The structure of the organization may be depicted graphically in a chart known as
organizational chart. It has been defined as a diagram which shows important aspects of an
organization including the major functions and their respective relationship, the channels of
supervision, and the relative authority of each employee who is in charge of each respective
function. Thus an organizational chart depicts formal organizational relationship and helps the
top management in assigning the responsibilities properly and clearly. It also helps in finding out
the main line of communication and flow of authority and responsibility.
The organization structure is so designed in MSPL that it helps the managers to take
necessary decisions and thoroughly more things in the smooth manner. The role of each staff in
the organization is well defined moreover, since the staff strength is only 63, it is easier for the

4. PURCHASE DEPARTMENT
Purchase department of any organization is a way of getting raw material. It is very much
important as it helps to maintain free flow of raw material inside the organization.
It also helps to make a right choice of quality raw material and supplier. This department is
concerned with the purchase of both indigenous and imported materials. It also deals with the
procurement of indigenous engineering spare, general engineering and other miscellaneous items
other than raw materials which is used in production process.
4.1 OBJECTIVES:
To procure right material.
Procure material in right quantity and right quality. To procure from right and reliable sources and suppliers, To procure material economically i.e. with reasonable price. To receive and deliver material at right place at right time.
4.2 FUNCTIONS OF PURCHASING DEPARTMENT:
Keep records. Maintain records of reliable sources of supply and price of material. Review material. Making contract. Procure and analyze quotation. Place and follow purchase order. Maintain records of all purchase. To act as a liaison between vendor and different departments.
To check whether the material has been procure at right time and right economic rate.

4.3 VENDOR SELECTION:
The company has more than 20 registered suppliers. They are selected according to their
efficiency of supply standard material and vast background. The vendors are situated mostly in
Tamil Nadu. The transaction has been done by both cash and cheques. There will be 45 dayscredit limit.
4.4 PURCHASE REQUISITION:
The purchase order will be made to the concerned supplier and if the standard grade of
material was received they go for purchase requisition. It contains material name, quantity, its
urgency, item code etc.

5. STORES DEPARTMENT
Stores keeping involves proper keeping of stocks, identifying and classifying themaccording to their nature, type and sizes. It also includes proper maintenance of stock records.
Proper storage of goods is very essential for effective production planning. Just as purchasing
department is responsible for purchase control, stores department is responsible for store keeping
and consequent control of store. The stores department is a service department rendering service
mainly to production and account department.
5.1 FUNCTIONS OF STORES DEPARTMENT:
Receiving the material from the vendors. Stored in safe proper place. Issuing the materials.
5.2 RESPONSIBILITY OF THE STORE OFFICERS:
Issuing material to the production department. Maintaining a ledger of issue and receiving material. Collecting the material from various sub-contractor and sub-contracting process follow-
up.
Maintain a separate ledger for the materials received from sub-contractor.
5.3 PROCEDURE FOR ACQUIRING MATERIALS FROM STORES:
If any material is needed in production department the requisition slip is filled up by
foreman or supervisor and issued to stores officer. Then the material is issued as per the needs.
The stores department also maintains registers and ledgers to enter the receipt and issues of
materials.

6.2 Production Unit
The second part of the heart beat is the production unit. It gives the unfinished
input into well finished output. The production unit has its own sub-division namely:
Procurement, Stock & Supply Division Components Inspection & Control Division . Machine Assembly Division.
6.2.1 Procurement, Stock & Supply Division
The Procurement, Stock & Supply Division is responsible for stocking all the necessary
tools, spares, raw materials and equipment required to service the manufacturing process.Procurements of all components, bought-out, sub-contract, stock and supply is also maintained
where sourcing is unreliable, buffer stocks will need to be kept and the use of computerized
stock control systems helps to keep stocks at a minimal but necessary level for production to
continue unhindered.
They maintained the following duties to improve the production simultaneously. They
prepare:
The quotation forms, Monthly status report, Components work orders, Stock ledger etc., and Maintains the inward & outward of purchase, components and finishing process
inwards & outwards.
6.2.2 Components Inspection & Control Division
The Inspection & Control Division is taking a keen care of inspecting the incoming & in-
process items which are required for machine assembly. This department plays a major role in
quality control and control on non wastages, a very effective inspection is carried out in each bit
purchased for production. Quality Control Plan is strictly followed for all inward components.

They also maintain the reports which supporting the control inspection .The reports

6.2.3 Machine Assembly Division
Our trained and experienced technicians and assembler are skillfully guided by our specialist
Production Manager. Everything moves like clockwork here, with perfection and precision in
this smooth Production line set-up where instrument sub-assembly and final assembly are made.
The major role of machine assembly is assembling of all machine components, completing
assembly and inspection in all respects of mechanical, electronics and software.
6.3 Production plan and process
Marketing departments plays the major role in production process. Marketing department
provides instruction to production department to manufacture the required machines.
Once the production will be over and then Assembly Work will be raised for each and
every individual machine. Complete components are forwarded to PSSD for procurement process with the approval
of production HOD.
6.3.1 Sub-Contract work processes
The components received are forwarded to Component Inspection Control (CIC) for
quality checking purpose.
Once the components are received by CIC it is entered in Components Inspection Report
for approval purpose as per quality approval plan.
If it is approved all the components list are entered in the final inspection report, party
wise and the same is forwarded to party for billing purpose through PSSD.

