It makes me wonder where they got the rubber stamps from. As a rubber stamp manufacturer since 1975, we are regularly approached to make “crook stamps”. Of course, we only deal with our customers’ buying offices and with official orders, so we turn the crooked business away. But obviously there are rubber stamp manufacturers who have no scruples. It really makes me cross to see the amount of fraud and corruption which goes on in our country.

FrAuDuleNt ‘chANGe oF bANKiNG DetAilS’ NotiFicAtioNS It appears fraudsters are using the ‘change of banking details’ scam more frequently and it is advised that any such notification from a supplier is double-checked directly with the supplier’s accounts department, before payment is made.

Recently, such a letter was received by a client of Slavepak.

The letter was titled ‘Important Update’ and addressed to ‘Dear Valued Customer’. It claimed to be a friendly reminder to pay due accounts and stated that Slavepak had changed their banking details.

A further letter on an FNB letterhead, date stamped by FNB, and signed by Business Manager: Lisa Meyer (non-existent) confirmed that Slavepak was a client of FNB and that the (fraudulent) banking details were correct.

Slavepak’s client duly made the payment and has subsequently lost company money to the fraudsters.

Please note that the criminal element working within the office products industry seems to have access to both member information and inside bank operators’ support, along with inked stamps, and therefore has the ability to make documentation appear legal.

chANGe oF bANK DetAilS AND boGuS orDerSAccording to another alert there were two cases of fraud / attempted fraud on members.

The first was a case involving a Namibian based branch, Montana Furniture, who was sent a fax claiming that banking details had changed.

A cancelled cheque had been included.After a few phone calls it seems the

banking details had not been changed at all and the suggestion here would be that if ever your company receives a letter notifying you of a change of details, you confirm.

The second case involved two separate incidents in one week where the fraudsters contacted Ultimate Office National, who have an account with Finwood Papers.

The criminals chanced their luck and utilised bogus order numbers to place orders with the Johannesburg branch of Finwood Papers on the Ultimate Office National account. m

tAKe NoteAnother modus operandi is to call clients using Introstat, Kolok or other reseller names to inform the client that toner is not available but they will supply if you pay first.

It has not been confirmed if delivery takes place once the money is paid but customers need to be warned that they will be paying five times the price. They need to verify it themselves.

Introstat wanted to issue a warning to resellers advising them of the use of the staff names of their company or their company name itself in the sales call of First Golden.

The “call” is made from Introstat/Kolok but supply an invoice from First Golden. m

WiNDhoeK StAtioNerS tArGeteDIt seems that Stationers in Windhoek are targets for attempted fraud.

A recent letterhead from Namibia Stationery Wholesaler was circulated with a copy of a Nedbank confirmation slip. These were fakes.

Nedbank confirmed that the branch Code was a branch in Selby and that the bank stamp was also false, while the company registration number is South African.

The account number is non-existent.Strangely enough the date of the stamp

is 27 August 2012 a public holiday in Namibia. m

Why recycle paperPaper recycling rates in South Africa increased to nearly 60% in 2011. This equates to the annual recovery of over a million tonnes of paper.

Despite increased a w a r e n e s s , large amounts of recoverable paper and board packaging are

still unnecessarily dumped in landfill sites.

Paper recycling is one of the simplest ways to green the future. A tonne of recycled paper can also save up to 3m2 of landfill space and subsequently reduce transport costs for local municipalities.By recycling paper, milk and juice cartons, glass, aluminium and plastic, we contribute to

less pollution and litter, and create a healthier, greener and cleaner society.

Paper can be recycled up to seven times. Some virgin or new wood fibre is required to make recycled paper possible in the first place and is always needed to keep the global fibre cycle going. But have you ever wondered where recyclable paper goes or what it becomes?

“If you’re new to recycling initiatives, then paper is the best place to start,” says John Hunt, managing director of Mpact Recycling.

“Recycling paper, including

cardboard, old newspapers, magazines, outdated telephone directories or schoolbooks. A simple process that goes a long way to reducing the impact on landfill sites, creating jobs and reusing items that are simple to sort and recycle from home.”

Mpact Recycling, formerly Mondi Recycling, is South Africa’s biggest paper recycler, recovering over 450 000 tonnes of paper each year.

”A large portion of the paper that ends up in people’s homes and offices is not currently recycled. Ensuring that this paper is collected for recycling represents a great opportunity to increase the total amount of paper in South Africa being recycled,” says Hunt. m

Gin and Chocolate presents eco wallpaper

The specialist interior art and interior design studio, Gin and chocolate, recently launched salient work by making use of environmentally friendly wallpaper.

The company specialises in vinyl decals, 3D wall art and wallpaper designs.

“We are deeply committed to environmental issues - that’s why we like to use products in our designs that are environmentally friendly,” says Bonita Fouché, founder and owner of Gin and Chocolate.

For the eco-friendly wallpaper, the team used an HP product, a PVC-free wallpaper, with the texture, feel and finish of true wallpaper.

The team creates custom designed, unique wall art with a printing material that enables a combination of professional photography, interior design and digital printing technology.

The wallpaper prints have the look and feel of professional wallpaper, but they do not contain any PVC.

The installation and removal of the wallpaper is very easy as it is pre-pasted, with no need to handle separate glues or any other adhesives and no glue waste to deal with.

The team also uses only HP latex inks that are perfect for both high quality outdoor as well as indoor applications.

The inks are pigmented using aqua-dispersed polymer technology, which is mostly water based and therefore kinder to the environment.

