Several prerequisites are required before the Timetable can be constructed. Many of the prerequisites are part of the standard setting up of PCSchool and are covered more thoroughly in the Administration or Curriculum Manuals. This Manual takes you through the complete process of;

• Constructing a Timetable using PCSchool.

Prerequisites Prerequisites should have already been entered before starting to Construct the Timetable and are covered in the Curriculum or Administration Manuals. Below is a brief overview only of them:

• Rooms

• Classes (Core/Home Class)

• Subjects

• Staff and their timetable code

• Timetable Period ID

• Timetable Cycle and Periods in a Day

• Timetable/Calendar Setup

• Timetable Period Descriptions

• Updating Students Year Level Next

Rooms

New Rooms may need to be added to PCSchool, set up all the Rooms that need to appear on the timetable. Keep the Room Code to a maximum of 4 characters. Path: System Functions → Room Control.

Classes

Core/Home Class Subjects are those that all Students study, for example English, Maths and Religion. These Subjects make up the CORE of the schools curriculum. Core/Home Class is the class a group of Students attend in the morning for Roll marking. This group of Students usually study the same Core/Home Subjects together. If you have Core/Home Class Subjects you will need to set up Core/Home Classes. Both the Core and Form Class codes are entered via Student View, Scholastic tab. Subject’s class codes are created in Maintenance View under Class. Path: System Functions → Maintenance View → CLASS.

• Form Class

This can be A, B, C, green Gold etc. This class is used for:

• Roll Marking.

• Grouping Students.

• Pastoral classes.

• Multi year levels.

• Students who study together.

• Core Class Is a group of students who all study the same subject at the same time on the same Timetable Option Line.

Subjects

Subjects must be entered. NZ – if information is entered in the Subject Supplement view this will transfer through to the Timetable. Path: System Functions → Curriculum Control Files → Subject Codes → Subjects

Timetable Codes

Before Staff members can be entered in the Timetable a Timetable code must be created. All staff appearing in the timetable must be classified as a ‘Current Teacher’. The teachers need a unique ‘Timetable Code’. Keep the codes to a maximum of 3 characters. Keep the Timetable Code uniform that way it will be easy to remember, for example use the first three letters of the last name. Path: Administration → Staff View

Period ID

Create the Period ID that you are going to enter Students Subject choices for.

• The Timetable Period ID does not need to be the same as the Subject Period ID or the Current Period.

• You are able to write the Timetable for next year while the default Current, Subject and Timetable Periods are all in this year.

Timetable/Calendar Setup

Prior to using the Timetable for the following year you will need to update the Timetable/Calendar dates. Path: Timetable → Timetable/Calendar Setup → Timetable Phases – Calendar You will need Timetable Cycle Dates and Holiday Dates entered, if using Subject Phases you would also need these set up. If this is not done at the beginning of the year the computer date must be turned back to the 1st day of the curriculum year in question. The date can be turned back by double clicking the time on the Windows Toolbar. If this is not available please ask your IT staff how this is done. You must remember to turn the clock back when finished. Subject Activity Phases You have the option within PCSchool to use Phases rather than rolling the Timetable. Subjects can be entered in the Timetable and the Phase selected, you will need to select the Phases for each class. Phases can also be used for Part Terms where a Subject change is required.

1. Select Subject Activity Phases.

2. Enter a start date; this does not need to match the Timetable date. Do not overlap dates. 3. Enter finish date; this does not need to match the Timetable date. Do not overlap dates.

4. Enter your description for the Phase. 5. Click Propagate to Calendar.

Timetable Cycle Dates Time Table Cycle dates are entered in a similar manner.

1. Select Timetable Cycle Dates.

2. Enter the first date of the Term; this date is inclusive. 3. Enter the last date of the Term; this date is inclusive. 4. Enter your description for this period.

5. Enter the Timetable start day. If this is a Monday it will most likely be 1 if Tuesday 2.

6.

