Getting Started Simplessus Files Overview Simplessus Files is a simple software solution to exchange files and documents over the internet. There is nomore file sharing via e-mail, FTP or CD-ROM. The Simplessus Files help exchange even very large files onlineeasily. Although it is packed with full of features, it is incredibly easy to use and ensures quality of service throughsecured exchange of documents online.

This user guide will help you to understand Simplessus Files and explain how to use the Simplessus Filesapplication. You will be able to quickly understand the basic principles of using the application. As such, we are continually researching and integrating cutting-edge tools and technology to pioneer the nextgeneration of software and management of files and documents, stay tuned for new Simplessus products andservices that will help you more effectively and securely exchange the critical and confidential documents of yourorganization.

System Requirements Client Requirements

• 32 - or 64-bit operating system: Microsoft Windows, Linux or Mac OS• Supported web browsers: Internet Explorer 7+ , Firefox 3+, Safari, Google Chrome• Minimum screen resolution of 1024x768 pixel• JavaScript and cookies enabled• Java applets enabled (for uploads of large files up to 2GB, otherwise only smaller files possible)• Alternative use by WebDAV client

Install Installing the Simplessus Files on your web server is easy. Simply follow the steps given below. Note: You need to have installed Apache web server with PHP and a MySQL database to run this application. 1. Open the Simplessus Download Center URL in your browser: http://download.simplessus.com 2. In the Download Center, there are various installation packages.

• EXESelect the Exe option in the Files row if you use a Windows PC. The setup.exe can be used to install ona local Windows server or on a remote web-server that is accessible via FTP.

• ZIPIf you are using a Linux server you can choose the Zip-format and unpack it to your document-root-folder.

• APSIf you are running a server with Parallels products such as Plesk you can choose the APS format(Application Packaging Standard). Instead of downloading the APS file you can also install the systemwith one-click-installation from the online Plesk Application Repository inside Plesk.

Download Setup.exe File

3. The Opening files dialog box will be displayed. Click the Save File button.

4. The dialog to save the file will be displayed. Select the location for the file on your computer and thenclick the Save button.

5. The Open File -Security Warning message box will be displayed. Click the Run button.

6. The Installation-Simplessus Files will be displayed. Click the Next button.

7. In the next step, read the agreement terms and check acceptance box and click the Next button.

8. In the Installation Type step, check the box behind Install to a remote machine option if you are notinstalling on your local machine. Click the Next button.

9. In the Remote Server Details step, enter the FTP Login details such as FTP server address, FTPuser name, FTP port number and FTP password in the respective text entry boxes. 10. To upload the files to a specific folder on the server, click the Browse button. Select the folder on theserver to upload the files. 11. Click the Next button.

The Simplessus Files will be installed in the server and you can access the same from the installedfolder on your webserver. 12. Open the installation package from the installed server. The Simplessus Files Setup wizard will bedisplayed. 13. Click the Next button.

14. The setup will check for the minimum System Requirements to run the Simplessus Files. Click theNext button.

15. In the next step, you need to provide the license file to continue the installation process. If you do nothave a license, click the Click here link to get one.

16. The Trial License Creation page will be displayed in a separate tab within the browser. Enter youremail id in the E-mail address text entry box. 17. Click the Generate License button.

18. The trial license file will be sent to your email id. Close the Trial License Creation page.

19. Check your mail inbox and save the trial license file on your computer. 20. Now, back on the Simplessus Files Setup wizard, click the Choose button to select the saved triallicense file on your computer.

21. The File Upload dialog will be displayed. Select the trial license file and click the Open button.

22. The URLs of the available system and the absolute directory of installation will be displayed. Clickthe Next button.

23. In the next step, provide the database details for installation. Select the type of the database fromthe Database type drop down list. 24. Enter the host name of the server in the Server Hostname text entry box. 25. Enter the port number of the server if it is not the default port, in the Server-Port text entry box. 26. Enter the name of the database in the Database name text entry box. 27. Enter the username for accessing the database in the Username text entry box. 28. Enter the password for the database in Password text entry box. 29. Click the Next button.

30. In the E-mail settings, enter the email id of the default sender in the E-mail address of the defaultsender text box. 31. Select the mail sending protocol from the Mail Sending drop down list. 32. Enter the smtp server id in the SMTP-Server text entry box. 33. Enter the username for the SMTP in the SMTP Username text entry box. 34. Enter the pasword for the SMTP in the SMTP Password text entry box. 35. Click the Next button.

36. In the General Settings, enter the email id for getting system alerts and messages if any, in theEmail text entry box. 37. Enter the admin password in the Administrator Password text entry box. 38. Confirm the admin password by re-entering the same in the Confirmation text entry box. 39. Enter the password to access installation updates and maintenance in the Installation passwordfor updates and maintenance text entry box. 40. Confirm the maintenance password by re-entering the same in the Confirmation text entry box. 41. Click the Next button.

42. The installation is almost complete. You can save the installation details by clicking the Saveconfiguration button.

43. The installation is now completed successfully. Click the Finish button to start the Simplessus Filesapplication.

The last thing you have to do is manually installing a cron-service on your server. This background taskis required to run every minute. It does system optimization tasks. It is not using much memory and it willnot slow down your server, even if it runs every minute. On Linux servers you can just add a http-request using "wget" to your crontab. The URL is http://%your-service-name%/cron.php On Windows server you can create a small batch file that you add the "Scheduled Tasks" section in theOS. Download the executable file of "wget" from http://gnuwin32.sourceforge.net/packages/wget.htm anduse this batch file template:

C:/xampp/wget.exe --spider http://%server%/cron.php If you have done that, see the cron log in the administration section and check if new records are addedthere every minute. If you are using a shared hosting package, please ask your hosting provider how to setup a cronjob. The Maintenance & Updates page that helps you to maintain and update the Simplessus Filesapplication from time to time or do other maintenance will be displayed. Login

1. To log on to the Simplessus Files, open the Simplessus Files login URL in your browser. 2. The Login dialog will be displayed.

