Introduction to Information Management System:-A management information system (MIS) is a computerized database of financial information organized and programmed in such a way that it produces regular reports on operations for every level of management in a company. It is usually also possible to obtain special reports from the system easily. The main purpose of the MIS is to give managers feedback about their own performance; top management can monitor the company as a whole. Information displayed by the MIS typically shows "actual" data over against "planned" results and results from a year before; thus it measures progress against goals. The MIS receives data from company units and functions. Some of the data are collected automatically from computer-linked check-out counters; others are keyed in at periodic intervals. Routine reports are preprogrammed and run at intervals or on demand while others are obtained using built-in query languages; display functions built into the system are used by managers to check on status at desk-side computers connected to the MIS by networks. Many sophisticated systems also monitor and display the performance of the company's stock.

Introduction to Bank:- Allied Bank Limited was the first bank to be established in Pakistan. The Bank started out in Lahore by the name Australasia Bank before independence in 1942; and became Allied Bank of Pakistan in 1974. In August 2004, because of capital reconstruction, the Bank’s ownership was transferred to a consortium comprising Ibrahim Group; therefore, it was renamed as Allied Bank Limited in 2005. Today, with its existence of over 70 years, the Bank has built itself a foundation with a strong equity, assets and deposit base. It offers universal banking services, while placing major emphasis on retail banking. The Bank has a large network of 1000 online branches and over 850 ATMs in Pakistan and offers various technology-based products and services to its different business. Allied Bank Limited operates by the following Vision, Mission & Values:

Company History:Under the leadership of chairman Khawaja Bashir Bux the Bank was established in December 1942 as the Australasia Bank at Lahore with the paid at service at Lahore with a paid up share capital of Paki Rs 0.12 million and his business associates including abdul rehman malik who was amongst the board of director the bank has attrached deposits equivalent to Pkr 0.431 million in its first 18 months of business. Total assets then amounted to Pk 0.572 million.

Reason for selecting Allied Bank: Reason of selecting Allied Bank is that, it is one of the leading bank in Pakistan with international standards and which keeps on innovating and secondly because we have a reference in this organization which help us in extracting the required information in this project more easily and without much difficulty.

Information System in Allied Bank Limited: Allied Bank Limited is using information system since 2005-2006. Previously they was using core banking solution UNION BANKING SYSTEM (UNI), and almost about one year ago bank starts another banking solution named TEMENOS

Old Management Information System in Allied Bank: Previously management information system which allied bank used was UNI BANKING SYSTEM. Language of that information system was UNIX, and in banking terminology this language was called COBAL. This information system was MS DOS biased. With the help of this information technology allied bank record the daily transactions that was of only one branch. It was decentralized database. Decentralized means all transactions and processes are record in one place. All daily transactions were recorded and saved into one server; every

branch of allied bank had its own server which was not linked to any other branch of allied bank. This information system was only being operated on LINUX OPERATING SYSTEM.

Present Information System in Allied bank: Allied Bank replaces UNI BANKING to TEMENOSE (T24). T24 is the latest information system which is now a day mandatory from State Bank of Pakistan for every new bank. With the help of new information technology Allied Bank Limited records the daily transactions, and that took place from all over the Pakistan into a centralized database in real time and now there is no batch processing is taking place in Allied Bank all over the Pakistan. Every bank branch is an online branch and is directly connected to the centralized server to keep the data up to date to avoid any problems. Now information system of Allied Bank makes thousands of transactions per day. And this information system makes whole process more quick, reliable and simple. And employees can easily connect with other branches; customer service gets improved, online banking emerged and lot of other benefits. Now a day Allied Direct Internet Banking is an innovative online banking service. Management overview:

Management Information System: Through TPS all routine information are collected in Allied Bank. All details of TPS’s HUBs go into Management Information System. This information is then summarized in the form of reports for the manager so that they can check whether the firm is working properly or not. If there are some flaws then they take control measures to fix those flaws. In one branch all daily transactions are recorded and all reports are prepared on daily basis. TEMINOS generate daily information report at the end of the day.

