Executive Summary

Tell Your Story. Reach Your Highest Potential. As an organization, each year we strive to live up to our responsibilities to improve the lives of our members. We do this by creating memorable experiences through engaging and inspiring events, by providing unique opportunities for members to develop their leadership skills and collaborate on exciting work they can feel proud of, and by building a strong platform between corporate recruiters and our outstanding talent.

This year was one of records—a record number of events, a record number of recruiting companies attending our corporate mixer, a record number of active members, and a record number of opportunities for students to grow and reach their highest potential. We would like to touch on a few of the opportunities we introduced this year.

We started UFAIS Labs, a software development group where members solve problems using technology. The group created a number of products that have already been integrated into our club operations:

UFAIS Social, the first dedicated social network for a UF student organization. Interactive Resume Book, which allows recruiters to find and match their positions to our talent. Real-Time Voting App, we are one of the few organizations in the country who votes in its officers

through a custom-made web application.

We shared the magic of technology with those less fortunate by launching our Early Computer Education volunteering program, where we taught basic computer skills to underprivileged children.

We also created magic of our own through a number of inspiring activities including the creation of Around the Globe international student documentary film, and the Art & Culture Night where members performed and showcased their talents outside of IT.

This year we told our story: a story of unique triumphs for each and every one of our members. They grew personally, they developed career opportunities, and they achieved their goals.

This year belongs to them.

Corporate Relations We have an obligation to our members to provide them the best career opportunities. Through collecting contacts from our members and alumni, researching and pursuing new companies, and communicating with recruiters on a constant basis, we have created a network of companies that recruit regularly from UFAIS.

Corporate Mixer This year over 25 companies recruited directly through UFAIS. Our premiere event, held the night before the UF Career Showcase, is our Corporate Mixer-- a casual networking experience between our members and recruiters. Our recruiters use the event to not only address student questions to help members determine whether the company is the right fit for them, but also as an opportunity to identify high potentials before the Career Showcase the next day.

Information Sessions This year we held a record 16 corporate information sessions where companies presented employment opportunities directly tailored to our members. These sessions allow members to ask questions and gain valuable understanding about these companies, and in turn allow recruiters to identify key talent for their recruiting efforts later on.

Virtual Information Sessions Technology has allowed information sessions to accommodate recruiters’ location and schedules. We conducted Skype-based virtual sessions with various companies, including PwC and Accenture. Employees from multiple locations participated in real-time with a classroom-filled audience of our members.

Professional Development Our members possess the raw talent and technical ability to excel in any career. UFAIS is focused on giving members the tools to reach their highest career potential by familiarizing them to the “game” of recruiting and the sometimes-awkward or unnatural practice of speaking about oneself. We give members unique opportunities to practice the habit of telling one’s own story to enhance their career and personal lives.

Ace the Showcase - Member Interview Panel An interactive discussion panel consisting of and moderated by UFAIS members who had been successful in the recruiting and interview process of the UF Career Showcase. Students had the opportunity to learn from the panel about how they landed that perfect opportunity and their experience at that company. The panel shared their stories, addressing common challenges and offered their tips for success. The event featured an Anonymous Question Web Form for the audience to submit the important questions they were uncomfortable with asking in person, leading to a more vibrant and insightful conversation.

Mock Mixer We believe in learning by doing. Approaching recruiters at both our Corporate Mixer and the Career Fair is very intimidating. Our Mock Mixer creates a safe environment to practice speaking by having our officers, senior members, faculty and career advisors pose as corporate recruiters for the companies that will appear at the real Corporate Mixer. We provide feedback and suggestion on their approach, knowledge about the company, body language, and conversational skills.

Ace the Interview - Member Interview Workshop We dive into analyzing members’ résumés and building captivating stories around their accomplishments to tell at interviews. Students practiced their interviewing skills and improved their self-confidence through mock interviews conducted by UF Graduate Business Career Services advisors, and Karen Ramones, Corporate Recruiter at Infinite Energy.

Ace the Internship - Member Intern Presentations Ace the Internship serves the dual purpose of introducing new members to the variety of industries and company opportunities available for IS and Supply Chain majors in addition to providing insightful tips on how to make the best of an internship opportunity. Past interns share their day-to-day experiences, how they determined they were a right fit for the company, and what they did to stand out and ultimately receive full-time offers.