The finished components received are finally quality approved by CIC and forwards
the components to the PSSD for stock.
6.3.2 Purchase work Process
Based on the PSSD specifications, the components are procured from market and the
procured components forwarded to CIC.
CIC division approves by checking the quantity and specification. If the components
are approved it is forwarded to PSSD for stock.
If required the components can be sent for finishing process.
Based on this, components and required items are issued to Machine Assembly
Division (MAD) for assembling the machine.
MAD includes the following process. The components are assembled by mechanical
assembly division and forward the machine to electronics division.
Electronics assembly division assembles all the necessary electronic components such
as boards, motors etc and forwards to software division if required Software division
installs the software and forwards to MAD.
MAD records Machine Ready for Quality check (MRQ) and forwards to Quality
Assurance Department (QAD) for quality check.
QAD takes the responsibility for the final check and forwards the machine enclosing
MRQ and a copy of all necessary documents to MAD.
MAD forwards the machine to PSSD. Marketing department raises purchase indent to
production enclosing the customers details and delivery date.

As per the above details the dispatch department packs the machine along with all
required accessories referring the packing list. The machine is dispatched after the
approval of MED, EED & SED.
At the time of dispatch a copy of purchase indent is returned to marketing
department. Original copy is retained with production department.
Final stock is maintained after dispatch.

7. RESEARCH AND DEVELOPMENT DEPARTMENT
Their R&D is a base and backbone of their growth. Creative work should be done on a
systematic basis in order to increase the stock of knowledge and the use of this knowledge to
devise new applications. Applied research for the purpose of to create and to improve existing
products and process. It has the professionals excelling with innovative and creative ideas,

ideas in our products through our R&D activities.

in Textiles. The expertise team of R&D contains 20 working souls which bring out the products

7.1 Projects
A complete new design and development or major modification (Re-engineering)
on existing product is called project.
In general a project is a temporary (the project has an end date) endeavorundertaken to create a unique product. Unique means that the product's end result
fulfills the specified requirement.
Projects should have a specific begin date (Start Date) and end date (Target Date),
specific objectives and specific resources (Project Leader and Project Members)
are assigned to perform the work.
Each and every project should be approved by Project Advisory Committee
(PAC). The PAC committee members will be designated by the management. Delegation of the project will be specified in writing and included to the project. Regular meetings should be conducted on each projects & minutes to be prepared
in specified formats.
7.2 Tasks
A complete new design/solution and development or minor modification on
existing (Re-engineering) product is called task. A task operates in parallel with other function (A unit of work within the
workflow).
Rectification of customer complains. Documentation of all the activities. Evaluation of instruments. Minor alterations & modifications in all instruments.
Manufacturing process of the instruments. Similar modifications in existing programs. Specifications of all instruments. Preparation of all user guides.

A task (as stated above) which can be completed within a day or minor
modifications few hour jobs are called short task.

8.5 DEPRECIATION
Depreciation has been provided on all assets under straight line method at the rates
prescribed in schedule XIV of the Companies Act, 1956.

10.3 Dazzling Efforts
They had formed the extensive service engineers network along with sales force.
Beyond their sales force they are also backed up by their intermediary service
engineers. Due to the effective work of their team, in narrow time they get their clients
satisfaction.
They have the mobility service engineers, who traveled all around, to respond the
service calls as quick as possible.
Inspite of having mobility service engineers, they have in-house customer support wing
to serve the customer at the self-service aspects as well as directs and guides the service
engineers to the nearest customer call. This service advantage provided them the great opportunity to serve the customer with
whole heartedly as a consultant in the field if textiles processing.
10.4 Current Achievement
Recently they got order for High Volume Tester (HVT Expert) - 32 numbers worth of
5.95 crore from Agricultural Produce Market Committee Punjab for grading their
fibre which ever cultivated in the Punjab State and they are expecting similar kind of quantities of order for the same instrument from Haryana, Madhya Pradesh, Gujarat
& Maharashtra etc.
They got a single order worth of 25 Lakhs from University of Agricultural Sciences -
Dharwad for setup a full fledged Textile Testing Lab through the participation of
Tenders. They have participated more than 15 Universities tender in around India and
orders are under process in our favour. They are expecting more than 2.5 crore worth
of business from Textile & Technical Institutes, Textile Associations, and Textile
laboratories within this financial year.
They have more than 1.5 crore worth of orders in their hand, starting from Rs.
10,000/- up to Rs. 10,00,000/- worth of single order from various private customers.
On Trading & Export side, they got L/c worth of 3.44 crore for exporting textile
accessories and spares to Africa.

After execution of above this, the entire Ethiopia Textile Industry needs will be
fulfilled by us through a Business contract for 7 to 10 projects. Totally all together in this
financial year more than 11 crore worth of business to be executed.
