TALLAHASSEE AREA CHAPTER OF NIGP

MESSAGE FROM THE PRESIDENT

July 2011 –The fiscal year has just ended and many of you are still finalizing paperwork from end of year transactions. Congratulations and pat yourselves on the back – you’ve done it again! If you haven’t yet, now is the time to schedule some time off to enjoy yourself, your family and all the sights and activities Florida has to offer. This month we celebrate Independence Day, “4th of July”, commemorating the adoption of the Declaration of Independence in Philadelphia in 1776. Bastille Day, July 14, commemorates the anniversary of the storming of the Bastille starting the French Revolution in 1789 and the uprising of the modern French nation. Parents' Day, an American Holiday celebrating parents who provide for strong families to make a strong America falls on July 24. Remember to “Get a Plan” for your family in the event of a disaster! Visit the Division of Emergency Management’s website for tips and guidance at http://www.floridadisaster.org/ Our Pro D chair has lined up a great luncheon meeting for July 12 – see Tim’s message below. I hope to see everyone there! *Save the date – October 11, Products Expo, Destination – Success! Your Board, as always, invites your comments, suggestions, volunteerism and feedback – please contact any of us or drop a note to [email protected]. Your vision will become clear only when you look into your heart. Who looks outside, dreams. Who looks inside, awakens. ~Carl Jung

JUNE MINUTES BOARD MEETING Date: June 21, 2011 Location: 4050 Esplanade Way, Room 101 Members Present: Donna Smith, President; Tim Ellinor, Vice President; Mark Lovell, Treasurer; Susan Barr, Secretary; Wendi Sellers, Immediate Past President; Board Members - Dave Callaway, Charles Day, Gloria Dixon, Bill Spencer, Ed Valla and Brenda Wells; David Bennett, Trade Show Chair; Jessie Moseley, Newsletter Editor. Members Absent: None President Donna Smith called the meeting to order at 3:31 PM. Minutes for the May Board Meeting were approved. Susan Barr motioned and Mark Lovell seconded. Motion passed. Old Business: Jessie Moseley is calling and communicating with the membership for renewals and correcting information in the Chapter’s database. President Donna Smith brought up that last year the purchasing conference with the trade show gave the membership an opportunity to earn points. The reverse trade show in March did not allow for training and suggested we have a free seminar this year. Discussion brought a motion from Mark Lovell to have a free half-day seminar on November 8th after the elections at the Leon County Civic Center from 1:30 – 4:30 and include a purchasing-related speaker during the lunch. Bill Spencer seconded the motion. Motion passed. Treasurer Lovell suggested moving the NIGP money from Hancock Bank to SunTrust Bank. There have been additional fees charged that he is having difficulty correcting to rectify the problem. SunTrust has better customer service and better interest if the accounts are linked. Donna Smith motioned to move NIGP accounts to SunTrust Bank. Ed Valla seconded the motion. Motion passed. Trade Show (TS) Update: Trade Show Committee Chair, David Bennett stated that 56 vendors are the break even point for the TS and the committee has a goal of 125 vendors. AGS contract for decorating was not fully executed and included a 20% increase from the previous year at a cost of $125 per booth. In soliciting quotes, the committee found In Tents Events quoted $50 a booth with an 85 booth minimum. The final negotiations with the Civic Center are almost complete with the parking still pending. David met with the State Purchasing Director seeking support and requested the Governor to speak the first 20 minutes of the TS and cutting the ribbon. Claudia Cooper is seeking a motivational speaker for a 30 minute slot that is available. At next scheduled TS bi-weekly committee meeting, volunteers will be identified. Mark Lovell stated that if there is a 200 booth maximum and with the Governor’s participation, vendor and member attendance should be excellent. We need to set booth/sponsorship prices (July Board Meeting) and include a “Special Event” night with newspaper/TV coverage on October 10th for sponsor-level vendors. A theme of “Economic Opportunity” or something similar to that effect, making it an opportunity theme. Mark is trying to secure the Double Tree as the possible host hotel. Charles Day suggested “”Let’s Get Down to Business.” New Business: Treasurer Lovell brought up the number of members that continually sign up for the Chapter meeting luncheon and do not show up. The chapter pays $16.00 for each no-show and there were 14 no-shows at the June luncheon. The 14 no-shows cost the Chapter an additional $224. The Chapter cannot continue to pay for habitual no-shows. It was suggested to bring the issue before the membership for a decision. Wendi Sellers will take a straw poll of the no-shows for lunch and the amount of money the Chapter pays. It was suggested that an e-mail be sent to all members explaining the problem and asking for solutions. Scholarships; Treasurer Lovell motioned to amend the $5500 budget for scholarships and move the Hittinger scholarship of $500 to the Ed Judge scholarship fund due to the increase NIGP rate increase and agency reduced funds. Dave Callaway seconded the motion. The motion passed. Susan Barr suggested pursuing grant money from other sources to support our local Chapter for education. Adjourn Wendi Sellers motioned to adjourn. Bill Spencer seconded. Motion passed. Respectfully submitted by Susan Barr, 2011 Secretary – Tallahassee Area Chapter of NIGP
