• You will need HR rights to enter homestay families under Non-Departmental staff as Volunteers then put in their contact details, relevant Accreditation and car registration (optional)

• One School sends an alert when expiry date is coming close but it is up to you to look at this

Step 1: Knowing Your Host Families and Hosting Capabilities

• Complete your inspections and update EQI Homestay Profiles in advance so you are prepared for the application process

• Be aware of what you can accept in your school when your EQI Processing Centre contacts you; e.g. hosting vegetarians, students with dietary concerns and medical conditions

• Email Host Families regarding expression of interest in hosting for the upcoming International Intake in Semester 1 or 2.

Homestay Placements:

Step 2: Single out the International Students with special requirements such as:

• Pets/No Pets• Smoking/No Smoking• Dietary Concerns such as Vegetarian Gluten, Dairy Free• Medical Conditions such as: Asthma, Anaphylactic etc…

Step 3: Get to know your students prior to their arrival

Once I have closed off all the school’s capacity for that semester I then make contact with all International agents to….

• Request a letter from each student if a profile has not been provided to gain a better understanding of the student

• Understand the students’ expectation and reason for applying• Discuss with the agent if the student has any special placement requests.

Step 4: Placing The Students in the Homestay

Homestay Placements:

• Email your homestay database with a ‘save the date’ for your Homestay Orientation Session• Call each homestay and inform them of the placement you have for them with the details:

female/6 months/country of origin/advise of any dietary requirements etc• At your Homestay Orientation Session hand out your student information to your host

families.

Ensure you have emailed all the Homestay profile and documentation to the agent/natural parent 6 weeks prior to the students arrival.

• Bi-annual homestay orientation evenings

• Orientation evening in term one week one

• Homestay family brought along their international students to the session

• Families and students were more engaged to each topic

• Get together on the Sunday prior to school starting - families and students had a picnic and were able to meet each other

• Existing students also attended this helped with the first day of school as the new students had a face to put to a name

• Orientation never really ends

• We send out weekly emails and also have just adopted Team App

• This is a fantastic tool to keep our host families up to date with any issues, parties that maybe happening

• Will start organising a meeting of all the host parents mid term, especially for the students about to depart

Student Orientation• This is done over a two day process and we generally are doing the

uniforms, timetabling

• We also organise for our IT Manager to come and do a brief talk about laptops

• Our Sports HOD will do a short talk on school sports and what’s available in the area

• Music – we have a fantastic instrumental department and we identify the students interested in the music program

• The Guidance Officer and the ESL teacher will introduce themselves

Student Orientation• Student handbook is updated each term, giving students information

about the local area (and a Map), important contact numbers, links to apps they need and homestay rules (curfews)

• The EQI website and team site is reviewed for new information and this is added to the student handbook

• We also give students an emergency card with emergency services number 000, the host family name, address, phone number and email, school contact number and email

• As we are on the Sunshine Coast we do a surf awareness lesson once at the College, then at the local beach and we give them a free surf lesson as a welcome gift and so they are given a talk about the surf and dangers by the instructors.
