1. Introduction
The International Material Data System helps to archive and manage all the
materials/parts used in the vehicle manufacture. IMDS plays the crucial role in
complying with the E.U. ELV Directive 2000/53/EC as well as for RRR and REACh.
Material data are passed along the supply chain (tier n, tier n-1,…to the
automobile manufacturer). It is the data creator’s responsibility to ensure that
requirements are passed downstream in the supply chain to assure that
compliance and data reporting of the material formulation is accurate.
From 2006, REACh, the Registration, Evaluation, Authorization and Restriction of
Chemicals has started within the EU. A candidate list of SVHCs (Substances of
very high concern) was established since 2008 under the REACh regulation.
Nissan requires suppliers who supply parts and related products, materials,
preparation (mixtures), indirect materials and packaging materials to Nissan to
identify if any of the substances on this list is contained in their products, for
example articles with more than 0.1% weight by weight (w/w) concentration. If
the products have a SVHC contained, Nissan requires suppliers to report to us
inputting the name and CAS number of the SVHC and the quantity into IMDS or
by other specified methods.
The RRR Directive (Reusability, Recyclability and Recoverability) requires the
manufacturer to evaluate the technical ability to reuse (reusability) recycle
(recyclability) and recover the energy embedded in the materials (energetic
recoverability). The sum of these three elements (recoverability) must reach 95%
for new vehicles.
The ultimate goal of Nissan’s environmental policy is managing the environmental
impact generated by the corporate activities, customer use of Nissan vehicles,
and the company's use of resources on a level that is within nature's capacity to
absorb. Nissan’s aim is to minimize the impact on the earth from Nissan's
business. Nissan defined three key issues to be tackled; reducing CO2 emissions,
reducing other emissions (to protect the air, water and soil) and recycling
resources.
This document gives an overview of the Nissan’s IMDS reporting requirements.
This will help Nissan’s suppliers to submit datasheets that are acceptable to

Nissan globally. Supplier shall comply standards and processes required by the
ANPQP (Renault/Nissan Alliance New Product Quality Procedure); IMDS, being an
ANPQP requirement is mandatory.

3. Request for IMDS on line registration and assigning a contact person
To start using IMDS as a tool to input the data of materials and submitting it to
the respective customers, you must register your company in IMDS website which
is free of cost. Usage of IMDS ‘classic’ or browser mode is also free of charge. You
are also requested to assign a contact person for as a recipient for parts number
list for examination. (If you have already registered, there is no need to complete
the procedure below.)

Contact person:
You must assign a minimum of one contact person at your company.
The contact person will be responsible for answering technical questions related
to MDS details.
Client Manager:
All companies must have at least one client manager.
A client manager is responsible for below actions.
(1) Assigns other client managers
(2) Assigns access rights to users within the company
(3) Resets passwords within the company
The client manager is also a contact person for the IMDS Service Center.
3.2 Assigning Contact person as <Recipient of parts number list for Examination>
Please fill in the necessary details on the <Recipient of parts number list for
Examination> (See Attachment 1) which accompanied the “Request from Nissan”
e-mail and forward it as it is in Word.doc format to the contact person at Nissan.

4. How to input data in IMDS
4.1 General

As for the items that have no particular instructions, please follow IMDS Recommendation and Hewlett-Packard IMDS Manuals.
The part number list will be provided to suppliers by the respective parts design centers in charge via e-mail.
Please input the data into IMDS on or before the due date. Please confirm the data is accepted or rejected. If the data is rejected,
please check for rejection reason in IMDS and resubmit the corrected data sheet.

It is the Tier 1 Supplier's responsibility to manage this requirement within their
supply chain to ensure that they provide the required information.
The current application code of "Solder in electronic circuit boards and other
electric applications" will remain valid for parts in current production.

date on the exemption.

Supplier should make sure that the data has been submitted to the correct IMDS
Company ID; failure of this will result in rejection of the datasheets.
4.3.7. Status Confirmation
Once the data has been submitted to Nissan, please verify the status. If you find
the data as ‘rejected’, please verify the rejection reasons entered by the Nissan
IMDS person, make necessary corrections and resubmit for approval.
5. Frequently Occurring Errors
These are some examples of the errors that Nissan has come across in the data
submissions from suppliers. The screenshots given below give a better
explanation of the errors and the corrections required in specific cases. Some of
these are pertaining to Nissan specific requirements while some others to the
IMDS recommendations in general.
Example SolutionA No input has been made for the Parts name. Input the Parts name.
BThe Parts name has been left as a component number. Input the Parts name.
C The Supplier Code is small capital letters. Be sure to input data in upper case half sized capital letters.
D The Supplier Code is missing Input the data.
EThere is no “N” at the beginning of the Supplier Code.
If it is a domestic supplier, the input should have N + 1 English letter + 3 digits such as “NS101”
FThe Supplier Code has been inputted into the column for the Bill of Delivery No. Input it into the Supplier code column.
GThe Supplier Code has been inputted into the space for the Report No.
Input the Supplier code specified in the Parts List provided by Nissan into the Supplier code column.
H There is a hyphen in the Supplier Code. Do not use hyphens, etc. in Supplier Codes such as in “NH-000.”
IThe Part No. is not a 10-digit number. It contains letters more than 11 digits.
Be sure not to indicate parts number in the following manner: [00000 11111] or [H000-1111-222].
JSmall capital is included in the English letters of the Part No. Please be sure to input data using capital letters.