The latex inks outperform any eco-solvent ink and can reportedly last up to three years (un-laminated) outdoors and up to five years (un-laminated) indoors.

With this environmentally sound product, the team has the freedom to be creative, capturing each client’s individual style and rounding it off with unique flair, without harming the environment. m

Why go online? My target market is not there. it’s a fad. i have a shop, i don’t need a website. Today you would not think of having a business without a website – in fact it is often the first

thing we spend money on when starting a business. Three years ago a new hype began – you have to “go

social”. Similar resistance is being experienced right now about using social media for our businesses. The hype can often feel like we are being beaten into submission.

But when “going social” is viewed as opportunity, resistance turns to forward motion. More than anything it is important to understand the shift in mindset that social media has brought to business that has made active involvement in social media a necessity.

1950 marked the start of the technological revolution. It was technology that drove the pace of planet forward. Technological advances forced the world to change markedly every 10 years. In 20 years we went from street cars to landing on the moon. Just 20 years after that we had computers in our homes and mobile phones enabling instant communication anywhere in the world.

With the arrival of the internet and shortly thereafter social platforms, we see that the world now changes markedly every three years. It is now possible to build a global brand in just 36 months.

This is possible because of the social web. People all over the world are able to instantly communicate,

share and collaborate. Ownership of the media today is shifting to individuals. The social web is the media.

This is very different to the ownership through advertising

model that existed until 12 years ago and because of this shift, business can no longer control communication or the message. Individuals are talking freely to each other the world over about brands, goods and services. We are sharing our experiences through blogs, Facebook, Twitter and other platforms.

With over 1.4 billion people active on social networks around the world we can no longer ignore the fact that if we want to find customers we will find them out on the social web.

And since it is technology that is pushing the pace of the world forward it makes sense for business to embrace this technology in order to not just survive, but thrive in a business world that is becoming faster and faster.

When you make the decision to go social the opportunities for your business become a lot clearer. You are able to build a community around your brand and communicate directly to your customers rather than communicating broadly and hoping your market is listening. Using these platforms you reduce the friction between your business and your customer, responding quickly to what they need and what they want, increases your competitive advantage. It is dynamic and exciting.

Resistance to change is natural but not smart! Smart business today is customer centred by being available on the channels and platforms that your customers use. Be where they are and communicate to them where they want to receive your communication. Make it easy for them to find and interact with you at their convenience. Then you can and will win.

Turning your tablet into a productivity demonI have always

been a firm believer

in having the right

tools for the job.

It is the difference

between being

close to useless or

hyper efficient.

Picture trying to take great shots for National Geographic using a two megapixel point-and-shoot camera. Whilst it is certainly possible to do, as someone has just proven by taking images on an iPhone

at the 2012 london olympics for the uK’s Guardian newspaper (Google: iphone pics AND Guardian AND olympics), it is not ideal. the less than optimal tool has gaps in its ability to perform the task at hand with sufficient ease. the right tool allows you to expend a greater deal of your efforts on producing an excellent result as opposed to focusing on the process.

So here are a couple of tools that will make your iPad or Android-based tablet the productivity tool that you need and want.

Dropbox (iPad and Android = Free). This is a service that lets you put all of your files, photos, and documents in one place, accessible to whomever you want them to be (or not) and also with the benefit of being an offsite cloud-based backup.

QuickOffice Pro (iPad and Android = US$19.99). An office productivity tool

that allows you to create and edit all Microsoft

Office documents, spreadsheets and presentations as well as

view PDF files. You can also access, transfer and

manage files from a variety of sources including Dropbox, Google Docs, Evernote and

SugarSync.Air Display (iPad = US$9.99).

Turns your iPad, iPhone or iPod Touch

into a wireless display, to extend or mirror your computer screen.

Two obvious ones are Kindle (iPad and Android = Free) for reading all those ebooks and the official Gmail app (iPad and Android = Free) for a neat interface for your email.

Apps like Facebook, Twitter, LinkedIn and Skype dovetail perfectly with their website counterparts. These are the apps that you should download the day that you get your tablet. They’re handy and easy enough for everyday use.

For in-depth analysis, news and opinion you can do no better than the local iMaverick (R489.99 per year). Other apps like Zinio, Pulse News and FlipBoard allow access to a large variety of international news sources with most of the content being free or the apps have a freemium model (a little for free and pay for more). The paid subscriptions are generally worth it though.

For general excellence the TED app brings you “Ideas worth spreading”. Internet Movie Database (IMDB) has everything you need about movies, TV series and the like, for office hours research purposes of course.

The Harvard Business Reviews app HBR Tips gives trusted tips for business while Oblique Strategies from Brian Eno and the late artist Peter Schmidt is a unique way of approaching your daily decisions and should entertain and intrigue you with the seemingly random outputs.

Others include Splashtop (remote PC and Mac access tool), Qik Video (live video streaming from your iPad, Dragon Dictation (excellent and free dictation to document app), The Weather Channel and lastly Unstuck which the makers call a new in-the-moment approach to personal growth for anyone who wants to live better every day.

So your tablet does not have to be a haven for Angry Birds. It can do so much more than just amuse. m

In all three cases, i nearly fell off of my chair. in all three first meetings i realised that the sale was almost a done deal, it was just a matter of figuring out the details. of course, i’d like to take the credit for the quality of our work, but actually, there was something else playing a pivotal role here.