Future Leaders of AIS (FLA) & Guest Speaker Series

FLA is a mentorship and leadership development program tailored for a small group of members covering topics on leadership and interpersonal skills. Not only did we teach students ways to stand out and lead, we invited inspiring C-Level guest speakers to share their leadership experiences, including Rich Blaser, CEO of Infinite Energy, and David Tarabocchia, Director of CIO Advisory at KPMG.

UFAIS Labs Software Development Group Co-founded by the Presidents, Vivek Narayan and Alexander DiNardo, AIS LABS’ purpose is to allow members to collaborate around solving problems using technology. Members were introduced to new software languages and frameworks and learned how to work together in a team to meet deadlines to produce tested products that are now implemented and used daily in our organization. Three products were developed through this group this year:

1. AIS Social Network & Interactive Résumé book – The first dedicated social network for a UF student organization. Members can create profiles and search for others around common skills and interests. Company recruiters are also now able to find students that match their criteria and view their résumés through an online database located on www.ufais.com.

2. AIS Real-Time Voting App - allows members to quickly place their votes through an electronic device (computers, tablets, phones) rather than on paper. To vote, you had to be an AIS member (login required) and physically located at UF (based on IP address). The result: we reduced the likelihood of error and the time spent during elections.

3. AIS Online Payment - Allows students to pay their dues online through Paypal.

Community Service One of the fundamental values of UFAIS as an organization is giving back. Community service allows members to become well-rounded and help share the magic of technology with others. This year UFAIS held seven volunteering events, where the emphasis was for making a difference in our community.

Halloween Food Drive This Halloween we donned our costumes and participated in a community wide “trick or treat” event, where members went door to door collecting canned and nonperishable items for the “Bread of the Mighty” food bank. (www.breadofthemighty.org). The organization distributes the food to the hungry and to those who are in need. Through this event we were able to collect 126 pounds of food, which equated to 97 meals for the hungry, in 1.5 hours.

Alachua County Humane Society Who doesn’t love working with cute and cuddly animals? We helped Alachua County Humane Society (ACHS) perform routine chores including taking pets out for a walk, cleaning their dishes and dwellings, and giving the animals the love and care they deserve.

Early Computer Education UFAIS collaborated with Dr. Maria R. Coady, Associate Professor of ESOL/Bilingual Education at University of Florida. Our members met with elementary school children regularly for five weeks and taught them essential computer skills, such as Microsoft Word, PowerPoint and Excel. At the end of the program, children created various projects to illustrate their competency with technology, including the creation of a personal website using an online website building tool ‘Weebly’.

Social Events UFAIS created a year-long calendar of social and networking events to allow our members to get to know each other outside of classes. Our goals this year was to focus on athletics, expressing one’s passions, and embracing cultural heritage and our organization’s ethnic diversity.

Art & Culture Night Social @ Pascal’s Coffeehouse An intimate and magical event where members shared their passions and talents outside of IT. We took over a local coffeehouse for the night as members performed instruments, vocal, and dance performances. The night brought members closer together as they showcased talents and sides of their personalities not normally expressed in classes and their careers.

AIS Olympics / Intramural Sporting Events In order to encourage more students to participate in sports related events, this year we added a competitive element where we kept track of students’ participation each week. Events included badminton, racquetball, tennis, bowling, and concluded with team-building activities at Lake Wauburg.

Around the Globe - International Student Documentary Our members desired to capture the international student experience. Together what they produced was extraordinary: a 20-minute documentary film featuring interviews from nine UFAIS Members. The film featured members’ stories of journeying to the U.S.A. to study and pursue their career goals. They shared the personal challenges and cultural differences they faced, the stigma of being an outsider in a foreign land, and finally how they came together to grow and learn about the place around them to find friendship. We premiered the film at our international celebration where members brought dishes that represent their heritage. Pins were placed on a world map to show the diversity of cultures that make up our organization. We also encouraged local ethnic restaurants in Gainesville to attend and promote their cuisines as further testament to the diversity of cultures present in our local community.

Other Social Events

LAKE WAUBURG SOCIAL A UFAIS tradition where we say goodbye to graduating members through a cookout and social at nearby Lake Wauburg.

SCAVENGER HUNT SOCIAL A school-wide scavenger hunt where members cracked clues, searched for items, and received prizes.

GATOR CITY SOCIAL Shoot pool, win prizes, and eat sweet potato fries! UFAIS took over Gator City bar & restaurant for a fun social night!

Fundraising Our revenue comes from 4 primary sources: funding from the UF Department of Information Systems and Operations Management (ISOM), semester dues from our student members, recruiter fees for attending our bi-annual corporate mixer events and gaining access to our Interactive Résumé Book, and sales from UFAIS merchandise.

