Issue #1 Differing Versions PowerPoint

Issue 1: We all have differing versions of PowerPoint!

We will try to address the concepts of integrating PP into

your class, I will not be going into the nuts and bolts of how to do animations/ transitions/custom graphics/ word-art.

These are handled in different manners in different versions and you can often get the “how to” for your version from the help menu of the problem.

PowerPoint: basic tips

Basics of creating a PowerPoint presentation

Creating text: type in or cut and paste from a website

Adding images: cut and paste from web, resizing and cropping images


Issues to watch for:

○Watch for color combinations: what looks easy to read on a monitor may shift when projected.

○ I recommend dark backgrounds with light letters.



○ Watch for how much you try to fit into a page: I often see people attempt to insert far too much data into a slide than is readable.

○ What works on an individual monitor will not be readable to someone in the back of the room on a small screen.

○ Design than step back. Always design for the context. (design is always contextual)



○Watch for your fonts: keep fonts simple and readable. Same as above: design for your context, what is the intended use?

○ Is this always on monitor, on web, or projected or possibly all three?

Inserting video files: 2 ways

Use insert command: from menu bar, allows you to select text that will call the video file. (PP 7 and newer) directly from your files

Insert menu> media clips> select Movie

Attach your movie file directly; when you save your presentation it will save your movie along with the file in the presentation.

This works better than linking to a file on the web but it makes the PP file size much larger

Copy and paste: You can link to a video’s address on the web by pasting the address into the presentation or by using the Insert menu to insert the web address of the file.

Pros and Cons: ○ A web video will stutter and stop depending on several

factors, bottleneck of the server, how many people accessing network, filters on your system at school.

○ Internal file on your machine is more reliable, streams uninterrupted and will not be filtered by the school’s server.

To copy the address of a video on the web and insert it into a PP slide: simply copying the link and pasting it into the page works

(important: after you insert the link, hit enter 1 time and a blue line appears underneath the text to indicate it is an active link to an external website)

Problem to watch for: if students access this at home, different students may have different playback engines.

Compatibility may be a problem. Not everyone may be able to access the video.

If they have an older machine, they may be shut out. Be careful not to create “electronic ghetto” by excluding those with older technology.

2nd process: simply copy the web address from the top bar of your web engine and paste it into a PowerPoint. Hit enter 1X after pasting and it will underline to show it is a link

DLP usually has a better contrast ratio, started off as more expensive

Both are roughly equivalent in quality and price now


What are lumens?

Lumens are brightness, how much light is emitted

2000 lumens is normal for around 600$ today

2000 lumens will cut through most ambient light very nicely

Lumens go down as the bulb ages; bulbs do not blow but crystallize slowly, dimming and turning yellow with time.

Rare for one to blow abruptly unless you move a projector while it is very hot and knock the filament. Always let a projector cool until the fan stops or the air coming out is cool to the hand


You can use a scan convertor; a small box that converts the signal from VGA (comp monitor norm) to video NCST.

This allows you to send the signal from a computer on a desk to a projector across the room with a regular inexpensive RCA cable rather than a very expensive VGA cable.

VGA requires a VGA amp to boost its signal if the run is longer than 75 feet. (this box costs about 125$ and can be combined with a small wireless video transmitter to give a no-wires approach to projection)


What if I have audio?

I suggest buying a small pair of computer speakers “with a powered sub” that has a TRS (tip-ring-sleeve) mini jack. This can connect to your laptop and pull sound.

If you need to show movies from a video DVD player, you may need extra adapters. Some projectors have audio built in but they lack any real volume or low bass output.

A 30$ pair of speakers from Staples will do wonders for your audio.


Not enough projection room at class front?

Try using a small mirror to bounce the image. From the menu you can flip for rear projection or for ceiling mount projection.


Video Projector menu settings: brightness, contrast, hue-tint, rear and ceiling project are main menu items to be concerned with.

There is also a function called keystoning.

Keystoning allows you to adjust for projections on an angle that distort an image. Sometimes keystone correction is manual, sometimes automatic.

Different Uses for PowerPoint Projection

Classroom lecture needs: text, images, animations, graphs, video, etc. can be run from a wireless remote

from anywhere in the room.


Graphic Organizer:

Can create and use a PowerPoint as a template to direct students in creating a project.

I often use it as a graphic organizer-rubric combined.

This tells students what they need to have for each slide for content in order to earn the points for that slide.

It directs their research and organizes them in a nonthreatening manner.


Exported as a webpage: You can export your entire presentation as a single webpage.

It than needs to be uploaded to your website you use with a secondary program. I use Dreamweaver to do this.

Advantages:

It saves time building a single presentation that can encompass many pages, can be an entire lesson, and be called as a single link.

Students with a computer but without PowerPoint can access it because it is in HTML which almost any web browser can read!

Side bar, when clicked on, converts to entire text in the PP for easier reading in an easier to scan format. Can also print from this sidebar.

You can build an entire course into a website, put the files in a single folder on a flash drive and carry it around for presentation.


Advantages:

As a web-file, it does not necessarily have to be on the internet.

You can also put it on a computer drive, create a shortcut to the index file, and the shortcut will than launch Explorer and run it as if it is off the internet but with no delay in streaming video or audio files that have high resolutions.

Students can access the work BUT NOT THE INTERNET

You can print the PowerPoint file as a worksheet that can be easily read and copied.


To print as worksheet: Open the PowerPoint file simplify the background under the format

menu first to white before performing the following steps

Print> print what > slides > grayscale> handouts> 2 per page Check Preview before sending to printer If it looks good, hit PRINT
