International & Alumni Relation Student Council Report 2019-2020

The IAR Student Council plays a vital role in bridging the gap between the institute and its alumni and promotes international relations for the benefit of institute students. Right from organizing interactive sessions with alumni to facilitating student exchange programs, IAR Student Council strives to make the institute a much more joyful place for the visiting students and alumni. It has the vision to create opportunities for all the students of IIT Madras, to enhance their network, assist them and at the same time build the Brand Image of IIT Madras.

Alumni Relations Cell

Alumni Relations cell bridges the gap between three stakeholders of IIT madras i.e Alumni, Students, and Alumni Offices (Office of Alumni Affairs and IIT Madras Alumni Association) through various on-ground, online, and fundraising events.

Following Events were organized by the Cell in the year 2019-20 :

Keep It Flowing (Fundraising Campaign) with Dean I&AR Office

● 100 volunteers calling alumni of batches. ● Conducted 30 sessions of 2 hours each, totaling up to 900+ Student telethon hour ● Collection from last year through similar Campaign was 44.53 lakh, this year, with the help of Student Telethon session it has generated 10 times of it, i.e. 424.35L from 296 alumni donors ● Collaborated with music club for composing music for Keep it Flowing Campaign ● Collaborated with Beat Boxing Club to have our own beatboxing track for keep it flowing Campaign ● Collaborated with choreo club for flash mob aimed towards spreading awareness regarding this campaign

The Graduating Batch Engagement Project of 2019 is a project that is being undertaken by the IAR Student Council and Dean IAR to help graduating students give back to the institute. This is an opportunity for every graduating student to leave a lasting impact one year after they leave campus. Contrary to a donation, this is a project where recent graduates will be engaged with IITM on a weekly, monthly, or yearly basis. The idea is to have all the graduates engaged with IIT Madras one year after graduation i.e. all students graduating in July 2019 should be engaged with IIT Madras in some way by July 2020.

IITMAA Sangam REIMAGINING INDIA IN 2030

The IAR Student Council worked in association with IITMAA. “IITMAA Sangam 2019 is an attempt by IITMAA to bring thought leaders from different fields at a common platform and hold the platform open to deliberation in order to explore ways in which India can assert its economic, technological and moral leadership in the world. This year, we have prominent speakers like Shri. K. Pandiarajan, Mr. Kris Gopalakrishnan, Varalaxmi Sarathkumar, Mr. P. Anandan, Mr. Tarun Mehta, Mr. T. Krishnakumar and many more exciting names”.

Alumni ID Campaign

Email IDs similar to smail were provided to all the 2019 batch graduates of IIT Madras by the IAR Student Council. Team worked with the Computer Centre to set up these alumni accounts. Following were the perks for the same:

ARC IIT Madras Placement Team 52 alumni contacts from different companies have been shared with the Placement Team of the institute to ensure smooth conversions.

ALUMNITE

“AlumNite”, a night dedicated to welcoming the year’s assemblage of graduates into the alumni sphere. It is an event to welcome the year's graduates into the alumni fraternity and bid adieu to their student life. The event was held on 29th September- 2019, a day before the convocation. The program was a blend of the student performances presented by Class of ‘19 . It is an event with a lot of excitement in the form of music, dance, food and fun, in addition to the distribution of awards & other well-deserved recognition for our students, our faculty, and for our alumni.

ALUMNI WEBINAR SERIES

Webinars are event conducted by ARC for the students of campus to provide career counselling. Here, Alums from different background come and talk about their journey in pursuing their goals. A platform named ZOHO is used to broadcast.

Alum Letters

To lift up everyone's spirits during this lockdown caused by the COVID-19 virus pandemic as the final and pre final year students were under some degree of stress because of uncertainty regarding their internships and placements, the Alumni Relations Cell has reached out to 2007-09 batch alumni who went through something similar during the economic recession of 2008 and have still gone on to do greats things and lead comfortable lives. A few examples of the letters are given below:

International Relations Cell

International Relations Cell is the first point of contact between the student community and the exchange students and is also responsible for creating awareness about the international opportunities available to the institute students.

Entrusted with the duty to reduce the hassles faced by the visiting students, this team takes care of all the logistics for the onboarding of international students.

The team is also actively involved in organizing the International Day, Country Meets, which are platforms for the exchange students to showcase their country’s culture and this team also facilitates outgoing students and is responsible to run the International Relations Cell blog.

Following events are conducted by International Relations Cell –

International Opportunities Portal

Description: The main objective of this portal is to streamline all the information on the international opportunities available for the institute students.

