Communication is the life blood of any Organization, as it has the potential to make or break ourrelationships – personal or professional. It all depends on how we select our words, how we present our thoughtsand how we understand our emotions and convey the same to others. While clarity, simplicity, spontaneity, language, conciseness, coherence, etc. are said to be some of the principles of communication, ensuring them alonemay not necessarily give any guarantee for effective communication. Similarly, barriers for effective communicationlike attitudes, opinions, semantic barriers, faulty transmission, poor retention, source of information, etc. play theirrole in blocking and breaking down the communication process.

Using ‘empathy’ in any interpersonal communication will prove to be effective in creating a right atmospherepaving the way for better understanding leading to good interpersonal relationships. ‘Empathy’ in any interpersonalcommunication is a necessary component for effective results as it deals with the ‘feelings’ part. As defined byGerard Egan in his book ‘The Skilled Helper’, empathy is defined as a process whereby one person perceivesaccurately another person’s feelings and then communicates with sensitivity this understanding to the other person.A high degree of interpersonal perceptual skills is important for everyone to make most of his relationships withothers. Therefore, it is necessary to ensure that our communication is interspersed with ‘empathetic’ responses. Infact, no ‘counselling/coaching’ process will be effective without ‘empathy, as using these kind of responses will givea feeling to others that they are understood, valued and respected. In the words of Henry Ford, “If there is any onesecret of success, it lies in the ability to get the other person's point of view and see things from his angle as well asyour own”. There are different levels of empathy, which are given as under along with examples:-

Stimulus: I am extremely troubled. (With eyes wide open)Responses:Level -1: Detract Eg: Why are you troubled? You are in a wonderful company. You should be happy.Level -2: Subtract Eg: You seem to be a bit concerned.Level -3: Repeat Eg: You are extremely troubled.Level- 4: Picking Up deeper feeling Eg: You seem to be profoundly anxious and worried about your future, how to copeand appear to be lost.Level- 5: Deeper Meaning Eg: You sound very apprehensive, helpless and perhaps wondering about what life is allabout.

However, to cultivate the habit of using empathetic responses, it requires time and effort. Stephen R Coveyin his famous book, ‘The 7 Habits of Highly Effective People’ states ‘Empathy takes time, and efficiency is for things, not people’. Therefore, self-awareness and determination is yet again a ‘key’ here to know once frequency in doingthis. Having come to know the types and importance of ‘empathy’, let us start using it consciously and regularly inour day to day communication to enrich our interpersonal relationships to derive their potential benefits.

K Mahabub Ali,Sub-Inspector/Steno

Good interpersonal relationships at work place are considered necessary to create aconducive work environment characterized by team spirit, cohesiveness and esprit decorps paving the way for greater output & enhanced motivation. On the other hand, lackof good interpersonal relations in any Organization may lead to hostility, cynicism, lack ofharmony, etc. leading to low output, morale and motivation on the part of the employees. While there are many ways and means to improve the interpersonal effectiveness, communication is the ‘key’ in this regard.
