration integrated into communication will never reach critical mass to become

self sustaining.

– Intranet 2.0 based on user generated content / Enterprise 2.0 will not be achieved.

For enhanced Web CMS: Insufficient capabilities – Activity Stream / Social capabilities / Enterprise collaboration missing.

For integrated platforms: Inconsistent UI – Users must leave communication homepage for collaboration.

– Content fragmentation, overlap, redundancy and inconsistency, governance problems.

Integrate Communication into Collaboration

No content overlap, redundancy, inconsistency

Social software is more popular with employees.

User generated content grows much faster then centrally managed content.

AppendixXCC API- Build Custom Widgets- Integrate any Application

Application Integration with XCC

Integration of custom application with XCC has been possible with the use of

• HTML / Clipping Widget

• ATOM / RSS Feed Widget

• Custom JavaScript

• Custom CSS

However, up to now it was not possible to create and register Custom Widgets that have their own UI for setting the widget properties. With XCC next we will add a XCC API that supports Custom Widgets.

XCC Custom Widgets API

• Create Custom Widgets that retrieves and writes Content (HTML, XML, JSON) from / to any application via HTTP/HTTPS

• Register and update Custom Widgets conveniently with uploading custom.js

• Create Widget Custom Editor or use Default Editor for IBM Connection sources.

• Utilize Bootstrap, jQuery, Font Awesome and numerous XCC elements for fast development

Domino

Custom Widgets Ideas

• Integrate these and other sources into your Intranet with XCC Custom Widgets

Web Experience Manager

Forms Experience Builder

Custom App

Custom Widget Development

• Custom Widgets can be developed and tested on a non-public page

• Development of Custom Widgets can not break existing functionality (if you follow a few simple rules)

• Development of Custom Widgets does not require IBM Connections or XCC to restart

Custom Widgets with

Custom Widget Properties

(We will publish a sample soon showing what a Custom Widget

Properties can look like, e.g. Integration of

Forms Experience Builder –FEB)

Custom Widget Development

1. Analyze the application API (HTML, JSON, XML)2. Create a JavaScript to retrieve / write to the

application3. Create a JavaScript to edit custom widget

properties4. Edit the custom.js

1. Download the custom.js from XCC2. Copy your custom JavaScript into the custom.js3. Register your Widget in the custom.js

(how to is included as comment in the custom.js)4. Upload the custom.js to XCC and reload page

5. Done

XCC Custom Widget Perspective

• XCC Customers, Business Partners and TIMETOACT will develop a lot of custom widgets.

• TIMETOACT will encourage customers to share custom widgets among themselves, creating an open source widget exchange.

• Over time TIMETOACT will make more and more of these custom widgets available as native part of XCC.