In a controversial article in a recent Harvard Business Review called ‘The End of Solutions Selling’, authors Brent Adamson, Matthew Dixon, and Nicholas Toman concluded that most customers had completed 60 percent of their purchasing decision before they even saw a sales person. By using the power of telephone and internet, customers are able to research their own solutions, rank options, set requirements, benchmark pricing and so on. They then are able to take the initiative to call a supplier with their needs, and their most important criteria being, “Can they take care of my needs?” and, “Can I work with this person/company?”

To tell you the truth, I found this alarming. I have always been trained to believe that the best sales people are those able to uncover existing problems and needs, (preferably at the most senior level of executive that they can access,) and then offer a solution that would take care of the headaches. This basic belief was challenged, and then again verified when I looked at the most important purchases that I have made in my life. Thinking back, I have usually done my homework beforehand, and have rarely bought from a person that has approached me first.

we know it? Probably not, but there are some important points that need to be made in this new world of marketing and sales. Customers will always buy things that they need or want, but your job of persuading them to buy shifts to persuading them to buy from you. What are the implications?

First, and most importantly, one can see how important the power word-of-mouth and referrals are for your business. Given that potential prospects are probably already 60 percent there in making a decision to buy from you, how do they find out about your business and what you sell? What are your current and past customers saying about you, to others and in the various media? And would they be willing to recommend you to others, or supply you with a list of people whom you can contact? The implication here is that your business had better be taking care of your customers, or you will be disqualified before you even start the race. Therefore, you need to first get the basics incredibly right and stop doing those things that upset your customers. Constantly find ways to add value for your clients and for your prospects. Build relationships which don’t make them feel threatened or experience a desire to avoid you. Conduct all business transactions, and even create special events that give them something positive, memorable and newsworthy to talk about. Find new and creative ways of attracting their attention

or their curiosity so they don’t feel the impulse to run away.

Second, customers have become very adept at avoiding sales people. When bombarded by too many marketing messages and too many sales people

wanting an appointment, customers switch off and ignore it all. It’s very much a

case of “Don’t call us, we’ll call you- when we need it.” This means you have to challenge all of the actions and resources that your business

puts into advertising, promotions, prospecting, cold-calling, and so on. Evaluate your prospects and stakeholders not by their seniority in the organisation, nor by the friendly attitude they have towards you, but by the state of flux in which the organisation finds

itself, and by the emerging demand that exists rather

than the established demand. Train them how to make their buying decisions, (what to look out for,) rather than spending too much time quizzing them about their purchasing processes.

One of my best deals ever was made at a meeting where four competitors had been invited to make a 30-minute presentation to a Request for Proposal (RFP). When my turn came, I handed over my booklet with full details, but told them that they could read it in their own time. I told them what I wanted to address in my half-hour was the three questions that should have been asked in the RFP, but which weren’t addressed. I explained why they were so important, and there and then they cancelled the RFP and asked me to present my full proposal.

Third, your business needs to ensure that it is readily and easily visible to customers who seek information. My plumber did this in two very effective and relatively cheap ways. He gave us an attractive fridge magnet with his details, and also sent an SMS with his electronic business card straight to our cellphones. The entry says “Plumber – Malcolm,” and gives his details. If we need Malcolm, we don’t have to scramble to find his phone number, it’s there already. For some of you reading this, it may be about ranking higher on Google and other search engines, and making sure your website looks good and is easy to use. For others, it may be about giving away lots and lots of business cards.

Fourth, you need to have some high-quality information and insightful knowledge of your competitors and your customers if you are to play in the new game of business. How are your rivals communicating with your customers and prospects, and what are they promising? And, more importantly, what are the questions that your customers and prospects are asking? What information do they seek? Does your business compare favourably?

So the news is not all bad. The sales environment is certainly tougher than it has ever been, not only because of decreased spending, not only because you are competing with everyone from everywhere for everything, but also because customers are more demanding than ever before. But if you arm yourself with the knowledge that your customers are better prepared than they have ever been it makes your role easier than before, provided you follow the advice offered here. m

Branding in a digital worldNever before in human history has the brand been more powerful and the landscape more cluttered.

We have experienced and are living through some of the greatest changes to affect the branding and publishing industry since their

inception. however it has brought many more dynamics and much more noise to the simple age old question of – how do i get my voice heard and remembered above all the others out there?

The age of the absolute economic power of a state over a business has ended, and as demonstrated in the on-going economic recession, certain large scale multinational businesses are “too big to let fall” as their end would have disastrous implications for various countries. Further, as demonstrated recently, Apple became one the first companies to have more liquid reserves than that of the state in which its head office was located. One need only review the list of the Forbes or Time ‘Most Influential People’ to see that the majority are not world political leaders but are in fact business leaders.

In many ways, businesses have become the new global leaders in thoughts, views and objectives, as well as the protectors of the workers and less fortunate through employee programmes and corporate social investment schemes. This has become the new branding for business, not just who they are and what they do, but how they interact with society within and around them.

No longer do businesses tell consumers what to think of them, in the digital age consumers and employees tell consumers ‘who’ the business is. Not only do businesses now profile prospective employees through online searches, but the public screens companies they deal with through the

ubiquitous and immediate digital world of social websites, news and blogs. Advertising and marketing can no longer be tweaked and bent to create a beautiful image of the company and sent to the public, now, the public choose which messages they receive. In short, companies can no longer lie to consumers or keep the ‘dirt’ quiet.

For businesses looking to break through the clutter, not only do they need to be true to their ethos, but they need to adopt far more innovative ways of promoting their products or services - and at the heart of it lies that fact that the actual product or service must be innovative in of itself.