Username

The Username is the user identity number with which you can access your version of the SimplessusFiles.Enter the user name in the Username text entry box. Please note that username and password arecase-sensitive.

Password

The Password is your password configured to access this application..Enter the password in thePassword text entry box.

Login

Once the login credentials are entered, click the Login button. You will be logged on to the application..

Forgot Your Password

1. In case, you do not remember your password, click the Forgot Your Password button. 2. The Forgot your password dialog will be displayed. Enter the username in the Username text entrybox. 3. Enter the new password in the New Password text entry box. 4. Confirm the password by re-entering it in the Password Confirmation text entry box. 5. Click the OK button.

Open ID

You can also access the application using your Open ID if it is connected to your user account. Enter the

given Id in the OpenID text entry box and then click the button.

Language

The Simplessus Files is a multi-language application and you can access the required language versionby selecting the flag based on the language of the country. By default the language set your web-browseris taken.

Mobile Version

The Mobile Version helps you to access the Simplessus Files application on mobiles. You can also testthe mobile version in Google Chrome browser or any other HTML5 compatible browser.

Logout

Logout

To logout of the Simplessus Files application, click the Logout button located in the top right corner ofthe screen.

Overview The Simplessus Files application has a very simple, easy and intuitive interface. The important components ofthe Simplessus Files interface are:

• Navigation• Header• Workspace• Intro Videos• Notes• Status Bar

Navigation

The Navigation pane allows you to navigate to different pages of the application such as Home, Search,Administration and Help.

Header

The Header is located at the top rightmost corner of the Simplessus Files application. It provides statusinformation about the user and access to the Settings and Logout options.

Workspace

The Workspace is the main area where all the tasks in the Simplessus Files application are performed.It is in this workspace you open up modules such as Cockpit and Files & Documents to perform relatedtasks .

Intro Video

The Intro Video shows up the introductory video on the features and benefits of using the SimplessusFiles application.

Notes

The Notes section has an editor where you can write descriptions and format them like any other texteditor.

Footer

The Footer has an important option, Add a portlet to define new portlets and customize your Cockpit. It also allows you to save the settings as system default.

Navigation The Navigation Pane allows you to navigate to different pages of the application such as Home, Search,Administration and Help. Each option can be expanded by pressing the (+) button to its right.

Home

The Home page is the main page that has the navigation links to the most important modules of theSimplessus Files such as Files & Documents and Cockpit.

Search

The Search allows you to search for documents or files. You can perform full text search for PDF,Microsoft Word & Excel documents.

Administration

The Administration allows you to perform admin tasks such as configuring basic settings and modulebased settings besides facilitating maintenance and updates. It also helps you to configure users anduser groups.

The Help allows you to access Online Help, Ticket System, Follow us on Twitter and About pages.

Home/Modules The Home / Modules provides navigation to the core modules of the application such as Files & Documentsand Cockpit.

Files & Documents

The Files & documents is one of the core modules in Simplessus Files and it helps you to manage allfiles and documents. You can add new folders, upload or download files and manage tasks. For more information on Files & documents, refer the following section, Files & Documents

Cockpit

The Cockpit is the main dashboard area from where you can manage portlets. For more information on Cockpit, refer the following section, Cockpit

Search The Search allows you to search for documents or files. You can perform full text search for PDF, Microsoft Word& Excel documents.

Enter Keyword

Enter the keyword for text search for documents in the Keyword text entry box.

Enter where to Search In

Enter the module name where you would like to search for the documents in the Search in text entrybox.

Click the Search button

Click the Search button to search for the required keyword in the specific module.

The search results will be displayed.

Administration The Administration allows you to perform admin tasks such as configuring basic settings and module basedsettings besides facilitating maintenance and updates. It also helps you to configure users and user groups.

User Management

In User Management, an administrator can create a new user, edit or delete an existing user, activate ordeactivate user, lock or unlock user and transfer rights from one user to other user. For more information on working with User Management, refer the following section. User Management

User Groups

The User Groups faciliates to create new user groups, edit existing user groups and delete a usergroup. For more information on working with User Groups, refer the following section. User Groups

Settings

The Settings allow to configure basic, module and language based settings.

Component Manager

The Component Manager allows you to save or delete packages within the installed components. Youcan also upload new components or upgrade components. For more information on configuring Component Manager, refer the following section. Component Manager

System Information

The System Information provides complete application information of Simplessus Files. For more information on understanding System Information, refer the following section. System Information

System Log

The System Log records and tracks actions, events and changes made within the Simplessus Files. For more information on understanding the System Log, refer the following section. System Log

Cron Log

The Cron Log shows the logs of the system's background job with status information, execution timeand exact date and time of execution. For more information on understanding the Cron Log, refer the following section. Cron Log

Outgoing Mail Protocol

The Outgoing Mail Protocol shows all e-mail sent by the system if you have activated that in thesystem-settings.

Mail Spooler

The Mail Spooler is showing all queued e-mails that will be sent by the system. In the module settingsyou can choose if you want to use the spooler or send e-mails directly.

Server Cache

The Server Cache allows to empty the server cache memory. The Empty Server Cache message box will be displayed.

Click the OK button.

Help The Simplessus Files Help provides navigation to access Online Help, Ticket System, Follow us on Twitterand About sections.

Online Help

The Online Help is a topic-oriented help for users to facilitate efficient working and usage of theSimplessus Files application. You can access various help formats through Online Help, PDF and Videolinks.

Ticket System

The Ticket System helps you to raise a ticket in case you have any issue or need technical help fromthe Simplessus Files support team. To access the ticket system, you need to login to the system withyour login credentials. If yo don't have an account yet, register for a new one.

Follow us on Twitter

The Follow us on Twitter links to the social media presence of the Simplessus Files application inTwitter network.

About

The About page will give provide the version and license information of the Simplessus Filesapplication.

Header The Header is located at the top rightmost corner of the Simplessus Files application.

Status

The Status provides you with quick information on the logged in User Name, Date and Week.

Settings

The Settings provides you with quick access to configure the your personal account information.

