Our Area Contests are complete. We will have a big chorus contest and a HUGE quartet contest; lots of discussion underway right now as to how we are going to schedule this contest. The Quartet Semi-Final Contest will take place on Thursday starting in the afternoon and running through the evening. If you are in the contest or want to take in the full Quartet Semi-Finals you should arrive Thursday morning. Heck, come on Wednesday so you can attend the Opening Ceremony! Out-of-Area Vendors The Hospitality Room is large and we would like to fill it! If you are not from Area 2 but you are interested in a sales table contact, Anne Leinen, [email protected]. Something New with the Parade of Champions! The Parade of Champions is moving to Friday evening. There will be no tickets but you will be able to make a donation. The out-going Chorus Champions and Harmony Queens will perform their “swan-song” packages and the Queens will receive their permanent crowns on the Parade.

Pre-paid Dinners are available Friday (pasta dinner, $28 inclusive) and Saturday (Showcase Dinner $43 inclusive). Vegetarian, vegan or gluten-free meals are offered at the same price; we will try to accommodate other dietary concerns. Orders must be postmarked by October 1, 2016. Rehearsal rooms are available for choruses on Thursday. Sign up in the Hospitality Room. There MAY be some space available for individual Chorus rehearsal rooms and/or Breakfasts on Friday morning. No space will be allocated until after the chorus contest schedule is published in September. For a spot on the breakfast waiting list, email [email protected]. Hotel Request Forms can be emailed or postmarked on July 15 but NOT before and must be sent before September 29 after which neither rooms nor the convention rate is guaranteed.

U.S. Chapter Tax Filing Reminder and Instructions - UPDATE Amy Johnson, VP Finance ([email protected])

As stated in the Harmony, Incorporated manual, Section 4, Page 4.14, under “Chapters”, item #3: All Chapters operate with a fiscal year of April 1 – March 31. U.S. Chapters should be gathering the necessary information to prepare their US tax return, form 990. Most, if not all, Chapters will file the 990-N postcard, as you have done in the past. Form 990-N is filed electronically and must be filed by August 31, 2016. If your 990-N is rejected, it will mean you must complete form 990EZ, and mail it to the IRS by August 15, 2016. Form 990EZ asks for our Group Exemption number which is #6067. I would recommend mailing by some sort of traceable delivery confirmation form. Please do not wait until the last minute to handle this task. The mailing address for form 990EZ is: Department of the Treasury Internal Revenue Service Center Ogden, UT 84201-0027 NOTE: There has been a slight change to the process for filing electronically. Once you have submitted your form, you will not receive confirmation right away. You will need to log back in a short time after filing, and make certain your status has changed from “pending” to “accepted”. Once your status is showing as “accepted”, you can print, using your browser's print function, the page showing status as “accepted”. There will not be an opportunity to have an electronic confirmation e-mailed to you. The “accepted” confirmation, not a copy of your form, should be forwarded to the VP Finance, at [email protected] . Please forward any questions you might have to the VP Finance.

Funding for Youth AEP’s for 2016 IC&C Donna McKay, Director of Membership ([email protected])

I have great news! We are pleased to announce that all Youth AEP’s for this year’s IC&C in Providence will be fully funded by money held in trust for youth programs. This year, our youth members are not required to participate in the Minor Chords Chorus to receive these funds; however, we encourage all our youth members to participate if they’re able. As a reminder, funding for Youth AEP’s is determined by the International Board of Directors twice a year contingent on availability of funds. Determination is made at the Annual meeting for AC&C funding and at Mid-Year meeting for IC&C funding.

Nomination deadline is July 31, folks, so you’ve got less than a month to get your nomination in…or…do it NOW, get it done, and give yourself a pat on the back! The May E-Note has a full description of the Image of Harmony Award, and June E-Note shows the list of eligible quartets. There are some really nice, giving quartets in our midst, and they never ask for praise or reward, but wouldn’t it be wonderful to give them the accolades they deserve?

Last year, we awarded two people the Youth Member of the Year. This year, let’s award one in each Area! PURPOSE: To encourage youth members to become more involved in their chapter, Area and Harmony, Inc. as a whole. One youth member from each Area can be recognized annually as a Youth Member of the Year. Their community involvement may also be considered in the case of a “close contest”. ADMINISTRATION: Each year, chapters (or individuals) nominate youth members for recognition of their activities and involvement within their chapter, Area, and Harmony, Inc. Chapters will receive guidelines and the nomination form by July 1st of each year, and nominations are due by September 1st. These forms are also available through the Members Only site, under Forms. Nominations will be reviewed by committee, including the Youth Programs Coordinator, Director of Membership, and corresponding Area Director.

