EGSS Meeting Minutes
Date: February 22nd, 2017

1. Approval of February 8th meeting minutes
a. JI and AO approve
2. Approval of February 22nd meeting agenda - AO and DH approve

3. Solidarity Budget - EC
EC, DH, and Carole Spake met to review applications.
1)Request for $1000 McGill Dept of athletics and Lacrosse foundation: money for refs,
gatorade, medical professionals. Involvement of EGSS students is unclear. EC requested
more information. Could provide $500 but is conditional and definitely maximum that would
be provided. JI - how many students are in MTL this summer and going to participate? AO -
not a student initiative. EC - waiting for response, will revisit. JI - event is getting a lot of
publicity.
2) Exercise Medicine Speaker Series. DH - 3 speakers scheduled, asked for $150 for food for
participants. EC - evaluated, relevant for DISE, KPE, and ECP, student led.
3) HD Conference: $500 for reserving poster boards, abstracts are open to anyone in EGSS.
Granted
4) Collaborative Mental Health Conference: $1000, looked in budget and propose $600 to
facilitate speakers or food allocated as they see fit.
5) School Psyc Student Association Awards Night: $465, student awards night, money put
towards food, awards, and roombookings. Very exclusive to one sub-category of EGSS. Try to
make it more inclusive. More appropriate for discretionary funds
6) Provoking Curriculum - $500 for meals and another $500 award. Appropriate for meals
not award.
Proposed dist of funds = $2250, including if we fund Lacrosse. Going into reserve. EC &SS,
might be able to promote Lacrosse at conference. Once EC hears back, will send out a
doodle for voting. Might reallocate to CMH conference if Lacrosse is not funded. Provoking
curriculum already happened, does not fall into application criteria therefore $1000 CMH
will get $1000 since school psyc can use discretionary funds. Will keep lacrosse at $500
pending email and PG - include a clause where they have to include various ways for EGSS
members to be involved at conference - all in favour. Exercise medicine speaker - all in favor,
CMH conference - all in favor, HD - all in favor, school psyc - all in favor, provoking
curriculum - all in favor of refusal.
4. Review of social/conference budget - EC
Carole set $4000 for the budget for the conference - will have to cover wine and cheese. JI -
There will still be a social after GA. SS - conference update, have second keynote speaker
confirmed.
5. McGill 24 Fundraising Event - EC & JI
24 hours to reach out to alumni to raise money, started last year. Setting up a hotspot, we
are looking for volunteers to check if people have posted a picture - they get pizza. Also they
are making videos and they asked us to make a video of why you are proud to go to mcgill.
Has to be done before Feb 28. Take a video and send it to the account - EC will send email
with details. At next meeting we will discuss who can volunteer. On March 15.
6. Recap GSEA Feb Draw - DH
Travel awards - had 32 applications and reallocated money from speaker series to increase
from 5 winners to 9. Gave priority to people without funding and then everyone.
7. Recap Speaker Series - DH
Had 5 speakers and 3 judges who gave feedback. Wants to try and maximize the number of
small student awards that we can give out. 17 people got a small contribution to date. JI -
maybe do spotlights for who got sponsered from EGSS for conferences.
8. Plans for EGSS Fellowships - DH
Will put together a rubric, everyone will read anonymous versions and select winners.
Planning to finish budget balanced with nothing left over to maximize fellowships
9. Legal Clinic - EC
Legal Information Clinic, non-profit at McGill. Want us to promote the fee increase but they
didn’t include what that is. Want us to send out email when they begin campaigning. EC will
forward email to everyone. DH - instead of sending emails, could include it on website and
newsletter
10. MATL Capstone Event - EC
Followed up- no room to fund currently but will review her receipts if she provides them.
Contact is currently out of office. Should she receive money, it will be clear that this is an
exception. Motion is in place to conclude this situation, updates will follow
11. Faculty Fellowships Update - DH
Applications for fellowships are out, they are all on the same form but are sent to
department and deadline is dependent on department. EGSS should encourage members to
apply
