We are delighted that you have chosento celebrate your marriage or civilpartnership ceremony in Edinburghand look forward to sharing with youthe happiness of your special day. This brochure has been designed toassist you with your arrangements and contains information to help youplan your day.

You can choose to have your civil ceremony in one of the three registrar’soffices, in any of the prestigious buildings in Edinburgh or anywhereyou wish - providing the place hasbeen agreed with the couple, the registrar and the venue owner.

This brochure will give you details of theregistrar’s offices and what to do if youchoose to have your civil ceremony in adifferent location as well as informationabout the paperwork you will need tocomplete to make sure your marriageor civil partnership is legal.

Edinburgh has three registrationoffices at which you can choose tohave your civil ceremony. These arebased at Lothian Chambers, Leith registrar’s office and SouthQueensferry registrar’s office. You’llfind contact details and a map showingthe location of each office on page 18.

Edinburgh offers some magnificent historic buildings, hotels, restaurantsand visitor attractions in which youcan have your civil ceremony. You willneed to contact your venue of choicein the first instance to make sure theycan accommodate you on the date you want. You or your venue will then contact Lothian Chambers and we can confirm the registrar’s attendanceto conduct your ceremony.

Your Choice

The notice forms must be completedby the couple and taken or sent to theregistrar’s office where the ceremonyis to take place or, if your ceremony is in a venue, to Lothian Chambers.Please note we cannot accept e-mailedor faxed notices or documents.

The minimum period for lodging noticeforms is 29 days before the date of the ceremony. The maximum period is three months before the date. Wenormally recommend that coupleslodge their notice forms with the registrar six – eight weeks before the date of the ceremony. However, if either of the parties are non EEAnationals we recommend ten – twelve weeks notice be given.

Couples are invited to personalise theircivil ceremony by adding their ownvows or including words and music thathave a special meaning to them.

You may choose to write certain partsof the ceremony yourself or choosefrom the options given in the ceremonybooklet issued by the registrar. You may choose to include readings or poetry for one of your guests toread out as part of your ceremony. You may choose to include a traditionalelement to you ceremony e.g. handfasting or candle ceremony etc. You may also wish to have music toenhance your ceremony. This may berecorded music or live musicians.

Please let staff know of any specialrequests you may be thinking about.If it is reasonable we will endeavour to comply with your wishes.

When you complete your notice forms,you should also fill out the requirementsform issued by the registrar. This formallows us to know what you are planningon the day so we can work with you toensure everything goes well.

The forms for lodging notice of yourintention to marry or enter into a civilpartnership can be collected from any registrar’s office in Scotland ordownloaded from the National Records of Scotland’s website atwww.nrscotland.gov.uk

First you have to choose where andwhen you would like your civil ceremonyto take place.

If you decide to hold your civil ceremonyin one of our registrar’s offices contactthe office you have chosen to checkavailability for the date you require.Details of all the offices can be found on page 18 or by visitingwww.edinburgh.gov.uk/registrars. You can book the appointment timeover the telephone or by calling intothe relevant office.

If you decide to have your civil ceremony in a venue, contact thevenue to make a provisional bookingfor the date you require. The venuewill then ask you to complete an APform which, once filled out by yourselfand your venue, should be taken orsent to the registrar’s office at LothianChambers to book a registrar. Thisform will confirm the attendance of a registrar at your ceremony. If thevenue does not have AP forms theycan be obtained from Lothian Chambers.

If you decide to have your ceremony ina location a bit more unconventional –contact Lothian Chambers and we willbe happy to issue you with an AP formand discuss your choice of venue.

Wherever you decide your civil ceremony is to take place, it’s your day and we want to make it as specialas possible for you. You may choose to have a quiet, informal ceremonywith just yourselves and your two witnesses. You may prefer to have a large traditional ceremony withescorts, guests, readings and music oryou may prefer something in between.

Documents Required

All certificates must be originals (not photocopies) and will be returnedto you apart from Certificates of No Impediment. Photocopies of passports and relevant visas may beacceptable to lodge notice provided theoriginals are produced before the date of the ceremony.