Indescriptive Material name
Trade Name should not be entered as material name.
If the material is described in a public standard or if the nomenclature for
materials of a certain type is described in a public standard (example: ISO 1043-
1 to 4 for plastics, ISO 1629 for elastomers or ISO 18064 for thermoplastic
elastomers), then the material name according to this public standard must be
entered, example:
• For steels – EN 10027, JIS norms, example: STM-C 540
• For aluminum alloys – EN 573, JIS norms, example: Al-Si12
• For copper alloys – ISO norms, example: CuAl5
• For plastics – ISO 1043-1 to -4, example: PE-LD
• For elastomers – ISO 1629, example: ACM, NBR
• For thermoplastic elastomers – ISO 18064, example: TPA-ES
Default Name ‘Copy’/ ‘Kopie’
Remove the “kopie” or “copy” from the part or material description when an MDS
is copied to a new ID.

components which is an improper tree structure breakdown. Please report the
substances under separate materials as how it exists originally.

Material Classification and Symbol
‘Plastics (in polymeric compounds)’ is not an acceptable classification. Please use
specific classifications like unfilled thermoplastics, filled thermoplastics or
elastomers. Standard symbols should be used as defined in respective ISO
standards. Please refer IMDS Recommendation 001_Annex I for the symbols of
polymers and fillers.

Substance Composition of Plastic Material
A plastics material should be described as it will be in the final part, e.g. only
those basic substances that are present in the final part should be disclosed.
Material and submaterial datasheets must not contain reactive basic substances
(monomers, vulcanization reagents, etc.) unless there are requirements for
reporting (potentially for residues).

Registration with IMDS
Our company is already registered on IMDS in relation to another company. Does our company have to register again in relation to business with Nissan?
There is no need to register again.
Our company would like to register with IMDS, but how do we go about it?
Registration can be completed online at the IMDS website.
How much fees are charged for using IMDS?
There are no charges for suppliers. The OEM side (Nissan) pays HP charges based on the total number of MDSs.
Contact Person, Client Manager
We are not sure about what kind of person is appropriate as a Contact Person or Client Manager.
The Contact Person is a person who is familiar with materials. A Client Manager is a person who manages the User IDs in your company and who is the contact person with HP.
PasswordAlthough I inputted the password, a lock was applied and I was unable to log in. What do I do?
There is nothing that Nissan can do. You should ask the Client Manager of your company to reset your password. If the problem remains unresolved, you should contact the IMDS Service Center of HP.
Operationality Can’t I input data in Japanese?
No, it is not possible. This is a system that was developed in Europe and all data must be inputted using half-sized English letters.
Data Transmission
I have registered with IMDS but when I actually go to use the system, it takes a long time to switch from one page to the next. Is there anything I can do?
It depends on the internal internet connection environment but it could also be because the IMDS server is located in Europe.
If we send our company’s data to Nissan, is there a possibility that it will be seen by other suppliers?
No. Basically, only companies whose address you specify will be able to view your company’s information. However, if when you transmit your information you press the “Publish” button, your company’s information can be viewed by all IMDS users.
When you try to transmit data sheet to Nissan after “Internal” data transmission, you cannot see the “Send” button. (“Propose” and “Published” are only indicated into the IMDS.)
You should choose “Send” button.If you choose “Publishing” button, everyone can freely look at the data sheet.

7. Nissan Specific Checking
When the IMDS Company ID of Nissan is selected by the supplier for submitting material datasheets, Nissan Specific Checking is done in addition to the normal check in IMDS.
Nissan Original Checking is executed three times.

1. Supplier code2. Part Number3. Other specific checking
The messages of Nissan Specific Checking are given in Table 1.
「Error」 Datasheet cannot be sent to Nissan. Please make necessary corrections and try sending again.
「Warning」 There is a possibility of violating the rule. It is possible to send the datasheet to Nissan if there is no particular issue with the data. Please confirm before sending.