1. Change the name of the user if required, in the Name text box. 2. Enter the password in the Password text box.

3. Confirm the password by re-entering the same in the Confirmation text box. 4. Enter the email id of the user in the Email text box. 5. Select the language of the user in the Language drop down list. 6. Select the timezone of the user in the Time zone drop down list. 7. Select the theme for the application from the Theme drop down list. 8. Enter the OpenID with which the user can log on to the system in the OpenID text box. 9. Click the Save button at the end.

Logout

Click this button to logout of the Simplessus Files application.

Help Button The Help button is the button that is available in the left side of the screen. It provides access to contact thesupport team for any queries related to the application.

Help

The Help button allows you to contact the support team for any of your queries related to the application.When the help button is clicked, the Help dialog box will be displayed.

1. Enter your email id in Your email text entry box. 2. Enter any of your questions / queries related to the application. 3. Click the Email us button. The message will be delivered.

Getting started with the Cockpit The Cockpit is the main dashboard area from where you can manage portlets.

Portlets

The Portlets are little, yet important apps inside the Simplessus File Manager that makes your workeasier. You can add seven different types of portlets. They are

• External website (iFrame)• Google Gadget• Last uploaded• Notes• RSS Feed• Search• System information

External website(iFrame) The External website (iFrame) portlet allows you to embed external websites in Simplessus Files. In the example, the site, www.cnn.com is embedded.

Google Gadget The Google Gadgets portlet is the simple HTML and JavaScript applications from Google and itcan be embedded in Simplessus Files. In the example, the Google Clock is embedded as portlet.

Last uploaded The Last uploaded portlet has the list of all files that are recently uploaded. It allows you to enterthe number of records that you wish to display in the list.

Note: You can embed only one Last uploaded portlet. Notes The Notes portlet allows you to embed the Notes dialog box that facilitates you to enter andformat any multi line text descriptions.

RSS Feed The RSS Feed portlet helps you to publish recently updated works such as news, blogs, audio,video etc., in standardized format.

Search The Search portlet allows you to search all areas for documents and for inland tags in PDF filesand text documents.

Note: You can embed only one Search portlet. System Information The System information portlet helps you to display the system information specific to theSimplessus Files application.

Note: You can embed only one System Information portlet.

Add portlet You can add a portlet by clicking this button. The button invokes a drop down menu with a list of 7

portlets. You can choose the type of the portlet from the list.

In the following example, a Google Gadget portlet is added.

1. Click the Add Portlet button. 2. Select the option as Google Gadget. 3. The Add portlet dialog will be displayed. Get the Google Code for the required Google Gadget andpaste it in the Add portlet dialog for the Google Gadget. In the example, the code for Google Clock isentered. 4. Click the OK button.

4. Enter the name for the portlet. 5. Click the OK button.

The Google Clock will be embedded as the Google Gadget.

Working with Files & Documents The Files & documents is one of the core modules in Simplessus Files and it helps you to manage all files anddocuments. You can add new folders, upload or download files and manage tasks.

Directory Structure

The Directory Structure is similar to the Windows directory structure. It has the list of all the directoriesand subdirectories within the online drive. You can expand or collapse the directories or sub-directories.

Tool Bar

The Tool Bar has the quick access commands to facilitate faster tasks such as moving to upper levels inthe directory structure, adding new folders, uploading or downloading files and manage tasks and otherfile operations.

Folder Contents The Folder Contents displays the contents within a selected folder. A folder may have sub folders orfiles.

Folder Information The Folder Information displays the detailed folder information such as the number of sub-folders,number of files, file size and the availability of space within the folder.

Create a New Folder Creating a new folder is very easy. Simply follow the steps given below.

Select Location In the left directory structure, select the location for the new folder to be created. In the followingexample, the sub folder, Client A is selected to create a new sub-folder.

Click the New Folder option

Once the required directory is selected for creating the new folder, click the New Folder option in theTool bar.

Name the Folder The Create new folder dialog will be displayed. Enter the name of the folder in the text box and thenclick the OK button.

Folder Options The Folder Options can be accessed by right clicking on any folder.

Folder Name

The Folder Name is the name of the folder that is selected.

Open

The Open option opens the folder so that the contents of the folder can be viewed.

Download as ZIP

The Download as ZIP allows you to download the folder along with all its content in the form of a zippedfolder.

In the File Download dialog, click the Save button and save the file to a location on your computer.

Rename

The Rename option allows you to rename the selected folder.

Delete

The Delete option deletes the selected folder.

In the Delete message box, confirm the deletion of the folder by clicking the Yes button.

Auto Deletion

The Auto Deletion allows you to configure the automatic deletion of the folder after a specified time.

In the Automatic Deletion dialog, select the date on which you wish to delete the folder by clicking thecalendar in the Delete at field. Alternatively, you can set the number of days to delete by selecting thenumber of days in the Delete after drop down list. Click the Save button.

Cut

The Cut option allows you to cut the selected folder to the clip board.

Copy

The Copy option allows you to copy the selected folder to clip board.

Paste

The Paste option allows you to paste the folder from the clip board.

Subscribe

The Subscribe option allows you to subscribe to the folder to track the changes made to the folder orfile. You will get an email alert whenever something is changed.

Permissions

The Permissions allow you to assign the permissions such as Readonly or Editable to access thefolder by either group or user. You can add groups and users and assign permissions.

.1. Click the Add group to add a group to the list. 2. Click the Add User to add a user to the list. 3. At any time you can remove a group, by clicking the Remove Group button. 4. To assign a permission to the user or group, select it and then select the permission either asReadonly or Editable. Finally click the Save button.

Display Options Display options help you to view the contents of the folder in different views such as Huge Icons, Large Icons,Thumbnail View and Detail View.

Huge Icons

The Huge Icons view will display the contents of the folder in the form of huge icons.

Large Icons

The Large Icons view will display the contents of the folder in the form of large icons.

Thumbnail View

The Thumbnail view will display the contents of the folder in the thumbnail image form of the files andfolders.