Factors of Gaps in business which are in-efficient and ineffective and are affecting business performance negatively:

No entertainment facilities are available in the Bank when customer goes to the Bank and wait for a longer time. These facilities can be the newspaper, magazines, TV etc.

Advertisement of ABL is not such goods as of other banks. Outlook of the ABL branches is not attractive to the people. The non-interest expenses of the bank has been increased due to the increase in all the

expenses including the administrative expenses, provisions and other charges. The cost of funding also increased by 6%. The earning assets to deposits ratio has declined. Less staff in branches which leads to a long wait for their turn of customers. Nonperforming loans to the Govt. sector due to Govt. influence on the bank. There is no consumer banking services offered by the bank. First threat is that of political influence. Three boards of directors are of government.

So that they can influence on the decisions of the ABL. The biggest threat in the banking sector is the continuous downfall of the country’s

economy since the last few years. New Privates Bank coped with emerging new Technology of IT and with huge

investments. Increase in the withholding tax by the Govt. on transactions. The higher discount rates offered by the SBP The Law and order situation disturb the economic situation and hence the Banking

Industry Power shortage brutally hinders the performance of Industrial sector which get loans

from Banks. Tight monetary policy and high interest of 15% by the SBP reduce the interest of

people to get expensive loans from Banks. The high inflation rate due to deficit financing by the Govt. is also a big threat to

ABL.

OPPORTUNITIES The policies of the new government to uplift the economy and pursue financial sector

reforms are expected to yield positive results in the banking industry of the country. As a result of the different steps taken by the Government regarding the betterment of

the economy, small borrowers are attracted to get the financing and start small businesses.

So, the ABL has an opportunity to attract the customers by giving them attractive schemes.

They have wide area network in all over the Pakistan, if ABL can make it possible the fast delivery of fund from abroad through online banking, it can cover the major market of Pakistan which still is capturing by Hundi.

Competitive advantage:New Customer Identification: Allied bank is using TEMENOS banking system which is connected to NADRA. Bank’s information system automatically verifies customer’s ID number, address, income, and city name. Which helps the management to identify whether he/she is using his original ID card or not. Whenever new customer come for open an account customer fill and form named “KYC”, abbreviation of KNOW YOUR CUSTOMER. Operational manager enter all date of that form into system which contains actual worth and expectations of deposit and after that manger enter his/her comment which he/she knows personally about that customer. “Customer due diligence” named report related to that customer goes to Head office and State bank also have access to that customer, through which State Bank knows the credit history of that customer.

Employee’s Record: All employees having their personal login ID’s which allotted at the time of employment and they are supposed to login when they enter the bank and logout on leaving. Their accounts are also connected with the HUB which continuously makes record of their hours spent in the bank. Moreover, the bank has their own setup which makes records of all the transactions made by an employee. All these help management to monitor the working efficiency of an employee. Through this information system management also have record of, how many customers served by whom employee. And they also have information through this system that how many customers convinced to open an account by whom.

Real time Banking:When a customer withdraws a sum of money from his or her account the transactions are processed and the account balance updated as soon as possible, allowing both the bank and customer to keep track of funds. When a customer goes to bank for withdraw or deposit the cash through cheque or cash then there are certain steps. We will just describe withdraw transaction. First step on the time of withdraw through cheque is, first cashier made entry of that cheque into information system (put cheque number, name of a/c holder) and then cheque is scanned into FLATBED PRINTER. And after that information system configure instrument number, amount in words & digits, and signature etc. If entered and scanned information will be same then system will proceed to next step. If transaction is of less than Rs.25, 000 then it needs the verification of just one person. And if cheque is of more than Rs.25, 000 then it needs the supervision of two supervisors. In case of more than twenty five thousand rupees’ transaction, system of Allied Bank generates one “supervision code”. One person made transaction and second supervises. And after configuration transaction is done. TEMENOS system of Allied Bank shows option of debit and credit at the time of transaction. And when transaction is made then the new transaction is send to Lane. Date and time of transaction automatically entered when ever transaction made. The Lane enters the HUB where the specified file is accessed. The updates are made entered there and finally the adjustment is done.