The relevant fee must accompany thenotice forms. The current fees can beobtained from the registrar.

The notice forms and documents canbe sent by post or courier but youshould always contact the office toensure that they have arrived safelyand everything is in order for your ceremony to go ahead.

Please note: your marriage or civil partnership registration cannot go ahead unless you have lodged your notice forms and relevant documents with the registrar within the correct timescale.

Along with the marriage notice formsyou must enclose your birth certificatesand proof of current place of residencewhich must be dated within the last 3months, and, if appropriate:

• Decree of Divorce – if you have been previously married or havebeen in a registered civil partnershipand this has ended in divorce or dissolution you will need to producea decree of divorce or dissolutionissued and stamped by the courtwhere it was granted.

• Death Certificate – if you are widowed or are a surviving civil partner you will need to produce a certified copy of your previousspouse’s or registered civil partner’s death certificate.

• Certificate of No Impediment – a certificate issued by your countryof domicile, if that is outside the UK,saying there is no impediment to you marrying in Scotland. (Pleasenote that this is not required for same-sex marriages or civil partnership registrations).

• Passports – for everyone - unlessborn in the UK prior to 1/1/1983.

• If you are a non-EEA national thenplease contact the registrar’s officefor advice as further documents are required.

The Ceremony

When the registrar announces the couples’ entrance into the room another piece of music may be played.Thereafter, more background musicmay be played while the schedule isbeing signed. If you are having livemusic the registrar will liaise with themusicians to let them know when tostart and stop playing. If you are hav-ing recorded music and your ceremonyis in a registrar’s office then you shouldhand in the CD before the date of yourceremony. If your ceremony is in avenue then you should arrange for one of your guests or venue staff tooperate the sound system as the registrar cannot be responsible for this.

WitnessesThe registrar will meet the two peoplewho are going to act as your witnesses.They may be related to you, friends orsomeone you have just met. They mustbe aged 16 or over and capable ofunderstanding the ceremony and will signthe schedule with you after the ceremony.

ReadingsIf you choose to have readings at your ceremony, the registrar will need to know the names of the people who will be doing the readings,in order that (s)he can call them up at the appropriate time.

Music It is normal to have background musicplaying when your guests begin to congregate in the ceremony room.

Upon ArrivalThe registrar will meet you both privately before the ceremony beginsto go over the ceremony process andgive you the opportunity to ask anyquestions and discuss any final pointsrelating to the ceremony. This can bedone individually or by speaking toboth parties at the same time – thechoice is yours. If you are having anyreadings, the registrar will also speakto your ‘Readers’ to confirm at whatpoint in the ceremony this will happen.Once all the preliminaries have beencarried out, the registrar will assist inorganising how any attendants and themain parties will make their entranceinto the ceremony room, where thecouple will stand etc. The registrar willensure that the guests are standingand that, if requested, the appropriatemusic is being played as one or both of the parties make their entrance,with attendants if wished, and the ceremony begins.

Changing an existing CivilPartnership to a MarriageCouples now have the option to changean existing civil partnership which took place in Scotland to a marriage. This can be done by either an administrative route or by means of aceremony. The couple must make anappointment for whichever route theychoose. The administrative route is asimplified procedure which involves thecouple completing the application formusually within the public office.

The marriage will then be registeredand a marriage certificate can be purchased. The ceremony route willinvolve giving the usual marriagenotice period and paying the relevantfees. The ceremony can take place atthe venue of your choice.

Documents to be produced to change a civil partnership to a marriage are

• previous civil partnership certificate -issued in Scotland

• photographic identity document for both parties – e.g passport, driving licence

As the ceremony is non-statutory thereis nothing you are required by law to say to each other.

If you have chosen to personalise yourceremony, you should make sure thatthe amendments to your ceremony arereturned to the registrar’s office atleast two weeks before your ceremony.

Signing of the scheduleOnce you have been pronounced married / legal civil partners, you and your two witnesses will sign themarriage / civil partnership schedule.