Select the Holiday options;

• Maintain Day Sequence will ignore a holiday date and accept it as a Timetable Day.

• Maintain Cycle Sequence will grant the day as a holiday and continue with the cycle. 7. Check if Saturday is a School Day.

8. Click Propagate to Calendar.

Holiday Dates Student Free Days and other days that are not school days must be entered. You do not necessarily need Term Holidays entered if using Timetable Cycle Dates and weekends do not need to be entered.

1. Select Holiday Dates. 2. Enter the first day of the holiday.

3. Enter the last day of the holiday, if this is a single day this will be the same as the first day. 4. Enter a description for the holiday.

5. Click Propagate to Calendar. Don’t forget to turn the date back when finished.

Timetable Period Descriptions

You have the option of entering information about the individual Timetable Periods. This feature is mainly used in Roll Marking Student Absences. Path: Timetable → Timetable Period Descriptions

Updating Students Year Level Next

The Students will also need the Year Level Next updated if working in next years Timetable. Prior running the ‘Year Level Next’ routine make sure;

• The New Enrolments for Next Year have been entered and if they are in the current year of 0 (Yet to come) have a Year Level Next entered. A VDF can be done to check the arrival dates and status.

• Any Students not returning must have Exclude Next Year Ticked in Student View/Enrolment. Housekeeping Path: Scholastic → Administration YearEnd - Housekeeping Please take care when updating Students Year Level Next. Make sure you only use the fields shown. Do not tick Year End Procedure

1. Check to Update Student Year level Next.

2.

Radio Boxes check to;

• Update Student Year Level Next.

• Optional; Advance Arrival Date and Initial Year to update the fields in Student View to the following year.

3.

Select Arrival Date From;

• This will default to today’s date to include any Students who may arrive before the end of the year.

Select Arrival Date To;

• This must include the date of the intake of Students for the following year. 4. Accept Date From must cover the dates as in Student View/Enrolment/Acceptance Date.

5. Will Default to All. Can select a Status as entered in Student View/Enrolment/Enrolment Status.

6. Click Begin to update. Please see the Administration, End of Year process for further information on this procedure.

Entering Student Subject Choices If you are creating the Timetable for next year you will need all the prerequisite information entered first. You can add subjects to students in a selected period via;

• Subject Wizard.

• Import from a CSV.

• Individually in Student Subject Information.

• Quick student data entry, mainly for core classes.

Subject Wizard

Set up the Subjects

Path: Timetable → Construction → Fixed Lines Set up all subjects on offer for a selected Year Level.

1. Select the Year Level.

2. Select the Subject Type of Other Subjects. 3. Click Add Subject.

4. Select the Subject and continue adding subjects until all are entered.

Allocate the Subjects

Click on the Student Wizard shortcut on the coloured toolbar.

1. Select ON for Class Size Calculation and Display Timetable.

•••• This will default next time you open the Wizard.

2. Select the correct Period ID. 3. Tick to Use Timetable Period for Subject Period. 4. Select a year 10 Student.

5. Select Year 11 for the Subjects. 6. Double click the Subjects.

7. A list of selected Subjects will be created.

8. Because you have Class Size Collection checked;

•••• You will see the total of Students in the class increase.

9. Because you have Class Size Collection checked;

•••• You will be able to view the Students in the class.

To select the next Student of the same Year Level;

•••• In All Current Students select the Year Level you want to work in.

•••• Click into Select Student Code and use the arrow keys on the coloured toolbar to move forwards/backwards to the next/ previous student.

1. Select a Student. 2. Select the correct Period ID.

Import from a CSV

Path: Administration → Student Import – CSV The file can be Imported into PCSchool. Before proceeding make sure you have the correct Period ID selected.

• Check you are working in the correct Period.

1. Find and select the csv.

2.

Identified Fields;

• Fields are Unidentified when you open the file. You do not need to identify all fields.