Branding is becoming much more of an idea that consumers ‘pull’ towards them as opposed to something that business ‘push’ towards consumers. Consumers need to like a brand, not only as a Facebook activity, but also as an ideal that they’ll argue the virtue of. Content and entertainment are becoming the catchwords in advertising, creating engaging, meaningful matter that consumers actively seek out to digest.

However, the digital sphere still has many brands and individuals confused, trying desperately to find the right mix of actions and relationships to a successful digital presence while still retaining the norms and relationships of the pre-digital age. A recent survey by international ad agency Euro RSCG titled – “This digital life”, surveyed 19 countries including South Africa, and revealed some startling results about how we as humans are interacting with our digital world. This is especially relevant in the new social search era where brands, websites, advertisers and search engines not only take into account your browsing history but your

entire online social profile. By plugging into social aspects of your life they can see where you and your contacts have been, what you’ve been doing and

what you’re talking about. They can lift key words and ideas to better focus their

marketing efforts at you personally.The survey found that 55% of those

surveyed depended on social networking to help them with their shopping but also found that more than 50% were concerned that technology is robbing us of our privacy. 70% of respondents, including two thirds of millennia’s themselves, agreed that young people today have no sense of personal privacy, and the majority of age groups agreed that people share too much about their personal thoughts and experiences online and that society needs to go back to being more private. 39% of the 18 to 34 age group admitted to regretting posting personal information about themselves online.

While just 10% believe digital technology will have a negative effect overall on the world, 42% believe it’s too soon to tell—suggesting a relatively strong level of distrust and unease about what is to come. This just goes to show that while the future of more intrusive advertising and branding seems unstoppable, more and more consumers are becoming aware that it represents an irreversible shift in how we as a society are used to living in, and interacting with our world.

Change is inevitable, and while there have been many changes in the history of mankind that where seen as scary and the end of society as we know it, the human race is extremely adaptable, and generations after us will probably wonder how we ever questioned the motives and means of where the digital age will take branding in the future. m

Whether required by law, or simply to document the people entering and

exiting your premises, companies face interesting questions when

purchasing company registers. My Office approached Ledger Systems to ask their

advice on keeping record.

The South African companies act of 2008 and its amendments govern the level of information certain types companies may need to keep on record and for how long. the first step is to familiarise yourself with what requirements your business has to fulfill in terms of the types of records that your company needs to keep.

When it comes to buying, there are a few variables to take into account, and these greatly depend on your type of business. There is no hard and fast general rule to apply when buying your company registers, as every item serves an individual function. To keep it simple, we have broken it down for you .

Company Access Control Registers are used to record any entry or exit of persons to your premises. When it comes to buying an access register, one needs to look at the level of security you have in place, the amount of information you wish to retain and the amount of traffic entering and exiting your premises. This will tell you whether you need a standard register, with x amount of pages for the x amount of visitors you receive a year, or whether you need a tailored register that has the relevant indemnities, security card numbers etc.

Occurrence Books (OB) are used by police or security guards to trace and list the incidents and occurrence during a shift. An OB keeps evidence and by law is needed by security and police officers. When it comes to buying, numbered pages are important, and books that come with multi-languages are also a plus.

Attendance Registers - In certain company meetings, like shareholder meetings, attendance must be documented so a precise record can be kept. The laws pertaining to these meetings are very

strict and dictate that these records are kept in book form, listing the meeting name, date, presents parties and signatures. When you purchase these books, ensure they comply with the Companies Act.61.

Minute books – Minutes of meeting are imperative to keep, and in most cases it is required by law to keep a minute book. Whether a board meeting, annual general meeting or disciplinary hearing, you need to document the meeting, and store this in hard copy. There are two ways in this can be done. Typing of the minutes and pasting them in a book or writing them directly in the minute book. Depending on what you choose, try to ensure the books come with an a-z index, as well as numbered pages. This allows you to easily refer back to any meeting, and provides a little extra security with the page numbering. When going for a book to paste your minutes in, it is recommended to use books with paper guards (small paper tabs between pages) as this stops the book from fanning open once full. The recording and storing of your Minutes is imperative, and the laws are specific with the mentioning of a Minute book. Computer documents do not qualify, as these can be edited. Ensure all your Minutes are signed by the relevant parties, to validate them, before they are filed.

cuStoM loG booKS & reGiSterSCustom log books such as sports log books are never a standard stock shelf product. They can be very specific to a sport or an industry and often need to be made up specifically; a golf club would have their own register to record weather, shots, terrain, etc.

Custom books include visitors’ books, club records, guest registers and sometimes by signing in a book, a box is ticked. This could be used as a ‘terms and conditions’ box, where the visitors agree to the terms and conditions of a premises. This way an establishment or business can cover themselves. m

Abusiness plan is not just a document – it starts with preparing a monetary model that shows the financial structure of the business

and all the assumptions made about the market such as sales growth, together with the assumed costs structures, funding mechanisms and resources that will be required.

Assumptions need to be checked against the real market, and the promotional mix and sales strategy explained in detail to guarantee the sales income that is budgeted. Other assumptions made about cost, e.g. of raw materials, rentals/leases, capital equipment etc. need to be checked by the gathering quotes.

This document is your business plan and its power lies in the time given to its planning.

A business plan should consist of, at least, the following:

1. An EXECUTIVE SUMMARY, which is a brief statement of the business opportunity, who is involved, what the business does, who the customers are, what resources are required (people, materials and money), what will be done and the financial results.