The status quo is that the information is conveyed only through emails and WhatsApp forwards. Not much engagement is noticed and expected awareness is not observed. This portal works in a similar way as the Internship Portal used by the students. This way, all the information of all the Universities is available at one portal and also proves to be user-friendly. The International Opportunities Portal is ready with just a few edits to be made. Students from the team have coded the portal. The opportunities on the portal include both for Undergraduates and Postgraduates which will include semester exchange programs, research internships, International conferences, projects, summer, and winter schools.

International Exchange fundae Session (July – November 2019 Semester) Description International relations cell conducted fundae sessions for institute students for various opportunities like; semester exchange, a research internship, or other exchange opportunities. This session was hosted by the OIR office (Harish Sir) followed by the IITM students who had been on exchange for various opportunities. Total of 150 to 170 students joined for this session

Pondicherry Trip Description The Pondicherry trip of 2019 was organized for the International Students who were attending the July - November semester of 2019. The purpose was to break the ice among all the international students and also a bonding experience between the IPALS and the international students. It was a 2-day event, on the 24th and 25th of August, 2019. The event saw a footfall of around 38 international students and 11 IPALS

The Outcome The event was conducted successfully by the IRC and the International Office. The international students were happy with the trip and satisfied that they were able to explore a new place and bond with others as well. The International day Report – Global Gateway (connecting Nations) Description

The International day 2019 was organized by the IRC team along with the international students. The 8th international day was held on October 31st. The event saw a footfall of over 1000 students. 28th October: 5:30 pm-7:00 pm - Promotional event for the international day was organized on the Himalaya lawn. 7:00 pm-9:00 pm – Various games and dance events were conducted. International day T-shirts were up for sale as well. 31st October: 8:00am-12:00pm - Arranging and decoration of SAC. 12:00 pm-4:00 pm – Internationals students along with the help of IRC team, prepared food from their native cuisine. 4:00 pm-6:00 pm – The prepared food was distributed to students. A cooking competition was held, an experienced head chief from a star hotel judged the cooked food. The SAC stage was set for the next series of events. International day T-shirts were up for sale for the institute students. 6:00 pm-9:00 pm – The opening speeches were given by Prof Bhaskar Ramamurthi (Director), Prof. M. Panchagnula (Dean of International and Alumni Relations). Various performances like Kashmiri dance, Bollywood dance, Ballet dance and Japanese dance were performed by international students. A Quiz on inernational knowledge was conducted by the IRC team. Stand-up and singing performance by members of the IR office was performed. The fashion show by international students was performed. Outcome The event was conducted successfully by the IR office and the IRC team. More than 50 international students in IIT-M participated from various countries including Germany, France, Spain, Portugal, Japan, Italy etc. The students had a great time getting to know about the culture and cuisine of international students. Country Meet Report Description A Country Meet is an event where the international students gather together to attend a presentation. The presentation is made by a representative from a selected country, and it aims to showcase the

culture, tradition, landscape and other interesting details of the country. In the July-Nov 2019 semester, two such Country Meets were planned by the iPal team. In the first meeting, which was early in the semester, the presentation was on India. In the second meeting, the country chosen was Germany. Team Involvement The first meet was on 19th August, from 7 to 8pm. The Annex hall in ICSR was booked for the meeting. Since this was the first Country Meet for the new batch of international students, the presentation was on India, and all team member wore traditional Indian clothes from their respective regions. The presentation was made by Shivam Damani, a strategist for the team. The second meet was on 26th September, from 7pm onwards. Like the previous meeting, this was also in the Annex Hall. The presentation was made on Germany by three German students. Just after the Country Meet, there was a further meeting discussing the details of International Day. Outcome Two Country Meets were successfully conducted by the team. The first meeting gave the international students a good introduction to the culture of India as well as travel suggestions. The second meeting gave everyone presents an interesting picture of Germany and it’s people. The attendance for the meetings was encouraging.

Institute Branding Cell

The team takes up the task of boosting the institute's brand image in the global community. This is implemented by publicizing the life as well as achievements of the IITM community. Furthermore, the team also disseminates information regarding the overall life at IIT Madras to prospective students by conducting interactive events. This is done to attract better quality students to IIT Madras. Following events/initiatives have been conducted until now: 1. “A day at IIT Madras” 2. IAR Student Council Website (Ongoing) 3. Institute Mascot Release 4. Maintaining Social media presence for IAR

