The anthems were led by the church choir which was followed by

COMMUNICATION FOR THE CHAIRMAN

1. He welcomed members to the meeting and apologized for

starting it 30 minutes late.

2. He informed members that the day started with a Holy Mass at

8:00am and the next activity was the PTA/AGM followed by

Visitation. He urged members to be mindful of time.

3. He emphasized that the visitation was to begin at 1:45pm –

6:00pm. He requested all persons with any contributions to

the discussions to be brief.

REVIEW OF THE MINUTES OF THE PREVIOUS MEETING

Minutes of the previous meeting were read, corrected and

approved as a true record of what transpired in that meeting. The

proposal to adopt the minutes was moved by Mr. Emmanuel

Mugerwa and seconded by Mr. Ogwang Anthony Bosco.

PRESENTATION OF ANNUAL REPORTS

Headmaster’s report:

The Headmaster in his report;

1. He thanked all members of staff for their dedication and

support accorded to students and the College at large.

2. He advised parents to supervise and monitor the Holiday

Work of their sons and make sure that it was done at home

and not at the College parking lot when they report back.

3. He also alerted the parents that the students had already

been given mini reports showing their performance to help

save on time. He therefore encouraged them to request for

the reports from their sons.

4. Concerning O’ level UNEB results, the Headmaster informed

the parents that the college was working at attaining 100%

first grades in 2018.

5. He encouraged parents to continue guiding their children on

filling of PUJAB forms.

6. He recognized the support from NACOBA and informed

members that one Old Boy had paid Shs 2,000,000/= for two

bright students whose parents had lost their jobs.

7. The Headmaster informed parents that any student who was

to get an average below 60% was to repeat a class and that

there would be no appeal for promotion.

8. He informed members that the nurses were working 24 hours

in a bit to provide first aid and improve the students’ health.

9. He informed parents that the nurses had the medical reports

for every student. He also informed them that complicated

cases were referred to hospitals for further management.

10. He requested parents to encourage their boys to pray even

at home so that they grow into persons that loved and

respected God

11. The Headmaster thanked the Parents’ Committees for each

class for their support in helping students to be more focused

in life. He also appreciated the feedback that these

representatives continuously gave to Administration.

12. He encouraged parents to check what their children come

with to school before they bring them back to ensure that they

do not carry illegal items into the College. He also encouraged

them to check their sons when they return home to make sure

that they do not have any unknown property.

13. He encouraged parents to teach their sons how to be

economical and responsible not just to waste property like its

worthless.

14. He informed parents of the Catholic Youth leadership camp

that was to be held at St. Josephs Nagalama, and CAVIF

holiday camp at Buwenda Camping site in Jinja and he

encouraged parents to pay for their sons.

15. He appreciated Mr. Matthias Nalyanya for being the Guest of

honor on the Sports day that was held on 30th June, 2018 and

for renovating the College Lawn Tennis Court and for

donating tennis equipment to the College.

16. He informed parents that four students had registered for the

Educational Trip to the Weald School in UK and he thanked

parents for the positive response towards exposing their

children.

17. He encouraged parents to start saving money for their sons

who were in S.3, 2018 for the geography trip that was to take

place in term 1, 2019 where each student was to pay Shs

300,000/=.

18. He expressed his disappointment with parents who come to

College after 5:00pm and when they are refused to enter they

insult the College security personnel.

19. He also warned parents who tell lies in-order to secure

permission for their sons to go home.

20. He noted that the preparation to renovate Mugerwa Hall were

under way and he promised better ambience at the next Aunal

General meeting.

21. He urged parents who had not paid the 150,000/= increment

to pay such that all the projects at hand could run smoothly.

22. He informed parents that the College had received Shs

25,000,000/= out of the Shs 200,000,000/= that was

promised by government for construction of a new classroom

block

Chairman PTA’s report:

The Chairman in his report;

1. He briefly talked about all the achievements made so far like

paving of all walk ways, acquisition of new Coaster. e.t.c

2. He informed the parents that after contacting the Director of

UNRA, the road from Seeta was to be included in the next

National budget for repair.

3. He informed the parents that the PTA is always considerate

as they increase the fees, it is done in reasonable

installments. He also noted that fees increment was always

a suggestion made by the parents.

4. He talked about the many projects that were still underway

including renovation of Minderop Hostel, renovation of staff

houses, construction of a Multi-purpose Hall and extension of

the chapel because students sit outside during Mass on

Sundays.

5. He encouraged the parents to talk to the teachers in the

presence of their sons other than relying on their stories.

6. Before the financial report was presented, he noted that unlike

in the past, where the Auditor General’s office granted the

College permission to be audited by a private auditing firm.

He further assured parents that whatever the treasurer was to

present was after serious scrutiny by the Internal Auditors.

Chairman Finance ‘s report

In conclusion, the Treasurer informed the house, that for the three

years that he had worked with the College he has enjoyed his

work.