Detail View

The Detail view will display the contents of the folder in a very detailed manner with all file relatedinformation such as size, type and modified date.

Upload & Download You can upload or download files to the folder easily.

Download File

1. To download a file, select the file and then click the Download file option in the Tool bar. 2. The Open dialog will be displayed. Check the Save File box and then click the OK button.

3. Select the location on your computer to save the file and then click the Save button.

The file will be downloaded in the selected location.

Upload File

1. Open the folder to where you wish to upload file. 2. Click the Upload file option in the Tool bar. 3. The Upload Files dialog will be displayed. You can simply drag and drop files from your computer tothe dialog box. The files get uploaded. 4. You can also select the file manually by clicking the Select file(s) button.

5. In the Open dialog, select the file that you wish to upload from your computer and then click the Openbutton.

The file gets uploaded.

6. If your browser does not support Java, then a Status message box informing you to use a simpleclassic file uploader will be displayed. Click the OK button.

7. The Upload files dialog will be displayed. Click the Add button to add files to the list.

8. In the Open dialog, select the file that you wish to upload from your computer and then click the Openbutton.

9. The file gets added to the list. Click the Upload button to upload the files to the selected folder.

The files get uploaded to the location.

File Options The File Options can be accessed by right clicking on any file.

File Name

The File Name is the name of the file that is selected.

Download

The Download option helps you to download the selected file. 1. Check the Save File field and then click the OK button.

2. In the Save dialog, select the location for downloading the selected file and then click the Save button.

The file will be downloaded to the selected location.

Download as ZIP

The Download as ZIP allows you to download the file in the form of a zipped file. You can also selectmultiple files at once to download them packed in a compressed zip archive.

Rename

The Rename option allows you to rename the selected file.

Delete

The Delete option deletes the selected file.

In the Delete message box, confirm the deletion of the file by clicking the Yes button...

Auto Deletion

The Auto Deletion allows you to configure the automatic deletion of the file after a specified time.

In the Automatic Deletion dialog, select the date on which you wish to delete the file by clicking thecalendar in the Delete at field. Alternatively, you can set the number of days to delete by selecting thenumber of days in the Delete after drop down list. Click the Save button.

Cut

The Cut option allows you to cut the selected file to the clip board.

Copy

The Copy option allows you to copy the selected file to clip board.

Paste

The Paste option allows you to paste the copied file from the clip board.

Encrypt

The Encrypt option allows you to encrypt and protect the selected file by setting password. This is anadvanced security layer above the file permission system. It uses strong AES encryption. Note: Do not loose your entered password. The files cannot be decrypted by us or anyone else withoutthis password.

1. In the Encrypt dialog, enter the password for encryption in the Password text entry box. 2. Confirm the password by re-entering it in the Confirm Password text entry box. 3. If you wish to delete the original encryption, then check the box to the right of Delete Original. 4. Click the OK button.

Subscribe

The Subscribe option allows you to subscribe to the file to track the changes made to the file. If a filegets modified or a new version is uploaded you get notified by e-mail.

Share

The Share option helps you to share the file with many recipients. The recipient do not need directaccess to the application. You send an e-mail to them that contains a download link or the file as anattachment.

.1. Enter the email ids of the recipients in the Recipient(s) text box. 2. Enter information related to the file in the Subject text box. 3. Select the validity date from the Valid until calendar. 4. Specify the number of downloads allowed in the # of Downloads text box. 5. Alternatively you can add the file as an attachment.To do so, check the box in the Add asAttachment field. 6. Enter messages if any in the Message text box.

Permissions

The Permissions allow you to assign the permissions such as Readonly or Editable to access the fileby either group or user. You can add groups and users and assign permissions.

1. Click the Add group to add a group to the list. 2. Click the Add User to add a user to the list. 3. At any time you can remove a group, by clicking the Remove Group button. 4. To assign a permission to the user or group, select it and then select the permission either asReadonly or Editable. Finally click the Save button.

Administration Settings An administrator has privileges to manage special and administrative tasks for completely managing theSimplessus Files application. For more information on the Simplessus Files admin tasks, refer the following sections.

User Management In User Management, an administrator can create a new user, edit or delete an existing user, activate ordeactivate user, lock or unlock user and transfer rights from one user to other user.

User Search

The User Search allows you to search for a user based on various criteria such as Username Contains,Name Contains, Groups and Read only. 1. To search for a user, enter the criterion in the specific field and click the Search button. In the following example, Username containing Sam is searched for and the corresponding result isdisplayed in the list of users.

The user is being searched based on his name.

The user is being searched based on the user group he belongs to.

The user is being searched based on all users having read-only access and complete access.

Create a New User

1. To create a new user, click the New User button. The Create a new user dialog will be displayed.

2. Enter the user name in the Username text box. 3. Enter the name of the user in the Name text box. 4. Enter the password for the user in the Password text box. Observe the strength of the password youassigned in the colored band. Complete green indicates that your password strength is very high. 5. Confirm the password by re-entering it in the Password request text box. 6. Enter the email id of the user in the E-mail text box. 7. Select the language for the user from the Language drop down list. 8. Select the available user-groups for the user in the Available section and press the right arrow buttonto move to the Selected section in order to assign the user to the user-group. The basic user-groupsin the system are "Everybody" and "Administrators". "Everybody" must be assigned to any user as itassigns basic rights like login. 9. By checking the Read-only box, the user will not have editing permissions but will have read onlypermission. 10. Select the time zone of the user from the Time zone drop down list. 11. Select the theme from the Theme drop down list. There are some default themes available. It is alsopossible to create your own custom theme. Contact us if you want you own theme. 12. Enter the open Id for the user with which he can log on to the system in the OpenID text box. 13. Click the Save button at the end. 14. Now navigate to the Cockpit tab.

15. You can define the required profile here. Select the profile from the Profile drop down list. 16. If you do not want to assign the Cockpit editing rights to the user, click the check box to the right ofReadonly Cockpit field. 19. Click the Save button at the end. 20. Navigate to the Files & Documents tab.