A day at IIT Madras

Description “A Day at IIT Madras”, is a popular event helping students to know engineering more closely and introducing them to the IITs culture & facilities. The basic idea behind this event is to encourage the students from class 8th to 12th to take up engineering as a future and make them familiar with what a student's daily life in an IIT is. Looking at the appeals and needs of the students qualifying JEE Advanced 2019, we conducted this event on 21st of June, 2019 exclusively for them, to help them shape their perspective towards IITM, clearing their very basic intrinsic doubts to some broader questions. As the name suggests it was a day-long event, started with a comprehensive Campus tour involving visits to the Heritage Centre (IITM) and the CFI (Centre of Innovation). After the campus tour refreshments were provided in ICSR Hall-4, then invitees were seated in ICSR central Auditorium where respected director of IIT Madras, Prof. Bhaskar Ramamurthy addressed the gathering. Even two freshmen shared their perspective about IITM after spending their first year on

campus. At the end of the program all the people had their lunch at the Himalaya Mess, it was also arranged to let people know how mess food is at IITM. We will be back soon with another version of “A Day at IITM Madras” helping students across India. Outcome Enthusiasm was reflected amongst the invitees when the Dice was open for direct discussion between our revered Professors from various departments and aspirants who came across the country. Professors cleared the broader doubts of the aspirants helping them shape their decision. IAR Student Council Website Description It is a project to build a dynamic website for the IAR Student Council. The website aims toward updating the students of IIT Madras on the events conducted & initiatives taken up throughout the year by the student council. Outcome Template of the website is ready. Almost 80% of the work is done for the development of the website. The website will be deployed soon Institute Mascot Release

Description The purpose of mascot, i.e. represent all the stakeholders of an institute within and outside the campus comes with the psychological effect of it, as people can more relate to mascot since it is iterative according to the situation, unlike a logo. Also, it makes all students feel like part of IIT Madras forever because it's the one thing they recognize and have shared with every other IITM student. Primarily, to get a good mascot design, we conducted an Institute-wide design competition. Later the final design was crafted by Ashwath (Mech 2016 Batch student). Launch Day: Mascot got revealed during the ceremony of AlumNite 2019 with the help of speed painting done by 4 students of IIT Madras (Abhinav, Arya, Dhruvjyoti, Sujay) in just 7min 42sec. Outcome

● The mascot painting was established at Heritage Centre. ● The Launch Day event was made live on IITM Instagram handle and IITM TV youtube page. A

Vox Pop on the release was also made and released on IITM TV Youtube handle. This ensured

a good reach. ● Mascot Merchandise was made (200 shirts) for the outreach of Mascot which got sold out in the

institute in just two days. ● A new IAR account was made under the IITM Stact Account which was used for the collection of

money during the sale.

Social Media Presence The team is responsible for the social media presence of the IAR Student Council through Instagram/Facebook/Youtube.

Association and Sponsorship Cell

The team of 10 people is responsible majorly for the following responsibilities:

● Get sponsorship for events happening under I&AR like Sangam, International day, Alumni Night,Reunion.

● Get different types of associations like OYO, Comedy Club, Travel, etc. for students of IIT Madras. ● Managing I&AR events funds and financial accounts in sync with office personals. ● Cost optimization in events like Internationals trip, International Day, etc.

Outcome

A benchmark target of 50 number of associations and Rs. 5 lakhs sponsorship was set and what came out of the result was as follows:

● Collected Rs. 1.25 Lac cash sponsorship from ICICI bank offering promotion in campus and during International day.

● Raised a total of Rs. 1.3 lakh cash sponsorship for Willkommen till now. This eventually did not happen due to the current pandemic situation

● Association with Convo@C20 Restaurant for 20% off on total bill. ● Association with EazyDiner for 500 promo cash in account. ● Association with Amazon Prime, Prime Membership for 3 Months ● OYO offers 35% off on all bookings made for students of IIT Madras. Offer is available 365 days. ● Association with Brand CROMA for 10-20% off on products purchased from the outlet. ● Association with Counter Comedy Club for up to 20% off on tickets ● Constant association deals with restaurants and bars. ● Cost-saving on International trips by associating with a hotel for 20% off. ● Saved 15-20k strategically on international cooking day in using utensils. ● Integration of all the offers on the Students App

Chennai 36

This team is a medium of interaction between the alumni and the institute. The work includes reaching out to alumni and asking them questions related to their memorable moments in the institute, differences that they observe in institute culture, career tips and many more fascinating topics. They are in charge of maintaining the alumni blog as well. The team also works closely with the Heritage Club to showcase the institute’s history. Internship Series, International Day Series, Sangam Interviews, DAA, Throwback week, Doodle Series, and Research internship Series were published by them. Team Involvement and Outcome

1. Internship Series 2 articles/correspondent All members except one contributed. That one member had a valid reason

2. International Day Series 4 articles were published. All four interviewees were from different countries. Articles reached around 1000 readers on Facebook & 500 on Instagram.