• Select only one Key ID Field to Import. (Student Code, Barcode, Student#)

• Highlight an Identified Field.

• This must be in line with the Available Field you are going to import.

3. Find the corresponding Available Field Identifier and double click. Unidentified will change to the field selected.

4. Select the formal of the data to import. 5. Select the option to match your csv. 6. Select the Key ID Field you have used for matching to the Student. 7. Select the option that matched the Import. 8. Click Import.

Add Subjects Individually

This method would not normally be used except if adding single subjects to an individual Student as using the Wizard is far quicker. Path: Subjects → Student Subject Information You do not need Teachers or Classes entered at this stage but if Students have Preference they can be entered in the Class column.

1. Select the correct Period ID.

Check;

•••• Current if working in this year or

•••• Year Level Next if working in a Period for the following year. 3. Select a Student. 4. Click Next item to go to enter subjects.

5. Select Subjects to add to the Students.

•••• Subjects can be entered in any order but will be sorted by the Class column entry.

6.

The Year will default to your Year Selection Criteria preference:

•••• Current Year of the Student.

•••• Year level next of the Student.

7.

Enter a class code.

•••• This field can be used to keep track of subject preferences for the Student prior to classes being assigned.

•••• If all students must do a particular subject it can be added as a preference.

•••• If a subject is to appear on the same line in the timetable for example all Yr 12 English it can be omitted from the choices.

Enter Subjects to Students by Groups

Path: Subjects → Automatic Subject Allocation You would normally only use Automatic Subject Allocation for Core/Home classes.

Tag the Students to work with

Click in Tag Set to bring up the selection window.

1. Tick Use Tag Set. 2. Select the filters for adding students to the list. 3. Click Add Selected to List. 4. Tag or untag Students as applicable for the Subject you are allocating. 5. Use the button options to assist when tagging Students.

Click;

• Return all in grid to work with all the Students.

• Click Return Tagged only to work with Tagged Students.

Allocate Subjects to the Tagged Group

Go to the Subjects tab and select the Subject details, click Begin to add this Subject to the tagged Students.

1. The Tick depicts a Tag Set is being used. 2. Select the Subject.

3.

Select the Teacher options;

• Select an individual Teacher.

• Check the Radio Box if using the Home Teacher.

• The Name For Report will default.

4. Optional; Only to be used if you are working with one group of Students and one Teacher. Add Subjects to the list and allocate together.

5. Class will default. Can edit.

6. Year Level will default. Can edit. 7. Select the correct Period ID.

8. Take the Tick out of UnTag when done if you will be working with the same group of Students again.

9. Click Begin.

Print Reports

Optional; Once Subjects have been entered run a Students Subject list and a Class size report.

Print a Student subject list

Path: Subjects → Subject Reports → Click on the + beside Subject Reports Select the Report ‘Student Subject List (Across page in Class order)’, select the correct Period ID and run the Report.

Run a class size report

This will allow you to determine whether or not you offer the subject and if so how many classes you will need. Path: Subjects → Subject Reports → Click on the + beside Class Reports Select the Report ‘Class Size Report (Alpha Subject Order)’. You will be presented with a Parameter Window where you can choose to include or exclude any subjects that have been tagged to exclude from Reports.

Set Subject Parameters Optional: Parameters can be entered at a later stage:

• If subjects have been entered and reports run you have the option to enter parameters for the Subjects based on the Reports.

• These details can be entered later after the initial Create Solution has been run. Path: Timetable → Timetable/Calendar Setup → Subject Parameters From the class size report determine the number of classes you wish to offer for each subject. Any constraints for the lines being created can be entered through:

• Subject Parameters

• or after you have run the ‘Load Initial the initial load of matrix. (See Load Initial Matrix.) NZ: if Information has been entered in the Subject Supplement it will default to Subject Parameters.

