Chair Paul McCann called the meeting to order at 1:35 PM

McCann called for additions to the amended agenda. Motion to approve as presented by

Rutkowski, seconded by LaPorte. Agenda approved (Yes 9, No 0)

Reports

Budget:

Neville distributed the Shared Technology Services budget for 10/16 thru 1/17. Nothing unusual

to report.

TLN Board Meeting:

Nothing to report.

Symphony Update:

Neville reported that there will be another upgrade to Enterprise for PayPal payments in April

or May.

Technology Services Update:

Michelini reported that five libraries have requested a circuit upgrade. Also, looking for

volunteers for the telecom committee. An email will go out requesting volunteers.

B. Mel Cat/Zepheira linked data project A. Neville/C. Morse

Morse reported that there was an issue with downloads and the linked data project will not be

complete by the end of March.

C. ILS-RFP Committee report P. McCann Vendor demos are complete. 206 participants attended Carl, 210 attended Polaris and 180

attended Sirsi. 44 libraries sent representatives. Representative from five non-shared system

libraries also attended. The committee is meeting next week to decide which direction to go.

D. Best Practices/Policies database management G. Hungerford, E. Rutkowski Hungerford distributed the Database Clean-up Best Practices and Minimum Requirement handout. This puts a process in place for database clean-up. This is an effort to keep a well-functioning database and clean-up outdated records. Minimum requirements shall be enforced at a global level by TLN.

VII. New Business A. Router Purchase A.Michelini The Shared Automation System Executive Committee recommends to The Library Network board the purchase of 19 Brocade ICX7250-24 switches in an amount not to exceed $18,000. Funds come from SAS Capital Reserve Fund.

VII. Other items from Committee members There is not a policy in place when a library leaves The Library Network System. McCann will talk to Pletz to get a recommendation of what can be done.

Position: Support Services Library Assistant, Part‐time 

Job Duties: 

Greet all patrons with courtesy and friendliness as Circulation is the first contact the patron has with the library. Gain complete knowledge of the automated system. Check out items to patron and receive Library print and non-print materials. Process new and replacement cards in the automated system. Accurately input and update data in the automated system. Maintain the non-automated records. Follow and enforce all library rules, policies and procedures. Follow circulation guidelines and patron privacy laws. Answer telephone and accurately give information and when necessary, direct calls to the correct location or staff for information. Calculate and collect funds due from the public. Ability to operate basic office equipment including computers, copier, fax, cash register, charge machine and calculator. Ability to use alpha-numeric organization. Empty all book and audio/visual drops, discharge all items and organize according to the Dewey Decimal System for shelving. Sort library materials for shelving; shelve or shelf read as directed to maintain good order. Learn and perform all functions of inter-library loan process and software including MeLCat. Process all types of materials for BTPL collection and link in automated system. Repair collection items as necessary. When scheduled, open or close the library, following established procedures. All other duties as assigned.

Job Requirements: 

Minimum: High school diploma. Customer service and/or library experience. Public service attitude, computer skills, and good communication skills. Have appropriate math abilities to calculate and collect funds due from the public. Have appropriate reading abilities to sort and properly shelve materials according to the Dewey Decimal System. Able to lift at least 40 lb. Must be able to work independently as well as with a team. Will be required to work nights and weekends.

Job Posting Delivery Sorter

24 Hours Per week Position is responsible for the performance of routine tasks involved in the sorting of library materials, supplies and equipment. Positions are part-time. DISTINGUISHING FEATURES: Operates under the general supervision of the Distribution Supervisor, but most of the time is remote from any direct supervision. EXAMPLES OF WORK: (Illustrative only) Responsible for sorting library materials, placing material into the proper bin, loading bins at or below chest/shoulder level. Pushing full bins down the conveyor line, lifting bins onto cart, stacking bins four high, preparing stacked bins for loading on to the delivery vehicles. Also, unloads bins full of materials from delivery vehicle. Other duties as assigned. NECESSARY KNOWLEDGE, SKILLS, ABILITIES:

1. Reliability and mature judgment are essential. 2. Ability to communicate effectively, and to relate well with other staff members. 3. Ability to carry out verbal and written instruction. 4. Ability to lift to chest level and carry delivery tubs weighing up to 65 pounds. 5. Ability to work cooperatively with other sorting staff to unload returning delivery trucks. 6. Ability to sort by numeric and alpha codes.

Job Title: Circulation Services Assistant

Department: Library

Reports To: Circulation and Technical Services Manager

FLSA Status: Hourly

Summary

Assists library users at the circulation desk. Handles behind the scenes work related to circulation and

technical services.

Essential Duties and Responsibilities:

• Cheerfully greet patrons entering the building.

• Provide checkout and related services at the Circulation Desk.

• Answer and direct incoming library calls.

• Answer questions and provide information about library use. Refers questions to other staff

where appropriate.

• Provide information to users about locations, programs, and computer use. Assist users with

donations, printing and computer problems.

• Issue library cards under the guidelines of the library and The Library Network (TLN). Also

renew expired cards, handle lost cards, and update patron information.

• Check in books. Remove books from return boxes. Direct returned items to the appropriate

locations for re-shelving.

• Pull holds for interlibrary loans. Process holds coming and going from TLN delivery.

• Sort mail. Check in and process newspapers and magazines.

• Create artwork for missing CD and DVD covers.

• Contact patrons regarding missing or damaged materials.

• Run reports of current holds, lost items, expired holds, and pending in-transit items.

• Modify cataloging records in the library’s database when needed.

• Create newsletters, flyers and other graphic materials.

• Operate DVD/CD cleaning machine.

• Unpack new shipments of library materials and verify invoices.

• Physically process and catalog new library materials.

Candidates for this job should have solid communication skills and feel comfortable working within a

team-oriented framework to help achieve superior customer service for our library’s patrons.

Education and/or Experience

No experience working in a library is required. A college degree and/or experience in retail sales or other

customer service positions is preferred but not required.

Language Skills

Ability to read, analyze, and interpret general business periodicals, and governmental regulations. Ability

to write reports, and business correspondence. Ability to communicate effectively and present

information to residents.

Reasoning Ability

Ability to define problems, collect data, establish facts, and draw valid conclusions.