If your ceremony is taking place in a registrar’s office, the registrar willthen leave you in order to register your marriage/civil partnership andprepare your certificate. During thistime there will be an opportunity forphotographs to be taken. When thecertificate has been prepared, the registrar will then present this to you before you and your guests leaveto continue your celebrations.

If your ceremony is in another venue,then the registrar will leave you withyour family and friends to continue celebrating. Your certificate will beposted out to you or you can arrangeto collect it from Lothian Chambers.

Should you require any further copies,these are available on payment of astatutory fee.

The civil marriage ceremonyYou have the option to amend much of what is said during your ceremonyto make it more personal to you both.You may wish to write certain partsyourself or choose from the options givenin the ‘Your Civil Marriage in Edinburgh’booklet issued by the registrar.

The only parts of the ceremony you cannot omit are when you bothconfirm your identity, the wording ofthe declarations and when you are pronounced married. You can however,add to the wording which will be used.If you have chosen to personalise yourceremony, you should make sure thatthe amendments to your ceremony arereturned to the registrar’s office atleast two weeks before your ceremony.

Please remember that the registrar is there to help you and there is noneed to be worried or nervous aboutthe ceremony.

The civil partnership registration and ceremonyIn the case of a registration only, the couple and their witnesses will be taken into the ceremony room and signing of the civil partnershipschedule will take place.

You also have the option of includingin the registration a non-statutory ceremony. As previously mentioned,we encourage couples to personalisetheir own ceremony. You may wish towrite the whole ceremony yourself orchoose from the options given in the‘Your Civil Partnership in Edinburgh’booklet issued by the registrar.

After the ceremony the schedule will besigned at a writing table at the front ofthe room in the presence of your guests.

The McIntyre and Melbourne Suitesshare a small ante room in which thecouple and their witnesses can gatherbefore entering the ceremony room.

Edinburgh International FestivalLothian Chambers is situated in thevery heart of the city and during theEdinburgh International Festival andFestival Fringe the area around thebuilding becomes alive with street performers and fringe show acts.Surrounding streets are closed off tohost these events, which means thataccess to the office may take a littlelonger. Also there is no parking in Parliament Square West during the Festival. Please take this intoaccount if you are planning to haveyour ceremony in Lothian Chambersduring August.

Please note that all other times thereis a restriction on the playing of musicin Parliament Square West between9am and 4.30pm from Monday to Friday.

The dark wood panelling on the walls istopped with beautiful carved mouldingsand contrasts with the light wood floor.Light streams in through three largearched windows which look out overParliament Square to the historic St Giles’ Cathedral. Three stunning chandeliers hang from the ornatelydecorated and vaulted ceiling.

After the ceremony the schedule will be signed at a decorative writingtable at the front of the room in thepresence of your guests.

The Melbourne SuiteThis consists of two adjoining roomswhich can be used together or separately.In addition to the couple and their twowitnesses the Melbourne Suite cantake 28 guests if used separately or 40 if used together.

The suite overlooks Melbourne Place(part of George IV Bridge) and theRoyal Mile.

There are beautiful natural wood doorsand window surrounds and a distinctivewood and marble fireplace. The writingtable where you will sign the scheduleafter your ceremony is located in therear part of the suite.

The McIntyre SuiteThis is the smallest of the ceremonysuites and takes 24 guests in additionto the couple and their two witnesses.Overlooking George IV Bridge, it isnamed after the architect whoredesigned the building at the end ofthe 19th century. It has lovely natural

The SuitesLothian ChambersLothian Chambers, at the corner of George IV Bridge and the historicRoyal Mile, is a beautiful and impressive building which has beenrenovated and refurbished. Formerlythe Midlothian County Buildings, there are three stunning ceremonyrooms, the largest of which can accommodate 110 guests.

Ceremony parties have their ownentrance through West ParliamentSquare into the Gathering Area, specifically designed to allow the couple and their guests to assemble in comfort before moving to the ceremony room. The Gathering Area is fully accessible and has a lift to take less able guests up to the ceremony rooms on the first floor.

An ornate central staircase with decorative cast iron railings leads to a beautiful upper hallway and balcony.With its marble pillars and decorativefrieze, this area is flooded with light bythree cupolas. All the ceremony roomsare accessed from this first floor area.