REACTION FROM THE ABOVE REPORTS

1. Appreciation: Mr. Laboke thanked the College for the good

work done in educating the boys.

2. Decrease in students’ population:

A member observed the decrease in the number of

students as the years go on. He requested the college

management to pay attention to the factors that contribute

to the decrease in the number of students overtime. He

suggested that it would be honourable for a student to

start and finish his studies at the College.

A member suggested that Administration accounts for the

decrease in student population.

3. Strategic plan; A parent suggested that the PTA Executive

should inform members on what could be done in 2 years in

priority order.

4. Time for the PTA meeting;

A member proposed that the PTA meeting should have

more time for discussion because there was need to

resolve issues at hand.

Another parent noted that parents were primary stake

holders and thus needed time to discuss pertinent issues

conclusively.

5. PUJAB forms; A member commented on the way the boys fill

the PUJAB forms and noted that many students normally miss

opportunities because they filled the forms inappropriately.

6. Medical fee; A member commented on the method of

collecting the medical fee and said that the parents were not

contented with the way the money was collected since it was

being collected by non-school personnel.

7. Staff career development programs; A member observed

that there was no scheduled training of staff for re-tooling

inorder to improve on their teaching skills.

8. New College bus; A member wondered why a brand new

coaster did not have a music system.

9. Financial report;

i. He expressed concern on the language used in the

financial report and advised that the College uses detailed

language other than generalizing language.

ii. A member suggested that the treasurer should add a trial

balance sheet.

iii. A member requested the treasurer to throw more light on

the domestic expenses and UNEB marking and

invigilation.

10. College hygiene; A member suggested that polythene bags

should be banned from the College but parents agreed that the

ban be postponed to a future date.

11. Projects; A member expressed that the College needs to take

on the road project faster to enable the start of other projects.

A member noted that the President NACOBA, had

communicated on Namilyango Day of 2018, that they were

offering to construct the College main-gate and wondered why

it was reflected in the financial report.

12. Rugby players; A member expressed concern on the extra 2

points that are added to the rugby players on promotion. He

suggested that the players should meet the required academic

standards before they join the team.

13. PTA AGM Minutes; A member suggested that Management

should send the reports, minutes of the previous meeting to

parents’ emails inorder to avoid holding the Annual General

meeting in a rush.

14. Disposing off of College property; A member asked what

policy the College was following to dispose off depreciating

College property.

15. Insurance cover for Sports men; A member noted that many

boys got injuries while playing rugby and some parents do not

afford to treat their sons. Therefore, he suggested that an

insurance cover for the rugby players be put in place.

A member urged the parents not to discourage their children

from participating in sports.

CONSIDERATION OF ANNUAL REPORTS

Headmaster

1. The Headmaster pledged to reflect the reasons for students

drop out in the next Annual General meeting.

2. He informed members that the land on which the school was

established belonged to Lugazi Diocese.

3. The Headmaster promised to bring on board experts in terms

of career guidance and filling the courses of the students’

choice at ‘A’ level.

4. The Headmaster said that there was need to assess the value

of the cost of setting up medical facilities.

5. He also informed members that professional development for

staff was being held.

6. He informed members that there was also need to have a

music system in the bus for both education and entertainment

purposes.

7. He pledged to use emails as a communication platform for

parents to send reports before the meeting.

8. He informed the members that the Board of Governors fully

supported parents whose children were injured during Sports

competitions. One of the students who had broken his jaw

got full sponsorship of fees for two terms.

Treasurer

1. The treasurer apologized for the omission of domestic

expenses and these would be reflected in the Next

PTA/Annual General meeting.

2. He informed members that staff workshops were organized

and reflected in the spread sheet of the financial report.

Chairman PTA

1. The Chairman informed members that in the previous

meeting the parents reached to consensus in regard to the

medical forms. It was agreed that the medical check-ups o

be conducted at the College.

2. He promised that the College Management was to think of a

refined system in collection of the medical checkup fees.

3. The majority of the parents wanted their children to undergo

medical check-up and asked to consider medical insurance.

4. The chairman informed members that there was need to

support the staff children with school fees and therefore, the

need to look at the financial part such biological children of

staff could benefit.

ELECTION OF PTA EXECUTIVE

1. Msgr. Dr. Richard Kayondo the Chairman Board thanked the

PTA Executive members for a good term of service of 3 years.

2. He informed members that all schools, parishes, hospitals

built on Catholic values belong to the Pope and the Catholic

church.

3. Before elections, the Chairman Board Msgr. Dr. Richard

Kayondo read out the constitution to the parents that clearly

stated that for one to qualify to be a PTA Executive, he/she

was to be a current parent of the College, a previous parent

of the College or an Old student of the College.

4. He requested members to give their suggestions about the

election of the new office bearers.

5. Mr. Wathum Jimmy moved a motion that the PTA executive

that had served for the three years be given another term of

office. All members agreed unanimously and the Executive

was returned as indicated below
