Welcome to SPORTSMATCHSPORTSMATCH is a scheme which supports grassroots sports projects bymatching commercial sponsorships pound for pound. The three key objectivesof the scheme are to:• encourage businesses to sponsor community sports; • foster lasting partnerships between business and community sports; and• to further develop and improve community access to sport

through quality business sponsorships.

In Scotland SPORTSMATCH is funded and managed by sportscotland, the nationalagency for sport.

We’ve tried to make the application process as straightforward as possible to give youthe best chance of success, and hope that the ‘Frequently asked questions’ section will help. Frequently asked questionsHow does the scheme work?It’s simple. We’ll match the money you get from your sponsor(s) pound for pound oneligible projects. A SPORTSMATCH panel meets four times a year to considerapplications.

What is the SPORTSMATCH panel looking for?The SPORTSMATCH panel are looking for projects that will make a difference toparticipation in grassroots sport, develop the clubs involved and/or increase communityaccess to sport. Projects that aim to deliver benefits over the long-term and providepathways for continued sporting participation are particularly welcomed – so bear allthese criteria in mind when writing your application. Priority will be given to projectswhich focus on: youth participation up to national junior elite; coaching and coacheducation; people with disabilities; recreationally deprived areas; ethnic minorities;projects encouraging increased participation and development of sport.

How much money can I apply for?Anything from £500 to £10,000.

What can I use the money for?SPORTSMATCH funding should be used in one of the following ways; coacheducation; coaching/training; facility hire; purchase of equipment; club development.

What will SPORTSMATCH not fund?SPORTSMATCH funds cannot be used for capital projects, personal clothing,administration costs, or personal equipment. See the ‘Rules of Application’ on page 3 for a detailed list.

How long does SPORTSMATCH funding last?SPORTSMATCH funding is considered for one year. If your project lasts longer thanthis, you can apply for funding again after the first year, but you must submit separateapplications for each year. If you receive funding for the first year, funding for subsequentyears is not automatically guaranteed. SPORTSMATCH will consider applications for a project for a maximum of three years, or up to £10,000.

Who can sponsor me?Although you have to be a not-for-profit group or organisation to apply forSPORTSMATCH funds, your sponsors can come from anywhere. A few moreimportant details regarding sponsors:• You are allowed a maximum of three sponsors per project (although in exceptional

circumstances, we may consider more than three).• Sponsorship can last between one and three years on any one project.• The amount sponsored must be at least £500.00 per sponsor.• Sponsorship can be cash or in kind.For more details of who can sponsor, please take a look at the Rules of Application.

What if my project is taking place all over the UK?You need to apply to SPORTSMATCH in Scotland, England and Wales as appropriatefor funds to match your sponsor’s spend in each country.

What about VAT?If you as an organisation are registered for VAT, you’ll need to charge your sponsor theamount they have offered plus VAT. SPORTSMATCH awards are not liable for VAT andcan only match the sponsorship amount excluding VAT, even if the sponsor pays VAT.

What happens if my application is successful?If your application is approved by the Panel, you’ll be sent an offer letter containing a‘declaration of acceptance’, which you’ll need to sign and return to SPORTSMATCH.On signing this, you and your sponsor agree to observe all the rules detailed in thisbooklet and any further conditions which form a part of the offer letter. You’ll also be givenfull details on the ‘final report’ that you’ll need to submit at the end of the project – this tellsus all about how the project worked, what its impact was and provides a full financialbreakdown. Full details will be supplied when your application has been approved.

Can we apply again?We welcome applications from groups who have received a previous award. Althoughpriority will be given to applicants with new sponsors or with existing sponsors whohave increased their sponsorship funding.

Rules of applicationYou can apply if:1. Your project involves grassroots sport, community sport or physical activity, with youth projects taking

priority. Grassroots sport is defined by sportscotland as activity in which beginners and novicesparticipate, i.e. those that are new to the sport or who wish to improve basic skills. Club developmentprojects aimed at improving performance and increasing participation are also considered.

All of these activities are eligible:

2. Your organisation is a properly constituted not-for-profit group involved in sport and operating mainlyin Great Britain. Professional sports bodies can apply, but only if the project in question is aimed atnon-professionals.

3. Your sponsors are profit-distributing with a trading or operations presence in Great Britain and aBritish-based representative to speak on their behalf.

You can’t apply if:1. Your project • Benefits professional sport or national senior squad members.*• Does not involve one of the listed eligible activities above (although exceptions will be made. If your

sport or activity will increase participation at grassroots, it will be considered).• Is a national or international event.**• Has started or taken place before the SPORTSMATCH panel has considered this application.

