    Christs School PTA

    Minutes of the PTA meeting on

    Monday, 19th September 2011

    In attendance: Elizabeth Mends, Sue Livingston-Urquart (Co-Chairs of PTA), Mike Greenwood

    (Treasurer), Georgie Bean (Assistant Head), Malcolm Butler, Ian West, Steven Brightey, Jude

    Tugman, Aziza Makki, Vicki Sharp, Rowan Woodward, Lisa Adams, Katherine Scheibli, Diane

    Whitmore, Jenny Lawrence and Helen Cox (Secretary)

    1. Minutes

    Minutes of the previous meeting on 13th June approved by all present.

    School website need to send past minutes again to school to put on PTA page.

    3. Treasurers Report

    Mike distributed Christs School PTA income and expenditure Year to August 2011

    and reported that closing funds are 13,856.

    The PTA had a good year for raising funds and the four events raised a net income

    of 3,613. See next item for discussion on expenditure.

    4. Report from the school

    Elizabeth informed the meeting that Sarah Brown had sent a report on the new build

    with various requests for funding. Items included two integrated projectors for

    PACE and the new library, total 4,938. Two large TV monitors for PACE and

    library, 1,450. Shelving for library, 735. Expected expenditure on books,

    2,000.

    Also would like to buy five sets of speakers at 50 per set. The school has bought a

    range of furniture for entire school which could be considered for funding.

    Above items were discussed. Decision on how much PTA will fund to be decided at

    next meeting. Mike suggested leaving 2,000 in bank account. Georgie will liaise

    with school about funding for new build.

    Georgie to speak to Mr Wilson about the previous pledge of 1,000 for musical

    instruments.

    It was agreed at the meeting and actioned to write the 2,000 cheque which was

    pledged for Emelyns garden. Georgie thanked everyone on behalf of school.

    Georgie reported that the sofas for Star Burkes were not needed now as the location

    has moved.

    6. Firework event 4th November (Firework team Ian West, Malcolm Butler and

    Steven Brightey).

    The fireworks are booked and deposit paid.Final balance needs to be paid 3,150 (3,780 including VAT). Agreed that the

    school will pay as the school can claim back VAT. PTA to pay school. Ian to process

    via Georgie. GB

    Tickets - Jenny kindly organising. Discussion took place about pricing. There are a

    maximum number of 2,000 tickets which can be sold.

    Poster design pupils to design poster (IW to send format on A3). Competition

    per year group and one overall winner. Winning design will win family ticket and

    have opportunity to press launch button. Georgie to organise with pupils.

    Letters to Queens Road and Courtlands residents Helen to write and send to Ian,

    Elizabeth and Sue for approval. Helen then to send to Georgie with numbers

    needed to print it on school headed paper. Diane to give Helen approx numbers for

    Courtlands residents.

    Food teams of four people needed to cook BBQ and hot dogs. Fireworks team to

    let Helen know what volunteer roles are and Helen to then email parents/staff.

    Krespi Crmes Aziza to organise 30 dozen.

    Hog roast equipment available from local pub, but need to buy hog.

    Discussion took place if BBQ still needed and it was agreed it is.

    Marshals teams needed for the night.

    Stalls Traditional sweet stall booked and will add to atmosphere. All agreed to

    no more outside stalls. Each stall pitch costs 20 - 40

    School stalls Georgie to organise students Enterprise Project and key skills

    group for Year 11 commerce projects.

    Administrative letters - sent to Fire Brigade, police and St Johns Ambulance byHelen, but no response to date. Fireworks team to follow up.

    Licence Ian has organised and paid for.

    PTA insurance Mike confirmed our policy covers this event.

    Operations Guide updated by Ian. To be read by Elizabeth, Sue and Richard

    Burke.

    Entertainment discussion took place and suggestions were: Fire eating man,

    possibly school bands (GB to follow up). Ian to ask Jenny about music.

    Bar sale or return with Majestic. Katherine Scheibli kindly offered to look into

    sourcing beer.

    Soft drinks Firework team to ask Jude (who had left at this point).Popcorn machine Helen to ask Marshgate contact.

    Safety fluorescent jackets HC to ask Marshgate to lend Christs jackets for

    evening. (Fireworks team to confirm numbers needed).

    Four gazebos from PTA cupboard

    Tables Georgie requested that these are put away after the event on the night

    please. A team of people will be needed on the day to organise the event at school.

    6. PTA Fundraising Ideas

    Brief discussion took place about focus on sport in Olympic year. GB to speak to

    Head of PE.

    The meeting ended at 8.00pm