21. Select the base directory that you want to assign to the user from the Base directory drop down list.The user will not see any other directories that are on your file server. He is locked into that folder andcan only see sub-folders from that level on. 22. If you do not want to assign a user, the editing permissions to a particular folder or directory, thencheck the box to the right of User may not change permissions field. 23. If you do not want to assign the file deletion permissions to the user, then check the box to the right ofthe User may not delete files field. 24. Click the Save button at the end.

Edit an Existing User

1. To edit an existing user, select the user and then click the Edit button. The Edit user dialog will be displayed.

Activate a User

1. To activate a user, select the user and then click the Activate button.

The Activate message box asking you to confirm the enabling of the user will be displayed.

2. Click the Yes button to confirm the activation of the user.

Deactivate a User

1. To deactivate a user, select the user and then select the Deactivate option in the popup menu invokedby right clicking the mouse. The Deactivate message box asking you to confirm the disabling of the user will be displayed.

2. Click the Yes button to confirm the disabling of the user.

Lock a User

1. To lock a user, select the user and then select the Lock option in the popup menu invoked by rightclicking the mouse. He cannot log in if his account is locked. The Lock message box asking you to confirm the locking of the user will be displayed.

2. Click the Yes button to confirm the locking of the user.

Unlock a User

1. To unlock a user, select the user and then select the Unlock option in the popup menu invoked byright clicking the mouse. The Unlock message box asking you to confirm the unlocking of the user will be displayed.

2. Click the Yes button to confirm the unlocking of the user.

Transfer Rights

1. To transfer rights of a user, select the user and then select the Transfer rights option in the popupmenu invoked by right clicking the mouse. The Transfer rights dialog box will be displayed. This feature is useful when somebody leaves yourcompany and you want to give access to another user.

2. Select the user to whom you wish to transfer the rights to, from the drop down list. 3. Select the available rights for the user in the Available section and press the right arrow button tomove to the Selected section in order to assign the rights. 3. Confirm the transfer by checking the box in the Yes, really transfer rights permanently field. 4. Click the Save button.

Delete a User

1. To delete a user, select the user and then select the Delete option in the popup menu invoked by rightclicking the mouse. The Delete message box asking you to confirm the deletion of the user will be displayed.

2. Click the Yes button to confirm the deletion of the user.

Import a User

You can import users from your computer in the form of CSV files. You can see the expected formatif you do an export before and open that file. Please do not forget to give users a password in therespective column. If you import users without a password, the accounts will be created but they will notbe able to login. 1. To import a user, select the Import option in the popup menu invoked by right clicking the mouse. The Import dialog will be displayed.

2. Click the Add button to select the CSV file from your computer. 3. Click the Upload button to upload the CSV file to the Simplessus Files application. 4. Click the (X) button to remove all the imported CSV files from the list.

Export a User

You can export users to your computers. 1. To export a user, select the Export option in the popup menu invoked by right clicking the mouse. The Open dialog will be displayed.

2, Select the Save File option and click the OK button. 3. In the Save dialog, select the location to save and then save the file.

User Groups The User Groups faciliates to create new user groups, edit existing user groups and delete a user group.

Create a New User Group

1. To create a new user group, click the New Record button. The Create a new user group dialog will be displayed.

2. Enter the name for the user group in the Name text box. 3. Select the available rights for the user group in the Available section and press the right arrow buttonto move to the Selected section in order to assign the rights. 4. Select the required members for the user group in the Available section and press the right arrowbutton to move to the Selected section in order to keep these members in this user group. 5. Click the Save button.

Edit an Existing User Group

1. To edit a user group, select that user group and click the Edit button. The Edit user group dialog will be displayed.

.2. Edit the name for the user group in the Name text box. 3. Select the available rights for the user group in the Available section and press the right arrow buttonto move to the Selected section in order to assign the rights. 4. Select the required members for the user group in the Available section and press the right arrowbutton to move to the Selected section in order to keep these members in this user group. 5. Click the Save button.

Delete a User Group

1. To delete a user group, select that user group and click the Delete button. The Delete message box asking you to confirm the deletion of the user group will be displayed.

2. Click the Yes button to confirm the deletion of the user group.

Settings The Settings within Administration allows you to configure Basic, Module and Language settings.

Basic Settings

The Basic Settings has the most general and basic configurations for the Simplessus Files application. For more information on configuring the Basic Settings, refer the following section. Basic Settings

Module Settings

The Module Settings allows the configuration based on the modules used in the Simplessus Filesapplication. For more information on configuring the Module Settings, refer the following section. Module Settings

Languages

The Language settings allows the configuration of languages globally throughout the Simplessus Filesapplication. For more information on configuring the Language Settings, refer the following section. Language Settings

Basic Settings The Basic Settings has the most general and basic configurations for the Simplessus Files application. Usuallythese settings should never be modified.

System Mode

Select the system mode from the System Mode drop down list. The available options are Live andDebug. "Debug" mode will force the application to do extensive logging. This should only be set ifadministrators are doing error research.

Send system errors by e-mail

Specify whether you want to Send system errors by email or not by selecting the required option fromthe drop down list. The available options are Yes and No.

Recipients of the system errors

Enter the email ids of the recipients to whom you want to send the intimation related to the system errorsin the text box. For multiple sending, enter email ids separated by comma.

Default sender of system e-mails

Enter the email id of the default sender of system e-mails in the text box.

Internal System Encoding

Enter the system encoding used in the Internal system encoding text box.

Output character set

Enter the character set for output in the Output character set text box.

PHP Settings "pcre.backtrack_limit"

The pcre.backtrack_limit sets the maximum bind length PREG calls (e.g. preg_replace_callback) canmake. It defaults to 100000.

PHP Settings "pcre.recursion_limit"

The pcre.recursion_limit defaults to 100000.

PHP Settings "upload_max_filesize"

The upload_max_filesize refers to the maximum size of the file that can be uploaded to the application.