*although you can apply if your project is aimed at non-professionals, even if your organisation is a professional body.

**but satellite events stemming from a national or international event such as coaching clinics or come and try sessions,

are acceptable.

2. Your activityAnd you can’t apply for SPORTSMATCH funding to cover any of the following:• General administration or other natural running costs (including transport) not related to a specific

event or activity.• Non-sports events/projects.• Appeal funding and donations.• Sponsorship in kind that cannot be given a cash equivalent or valued in any monetary terms.• Commercial entertainment, commercial tours and investment in commercial activities.• Payment of commission to agents and consultants in PR, advertising and sponsorship.• Corporate membership.• Sponsors’ private events, not open to the general public.• Conferences.• Hospitality, event catering or entertainment costs.• Clothing.• Individual sportsmen or women.• Capital projects involving construction – such as the erection of a clubhouse; upgrading of playing

facilities including the installation of floodlights; and repairs and maintenance.• Computers, software, digital camera, or website design.

3. Your organisation• Already has a material relationship with the sponsors, other than the sponsorship of the proposed

project.• Is a profit-distributing body, or does not have an adopted constitution.

4. Your sponsor• Is a charity; sports promoter; an organisers or agency with more than one quarter of their income from

public funds; a trade association; a business club.• Has received major benefit from the sponsorship before the SPORTSMATCH panel has considered

this application, such as announcement of the sponsorship.• Is part of the tobacco industry and alcohol related sponsorships will only be considered where the

majority of participants or spectators are over 18.

Section 2 – About your sponsorsThis section tells us all about your sponsor/s and the relationship you have with them.This will help us to check on the eligibility of the request itself. If you have any doubtsabout whether your project/sponsors are eligible, please check out the ‘Rules ofapplication’ section of this form.

For each sponsor you list here, please give them a copy of the ‘Sponsor form’(photocopy the original and send out to as many as you need to) and ask them tocomplete it and return it to you, to submit with this form. Please also enclose a draftsponsorship agreement for each sponsor (see example enclosed).

Section 4 – BudgetThis section tells us about how you’re funding your project; where the money is comingfrom, how much, and what you’re spending it on. You should factor the requestedsponsorship from SPORTSMATCH into these figures.

Section 5 – PublicityOne of the requirements of a SPORTSMATCH award is that you acknowledge your sponsor’s support and the SPORTSMATCH award. Everyone approachesacknowledgement differently, depending on the organisation and often, budget; thissection gives you the chance to tell us how you’ll promote both SPORTSMATCHand your sponsor.

AgreementBy making an application to SPORTSMATCH you are agreeing to abide by the rules of the SPORTSMATCH scheme. SPORTSMATCH is a competitive scheme – there is a limited budget and the SPORTSMATCH panel will base their decision on themerits of the applications as presented. There is no guarantee that an award will bemade and decisions of the panel are final.

Coordinator declarationThis should be signed by the person who completed this form – the main contact for the organisation as outlined in Section 1.

*Your constitution or memorandum and articles of association must contain both a required dissolution clause stating that “if wound

up, any remaining club funds will be transferred to another organisation having aims and objectives similar to that of the club” and a

membership clause stating that “membership is open to all”. If your constitution does not include these clauses, you will be

requested to sign a declaration agreeing to adopt them at your next AGM.

Your constitution should contain the following clauses. If it does not, please sign and return thedeclaration below agreeing to amend at your next AGM.

Membership: ‘Membership is open to all and no application for membership will be refused on otherthan reasonable grounds. There will be no discrimination on grounds of race, occupation, sex or religious,political or other opinion.’

Dissolution: ‘If, upon the winding up or dissolution of the *Club there remains after the satisfaction of allthe *Club’s debts and liabilities any property whatsoever, the same shall be given or transferred to someother organisation or organisations having objects (that is, aims and activities) similar to the objects of the*Club, such organisation or organisations to be determined by the members of the *Club by Resolutionpassed at a General meeting at or before the time of the dissolution, and in so far as effect cannot begiven to such provision then to some charitable objects’.

Equity: The *Club operates an Equal Opportunities Policy where no one is denied the right to equalaccess on the grounds of age, race, creed, colour, gender, disability, occupation, religion, sexualorientation or political persuasion or marital status or having or not having dependants. Where there is equality of opportunity in terms of the playing rights and the rights of members to attend generalmeetings, vote and hold office.