2. ABOUT THE BUSINESS: this is a more detailed description of the

business, the owners, who does what, the history and achievements, finance required, management and any technical assistance required.

3. A S.W.O.T. (strengths, weaknesses, opportunities and threats) analysis. In more complicated businesses, this may be supported by a PORTER ANALYSIS, which considers the interactions within the industry, the suppliers, customers, substitutes and new entrants.

4. The MARKETING PLAN OUTLINE is a summary of the full marketing plan. It may contain a macro- and micro economic summary, a statement of the product(s)/service(s), target market, pricing, promotion, distribution (where it operates), the sales plan and competitive advantages.

5. The HUMAN RESOURCES BUDGET gives the skills requirements, costs, staff availability, training, etc.

6. KEY MANAGEMENT CONTROLS need to be listed in order to properly measure and manage the business, such daily sales figures, weekly and monthly financial accounts, stock and debtors analysis.

7. A FINANCIAL REVIEW AND ANALYSIS that considers the sources and applications of funds and the risks and issues considered.

8. The FINANCIAL PROJECTIONS in the appendix (see below) need to be explained in words, including the assumptions.

9. The BUSINESS FUNDABILITY must be displayed, considering the

industry, the business in that industry, the financial strength of the business (how close/far from breakeven), the loan security offered, the owner’s monetary contribution to the business, the owner’s ability’s and a conclusion to all of these factors. This is possibly the hub of a funding decision.

10. An OPERATIONAL REVIEW lays out what happens on a daily basis, what machinery/equipment is involved, insurance, legal, environmental and regulatory issues, raw materials, labour, computer requirements, etc.

11. A PRODUCTION PLAN and LAYOUT may be required.

12. The IMPLEMENTATION PLAN lists who must do what, and by when to get the plan implemented.

13. The APPENDICES follow. They contain all the supporting information and documents, starting with the financial statements – usually five years for the assumptions, income statement, balance sheet and cash flow statement. This may be supported by statements for the marketing schedule, personnel schedule, capital expenditure plan and the loan repayment schedule. It may also contain copies of the quotes, sales agreements, lease or rental agreements, etc.

If you do not have the skills to build the financial model, get a qualified person to do it for you. This can be expensive, but there are schemes that can help with the costs of preparation and we will tell you more about this in the next article. m

Choose a good multivitamin or mineral supplement to support your whole system. Vitamin A is an ideal agent for ensuring lip health and skin repair. Execution procedures in recovering a debt

Once a judgement has been obtained against

a debtor – be it by Default Judgement or by the

outcome of a trial – the next step to follow is

that of the execution of that judgement.

Execution procedures are handled primarily by the sheriff of the court who is instructed by way of a Warrant of Execution to attend to the attachment and upliftment of the defendant’s assets. Once again – it is vital that correct procedures are followed and correct instructions are given to the sheriff in order for the execution to be successful.

The sheriff will serve the Warrant of Execution on the defendant and will make an inventory of moveable goods that he is by law allowed to attach. One has to proceed first against the movable assets in order to satisfy a judgement before one can proceed against the immoveable assets (i.e. fixed property). The sheriff will then give notice to the defendant that an inventory has been made of the assets attached and that they are now judicially attached which means that they cannot be sold whilst being the subject of the execution of the judgement.

If the defendant or any third party alleges that the attached goods do not belong to the defendant then an interpleader affidavit must be lodged timeously with the sheriff disputing the attachment. In terms of interpleader proceedings – the party raising such dispute must furnish the sheriff with the necessary evidence that the goods which the sheriff has attached do not belong to the defendant – often receipts or invoices are produced to prove validity of the owner. Interpleader proceedings then add a further cost to the process.

If no interpleader proceedings are entered into, then the sheriff will return to the defendant’s premises after a certain date to remove the goods that had been judicially attached and to store them prior to selling them on auction.

The attached goods are sold on auction in an attempt to satisfy the judgement amount, (such an amount will include the capital debt, interest and certain costs)and once the sheriff has deducted his costs of selling the goods – a cheque is written out to the plaintiff.

The procedure is slightly more complicated when the auction pertains to the sale of immoveable property and it is important to ensure that preferential creditors such as the bank are given proper notification.

a great deal of the day is spent behind a desk in a chair which, according to Rodney K. Lefler of www.spine-health.com can add stress to the

structures in the spine.

Therefore, in order to avoid developing or compounding back problems, importance is placed on office chairs.

Office chairs that are ergonomic and that support the lower back, while promoting good posture are imperative.

Lefler stresses the importance of lower back support in an ergonomic chair. “The lumbar spine has an inward curve and sitting for long periods without support for this curve tends to lead to slouching and strains the structures in the lower spine,” he explains.

An ergonomic chair should be adjustable so each user can get the proper fit to support the inward curve of the lower back.

When considering the “conventional” style of office chair, there are a number of things an ergonomic chair should have.

Office chair seat height should be easily adjustable. A pneumatic adjustment lever is the easiest way to do this. Seat height should range from about 16 to 21 inches off the floor should work for most people. This allows the user to have his or her feet flat on the floor, with thighs horizontal and arms even with the height of the desk.

The seat should have enough width and depth to support any user comfortably. A user needs to sit

with his or her back against the backrest of the chair while leaving approximately 2 to 4 inches between the back of the knees and the seat of the chair

The backrest of an ergonomic office chair should be 12 to 19 inches wide. It should be able to support the natural curve of the spine, again with special attention paid to proper support of the lumbar region.