PHP Settings "post_max_size"

The post_max_size sets max size of post data allowed. This setting also affects file upload..

PHP Settings "max_execution_time"

The max_execution_time sets the maximum time in seconds a script is allowed to run before it isterminated by the parser. This helps prevent poorly written scripts from tying up the server. The defaultsetting is 600.

PHP Settings "memory_limit"

The memory_limit sets the maximum amount of memory in bytes that is allowed to allocate.

PHP Settings "allow_url_fopen"

The allow_url_fopen option enables the URL-aware fopen wrappers that enable accessing URL objectlike files. Default wrappers are provided for the access of remote files using the ftp or http protocol.

PHP Settings "register_globals"

The register_globals by default is off. When on, they will inject your scripts with all sorts of variables,like request variables from HTML forms.

PHP Settings "magic_quotes_gpc"

The magic_quotes_gpc is a process that automagically escapes incoming data to the PHP script. Bydefault, it is off.

PHP Settings "expose_php"

The expose_php exposes to the world that PHP is installed on the server, which includes the PHPversion within the HTTP header. By default, it is off.

PHP Settings "date.timezone"

The date.timezone refers to the date and time zone settings. By default, it is UTC.

PHP Settings "mbstring.func_overload"

The mbstring.func_overload adds multibyte awareness to an application without code modification byoverloading multibyte counterparts on the standard string functions.

PHP Settings "session.gc_maxlifetime"

The session.gc_maxlifetime specifies the number of seconds after which data will be seen as 'garbage'and potentially cleaned up. By default, the value is 3600.

PHP Settings "session.cookie_lifetime"

The session.cookie_lifetime specifies the lifetime of the cookie in seconds which is sent to the browser.

PHP Settings "session.use_cookies"

The session.use_cookies specifies whether the module will use cookies to store the session id on theclient side. It defaults to 1 (enabled).

PHP Settings "session.use_only_cookies"

The session.use_only_cookies specifies whether the module will only use cookies to store the sessionid on the client side. Enabling this setting prevents attacks involved passing session ids in URLs. Thedefault value is 0 (disabled).

PHP Settings "session.use_trans_sid"

The session.use_trans_sid indicates whether transparent sid support is enabled or not. It defaults to 0(disabled).

PHP Settings "session.cookie_path"

The session.cookie_path specifies path to set in the session cookie. It defaults to /.

PHP Settings "session.gc_probability"

The session.gc_probability is used to manage probability that the gc (garbage collection) routine isstarted. It defaults to 1.

PHP Settings "session.gc_divisor"

The session.gc_divisor defines the probability that the gc (garbage collection) process is started onevery session initialization. The default value is 100.

PHP Settings "display_errors"

The display_errors determines whether errors should be printed to the screen as part of the output or ifthey should be hidden from the user.

PHP Settings "track_errors"

The track_errors is set to 1 by default (enabled). If enabled, the last error message will always bepresent in the variable $php_errormsg.

PHP Settings "log_errors"

The log_errors tells whether script error messages should be logged to the server's error log. It defaultsto 1.

PHP Settings "error_log"

The error_log sends an error message to the web server's error log or to a file. Specify the path wherethe error log files are to be saved.

Save

Once you configure the related basic settings, click the Save button to retain the changes made to thebasic settings.

Cancel

You can exit without saving the changes anytime by clicking the Cancel button.

Module Settings The Module Settings allows the configuration based on the modules used in the Simplessus Files application.

Core

When you select the module as Core, the Core Module Settings page will be displayed.

The General Settings section allows you to configure the general and global settings for the application.It allows you to configure the following settings:

• Default theme for all users• Default language of the application• Home action (should never be changed)• Observer interval in seconds. The observer is frontend task that queries the system if there are

messages to be displayed for the user. This interval should actually never be changed.• After how many days should entries from cron protocol be deleted. If you set the value to zero the

log will never get emptied.• Days until entries in the system logs will be deleted.

The Authentication and Security section allows you to configure all the security and authenticationrelated settings. In this section, you will configure the following settings:

• How long should a user be blocked after too many login in failures (in minutes)• After how many attempts will a user be locked• Disable users automatically while not logged in in last x days, user-aging feature• Hide installation information in the login form• Safety check: User agent may not change in one session• Exclude the following user-agents from that check• Safety check: The IP address may not change during the session• Minimum number of characters of passwords• List of words that may not be used as a password• Number of days after a user has to change his password• Allow any kind of characters, including special characters for usernames and passwords• Minutes after which an inactive user is automatically logged off• OpenID authentication allow• Limit access to the following IP addresses (multiple separated by comma)

The Email Settings section allows you to configure email related configurations. In this section, you willconfigure the following settings:

• Mode, you can either select SMTP or PHP's mail server settings. Usually a SMTP server isentered here.

• SMTP Server• SMTP username• SMTP password• SMTP security mode• Timeout in seconds for SMTP connections• Don't send e-mails immediately, but use spooler• Activate outgoing mail protocol• Maximum number of e-mails that are sent per run (only relevant if spooler is used)• Interval for the e-mail spooler in minutes• Send e-mails only to this recipient for testing

The Path section allows you to configure all the paths for various actions and executions in theapplication. In this section, you will configure the following settings:

• Path to the executable program file of Ghostscript (eg /usr/bin/)• Path to the executable of ImageMagick (eg /usr/bin/)• ffmpeg path to the executable program file (eg /usr/bin/)• htmldoc path to the executable program file (eg /usr/bin/)

• pdftotext path to the executable program file (eg /usr/bin/)• catdoc path to the executable program file (eg /usr/bin/)• xlhtml path to the executable program file (eg /usr/bin/)• ppthtml path to the executable program file (eg /usr/bin/)• ooo_extract path to the program file (eg /usr/bin/). (Make sure that Ruby is installed)• AES Crypt path to the executable program file (eg /usr/bin/)

The Currency Settings section allows you to configure all currency related settings for the application. Inthis section, you will configure the following settings:

• Currency system active• Default currency• URL for automatic exchange rate updates

The Application Design section allows you to configure settings related to application design. In thissection, you will configure the following settings:

• Small Application Icon (PNG, 16x16)• Application Logo (JPEG, 305x40)• Logo for print version (GIF, 80x80)

In the Update System License section, you can upload the licence file by locating the same from yourlocal hard drive. Finally, click the Save button to retain the changes made to the Core module.