1. Subject Code Select the Subject. 2. Yr Select the Year Level to work with. 3. Period Displays the Subject Period you are working in. 4. Min# Minimum amount of Students per Class. 5. Max# Maximum amount of Students per Class. 6. Max Conc Enter the amount of Maximum Concurrent Classes if applicable. 7. Form Class Tick if this is a Form Class Subject.

8. Pds/Cycle Enter the amount of Periods the Subject will be taught in the Timetable Cycle.

9. Defaults These fields default from entries in Subject Supplement. 10. Save Click when finished to

Print a VDF query to show the entries

Path: Utilities → VDF Query Generator Create a VDF Query to run a Report, this will show the entries in the timetable. Step 1

1. Select file 166, CS: Subject Supplement File as the Main File.

2. Enter a Title; this will become the heading for the Report.

3. Find the fields you wish to print and Double Click.

• You may need to highlight different Tables to find the information you need. 4. The Fields will go across to the Printed Field column. 5. Change the Start column to depict the centimetres across an A4 page.

6. Adjust the width so the text does not overlap.

Step 2

1. Go to the Selection tab. 2. Double Click Period ID, select Equal to.

3. Click on Default Value. 4. Enter the Period ID you are working with. 5. Optional; Save the VDF.

6. Click Run to produce the following Report.

Sample VDF Report

• A If all English is on at the same time you are able to either put the total number of English students or as in B.

• B An alternative to A where we have stipulated that we will have 4 classes of English and they can be concurrent.

• C C – With the above example Yr 10 Maths is on the same line and we only have to determine the option lines. By ticking Homeclass, these subjects will not be uploaded to the array for determining the optimal lines.

• D D – Multiple Year Levels. In this case we are including subjects in Senior (*S)

Fixed Lines Using a Line number above the normal range for all of the following options; this will not be overwritten when creating the lines.

• Fixed Lines

• Composite Subjects

• Linked Subjects

• Mutually Exclusive

• Phases

Adding Fixed Lines

Fixed Lines; Enter as many Fixed Lines as possible. These are the lines where a group of subjects will always be on together. If constructing the timetable from these lines you are looking for combinations that can go together. Enter line combinations with only essential teachers and essential rooms.

1. Select a Line that will not be overwritten. 2. Select the Must Have Subjects on the appropriate lines.

3. Select the Must Have Teachers. 4. Select the Must Have Rooms.

5. Enter how many Periods in the Timetable Cycle the Subject with be available.

Composite Subjects

Composite Subjects; If you have a composite line for example Yr11 and Yr12 then put all the subjects, the essential teachers and essential rooms for each year level and place the appropriate year level in the share teacher and share room column.

1. Select a line that will not be overwritten. 2. Select the Subject.

3. Select the Must Have Teachers. 4. Select the Year Level that will be sharing.

5. Select the Must Have Rooms. 6. Select the Year Level that will be sharing. 7. Enter how many Periods in the Timetable Cycle the Subject with be available.

Linked Subjects

Linked Subjects; Subjects can be linked when a student may have to do more than one subject through the year. If you wish to link subjects prior to creating lines use a separate line for each group of linked subjects.

1. Select a line that will not be overwritten. 2. Select the Type of Linked Subjects. 3. Select the Subjects to link. 4. Make sure all subjects have the Type of Linked Subjects.

Mutually Exclusive; The Mutually Exclusive Option can be used when you have subjects that cannot be on at the same time. This would happen if the same Teacher taught several subjects or if a room to be uses was unique to several Subjects.

1. Select a line that will not be overwritten. 2. Select the Type of Mutually Exclusive Subjects. 3. Click Add Subject to take you to the next free line.

4. Select the Subject. 5. Enter a class to define the different groups of Subjects.

6. Select your must have Teachers. 7. Select your must have Rooms.

8. Enter the amount of Periods in the timetable you want for this Subjects. 9. Mutually Exclusive will default from the selection in Set to Type.