Exciting Schedule and a Full Quartet Contest Nancy Arkin, VP Convention & Contests ([email protected])

As you all know by now we will be enjoying a new schedule at IC&C in Providence, RI. What you may not know is that 44 quartets have qualified for the Quartet Contest at IC&C. Wow! Congratulations to all of our quartets. While we wait to hear from each quartet as they make the decision to compete, we are asking for your patience with the Thursday schedule. We do know the Quartet Contest will be on Thursday, but it is the timing of the contest that we are currently working on. There can be no final decision until all of our quartets have had a chance to inform the Executive Secretary

if they are going to compete. Thank you for your understanding – we are looking forward to an incredible contest!

Attention: All Canadian Youth Members Jen Wheaton, Youth Programs Coordinator ([email protected])

The Jacquelyn Klooster Minor Chords Scholarship As Canadian Youth Members (25 years and under), you are eligible for the Jacquelyn Klooster Minor Chords Scholarship to help you attend IC&C in Providence this year. This is a $500 scholarship, and all you have to do is apply, attend, and sing with the Minor Chords. This scholarship is funded by the family of Jacquelyn Klooster and The Over Tones, Inc. chapter of Harmony, Inc. and is designed to assist Harmony, Inc. youth members who are 25 years of age or under, to attend the International Convention & Contests to sing with the Minor Chords chorus. The following Criteria must be met: a. The applicant must be a Youth Member, in good standing, of Harmony, Inc. b. The applicant must be able to arrive at IC&C in time for the rehearsal of the Minor Chords. (Usually Thursday) c. The applicant must be a resident of Canada. (This is different from past years due to location of conventions) d. The applicant cannot have received the scholarship in the previous two years. Applications must be submitted to the Selection Committee by July 20 and decisions will be announced to the applicants by July 31. (the form has different dates…don’t worry about it) The Application will include: 1. A letter from the applicant describing what belonging to Harmony, Inc. means to her, Harmony, Inc. activities/events in which she has been involved, why she wants to attend IC&C and sing with the Minor Chords. 2. A letter of reference from a member of the applicant’s Chapter 3. A statement from the President of the Chapter (or Area Director in the case of an Associate Youth member) indicating that she supports this application 4. If the applicant is under 18, a letter from her parent(s) or guardian, indicating that they support this application, and who will serve as her sponsor at IC&C. The application can be found on the Harmony, Inc. website (members only section) under Forms - HAR-086. Please email Jen Wheaton at [email protected] with any questions.

Do you wish you could tell the rest of Harmony all about the great time you had and the fantastic performances you witnessed and participated in at your AC&C? And would you like to know the inside story on other Area conventions? Would you like to tell our membership about the difference you’re making in your local community or the super membership drive you had and the difference it’s made in your enjoyment of our art form?

Now you can! The International Board of Directors has agreed to increase The Key-Note’s publication cycle from once-a-year to twice-a-year. Currently, our magazine is mostly a “yearbook” highlighting the activities at IC&C. We see the Summer issue as a place to cover the Area conventions and highlight the activities of individual choruses and quartets as well as provide educational articles and previews of coming events. To do this, we need your help. By AUGUST 15, we need your stories and photos (don’t forget the photos!) from AC&C and any activities in 2016 that you’d like to highlight. I’ll bet you already put a bunch of this on Facebook and your website. So why not collect it in a document and send it to [email protected]? Editors are standing by!

They’re Back – SiNG and Find Your Voice Car Magnets! Anne Leinen, Director of Business Services ([email protected])

For a limited time, Harmony will be pre-selling SiNG and Find Your Voice magnets to chapters, for pick up in the Hospitality Room in Providence at IC&C. This is your opportunity to replace members’ old cracked magnets or magnets that fell off in the car wash with a shining new one. This is also an opportunity for newer members to purchase a magnet for the first time. Here’s an idea - have your chorus purchase a

bunch of each magnet and give one to prospective members who walk through your doors on a guest night (everyone loves a little swag!) and the other magnet when they become members. This is an easy and inexpensive way to proudly show our membership in Harmony, Inc. throughout our communities. Details:

Both magnets are 4”x 6”, designed for outdoor use

Cost of magnets are $2.00 each if ordered for pick up in Providence – cheap!

