EGSS General Assembly Meeting Agenda
September 22, 2016 @ 6:00PM

1. Approval of August 25 meeting minutes (1’) – JA, JI, DH

3. Welcome to all non-executive council members (DH-2’)

4. Executive Council Introductions (Powerpoint- exec to present their own slide- 15’)
5. Proposed Budget 2016-2017 (CS-5’) + Questions from audience (5’)
- Student funds go towards: speaker series, conference, social, travel awards, fellowship,
secretary.
- Have a cap of 20% of total to spend on solidarity and other expenses. Is hoping to minimize
expenses so majority can be placed in solidarity fund.
- For conference, big difference, last year spent 3.95% = $493 – not what happened, they did
a great deal of fundraising ($7,000) did not have to spend that much. This year allocated
more to conference
- For fellowship, will be 20%. We have a higher budget than last year. Is same percentage
but results in a higher amount. Hope to also increase spending on speaker series.
- Hope to spend reserve, cap of $5,000 on solidarity fund if have no long-term expenses
- Might give budget to other departments – allocate some funding for the departments to
host their own events
- J.A. – How would that differ from Solidarity? D.H. it would be larger scale, more people, by
department, allow them to have their own events. Maybe the dept reps could allocate the
funds, A.O. allows for depts. to bond. – Should be a ratio per dept size G.P. would be a single
pot of money that depts. would all take out from. – J.A. can we check online to see if this
has been done before and bring it back to the next meeting?
1. Upcoming events-
a. GSEA/Solidarity fund applications (DH-5’)
- October 15 deadline for travel and for Solidarity funds = student initiatives,
formalized applications
b. Social (?)- JI- 5’
- Main goal is to throw a formal at the end of the year, goal is to have people
come to EGSS events. JA connect it to conference instead of wine and cheese.
- DH - PGSS BBQ, met some new students
c. Update on Conference (?)- SS- 5’
- SS – there is an organizing committee that plans throughout the year and then
closer to the event there are subcommittees. People are welcome to be involved.
An idea she had was something that talks about culture, community, and access
for everyone. Trying to incorporate everything that the council does
2. Elections- Announce first round nominees (DH- 5’)
- Emma Clark – president for first round nomination. Second round has 4 positions available,
importantly the PGSS councilors, closes in a week. Voting takes place October 3rd.
3. Elections- open up second round of nominations (DH-1’)
4. Open Discussion from non-exec members (15’)
- Emma Clark (EC): fostering cohesion among departments social and developmental events.
Wants to continue networking with the departments to cut isolation and have a big
celebration at the end of the year.
