On-Line Reporting Dashboard In this section you are going to learn how to use Oxfam America’s on-line reporting dashboards to verify your projects and tasks, your budgets, and then how to use it for your on-going reporting needs once we go live with Oracle for fiscal year 2011.

Logging In

1. First go to the URL for Oracle.http://oxfamebsprd.oxfamamerica.org:8000/OA_HTML/RF.jsp?function_id=28716&resp_id=-1&resp_appl_id=-1&security_group_id=0&lang_code=US&params=KQ0ueFd3h5ncJDQ0.532EQ&oas=5pU9O1gz6016Z7zDKkwiSA.. You will then get a log-in screen.

Your user ID is your first name initial and your last name, just like your Oxfam ID. Your default initial password if this is the first time that you have logged into Oracle is “oxfam123”. It will prompt you to set a new password.

2. After you log in, you will need to select a responsibility. Most budget users have OA Project Manager Responsibility. Please select your responsibility

3. After you select your responsibility, Oracle will list the various applications that you can enter. Please scroll down to the bottom of your screen where you will see Business Intelligence Dashboard and Reporting

4. You will get to a blank blue screen that says “Empty Dashboard”. At the top right you will see a link for “Oxfam Dashboard” please click on it.

Navigating the Dashboard

The Oxfam dashboard is laid out via different tabs along the top of the screen. The tabs are as follows:

Each tab has multiple reports on it. The following reports are available on each tabYou could note that many of the reports are the same basic report and the various tabs provide different views. Report PromptsThe top of each tab has a set of prompts which dictate the parameters for all the reports on the page. For example for the Cost Center tab the prompts are:

Please also note that there is a restore prompt defaults in the lower left corner. Some of the prompts are simple pull-downs such as the Budget Type but others are more complicated. For example, to select a cost center you need to use the left arrow to select an item or items from the list. You can select multiple items. To remove selected items use need to use the right arrow.

When you have completed selecting your prompts click on Ok and then Go.

Drill Down CapabilitiesMany of the reports have drill down capabilities. For example in the Cost Center tab, the first report – Cost Center P&L Report – initially will show just the Total Operating Expenses. However if you click on the box reading “50000 Operating Expenses”, you will see the next level of expense detail as shown below

Each time you drill in the graph to the right will also update to show just the selected expense lines.

You can continue to drill in up to 3 account levels. Please note that you will never be able to see individual salaries, only totals.

Once you have finished drilling down you can use the Return button on the lower left corner to go back to the previous view.

Printing and DownloadingYou have the ability to print or download from each report. If you chose to download, there is the option to download to Excel, PowerPoint, Excel 2000, data or as a web page.

If you chose to print, you will get the option to select HTML or PDF. Then a 2nd window will open with the formatted data and chart. Click on the printer button on the top right to send it to your default printer or other printer of choice.

What to Use for Budgeting

All of the reports will be helpful once you have loaded your budget data. Please be aware that data is consolidated and updated for the dashboard on a daily basis in the evening at 10 PM EST. So if you have loaded some budget data in Boston in the morning, you will not see consolidated results for your cost center until the next morning when you are back in the office. The reports that will be most useful to start with will be under the Project and Task Attribute tab

Project and Task Attribute TabThere are 2 reports on this tab – the Project and Task Attribute Report and the Project Attributes P&L Report. These reports will give you the information you need to understand your budget at the project and task level.

To run the Project and Task Attribute Report please use the prompt at the top to select the appropriate data.

1. Select the Project Organization Name (the cost center)This will then list for you all projects and tasks for that particular cost center. Review the list and ensure that you see all of your projects and tasks. Please note that you will only see the projects and tasks that have budgets.

2. Review the Budget TotalsThe two columns on the far right list your budget totals. Budget Total FY – gives the 12 month totals for Nov 2010 – Oct 2011. And Budget +5 – provides the 17 month total for Nov 2010 – March 2012.

3. Review the Project Attributes P&L reportThis report provides expense level detail for selected tasks. Please use the Task Number-Task Name pull-down to select the task that you wish to view

You will initially see total operating only. Please use the reporting drill down capabilities and click on “5000 OPERATING EXPENSES” to see the next level of expense detail. “Account level 1” should appear with additional expenses. You can continue to click and drill in up to Account level 3.

Cost Center TabThe cost center tab contains several reports that will be useful for budgeting. There are several prompts at the top that you will need to use to select the appropriate data. Please select the appropriate Cost Center (see page 5 for the mechanics on selecting it) and note that the default start and end dates are the 12 month budget period. If you would like to see the 17 month budget period or any other timeframe, you will need to change the start fiscal period and end fiscal period dates.

1. Look at the Cost Center P&L ReportThis report will allow you to drill down and see your cost center actuals as well as budget. For the budgeting process, as there are no actuals in Oracle yet, it will just show your budget for the period selected. If you select multiple cost centers, there is an “All Sections” summary that will total the multiple cost centers.

2. Look at the Cost Center Budget By Month reportThis report shows the monthly trended budget for the time period selected and also has drill down capabilities similar to the cost center P&L report. It will be helpful in showing the trended data.

Funding Source TabThe funding source tab contains several reports that may be useful for budgeting. There are several prompts at the top. Please select the appropriate funding source and note that you can select multiple funding sources. You can also change the default fiscal start period and end periods.

1. By Cost Center ReportThe 2nd report in the tab, called the By Cost Center report, will be helpful in evaluating totals by cost center for given funding source or for multiple funding sources. If you select multiple funds the “All Sections” will total the various funds and cost centers.

Other ReportsThere are several other tabs including Activity, PIP/CSP, and Approach and they each have corresponding reports that are not specifically mentioned in this document but you should take a look at the other tabs when time permits. They are self explanatory and all of them operate similarly using prompts at the top of the page and have drill down capabilities and downloading and printing functionality.

Problems and Getting HelpIf you encounter any issues with dashboard reporting, please log an IT help desk ticket and specify “BI”. In your problem description please be sure to mention the dashboard and specific issue that you are experiencing.