Automated Teller Machine Card (ATM Card): Through ATM card customer can withdraw of cash easily. At the time of apply he/she give bio data, income summary, company name, NIC. That data (NIC no. and bio data) send to system TEMINOS which directly linked to NADRA. If information correct then it is forward to customer service centre and the issue of credit card.

Hardware and software used by Allied bank:Allied Bank Limited has selected Oracle Exadata Database Machine and Oracle ZFS Storage ZS3-2 to replace its core banking hardware infrastructure with a scalable, high-performance solution to help accelerate its critical close of business processes and reduce cost. ABL was experiencing performance issues in running its core banking application. Due to the high number of transactions in the Online Transaction Processing (OLTP) system, processing for critical close of business was taking more time, affecting its important reporting processes. Another critical concern for the bank was the cost of scaling its existing solution in view of its aggressive expansion plans. By implementing Oracle Exadata Database Machine with Oracle ZFS Storage ZS3-2 for backup and recovery, the bank aims to significantly accelerate their OLTP performance, protect its data, and speed up their critical close of business processes such as daily transaction, calculating and posting interests, rolling the bank date forward and production of various reports.A highly available and reliable IT infrastructure is critical for any bank to provide innovative services and products to its customers in a timely and efficient manner,” said Mujahid Ali, Chief – Information Technology Group, Allied Bank. “We found Oracle’s solution much simpler, smarter and cost effective than its competitors and we plan to satisfy the requirements and demands of our diversified clientele by offering them excellent services at a reduced infrastructure cost and without compromising on the quality and performance of service.”“Oracle understands that its customers, especially in the banking industry, need to perpetually evolve and provide cutting-edge services to their customers in order to gain the competitive advantage. Oracle 10g also enabled Allied Bank to cut down its costs on storage devices which prove to be a big cost for banks to store humongous amounts of daily transactions and data. However, this problem was solved by the use of Oracle's automatic storage management which not only enabled the pooling of PCs but also enabled pooling of storage devices to the communication cluster as per required. This choice of addition of storage devices to clusters made the data transformation, collection and storage cheaper, easier and efficient.Oracle 10g has enabled Allied bank to save on its database management costs as its database administration is either completely automatic or much uncomplicated. This has enabled Allied bank to save its costs on the training of new database managers. Oracle 10g has its own cluster administration softwares which monitor, manage the performance of clusters and thus eliminates the needs for extra utility and program softwares. Oracle uses Oracle Enterprise Manager Grid Control and Management Packs to monitor clusters performance efficiently. Oracle 10g uses GUI tools and utilities for increasing the power and efficiency of the clusters.Oracle 10g also introduces self-administration in the databases through use of programs such as Automatic Storage Management, Automatic Memory Management, Automatic Optimizer Statistics Collection, Automatic Workload Repository, Automatic Database Diagnostics Monitor, Automatic SQL Tuning, Segment Advisor, Automatic Workload Management, Automatic Disk-Based Backup and Recovery to meet the changing processing, data transforming and storing demands.Thus, Allied Bank has benefited greatly from its shift from Manual systems to the automated Oracle 10g system. The benefits reaped are unparalleled in terms of cost reduction, efficiency, data disseminating and decision making. Allied Bank in addition to the use of Oracle 10g uses software’s such as Unibank, however it is planning to change its banking software from Unibank to Temenos t-24 in the mid of 2010.Shift from Unibank to Temenos T-24 When Allied bank shifted to automated Information Systems in 2002, it started using software’s such as UNIBANK .This software held answers to the management of all the chaos created by the use of manual systems. [2] Unibank was a branch centric cash management software which held answers to the banking problems of the time thus it was called the core banking solution. Unibank gave faster and safe electronic access to banking transactions and functions. Unibank enabled Allied Bank to.Evaluate the latest record of all account transactions taking place in the branchExchange information with other departments of the branch such as finance and accountingMonitoring and management of deposits and withdrawals simultaneouslyElectronic transfer of data from one branch to anotherProvision of e-statements for the employees making their jobs easier.