There is parking for one car directlyoutside the entrance in WestParliament Square. There is no otherparking available at the office.

The City of Edinburgh SuiteOriginally used as the main Councilchamber, this stunning room will seat110 guests, in addition to the coupleand their two witnesses.

best position in the room. All camerasmust be handheld and have their ownpower supply. We must insist that anyfurniture moved for the purpose of taking photographs should be put back again and this should be madeclear to any photographers.

If you wish to supply your own CD,please hand this in to the registrarbefore the date of your ceremony. Toavoid disruption during the ceremonyall your music should be on ONE CD.

Photographs may be taken, either by a professional photographer or by yourguests. However we would ask thatanyone taking photographs does notmove around the room during the ceremony as this can be extremely distracting for everyone. The registrarwill be happy to suggest a suitable spotfor a photographer to stand.

In order that other couples may alsoenjoy the facilities, please help us tokeep the office tidy by telling yourguests not to throw confetti, rice etc inor around the registrar’s office. Thismay breach the Litter Act and anyonedoing so may be fined.

We hope this brochure will answer your questions but, if you require further information or clarification,please do not hesitate to contact amember of staff.

The ceremonies take place in theimpressive council chamber with itsbeautiful corniced ceilings and stunningviews over the Firth of Forth.

The chamber can accommodate 37guests in addition to the couple andtheir two witnesses.

The entrance to the main building has four steps, therefore anyone with limited mobility should check suitability before booking.

There is a large car park on theseafront at the Forth Rail Bridge, five minutes walk away.

All Ceremony RoomsAll the ceremony rooms in each venuehave dried or silk floral arrangements.However, you can supply your ownfresh flowers if you wish. Please con-tact the registrar in advance shouldyou wish to do so.

Please don’t arrive too early as youmay have to wait outside until the previous ceremony is finished.However at Lothian Chambers there isa specific area for you and your gueststo congregate prior to your ceremony.In the interests of safety and comfortplease ensure that the numbersattending your ceremony do notexceed the capacity of the room youhave chosen. There is no standing inthe rooms and any guests not able tobe seated will be asked to wait outsidethe room.

Do tell the registrar if there is to be a video recording. We will try to place the camera operator in the

Leith Registrar’s OfficeThe Ceremony Suite at the Leith registrar’s office, 30 Ferry Road, is set in a complex of buildings datingfrom the 1930s, which includes LeithTheatre, Thomas Morton Hall and theformer Leith Town Hall.

There is space within the entrancegates for one car and your guestsshould be able to park nearby.

The ceremony room can accommodate40 guests in addition to the coupleand their two witnesses.

There are four seats at the front of the room which are used for the couple and the two witnesses. Anyadditional bridesmaids or escortsshould sit in the row behind.

Your guests will go up the impressivestaircase to the first floor of ThomasMorton Hall to a large reception area where they may await your arrival in comfort.

After the ceremony, the schedule issigned in the ceremony room in thepresence of your guests.

Due to the ceremony room being onthe first floor it is not suitable for anyone with mobility problems.However, you should discuss any issueswith the staff at Leith as alternativearrangements may be possible.

South Queensferry OfficeThe registrar’s office is on the cobbledHigh Street of the historic town ofSouth Queensferry, on the seafrontbetween the Forth rail and road bridges.

Under the discerning gaze of Scottish greats the Royal Society of Edinburgh is the perfect place to celebrate your wedding.

If you only want to hold your wedding ceremony we are happy to organise just that for you. If it’s your ceremony plus a reception afterwards we would be delighted to help you celebrate in style, be that a simple drinks reception after your ceremony, a more traditional wedding reception, or perhaps something in between.

Our venue can comfortably accommodate up to 90 people for weddings.

And what about keeping the children entertained? Our Theatre is available to show movies while the adults are enjoying the party.

I just wanted to formally thank the RSE for a truly fantastic day. It was such upheaval because of the

weather and travel issues but the RSE made everyone feel so welcome that they really helped to make the day a

huge success.
