PAPERLESS SOLUTIONS ARRIVING EVERYWHERE

Every so often, a business trend

with the potential to revolutionize

an industry enters the arena.

Company leaders are often tasked

with recognizing which of these

fads will stick around and result in

lasting benefits for those who

adopt them.

However, those that fail to

implement a growing trend early on risk giving competitors the chance to seize the

rewards for themselves. There were certainly some business owners that were hesitant

about the rewards paperless solutions could provide their organizations with, but as the

tendencies of the economic world become more environmentally conscious, tools like

document management software and invoice automation are becoming commonplace in

a variety of sectors.

From the White House to the classroom

The advantages of eliminating paper far exceed those applicable to the office. Small

businesses may come to mind when people think of institutions that use a lot of paper,

but government agencies and even schools are notorious for using vast quantities of the

material as well.

If business owners aren't yet certain that paperless solutions are ideal for them, they need

only look to one of the many enterprises that have already introduced one to see if its

applications merit implementation. Many industries are embracing the green movement

sweeping through technology to do things never before thought possible.

Classrooms are beginning to harness new devices and software to improve the learning

process and bring collaboration to a whole new level, according to TIME Magazine.

Homework assignments can now be completed online, textbooks are available in a digital

format and even teacher presentations can be followed by students on their personal

devices.

Not only does this streamline many processes that were once dependent on paper, but

over time it reduces the costs of necessary materials and the hourly wages paid for

handling all of these documents. The methods through which kids learn today are

becoming more intertwined with technology as time goes on. One day it might be a rare

occurrence for a student to bring in a notebook to class or hand in a sheet of paper.

Even the highest level of government in the United States acknowledges the shift away

from paper. The White House has encouraged all agencies to accept paperless alternatives

with the same legality as their physical counterparts, and have developed standards and

guidelines to ensure everything from a digital social security check to an e-signature is

accepted by the government, according to the Executive Branch's official website.

Establishing a sense of continuity

Every time something major changes in people's lives, there's a period of adjustment.

Usually, these modifications are for the best and, over time, replace their predecessors to

become the new norm of the industry. When DVDs replaced VHS tapes, everyone

eventually had to buy a DVD player to keep up with the new medium.

While it might be some time before paper is replaced completely, it's important for

businesses to have the right tools and formats in place to coincide with those they'll

interact with. As more people and companies embrace paperless solutions, people will

come to expect such an option is available, if not mandatory.

It only takes one person to disrupt electronic workflow, sometimes adding hours or even

days to the process by throwing paper into it. This could be a major factor to whom some

organizations do business with, and affect client relationships.

Enterprises that have yet to break off the shackles of a paper-filled office should start

doing so before paperless becomes the new standard in their industries. Converting files

and documents takes time, and should be started as soon as possible to reduce a

business' carbon footprints by as much as possible while also digitizing all incoming data

immediately.
