freight carrier has been assigned to check-in at the marshalling yard (see enclosed map & directions) to be placed in line for
unloading. For vehicles checking in after 3:00 p.m. on any given move-in day, Freeman makes no guarantee shipments will be unloaded that same day.
Freeman reserves the right to unload post 3:00 p.m. shipments the following day.

target time to avoid off target penalties, which increase your costs.

Exhibitors have been assigned a move-in date and time for direct shipments to the Georiga World Congress Center to facilitate the movement of heavy freight, display materials and display vehicles.

Exhibitors occupying 200 square feet or less of exhibit space can move in on their assigned target date or during general move in.
Direct shipment vehicles must check-in at the Freeman Marshalling Yard two (2) hours prior to the attached targeted schedule/floor plan.
To use the targeted schedule/floor plan, please do the following: 1) Locate your booth number(s) 2) Determine your color code and match it to the provided key 3) The color match is your assigned target move-in

SERVICE INFORMATIONBOOTH EQUIPMENTEach 10' x 10' booth will be set with 8' high black back drape‚ 3' high black side dividers and a 7" x 44" one-line identification sign. The first night of vacuuming is also included.
EXHIBIT HALL CARPETThe exhibit area is NOT carpeted; however‚ the aisles will be carpeted in tuxedo. Per Show Management, floor covering is mandatory for all booths. Please see the Freeman Carpet Brochure and Order Form in Section 10 for multiple color options and size selections.

HELPFUL HINTS
SAVE MONEYOrder early to take advantage of advance order discount rates, place your order by February 06, 2017.
AVOID DELAYShip early to avoid delays. Shipments arriving late at show site will cost you money, time and business!
SAFETY TIPSUse a ladder, not a chair. Standing on chairs, tables and other rental furniture is unsafe and can cause injury to you or to others. These objects are not designed to support your standing weight.
Be aware of your surroundings. You are in an active work area with changing conditions duringmove-in and move-out. Pay attention. Look for obstacles, and machinery and equipment that are in use.
Keep your eyes open for scooters and forklifts. The drivers of these vehicles may not be able to see you.
Stay clear of dock areas, trucks and trailers. These areas can be particularly dangerous.
Prevent electrical shocks, falling items and damage to materials. Do not attach items or equipment to the drapes or metal framework provided for you booth. This can cause serious injury or damage to materials.
We discourage children from being in the exhibit hall during installation and dismantle. If children are present during installation and dismantle, they must be supervised by an adult at all times.
Freeman does not ship or handle Hazardous Materials. If any materials you are shipping to the event fall into this category, please contact Freeman to be sure that the material will be allowed at the facility and by the association. In addition, if authorized by the facility and the association, you will need to make separate arrangements for the transport and handling of the approved materials, since Freeman will not transport or handle them.
The operation or use of all motorized lifts and motorized material handling equipment for installation/dismantle of exhibits is NOT permitted by exhibitors or by their exhibitor appointed contractors (EAC’s). Thank you for your cooperation

Advance Order Deadline: February 6, 2017
Show Management will provide reasonable security in the exhibit area during installation, show days, and dismantling, however many exhibitors elect to use Special Booth Monitoring Services. These services are available at the rate of $27.90 per hour when this form and payment for ordered services are received prior to the above Order Deadline Date, and $35.90 per hour for all subsequent orders. Police Officers are available at the rate of $90.00 per hour. A six hour minimum per guard or police officer per shift is in effect.

As requested on the front side of this order form, the contract security company will provide special booth monitoring services and is authorized to enter said booth at any and all times necessary to perform their duties.
LIABILITY It is understood that neither the contract security company, nor show management, or their agents is an insurer of persons and/or property. The CLIENT, if desired, shall obtain such insurance. Sums paid to the contract security company by the CLIENT are not related to the value of the CLIENT’s property or to other property located on the CLIENT’s premises. The sole intent of the contract security company is to provide a visible determent. The contract security company is being paid for services designed to deter certain risks or losses and all amounts being charged are not sufficient to guarantee that the service supplied will avert or prevent occurrences, or losses there from, for which the service is designed to deter or avert. The contract security company and its subcontractors shall not be liable to any extent whatsoever for any actual, potential or assumed loss of profits or revenues or for any collateral costs that may result from any loss or damage to CLIENT’s material, which make it impossible or impractical to exhibit same. The CLIENT, as a result of this Agreement, does not seek indemnification from the contract security company, nor show management, or their agents, against any damages or losses caused by hazards to the CLIENT’s property, or to the property or person of any third party while the contract security company is engaged in the execution of this Agreement. The signature on the other side of this form of the authorizing party requesting booth monitoring services also indicates acceptance of the conditions of this Agreement as stated above.