Office chair armrests should allow the user’s arms to rest comfortably and shoulders to be relaxed.

The elbows and lower arms should rest lightly, and the forearm should not be on the armrest while typing.

Any conventional style or ergonomic chair should easily rotate so the user can reach different areas of his or her desk without straining.

As an alternative to the more traditional office chair, new styles of ergonomic chairs have been designed to try to create good support, comfort and promote good posture.

These chairs may take a little getting used to, but typically become very comfortable over time.

The kneeling chair is an office chair that has no back, and places the user in a modified kneeling position. The design encourages good posture by sliding the hips forward and aligning the back, shoulder and neck.

The saddle chair is another ergonomic chair that can be used as a desk chair or computer chair.

This type of office chair is in the shape of a horse’s saddle and puts the user in

a position somewhere between sitting and standing, similar to the position used when

riding a horse. This allows the legs to drop naturally, and widen, creating a healthy and stable position.

The exercise ball chair is another completely different type of ergonomic

chair. The major advantage to this type of chair is that it encourages movement and active sitting. There is a slight bouncing involved that keeps the legs moving, which stimulates circulation and keeps muscles busy, reducing stress and fatigue. Sitting on the ball makes slouching difficult, and the

positioning needed to stay on the ball will automatically improve posture. m

if you need to trim down after the cold winter, start off by planning your regular meals. Have breakfast within two hours of waking up and eat every

three to four hours during the day.

The next key thing to pay attention to would be the contents you are putting into your mouth. What exactly are you snacking on during the day? Are your nibbles therefore catching up with you?

TOp fivE Tips TO sLim dOWn yOuR snacKs:1. Ditch the chips, they are deep fried,

high fat options. Instead swop them

for lightly salted popcorn, oven baked pretzels or lean or game biltong.

2. Be very weary of the liquid calories. Each 340ml can of fizzy drink contains seven to eight teaspoons of sugar. Change to the lite or zero option to trim down. Better yet replace the coolies with rooibos tea, herbal teas, still or sparkling water.

3. Sweeties may be fat-free by they are packed with sugar! A better option to try would be fruit based sweet snacks for a more nutritious treat e.g. freeze-dried fruit crisps.

4. Switch to dark chocolate. Although it does provide similar total fat

and calories gram for gram when compared to milk and white chocolate, its rich bitter flavour can help you keep your portions small, thereby eating less chocolate. It also eliminates the high calorie extras found in many bars e.g. nougat, nuts, toffee, biscuit, etc.

Keep healthy snacks close on hand, i.e. your desk drawer, handbag, brief case, car, etc. This will help limit the temptation of taking a walk past the vending machine or the quick shop to buy. Some easy portable snacks suggestions include fruit, low fat cheese wedges, high fibre crackers, trailmix, raw nuts and dried fruit m

watch that office keyboard! It may come as surprise that an office keyboard can pose a greater risk to your health than licking a toilet seat.

this is an unfortunate fact, as food and work stations are seldom included in health and hygiene protocols.

Rentokil Initial SA’s Service Support Manager, Beverly Wentzel, warns against the habit of eating at one’s desk. She says it is undeniably unhygienic, as the combination of food morsels, hair and skin build up in a keyboard, promote the development and spread of bacteria and viruses. Her advice:

saniTisE The odds of contracting something if you lick the average reception- or office desk is 400 times higher than when you lick a typical toilet seat, providing the desk is not sanitised regularly.

This applies to any office consumable - telephones, switchboards, computer keyboards, printers, scanners and fax machines.

Neglecting a proper clean allows disease-causing pathogens like cold and flu viruses to last up to 72 hours on these surfaces. “The benefits of cleaning properly are improved staff health, better attendance and happier customers,” says Wentzel.

“Research also shows that having a hygienic and odour-free office can easily improve the impression that a business makes on its customers and employees.”

Offices are busy places which, though they may be cleaned on a daily basis, may never be properly sanitised.

dOn’T EaT aT yOuR dEsK Employers should urge their staff not to eat at their desks and to be more cautious of the health risks involved.

Proper lunch breaks will motivate staff not to bring food to their work stations and as a result, the likeliness of pests such as rodents, fleas and cockroaches will be reduced and germs will be less likely to fester.

bE aWaRE Of pEsTs The up-side of the potential health threat is how easily it can be avoided to create a hygienic work environment. Tips should be readily available in all offices to avoid unpleasant surprise visits from pests such as mice or rats. Apart from not eating at your desk, food should not be hoarded at any work station, but rather be kept in a

dedicated kitchen area. Should you make crumbs, ensure the floor space around you is clear to allow cleaners to reach it. Bins should contain bin liners to avoid residue build-up that will provide a food source for pests such as cockroaches, wasps and rodents.

Surfaces should be kept dry and steer clear of over-watering your office plants, as fruit flies thrive in damp environments.

Hand HygiEnE Hands should always be washed after touching items exposed to a large amount of germs, such as ATMs and public transport.

At the office, hot-desking should be avoided, as sharing a phone is the quickest way of contracting and spreading germs.

As a rule, IT equipment should not be shared, because it

is hard for personnel to effectively clean phone headsets or under keyboard keys, other than doing the standard short-term surface clean.

Thorough hand washing, using a proper sanitising soap and water and drying hands with a clean towel or with hot air, has long been recognised as vital to good hygiene.

Although this is agreed as the very best means of achieving hand hygiene in some circumstances this may not always be possible or practical.