3. Sangam Interviews Entire team participated in the event. All planned interviews happened, including two in the Institute itself. A good team-bonding event as well.

4. Research Internship Series Each correspondent worked on 1 article. A diverse group of interviewees were selected. Had a good reach on our Instagram handle and reached around 800 readers on Instagram

5. Special interest series(ongoing) a few verticals such as defense and space technology, AI and finance, biotechnology, international relations, etc. are ready with the questionnaire drafts.

6. Distinguished Alumni Awardees Questionnaires and citations for all the Distinguished Alumni Awardees for the year 2020 are prepared. This was done in close coordination with the IAR office. In addition, the articles belonging to the 2019 awardees are published.

7. PG recruitment drive A recruitment drive among the PGV community to increase their participation was held.

8. Throwback week A throwback week was held where some of the most popular articles were published on Instagram.

9. Doodle series This was a series specifically aimed at institute students. Doodles about everyday life in the institute were created, which received widespread praise.

10. Placement series Placement series articles have been started. It is ready for publishing.. Link of the blog:

Design Team The IAR design team has huge potential to drive and promote the broader vision of I&AR, owing to its creative visual characteristic which has the ability to grasp the attention and convey information immediately. This ability to visually communicate ideas and information keeps the team in a more favored and advantageous position. The team design posters, banners, pamphlets, t-shirts, and any sort of visual content that IAR requires. The team also brings forth one of IAR's most important components that is the Yearbook in collaboration with the ARC team. The IAR design team is the official team that handles the design requirements of the IAR student council Managers spend an approximate of 4/5 hours per design Over these 7 months, that is August 2019 - February 2020 each manager has successfully completed 8-10 designs Outcome: On-time delivery of design requirements from other teams, especially ARC, IRC, Chennai 36.

Operations Team

The Operations team plays an essential role by being the common bridge between all the verticals in I&AR Student Council. The team is responsible for storing the data and analyzing and documenting it. The team continuously monitors whether the other teams are sticking to their deadlines and pushes them if is not done. To sum it up, the Operations team is the common channel of communication and a basic formal structure to bring the entire I&AR Student Council together.

The Team was involved in the following activities throughout the tenure till February 2020.

1. The Team created a council-wide WhatsApp group and a mail group to ensure seamless interaction amongst the members.

2. Along with the Alumni Relations Cell and Design Team, planned things out for the 2019 yearbook, thereby taking care of printing and other logistics involved in it.

3. The Master calendar of the IAR student council was created while adding all the events of the teams.

4. A standard operating procedure for reimbursements was created where any head can come and directly apply for any reimbursement.

5. A master google drive was created and folders are added in it for individual teams to update their reports.

6. All Council Meet was conducted on 4th November 2019 to ensure interaction amongst different Council Members.

7. Our Team is involved with the I&AR Office to ensure reimbursements are done. 8. An Estimated budget for I&AR Student Council was made. 9. Aspiring Managers Meet was conducted in the month of August 2019.

All Council Students Meet

Description

The main objective was to ensure the different verticals of the I&AR Student Council introduce themselves and interact with each other. The event was conducted to ensure that various verticals interact with each other and not work in silos. Thus the games organized in such a way that they would be amusing and entertaining, at the same time, build teamwork and team spirit.Teams were formed and they needed to play games like Role Play and Antakshari. Role Play – Four Teams were given chits and were asked to enact the subject written on the chit. All the teams had enacted and the council members selected the Best Actors. Antakshari – Again, it was a team event. The Council Members competed against each other in a friendly manner.

The Operations Team of I&AR Student Council organized the event. The Council Members were the Invitees.

Outcome

● Most of the Council Members turned up for the event. ● All those who attended the event were super active and collaborative. The enthusiasm shown

by them while playing role play and antakshri was extraordinary. The event was successful in creating new bonds between the sub verticals. We are sure that at the end of the event, each member would have got a new friend from other verticals of I&AR Student Council.

IITM TV

Description IITM TV, a production unit, undertakes the responsibility of showing institute life to IITM fraternity and general public. Moreover, they are responsible for branding of the institute. The team is also open to working in collaboration with other institute teams to bring out the best of institute life in the form of media. They also cater to the needs of the Office of International and Alumni Relations for displaying media content. Additionally, they also conduct workshops to impart education in the field of audio and video making. Till now 41 Videos have been released in this tenure
