SIGNING IN THE FAST LANE

Europe‘s leading motorcycle manu-facturer signs digitally

When Wolfgang Zwicknagl takes a seat at his office desk in the morning, he has already made and for-warded the first decisions of the day: By electronic signature with XiTrust MOXIS, the professional en-terprise solution for systems of agreement. As Vice President IT & Organization, he has been consist-ently working on paperless processes at KTM, Eu-rope‘s largest motorcycle manufacturer, for years. “Our horizon at KTM is quite clear: to replace pa-per-based processes with digital ones“, says Zwick-nagl, who is himself a passionate motorcyclist and has a stylish Husqvarna of his own. “The electronic signature saves time and makes our processes even more transparent!“ MOXIS plays a key role in this.

Signs of Change

From 2014 to 2016, Zwicknagl and his team turned the system landscape and IT infrastructure at KTM “upside down“, as he puts it, and switched to SAP. “In this context, many processes have natural-ly changed.” For a rapidly growing international company, paper-based processes pose a particu-lar challenge at some point, “if you want to meet the high quality demands in the future, too“, says Zwicknagl. The name KTM is synonymous with mot-orsport worldwide. Less well known is the fact that the company abbreviation origi-nally stood for “Kraftfahrzeuge (motor ve-hicles) Trunkenpolz Mattighofen“. Founded by Hans Trunkenpolz, KTM has been pro-ducing motorcycles in series since 1954.

Since then, the company has developed into a global player that has left its mark on the quality label “Made in Austria“. With around 4,200 employees and a turnover of almost 1.5 billion euros, KTM is today the largest motorcycle manufacturer in Europe.

BACKGROUND

process did not leave much to be desired. Among the things that were still missing were qualified elec-tronic signatures.

Focus on Integration

Motivated by the time required to collect the neces-sary signatures in analog form, KTM was looking for an eSigning solution that could be easily integrat-ed. “The initial question was: how do we basically deal with the issue of signatures“, explains Zwickna-gl. “As a company of our size, you have a highly dif-ferentiated signing policy that precisely determines who is authorized to sign for what.“ This regulation had to be reconciled with a new possibility of qual-ified electronic signatures. The aim was to improve the signature processes towards the outside. Even after the SAP migration, external signatures were not supported digitally. This affects board mem-bers, authorised signatories, but also managing di-rectors of sub-companies. The eventual goal was to accelerate non-disclosure agreements, contractual issues, purchasing and procurement, and to simpli-fy processes at the same time.

BENEFITS

» Savings in time saving throughthe mobile qualified signature

» Easy integration into existingsystems

» Transparent signing workflows

Qualified and Mobile

In the signing workflows of KTM, the four-eyes principle usually applies in accordance with the signing regulation. Due to the high mobility of de-cision-makers and the spatial distances in a large company such as KTM, it was often difficult to col-lect all signatures. “A lot of time has been lost“, says Wolfgang Zwicknagl. “I experience the possibility of a qualified and mobile signature with MOXIS as a big improvement! For example, it is possible to sign documents if you are currently at MotoGP, which is known not to take place in Mattighofen!”

For KTM, MOXIS has set the pace on the way to a paperless office from zero. It is planned for the fu-ture to extend the use of MOXIS to collaboration with suppliers and other external companies.