Recently, the additional use of alcohol-based sanitisers has become prevalent in increasing the standard of hand hygiene.

Hygiene gel and hand wipes provide an excellent hygiene barrier for cases where office workers find it difficult or too time-consuming to visit the washroom. Employers could provide an attractive, compact dispenser for the gel, which can be installed anywhere. m

trade Association membershipOne of the most common questions asked of any trade or industry association, is: “Why should I belong to any association?” In other words – what is the value to my company?

Entrepreneurs in any sector of the economy have had to exhibit a self-confidence and independence just to establish their business in the first place. surely, nothing could be

more daunting than that leap of faith? What extra can an association bring to that business that same entrepreneurs cannot source or discover themselves?

This is a legitimate question and one which any association must be able to answer with bold certainty, or it has no right to exist. The specifics will differ in each instance but the categories of answers will largely be the same for each separate organisation:

nETWORKingNo individual, and likewise no company, can exist in a vacuum. It is imperative for entrepreneurs to interact with like individuals in the same field of business, to share experiences, discuss different approaches to similar problems and

generally form an idea of how their company is performing, relative to others of similar size and stage of development.

spEciaLisT KnOWLEdgEWithin each sector of the economy

is housed particular knowledge or intellectual property. While the refinement of this knowledge by individual enterprises is what gives that body a competitive advantage, there exists knowledge which is common property. However, this will be unique to that sector and the place where it is most logically kept, for access by all, is the trade/industry association.

It is also the responsibility of the association to ensure that this body of knowledge is continually refreshed, for the benefit of its members only. The cost of each member warehousing and updating this knowledge would be prohibitive.

cOmpLiancEThere are approximately 100 different pieces of legislation covering the running of any one business – in some sectors, such as the recognised professions, there will be more. Furthermore, politicians feel that, if they are not legislating, they are not working. The result is that we can be assured of a continuous flow of government intervention in business

affairs, with more and more regulations with which to comply.

It is impossible for every entrepreneur to read through government gazettes each week and assess or interpret how they will be affected by new legislation. Instead, it is comforting to know that their trade/industry association has the skill and capacity to perform this task and, importantly, warn members of their new responsibility.

REpREsEnTiviTyNeither government nor any of the organisations which it spawns, such as the SETAs, bargaining councils, etc want to deal with individual businesses. They prefer to deal with representative organisations, which are able to express a view on behalf of the sector. Unless an entrepreneur is a part of that organisation, his/her view will not be heard and the effect on that business will be ignored – perhaps to the detriment of the entire sector.

So, while there is no legal, moral or other reason for any individual business to join an association, there is also no sensible reason why that business should not join an association. If those services are not being provided, insist that they be so provided. m

Held at the mammoth Shanghai Expo Center, this year’s event attracted over 19 000 professional trade visitors. Along with independent labels and products, international brands such as CARL, Dokumental, Eagle, Lihit Lab, Polar Bear, Print-Rite, Stick ‘N and Simbalion were also present.

Of particular interest was the Extraordinary Stationery arena which covered upcoming trends within the stationery, products and artist supplies sector; and the Sustainable Sourcing Summit 2012 which ran in tandem with Paperworld. Co-organised by the Rainforest Alliance, speakers from the Alliance, FSC China, Staples and Mattel shared their views on ‘The changing landscape of responsible paper and packaging sourcing.

The show organised by Messe Frankfurt, one of the world’s largest trade fair organisers present in more than 150 countries, continues its strategy of offering to small and medium-size companies in particular, a global marketing tool. China is part of their international strategy and Messe Frankfurt, represented there since 1994, operates subsidiaries in Hong Kong and Shanghai, and stages over 25 fairs in China.

caRbOn nEuTRaL iT fiRm uRgEs OTHERs TO fOLLOW suiT Local company and green IT computing specialists, sustainableIT have announced their carbon neutral status. The company is believed to be the first local IT organisation to achieve carbon neutrality within its business operations and encourages other IT companies to follow suit.

Teresa Legg, director of sustainableIT, says that offsetting their emissions to achieve a carbon neutral status marks a logical progression in terms of the way the business is managed and operated. “sustainableIT is a blip on the radar screen in terms of overall emissions but everybody can do their bit,” explains Legg.

Leading technology companies, like Apple, Google, Facebook, Amazon, and Microsoft, use massive amounts of energy, electricity and power. Greenpeace estimates that some individual data centers consume as much electricity as 180,000 households per annum. In terms of emissions, the IT industry is estimated to contribute between two and three percent to global emissions and continues to increase as more mobile devices get online. Facebook recently disclosed their carbon footprint, and many other companies have been working to become more efficient and reduce emissions, which not only cuts down on environmental costs but also reduces overheads.

fabER-casTELL maKEs aLTERnaTivE pLan in bRaziL Already a benchmark in socio-environmental responsibility, Faber-Castell was once again recently given recognition for its actions in the field of sustainability, one of the core values of the brand. The company was awarded the top position in the Corporate Renewable Energy Index (CREX), a ranking of the largest Brazilian industrial users of renewable energy.

Compiled by Bloomberg New Energy Finance (Bnef), a British research company which publishes the Corporate Renewable Energy Index in other countries, the Brazilian ranking is one of a kind: based on a survey of the 200 largest listed companies by market capitalisation in the country, it takes into account the total electric power consumption of those companies and the volume generated by alternative renewable sources of electric power, among which small-scale hydro-electric power stations, solar energy plants, wind power plants, and biomass, such as sugar cane and wood from reforestation.