FS

When you select the module as fs the fs Module Settings page will be displayed.

The fs module allows you to configure all the file server related settings. In this module, you canconfigure the following settings.

When you select the module as i18 the i18 Module Settings page will be displayed.

The i18 Module Settings allows you to configure the path for Google JSAPI Url.

Snapbug

When you select the module as Snapbug the Snapbug Module Settings page will be displayed.

The Snapbug Module Settings allows you to configure the SnapABug API Key.

User Management

When you select the module as User Management the User Management Module Settings page willbe displayed.

In the User Management Module Settings, you can configure the Default Timezone for the userswithin the application. 1. Select the required timezone from the Default timezone drop down list. 2. Click the button.

Languages The Languages allow you to configure new languages, edit existing languages, delete a language and activateor deactive a language.

Add a New Language

1. To add a new language, click the New Record button. A new empty record will be appended. Begin entering the required information.

2. Enter the name of the language in the Name field. 3. Enter the code for the language in the Code field. 4. Enter the translation code in the Code for translation field. 5. Enter the date format for the language in the Date format field. 6. Enter the time format for the language in the Time format field.

7. Enter the date and time format for the language in the Date & Time format field. 8. Enter the format for downloading in the Download format field. 9. Enter the number of decimals for the language in the Number of decimals field. 10. Enter the sign for the decimals in the Decimals sign field. 11. Enter the separator sign for the thousands in the Thousands separator field. 12. Click the Save button to save the new record of the language. Please note that this must be followed by translation work. This is not done inside the language manager.If you want to translate the application to a new language please contact us.

Edit a Language

1. To edit an existing language, click the Edit button. The record will be opened in the edit mode. Begin editing the required information.

2. Edit the name of the language in the Name field. 3. Edit the code for the language in the Code field. 4. Edit the translation code in the Code for translation field. 5. Edit the date format for the language in the Date format field. 6. Edit the time format for the language in the Time format field. 7. Edit the date and time format for the language in the Date & Time format field. 8. Edit the format for downloading in the Download format field. 9. Edit the number of decimals for the language in the Number of decimals field. 10. Edit the sign for the decimals in the Decimals sign field. 11. Edit the separator sign for the thousands in the Thousands separator field.

12. Click the Save button to save the new record of the language.

Delete a Language

1. To delete a language, select the language and then click the Delete button. The Delete message box asking you to confirm the deletion of the language will be displayed.

2. Click the Yes button to confirm the deletion of the language. It will not be offered anymore in the logindialog now.

Activate a Language

1. To activate a language, select the language and then click the Activate button. The Activate message box asking you to confirm the enabling of the language will be displayed.

2. Click the Yes button to confirm the activation of the language.

Deactivate a Language

1. To deactivate a language, select the language and then click the Deactivate button. The Deactivate message box asking you to confirm the disabling of the language will be displayed.

2. Click the Yes button to confirm the disabling of the language. It will no longer be offered within in thelogin dialog.

Component Manager The Component Manager allows you to add or delete modules and extensions within the installed components.You can also upload new components or upgrade components. Important note: We highly recommend to usefunctions here only if you had a training before. Use it on your own risk.

Installed Components

The Installed components are all the current and active components installed in the application. Youcan remove or save packages within components.

More Components

The More components have additional components that may be used in the application. You can alsoremove or save packages within these components.

Upload a new component or upgrade

1. To upload a new component, navigate to the Upload a new component or upgrade section. The New component page will be displayed.

2. Click the Select button to browse and select the component from your computer. 3. Once the component is attached, click the Upload button.

Update system components

1. To upload a new component, navigate to the Upload system components section. The New component page will be displayed.

2. Click the Select button to browse and select the component from your computer. 3. Once the component is attached, click the Upload button.

Delete a Component

1. To delete or uninstall a component, click the Delete button to the right of the component that you wishto delete. The Delete message box asking you to confirm the deletion of the component will be displayed.

2. Click the Yes button to confirm the deletion of the component.

Save a Component

1. To save a component to your computer, click the Save button to the right of the component that youwish to save. The Open dialog will be displayed.

2. Select the location and save the file to your computer.

System Information The System Information provides complete system information about the Simplessus Files application. It hasthree sections with General Information, Libraries information and PHP information.

General System Information

The General System Information is the most basic and general information about the Simplessus Filesapplication.

Libraries

The Libraries information has all the version information of the installed and used system libraries withinthe Simplessus Files application.

PHP Info

The PHP Info provides the installed PHP version information in the Simplessus Files application.

System Log The System Log records and tracks actions, events and changes made within the Simplessus Files.

Log Search

The Log Search allows you to search for a log based on various criteria such as User and DescriptionContains. 1. To search for a log event, enter the criterion in the specific field and click the Search button. In the following example, User named admin is searched for and the corresponding result is displayed inthe list of logs.

Print

1. To print the system log information, click the Print button. The Print dialog will be displayed.

2. Provide the Printer information and the printer starts printing the system log information.

Export to CSV File

1. To export the system log information to CSV file, click the Export to CSV File button. The Open dialog will be displayed.

2. Click the Save File option and then click the OK button. 3. In the Save dialog, select the location and save the file to your computer.

Export to Excel

1. To export the system log information to excel file, click the Export to Excel button. The Open dialog will be displayed.

2. Click the Save File option and then click the OK button. 3. In the Save dialog, select the location and save the file to your computer.

Delete

1. To clear the system log information, click the Delete button. The Status message box asking you to confirm the clearance of the log information will be displayed.

2. Click the Yes button to confirm the deletion of the system log information.

Cron Log The Cron Log shows the logs of the system's background job with status information, execution time and exactdate and time of execution.