Exhibit materials that can be hand-carried in one trip from the parking lot by the exhibitor will not incur material handling fees. Dollies, hand trucks, or other means of wheeled transport are not permitted for hand-carry. Cars, Mini-Vans, Small Pick-Up Trucks, Full-Size Vans, and Large Pick-Up trucks requiring use of the dock area will be unloaded by Freeman for per-vehicle-load fee. Vehicles larger than a large pick-up truck, including those with trailers will be unloaded at the main dock at the published per hundred weight rates. Shipments delivered directly to the convention center must follow the Target Schedule outlined in the online Exhibitor Service Manual. Set-up hours are 8:00am – 5:00pm, daily. Exhibitors who wish to remain in the hall after scheduled times may do so, but will not be readmitted once they leave. PLEASE PLAN ACCORDINGLY. All booths must be set up and ready for inspection by 5:00pm on Wednesday, March 1, 2017. Items left in
the aisles after 5:00pm on this day are subject to removal by Freeman in order to lay aisle carpeting. NO setup hours on Thursday, March 2. NO EXCEPTIONS.

INDOOR EXHIBITS:
• Linear booths will be set with an 8’ high back drape, 3’ high side dividers, and a 7”x44” one-line identification sign. Booths over 300 sq. ft. are not automatically set with signage, however, signs are available upon request. The first night of vacuuming is also included.
• The exhibit area is NOT carpeted. Exhibitors are required to provide carpeting or other floor covering. Aisles will be carpeted in black/grey “Tuxedo” carpet.
• Early move-in on Sunday, February 26, 2017 may be available upon request. Inquire with HPBA show management.

INDOOR AND OUTDOOR EXHIBITS: • NO tear-down or pack-ups allowed prior to 3:00pm on Saturday, March 4. • Move-out on Saturday or Sunday will incur an overtime charge by Freeman. • Exhibitors who wish to remain in the hall after the designated time on Saturday, Sunday, and Monday
may do so, but will not be readmitted. • No access available to Hall C-1 on Monday or Tuesday – Hall C-1 exhibitors MUST complete packing
by 8:00pm on Sunday. • As a reminder, do not take anything from the exhibit floor that does not belong to you. Such activity
will be considered as theft. Appropriate actions will be taken. • All exhibits must be dismantled and moved out by the deadlines listed above. Any exhibits remaining

• Entrances to the Exposition floor will be placed under guards’ surveillance starting at 8:00am, Sunday, February 26 for indoor and outdoor exhibits. Service will continue until halls have cleared, but no later than 12:00 noon on Tuesday, March 7.
• Exhibitors assume full responsibility for any loss of or damage to their property, including booth contents. Although HPBA show management will provide security at the entrances to the exhibit floor, such security is not designed to protect the contents of the exhibit booths. Exhibitors are advised to pack up all small “walkable” items at the end of the show, rather than leaving a complete booth until the next day of tear down. Individual guard service is not provided by HPBA. Order forms for individual booth security service is available in the online Exhibitor Service Manual.
• All equipment and materials removed from the Exposition floor will require an Equipment Removal Pass. These passes are available from the Main Entrance security guards. The door guards will collect these passes for allowance of product removal from the hall.
• Any company using an outside contractor for exhibit set-up and tear down must have such personnel registered in advance by completing an Exhibitor Appointed Contractor form from the Exhibitor Service Manual. Special set-up and tear down passes will be issued onsite for these individuals.

EAC Request Form (Exhibitor Appointed Contractor)
Exhibitors are to complete this form to request approval for an Exhibitor Appointed Contractor (EAC) - any contractor other than the Official Contractors providing a service to an Exhibitor within his exhibit space, including (but not limited to) Photographers, Florist, etc. as well as Installation/Dismantling Labor. The unpacking, erection, assembling, dismantling, and packing of displays and equipment must be done by the correct type of labor. The Official General Contractor (FREEMAN) will have qualified craftsmen available to assist exhibitors. Arrangements for labor should be made in advance whenever possible. Official labor forms are available in the online Exhibitor Service Manual. Exceptions to the foregoing will be considered only in cases where permission has been requested in writing by the Exhibitor and received by HPBA by February 1, 2017. Exceptions will be granted only if they will not interfere with or prejudice the orderly set-up, interim services, or dismantling of the Show. An exception will not be granted if it is inconsistent with the commitments made and obligations assumed by HPBA in any contract with service contractors or in its leases with exhibit halls. For electrical, plumbing, telephone, rigging, and booth cleaning, no exceptions will be made, and the Official Contractors must be used. Set-up badges will be available at Exhibitor Registration (or show entrance prior to registration opening) for all EAC labor personnel. All employees, agents, or representatives who are performing services must provide HPBA with original and valid certificates of insurance at the time that this request for exception is made. These original certificates of insurance must conform to the limits satisfactory to the HPBA as stated in the Trade Show Rules & Regulations. Exhibitors using the services of Exhibitor Appointed Contractors, other than the Official Contractors, shall be held responsible for these employees' conduct and liabilities.
