WOODBOROUGH PTA ANNUAL GENERAL MEETING MINUTES
Wednesday 26th September 2018 7.00pm

a. Token schemes
Putting forward Woodborough School PTA as a benefactor of the local supermarkets donation schemes:
Lisa Mundy and Cath Poole are progressing with Tesco

b. School wish list discussion and voting
As we had surpassed our fund raising target for the stage last term, it was agreed that the surplus will go towards replacing the wellie shed. Actual figures to be confirmed next meeting.
Wellie Shed replacement complete.
PTA will work with school staff to agree spend for year ahead.

c. Literacy and Maths Resources Bids
The maths bid is completed and submitted
Mrs Johansen confirmed that the literacy bid will be complete before the end of term - TBC

d. PTA parental support
There is an ongoing requirement to recruit more parental help and support for PTA functions and activities.
Remains Open - Ideas raised – playground recruitment a few weeks before an event; lass rep responsibility; sign up outside also online i.e. as many different methods to suit different people

3. Chair Update Helen ran through the events the PTA ran last academic year:
• AGM & Social (20th Sept)
• Popcorn Club (1 per term)
• 100 club (thoughout the year)
• Second hand uniform sales (throughout the year)
• Oak Class Pizza Evening (13th Oct)
• Bonfire Night (3rd Nov)
• Christmas Fair (1st Dec)
• Artwork Christmas Cards (Dec)
• Artwork Tea Towels & bags (Dec)
• Christmas Hamper Raffle (Dec)
• Christmas Play Bars (Dec)
• School Disco (2nd Feb)
• Easter Bingo (23rd March)
• Freeze Pop Fridays (Term 6)
• Stage Crowdfunding (May)
• Summer Fete (7th July)
• Summer Play Bars (July)
• Family Camping (21st July)
Helen requested discussion and feedback on the events regarding changes for the year ahead:
1. All positive comments in general for all of the events run last year
2. Tea towels and bags – we will have a gap year and review next year
3. Disco again this year - February
4. 100 club – won’t be run this year as a lot of effort for not a lot of return
5. We will consider Circus Bezercus again as v good but decided to do WGT instead and
alternate these 2 each year?
6. Any new ideas?
i. Good to have regular updates regarding what we are going to fund and what
we have funded so far – regular updates from the PTA.
ii. What about a leader board of target to fund and a progress diagram to see
how we are progressing
4. Treasurer Update Lexie presented the treasurers report from the last financial year. Highlights included:
a. Income better than previous years due to better than expected stage funding, also
match funding from Vodafone; also triathlon sponsorship money was much bigger
than expected. Nearly £8000 profit from last year!
b. Some events are more of a social activity than a fund raising activity and will be
again this year
c. Spend – big one was the stage. Also Finlays garden and the wellie shed. Then all
usual yearly spend. Commitments moving forward include four years of £2000 per
year for laptops; also swimming funding support for this year.
5. Governors Update Nic Sutherland kindly represented the Governors at the meeting and described formal and
informal opportunities to speak to governors

8. Event Planning - Planned events for the year ahead include:
Note that volunteer(s) are still required to lead on organising the Christmas Fair, and this needs sorting in the coming weeks ahead of the scheduled date of 30th November. If there are any volunteers please contact the PTA committee.
9. Voting The new committee member nominations are as follows. All nominees accepted their posts.

It would be useful for other roles to be filled when possible so anyone interested can contact the new PTA committee for more information.
10. AOB
a. Sarah Willis - How much did we spend on fireworks last year and do we plan to spend the
same this year? Helen felt the display is generally quite long so could make it a bit shorter if
necessary to remain within budget? Agreed that we will stick with £600 this year.
b. Vikki Morris – Clara Hickman and she have a contact who does first aid courses. £75 for 1st
hour, £50 for any additional hour. Six dummies for CPR and basic first aid etc. Would there
be any interest from parents? Would we want to make a profit or just organise as a service
for families? Could do am and pm session of a lot of people respond. Vikki will investigate.
More people may come on a Saturday.
c. Class Reps – Helen thanked the 2017-18 Class Reps for the support that they have given
through the year.