Log Search

The Log Search allows you to search for a log based on various criteria such as User and DescriptionContains. 1. Print

1. To print the cron log information, click the Print button. The Print dialog will be displayed.

2. Click the Save File option and then click the OK button. 3. In the Save dialog, select the location and save the file to your computer.

2. Click the Save File option and then click the OK button. 3. In the Save dialog, select the location and save the file to your computer.

Delete

1. To clear the cron log information, click the Delete button. The Status message box asking you to confirm the clearance of the log information will be displayed.

2. Click the Yes button to confirm the deletion of the cron log information.

Maintenance & Updates The Maintenance & Updates page helps you to maintain and update the Simplessus Files application fromtime to time or do other maintenance.

Search for Updates

1. To get system updates, click the Search for Updates button. The Search for Updates message box asking you to confirm the updation of the system will bedisplayed. Note: You need to have an active update-contract with Simplessus to access the update-server. Contactus if you want to have more information about advantages and costs of an update-contract.

2. Click the Yes button to confirm the updatiion. The System Update message box showing the updates made to the system will be displayed.

3. Click the OK button once the updation is completed. You can also click the Open log button to viewthe log details.

Update from Development Server

1. To get system updates from the development server, click the Updates from Development Serverbutton. Note: This function can break your system! This function can be used for very critical hotfixes that mustbe deployed within minutes. Usually this function should not be used. The Update from development server message box asking you to confirm the updation of the systemwill be displayed.

2. Click the Yes button to confirm the updatiion. The System Update message box showing the updates made to the system will be displayed.

3. Click the OK button once the updation is completed. You can also click the Open log button to viewthe log details.

Reset System

1. To reset the system click the Reset System button. All data will be deleted. The Reset System message asking you to confirm resetting of the system will be displayed.

2. Click the Yes button to confirm the resetting of the system.

Settings

The Settings within the Maintenance page will allow you to set various passwords used within the SimplessusFiles application.

Change Installation Tool Password 1. To set the installation tool password, click the Change Installation Tool Password option in theSettings section. The Change Installation Password dialog will be displayed.

To activate or deactivate the Simplessus support account, click the Activate / Deactivate SupportAccount option in the Settings section. Simplessus can use this account if you ask for support in yoursystem. By default this account is deactivated. The Activate / Deactivate Support Account dialog will be displayed.

2. If you want to activate the support account, check the Enabled option. 3. If you want to deactivate the support account, check the Disabled option. 4. Click the Save button.

Update Server Settings 1. To update server settings, click the Update Server Settings option in the Settings section. The Update Server Settings dialog will be displayed.

2. Enter the location of the update server in the Update Server text entry box. 3. Click the Save button.

Clear Server Cache

1. To delete the server cache, click the Clear Server Cache button. The Clear Server Cache message box informing that the clearing process is triggered will be displayed.

2. Click the OK button.

System Log

1. To check the system log, click the System Log option. 2. The list of logs will be displayed. To view a specific log, click that log option in the list of logs.

Disable Maintenance Script

1. To disable the maintenance script, click the Disable Maintenance Script option. The Disable Maintenance Script message box asking you to confirm the disabling of the script will bedisplayed.

2. Click the Yes button to confirm the disabling of the script.

Logout

1. To log out of the maintenance page, click the Logout option. You will be logged out and the Maintenance Authentication page will be displayed.

You can re-login by entering the password and clicking the Login button.

Mobile version The Mobile version of the Simplessus Files application will help you to easily and quickly manage and sharefiles and folders from your mobile and smartphone.

Login To access mobile version of the Simplessus Files application, you must log in to the application from yourmobile.

1. To log on to the Simplessus Files, open the Simplessus Files login URL in your mobile browser. 2. The Login dialog will be displayed.

Username

The Username is the user identity number with which you can access your version of the SimplessusFiles. Enter the user name in the Username text entry box. Please note that username and passwordare case-sensitive.

Password

The Password is your password configured to access this application..Enter the password in thePassword text entry box.

Login

Once the login credentials are entered, click the Login button. You will be logged on to the application.

Files & Folders The Files & documents is one of the core modules in Simplessus Files and it helps you to manage all files anddocuments. You can add new folders, download and share files.

Folder

The Folder contains sub-folders or files. You can select the folder by clicking on them.

Forward Arrow

The Forward Arrow shows further action commands.

Files

The Files can be accessed within the selected folder, by clicking this button.

Info

The Info button provides more information on the Simplessus Files application.

Managing Folders To manage folders, select the folder that you wish to work with and then click the Forward Arrow button in thesame row.

Open Folder

The Open Folder opens the folder to access sub folders or files.

Delete Folder

1. To delete a folder, click the Delete button. The Delete folder message box asking you to confirm the deletion will be displayed.

2. Confirm the deletion of the folder by clicking the Yes button.

Rename Folder

1. To rename the folder, click the Rename button. The Rename dialog will be displayed.

2. Enter the new name for the folder in the text box. 3. Click the OK button.

Managing Files You can manage files in mobile version of Simplessus Files application. The operations that you can carry out onfiles include Share, Back, Download, Rename and Delete. To perform any operation on the file, you must firstopen it.

Share

1. To share a file, click the Share button.

2. Enter the email id of the recipient in the Recipient text box. 3. Enter the subject of the email in the Subject text box. 4. Edit the validity period if necessary, in the Valid Until text box. 5. Specify the allowed number of downloads in the # of downloads text box. 6. To add the file as an attachment, click the Add as attachment option. 7. Edit the message as per your requirement in the Message text box. 8. Click the Send button. ..

Back

To navigate to the previous page within the mobile version, click the Back button.

Download

1. To download the file, click the Download button. 2. Save the file to a location on your mobile.

Rename

1. To rename the file, click the Rename button. The Rename dialog will be displayed.

2. Enter the new name for the file in the text box. 3. Click the OK button.

Delete

1. To delete a file, click the Delete button. The Delete file message box asking you to confirm the deletion will be displayed.

2. Confirm the deletion of the file by clicking the Yes button.