Leftover magnets from the presale will be for sale in Providence for $3.00 each (save $$$ and

use the presale discount!)

Minimum order is 15 magnets, of any combination.

International Chorus in Providence, Rhode Island Nancy Flagel, Music Coordinator ([email protected])

Looking for a wonderful opportunity to sing with 99 sisters of Harmony! How about being part of the

International Chorus at IC&C? This year the International Chorus will be directed by the current

Champion Chorus Director, Jeanne O’Connor. Jeanne has chosen When Will I Be Loved (arranged by

David Wright) as this year’s song. Sheet music and a learning track will be provided to each participant.

The International Chorus, which performs each year during score tabulation at the end of the chorus

contest, is a wonderful way to bring all of our chapters and Associate members together as one in a

large (up to 100 particpants) chorus. International Chorus rehearsal is currently scheduled for Thursday,

November 3, from 4 – 4:50 p.m.; however make sure to consult the final schedule when posted.

If you are an Associate Member, we have a spot for you on the risers! If you are a member of a

participating chorus, we have two spots on the risers for members to represent your chorus! Talk to your

chorus leaders and let them know you are interested in representing your chorus. If you are a member

of a chorus not participating in the IC&C, we may still have a spot for you, too! You just never know if

you might be called upon to fill in. So let us know your interest.

If your chorus would like to be assigned parts in the International Chorus, please have ONE PERSON

Over the past few years, the Sea Belles Chorus has utilized the Find Your Voice Program with great

success! They establish a “plan” to employ all types of media in their recruiting efforts, including

newspaper, TV, arts calendars, all types of social media, as well as printed marketing pieces. This

article shares what has worked well for them in the past, as well as what they’re considering for the

future. I hope you get some great ideas for your chapter!

SING CANADA HARMONY SCHOLARSHIP FUND

Trinda Ernst, Past International President, Board member of Sing Canada Harmony Scholarship Fund, and Assistant Director of Valley Voices, Area 1. www.SingCanadaHarmony.ca

This Canadian registered charity has, since 2008, awarded more than $420,000 CAD in scholarships to hundreds of Canadians to become better singers and music leaders in their organizations and communities. Recipients include members of Harmony, Incorporated, the Barbershop Harmony Society and Sweet Adelines International, who attend local, national and international choral education sessions, including Director’s College and Harmony University, and receive coaching. Other recipients use funds to pay for music and supplies for community and school choirs, vocal music lessons, and tuition at special music programs, university and youth initiatives, such as Harmony Explosion Camps, across Canada. In the past scholarship year (ending June 30), Sing Canada Harmony awarded $76,784 CAD to groups and individuals, including $7,340 for members of Harmony, Incorporated. Most individual recipients used their awards to attend Harmony University. One chapter received funds for coaching. Most donors are members of the Barbershop Harmony Society, who are especially generous in memorial gifts for deceased barbershoppers. Our donor recognition program is similar to that of Harmony Foundation, a charity associated with the Barbershop Harmony Society. We recognize, at the leadership level, those individuals who give a minimum of $1,000 CAD per year (President's Council) and those who give a minimum of $120 per year (Ambassadors of Song). In addition to individual donors, we also gratefully receive donations made by quartets and chapters in honour of a coach or judges at AC&C or in memoriam for a deceased member. We appreciate the ongoing support and recognition given by Harmony, Incorporated to our efforts to assist members of the barbershop community and youth, so someone will sing tomorrow. Potential Canadian Postal Disruption

The Canadian Union of Postal Workers are positioning themselves to possibly go on strike. A strike by Canada post would affect any forms/payments that would normally be mailed to the Executive Treasurer, from Canada or the U.S., as well as any outgoing payments to either country. U.S. citizens can continue to mail forms and payments that would normally go to the Executive Secretary or the Convention Registrar as usual, however Canadians will need to use electronic forms of payment and email to do business, should the Candian Union of Postal Workers go on strike or face a lock-out. In order to ensure that your forms/checks are not held up during the course of a strike, please email the Executive Treasurer [email protected] for instructions on the best way to proceed, before putting anything in the mail to her. Be reminded that we can accept payments by PayPal from Canadian and US members by using the link on the members-only section of the Harmony Inc. website. We can also accept email money transfers from Canadians only. Requests for payment can be forwarded by email. In this event, please indicate if you can receive money by PayPal (and/or email transfer for Canadians).
