Slide 2

What is Grants.gov?

• Grants.gov is the Federal government’s solution for a "one stop shop" for finding and applying for funding. It provides a consistent electronic submission process for all agencies.

• Grants.gov has already or will replace federal agency-specific proposal submission systems that have grown in recent years, most notably NSF's FastLane, DOE's IIPS, and NASA's NSPIRES.

Page 3: PPT

Slide 3

Why Now?

• Grants.gov has been in the works for several years, but many of the agencies thought it wasn’t stable enough for large submissions, so were using it on a limited basis.

• To encourage the agencies, OMB tied the agencies’ federal appropriations to their use of Grants.gov.

• Suddenly, it works just fine!

Page 4: PPT

Slide 4

What We Will Cover

• Some basics

• Macintosh user information

• How to download the application package

• How to work with the forms

• How to route the forms

• What happens after RSP submits the file to Grants.gov

Page 5: PPT

Slide 5

Registration

No, no!

• The University is registered. No individual must register with Grants.gov, even though the instructions make it look that way!

• All that is required by UW applicants is to use DUNS #161202122 on their application forms.

• The FIND portion of Grants.gov does NOT require registration.

Features of the SF424 (R&R) (cont.)• An “FOA” is a Funding Opportunity

Announcement. This is the Grants.gov term for all requests for application (formerly RFP/RFA).

• The SF424 (R&R) is the set of standard forms used across all agencies. This stands for Standard Form 424 (Research & Related). We usually just call it “the 424.”

• Each of the forms is referred to as a “component.”

A Quick Glossary

Page 7: PPT

Slide 7

Features of the SF424 (R&R) (cont.)• Agencies “construct” application packages using

“components” of the 424 for each FOA. Each application package will include all of the forms required for that particular solicitation. You must use the application package that is specific to the solicitation you are responding to.

• Read the application instructions! You’d be surprised how many different ways there are of filling out these “standard” forms. The FOA will indicate which components are required and which are optional.

How Does It Work?

• Grants.gov incorporates a specific software package called PureEdge.

• When using the PureEdge software, you are using the downloaded software on your desktop.

• It looks like an Internet Explorer web browser. It isn’t!

Page 10: PPT

Slide 10

The PureEdge file is rather like a manila file folder with the label already printed and a group of mandatory, blank, forms inside. When you download the correct folder from the Grant.gov web site, it is like opening the folder, filling out all the forms, and closing the folder to pass it off to the next UW office…

PureEdge file

Appl-Specific label/info

Application-Specific Forms

Some of these forms will ask you to upload/attach pdf documents (science, biosketch, etc.)

How Does It Work?

Page 11: PPT

Slide 11

As you work on it, this PureEdge “folder” file resides on a local computer, not at Grants.gov!

It is a stand-alone file, not a database record like NSF Fastlane proposal files.

Your Computer

PureEdge file

To involve other UW staff, the file must be sent/shared in some manner from one person/office to the next.

How Does It Work?

Page 12: PPT

Slide 12

So you’re a Mac User

• PureEdge does not currently run in non-Windows environments.

• UW’s solution is the use of the Citrix client.

• If you take away nothing else, go to the RSP website’s Mac User page at: http://www.rsp.wisc.edu/preaward/macusers.html

• Links to the download and installation of the Citrix client - Grants.gov for Mac OS X. This is a one time need. Like putting software on your computer. Once it is on, never need to reload it, just run it.

Enough Already!

What Does It Look Like?

Page 14: PPT

Slide 14

Find your application package

First, you must find the funding opportunity you seek and download it onto your local drive.

Page 15: PPT

Slide 15

Download the package.

Download the package. You will not be able to launch immediately because you are not running the Citrix client...yet.

Page 16: PPT

Slide 16

Filename

• When you download, save the file and rename:

PI last name_agency acronym.xfd

• Eventually you will have more than one file with the same name. E.g, Smith_NIH. That’s ok. Just add a relevant date (040506) or keyword to maintain unique naming.

• This naming convention will help RSP track the proposal confirmation emails.

Page 17: PPT

Slide 17

Download and Install Citrix

• Go to http://www.rsp.wisc.edu/preaward/macusers.html. Follow the instructions and keep them handy!! They are in your packet of information as well.