Secure data control and transfer.Electronic monitoring and management of employee payrolls Temenos T-24:Although Unibank seemed to be the answer to all the banking problems at that time however due to changing technological trends, higher uncertainty in the environment, shift towards centralized functioning and policies, Allied Bank has decided to shift from Unibank to Temenos T-24. The reason being that, Unibank was branch centric software and due to this reason data could be lost or misplaced if server crashed at any particular branch. Moreover, considering the uncertain political situation in Pakistan, there was high possibility of raids and fires and due to this the threat of data loss was eminent thus a shift is being planned and implemented from Unibank to Temenos T-24 as we speak. This shift will be implemented in all the branches countrywide within a period of 6 months. The reason for shifting to Temenos T-24 is that it is centralized software with the central server in Kashmir Road Branch in Lahore. This central server acts as a hub and daily transmissions are not only recorded in branches but in the central hub too, thus making the information more secure. Moreover, designated user ids/passwords, bio-metric systems add to the security of information. All the transactions and operation take place in real time. Policies are designed at the central server in Lahore and are applicable to all the branches country wide thus making the operations uniform and consistent in all the branches.Temenos T-24 in addition to providing all the functions that Unibank provided, offers a more secure platform and new and efficient data bases. Moreover, Temenos T-24 is partners with Microsoft and has adopted MS platform to make the functioning of the software more user-friendly and easy. Moreover, one of the reasons for adopting Temenos T24 by ABL is that its cost of owner ship is very cheap as compared to the benefits it provides. Moreover, it uses established programs such as HTTP, XML so that functioning it not an entirely new experience but adds on to the previous knowledge of the employees. Moreover, it has an edge over Unibank as it eliminates the need for end-of-day banking and is a true 24/7 banking system, which heaves away burden from the employees and enables employees and customers to access updated information at all times.Software SpecificationsApplication SoftwareCRBG department Employees uses the following application softwares;Microsoft Office 2007 & 2010McAfee Anti-Virus 2010Adobe Reader 8System Software:The department's computers were found to be using the following system softwares;Operating System: Windows XP for Desk-top PC's and Windows NT server for mainframe server.Core Banking SolutionThe software currently in use is UNIBANK, however T24 has been introduced in one branch in LAHORE. Query SoftwareABL employees generate queries through these softwares, for example if I want to view a customer's demographics I will put in a query in the Discoverer Viewer which will then seek the data from the Central Database Discoverer Viewer - It is just for viewing of data, Discoverer PLUS - The queries here can even be edited and employees have limited access to this softwareNetwork Type

Allied bank is using the client/server network because the employees easily share the data and its cheaper than others and maintainable. All the data is saved in Central Database (CBS) and employees can easily access it. This type of computing system provides an easy access and efficient flow of data, which increase the functionality of organization.Staff Development & Training Division:The principal activities of the Staff Development and Training Division (CHRM.3) are to design and implement staff development and training plans to ensure that the Bank staff have at all times the necessary knowledge, skills and competencies and that they are continuously being developed for performance excellence in their current jobs and future responsibilities. The division takes the lead for and coordinates the implementation of the Bank’s performance management system. The division is also charges with the responsibility for charting out career paths and planning for career succession. The division will ensure that each and every staff is accorded and receive full consideration for developmental opportunities to enhance their competencies, leadership skills and for career advancement.These activities are detailed as follows:

develop and manage a high performance Bank human resources training and development programs that enables staff to continuously learn and acquire new skills and competencies that enhance performance and productivity;

undertake comprehensive training needs assessment in liaison with Managers and Staff of the different organizational units;

foster an environment that stimulates, recognizes, appreciates and rewards good performance; promotes constant feedback and encourages open dialogue; encourages team work and fosters trust and mutual respect while requiring individual and collective responsibility;
