Administrative Assistant II Purpose Purpose: Provides highly skilled administrative support to the TMAC Director and other Business Operations staff. Coordinates key cross-regional TMAC activities related to the Advisory Board, Operations Committee, and Marketing Group. Initial point of contact for callers to TMAC. Administrative Assistant II

Purpose

Purpose:

Provides highly skilled administrative support to the TMAC Director and other Business Operations staff. Coordinates key cross-regional TMAC activities related to the Advisory Board, Operations Committee, and Marketing Group. Initial point of contact for callers to TMAC.

Essential Functions

Function 1:

Responsible for daily management of the TMAC office in Austin.

15 % Time

Function 2:

Handles scheduling and correspondence for the TMAC Center Director.

15 % Time

Function 3:

Maintains travel budget, including making all travel arrangements for staff and preparing travel reimbursement vouchers.

15 % Time

Function 4:

Coordinates TMAC Advisory Board, maintaining membership records, organizing meetings, etc.

10 % Time

Function 5:

Serves as administrative liaison with the other partner organizations in TMAC (Executive Council members).

10 % Time

Answers the TMAC 800 number, records leads in the Customer Relationship Management (CRM) system and assigns to appropriate region.

10 % Time

Function 7:

Utilizes the TMAC CRM system to generate reports for the Center Director and others.

10 % Time

Function 8:

Participates in the TMAC marketing group, helping to coordinate cross-regional activities. Coordinates logistics for the annual staff conference, monthly operations committee meetings, and other periodic events.

15 % Time

Qualifications Required Qualifications:

Bachelor's degree with 2 years upper-level secretarial experience OR high school or GED with 6 years of increasingly responsible administrative, secretarial and clerical experience with 2 years of supervisory experience. Proficiency with Microsoft Office (Word, Excel, PowerPoint). Excellent verbal and written communications skills. Preferred Qualifications:

Experience with the DEFINE record-keeping system (UT Arlington's data management/accounting system). Excellent communication skills.