• Step #1 is a ONE TIME download step to get the needed software on your Mac.

Page 18: PPT

Slide 18

Launch Citrix

• Launch the Start Grants.gov PureEdge icon from your desktop or pre-determined download location. Double click on the desktop file and you should see:

Launch the Start Grants.gov PureEdge. Allow and agree to any system access questions

and license agreements.

Page 19: PPT

Slide 19

You’re now running PureEdge on Citrix

• You are looking at a Windows environment inside of your Mac window.

Page 20: PPT

Slide 20

Navigate only in the Windows environment

• Find and open the PureEdge file (that you found and downloaded from the Grants.gov website) navigating ONLY through the PureEdge buttons on the top of the window.

• Use the File-Open Button .

• Select the Look In: drop down arrow and select “C$ on Client”. C$ is your local drive/hard drive/desktop location. You will then see your local drive’s folders.

This is the Header Page. The information about the particular solicitation will be filled in automatically.

Page 22: PPT

Slide 22

Use the UW filing name convention as the Application Filing Name: PI last name_agency.

Agency Instructions take precedence. Read the application instructions!

To view a form and begin work, select the form you want and click Open Form.

Page 24: PPT

Slide 24

Open, Save and Navigate Components

• Once in a component, fill out or upload the necessary information or documents.

• Print each component from within each component. Save from the Header Page.

Page 25: PPT

Slide 25

All mandatory documents must be completed and moved to the Mandatory Completed Documents for Submission side.

Header Page - Completed Documents

Page 26: PPT

Slide 26

Saving the file

• Remember you’re saving through the Windows environment to your local drive…C$ on ‘Client’ is your local drive.

SAVE EARLY!!! SAVE OFTEN!!!

Page 27: PPT

Slide 27

Saving the File• When you save, PureEdge will ask you if you want to overwrite.

You may believe that it has overwritten. But DOUBLE CHECK!!!

• Check the location (e.g. Desktop or Network Folder) you THOUGHT you saved in to make sure that you don’t have duplicate versions.

• You may end up with:

• The ~version is the most recent. Delete the old and rename the ~version to PI_AGENCY.xfd

Page 28: PPT

Slide 28

When You are Done, Finished, That’s It:

• You will upload the completed file to a secure server. An email is sent to your dean’s office telling them that it is there. Route a t-form and hard-copy as usual.

• The dean’s office checks your proposal. When they are happy with it, they notify RSP, who downloads the application to an RSP server.

• RSP submits when the t-form is received.

Page 29: PPT

At RSP….

AAHHHHRRRRGGGGG!

Page 36: PPT

Slide 36

• RSP receives at least four e-mails regarding each submission:

– First confirms receipt by Grants.gov.

– Second confirms validation by Grants.gov.

– Third confirms receipt by Sponsor.

– Subsequent emails from Sponsor regarding tracking through the Sponsor’s system (e.g. NIH Commons, DOE IIPS) or contact information.

This is Why We Need a Naming Convention

Page 37: PPT

Slide 37

Then What?

• Stick around! Grants.gov may validate the receipt of a proposal only to have the agency business rules reject it because of errors. RSP needs to be able to find you.

• How can you tell when all is well?

– Check PALS by using the Search function for the PI name.

– Please do not call RSP and ask!

Page 38: PPT

Slide 38

Quick Tips

• Remember with Citrix, you’re working through an emulator but still only saving locally.

• START EARLY! Not new data, just new forms, so you’ll get through it, only slower. Route your completed proposal several days in advance.

• When naming PureEdge files, follow the UW naming convention (PI LAST_AGENCY.xfd).

• When naming attachments and uploads, don’t use spaces, hyphens, special characters, or long file names.

Page 39: PPT

Slide 39

• Be sure and read both the agency solicitation AND the Grants.gov instructions. We have seen numerous mismatches.

• PureEdge is only a file, not a website. You need to save the file to your local drive BEFORE you begin entering info in the file.

• Complete the 424 (R&R) first. It populates other components.

• The file does not automatically save. Youmust click on to save the data entered.