When in Initial Solution you can view the details against the Subjects.

Creating Lines

Overview

This is an overview of the Initial Solution features. These features can be manipulated to force PCSchool to find a better solution.

1. Select a Year Level to work with.

2. Select the number of Lines you want to create to latch into Periods.

Radio Boxes;

• If this is an Exam period check ‘Exam Timetable Fit’.

• Check ‘restart search from current saved solution’ to be taken straight to Partial Solution when you click Load Data.

• If you have Fixed Lines you are going to keep check ‘Use constraints already set in Fixed Lines’.

• Selecting Fit Only – Do not seek new line set will result in all subjects not currently saved in a Fixed Line being flagged as exclude from that line. Can edit during the fit.

4. Process Time Left will default, can edit; The time allowed for the Process to find a Solution.

Emphasis will default, can edit;

• Emphasis can be placed on Clashes or Class Size.

• This can be changed after you have a partial solution to obtain a better result. 6. Period ID will default; can edit. 7. Will load all the subjects and any pre set information into the grid. 8. Subject Name. 9. Number of Students wishing to study this subject. 10. Minimum amount of students allowed in this class. Can edit to obtain a better result. 11. Maximum amount for students in this class. Can edit to obtain a better result.

Maximum number of classes to be on at the same time for this subject;

• Change to 1 or the amount if known.

• If left as Default any amount of classes can be placed on at the same time. 13. Amount of Periods to be allocated in this timetable period. 14. Check Form Class if this subject is not to be an option line.

15. Check to Ignore ‘floating’ subjects based on the students Homeclass and not to be taken into the solution.

16. Will default from the fixed line and be highlighted in red if the type of Mutually Exclusive is selected.

17. Click Begin Solution to start the process. 18. Will only be active if the Initial Solution has been saved.

Initial Solution

Once you have entered the ‘must have’ lines you can proceed with an Initial Solution.

1. Select a Year Level to work with.

2. Select the number of lines required; If using Fixed Lines already created take these into account.

3. Radio boxes options, check as required. 4. Select the correct Period ID. 5. Click Load Data. 6. Table will be filled, edit parameters necessary.

7. Once all the parameters have been set click Begin Solution.

PCSchool Timetable will process the subjects and try to fit them all together as best as possible and will continue to look for better solutions the longer you leave it. You are looking for the least amount of clashes and can Pause the process at any time to view the details and edit the parameters.

Once the routine has been paused it will produce a Partial Solution. Overview

1. The grid will be populated with a Partial Solution.

2. Size highlighted in yellow depicts class size below minimum.

Radio boxes options allow you to;

• Override the Minimum class Size when saving the Solution.

• Restart the solution process from the current position in the memory.

• Sort the lines by the Line Number or the Subject.

4. Click to Continue with the Solution.

Click to Save the Solution:

• This will write the solution to Student Subject View and the Fixed Lines

• The first digit predicts the line and the second the class.

• If there are more than 1 class second digit would increase.

Subject Clashes You can edit Students Subject choices where you have a clash then refresh the data.

1. Right click on the Size column of a Subject.

Subjects that the routine has not been able to place due to clashes need to be rectified;

• Change the parameters for the subjects to make them a best fit.

• Change the Students subject choice. 3. The tree will be populated. 4. Highlight the subject.

5. If Student Subject Information is open it will populate it with the selected Student, toggle between the two views until the clashes are corrected.

Work With Lines Overview

1. Select the amount of Periods.

2. Enter the Year Levels in the boxes to activate Fitting and Latched lines. (You may need to backspace before you enter the Year Levels).

Latch the Lines so that when one line appears the other will also.

1. Click the first line to latch. 2. Right click the line you want to latch and select Latch Line. 3. Right click the line you wan to latch to and select Save Latching.

4. Latched lines will show in the bottom fields. 5. A padlock will show the latched lines.

Continue until all the lines are locked and there are 0 remaining to latch.