Faber-Castell stood out among the 19 Brazilian companies included in the ranking due to the fact that alternative renewable sources provided 100% of the company’s power requirements in 2011. This is the result of the many years of work towards sustainable development by Faber-Castell.

municipaL invOicEs sTiLL nOT cOnsumER fRiEndLy Local and international research has shown that customers of many municipal entities, in both the developed and developing countries, struggle to understand their municipal invoices. A lack of understanding of invoices has a negative effect on customer awareness, participation and the regulation of water services. It also leads to distrust in the correctness of an invoice, which, in turn, could affect consumers’ willingness to pay. A study by the Water Research Commission (WRC) found that municipal invoices in South Africa have much to improve on before they will function as a tool to serve consumers and use our water resources effectively.

In particular, South African invoices are not standardised at all. Most invoices do not meet regulatory requirements. Most invoices are barely legible as they are not in plain and understandable language as required by the Consumer Protection Act (68 of 2008) and far from being user-friendly. Most municipalities’ invoices are not customer-orientated. While South African has 11 official languages but invoices are still presented in English only. Most invoices do not communicate water conservation and effective water use. South African invoices do very little to reduce our water and energy footprint and lag far behind international best practice in this regard. Municipalities miss the opportunity to brand

water conservation through their invoices. They could also be a tool to set consumption targets or give incentives for conservation. Very few municipal invoices show comparative or historical consumption information, which has proved to positively influence consumer behaviour.

dTi issuEs bEE WaRningThe Department of Trade and Industry (the dti) would like to warn the public, supply chain practitioners, investors, accounting officers/authorities, consultants, verification agencies, established and emerging business as well as business organisations that individuals are issuing bogus Broad-Based Black Economic Empowerment (B-BBEE)

certificates. Some of these individuals claim to be working for the

dti, while others claim to be working for verification agencies.

Members of the public should note that the dti, as the custodian of the B-BBEE policy, does not issue any B-BBEE certificates.

If an entity is found in possession of a fraudulent B-BBEE Certificate, the entity’s details will be dealt with in accordance with the provision of the law, which may include, but is not limited to, inclusion by the National Treasury on the central database of restricted suppliers that are prohibited from conducting business with the public sector.

Other legal remedies will be taken against that entity.

bassOn sET TO dRivE gROWTH Bytes Technology Group (Bytes), a wholly -owned subsidiary of the JSE-listed Altron Group, announced the appointment of Johan Basson as the new Chief Executive Officer of Bytes Document Solutions (BDS). Basson joined BDS in 2001, where he excelled in various key financial positions including that of financial director, a position he held prior to his appointment as CEO. With more than 20 years of financial and operational management experience, Basson’s proven business acumen and in-depth knowledge of the document solutions industry will stand him in good stead as he takes over the reins as leader of BDS. The competition was launched last year to member stores to inspire their creativity to go the extra mile through an all-encompassing staff incentive programme. The programme incentivised each and every level of staff member responsible for the set up and displays of in-store promotions to create the best Back to School Display in the country with stunning prizes up for grabs.

The stores were evaluated based on two criteria namely growth in their own sales volumes from the previous year and the overall look of the display through the promotional period.

readinG For enJoyMent In support of International Literacy Week and the Readathon 2012 initiative, READ held a reading ‘flash mob’ – reading for enjoyment – at the Johannesburg City Library. It tied in with National Literacy Day. Hlubi Mboya and Thato Tholo also joined the flash mob.

Individuals silently read in different locations around the entrance to the Johannesburg City Library, followed by the unveiling of posters calling on all to support Literacy Day and the Readathon. Lizelle Langford of READ Educational Trust welcomed all and during the rest of the day, Hlubi, Thato and Raiz Adries (a learner) spoke on the importance of reading and there was an outstanding poetry performance by Ntsiki Mazwai. It was a fantastic and successful event, where fun was had by all involved.

READ’s Literacy Week is all part of the Readathon programme, a concept that has been going strong in South Africa for 23 years. Its aim is to bring the skill and love of reading to the public and to encourage schools to entrench reading as a daily practice.

Bosch resPonds to Growth in solar Market

In response to the growing demand for solar energy, Robert Bosch South Africa has installed a sample system located at their sales office in Midrand.

In support of sustainable energy growth the Bosch Solar Energy division installed a 2.5 kwh mono crystalline and 2.5 kwh thin film system.

“It will in future be extended with a further 2,5 kwh poly crystalline system. The power produced by the system is fed into and used by the office blocks on site,” says Andreas Wagner, head of Bosch South Africa’s solar division.

The ground based installation is used to showcase what the future PV plants in the IPP/ Rebate programme will look like. The system produces around 14000 kwh/year. If calculated on standard 20 year power producing period, the solar plant currently produces power for less

R/ kwh than Eskom current rates.“With this installation we are

showing on a small scale what solar energy can do for South Africa” Steffen Hoffmann, managing director of Robert Bosch Pty Ltd, said.

Due to the modularity of the system,

it can cover the needs of residential users trying to get away from the monthly bills and commercial users looking for a greener alternative, which is also cost effective. The system can be set up at ground level or mounted on a roof.

In line with this, value added distributor Duxbury Networking has introduced two new small-format indoor network video cameras targeted at surveillance applications.

The Axis M1013 and M1014 are fixed lens cameras with adjustable focus. Both are configurable to accommodate video streaming conforming to the latest H.264 video codec standard offering major improvements in image quality.