Interactive Résumé Book A modern alternative to the traditional résumé book, the UFAIS interactive résumé book is the first product developed by our members from UFAIS Labs. The website culls the data members supply in their AIS Social online profiles and formats it into a searchable, filterable database. Recruiters pay for semester-long access to the site, allowing them to identify students that match the particular skillsets and view their résumé and how to connect with them.

Companies who gain access can filter members based on seven different dimensions, search for specific terms including programming languages and skills, export and print the results, and finally read the résumés of desirable candidates and reach out to them via e-mail or LinkedIn.

Local Business Initiatives We build lasting relationships with local area businesses. We offer branded event sponsorship and advertising through website banner ads and social media posts. In addition, we create special incentives including placement on our UFAIS Preferred Eats website (eats.ufais.com) in exchange for discounts to our members.

Membership This year we focused on delivering a personalized member experience in our communication and event participation initiatives. While our organization is historically affiliated with the UF Masters in Information Systems and Operations Management (ISOM) program, we opened a number of our social and recruiting events to non-ISOM students as a program recruitment tool and to expand our organization’s campus network and presence.

Member CRM & Mail Merge ListServs and Email Marketing Software wouldn’t cut it. We created our own Member CRM in Google Spreadsheets to track our members, record attendance and dues payment, and send out personalized e-mail messages fast and easy using pre-made templates that filled in member data via Mail Merge. With this system we can easily alert members about specific events they’d be interested in, send thank you e-mails to members who attended events, and reach out to members who couldn’t.

Square Card Readers To offer speed and convenience to our members, we have moved to Square credit card readers for member dues collection, recruiter fees, and merchandise sales payment. Square’s exportable transaction history merges seamlessly with our customized income statement, calculating and categorizing club revenue instantly.

Member Input & Feedback Members are directly involved in the scheduling and planning of events. Through our various communication channels we post web forms and availability sheets (www.doodle.com) to determine member needs and reveal the best times to hosts events to achieve maximum attendance. We also send out feedback surveys to assess member impression of our activities and initiatives, which shapes future decision-making. We have found that encouraging active involvement in event planning through these various tools encourages greater attendance and participation in the activities being planned.

First semester FREE. The department allocation supplements new member dues and students receive all membership benefits free the first semester.

Communications Our philosophy as an organization is to strive for web-omnipresence by engaging members constantly through multiple communication channels. We believe that building our web content library with articles, videos, and useful resources and tools will provide a lasting influence for our organization in three key areas:

1. Enhance our live events and activities, allowing attending members to recall the information learned and relive the experience that our engaging and inspiring activities have to offer.

2. Provide a resource library for members who weren’t able to attend, future members, and future officers as a reference tool.

3. Promote the club to recruiting companies, other campus and community organizations, prospective members, other AIS chapters, and other strategic partners.

UFAIS.COM (www.ufais.com) Our comprehensive website documents club activities, informs members of upcoming events, and provides a plethora of resources. Its Wordpress backend allows for dynamic content and additional functionality, including member login and article submission, members-only forums, and access to exclusive resources.

News Library (news.ufais.com) A curated front page of various tech, supply chain, IT, and local Gainesville news. The site uses netvibes.com and the RSS feeds of various news sources to populate its content.

Link Library (links.ufais.com) A member-submitted collection of links to useful student and career websites.

Company Profile PDFs (ufais.com/companies) A growing collection of quick PDF resources that allow members to quickly learn more about recruiting companies— some members access these literally as they wait in line at Career Showcase to speak with the very recruiters from these companies. Members learn fast facts about the company to engage recruiters.

Social Media Facebook Page & Private Group (facebook.com/ufais) Our public Facebook page is used as an open announcement and promotional tool to showcase club activities. We also have a private, members-only Facebook group to post job opportunities, request member feedback, and promote our events. YouTube (youtube.com/UFAISmedia) Our video production team has filmed and edited a number of our events to showcase on our YouTube page and share throughout our communication channels. We also produce web-only content for the purpose of communicating information that needs to be repeated every semester.

International Social Media Channels (http://weibo.com/u/3728708845) We created Weibo and Renren social media accounts, similar to Twitter and Facebook, to reach out to our Chinese members who more frequently communicate along these channels. LinkedIn Professional Group (linkedin.ufais.com) Our LinkedIn Professional Group is our primary communication method for UFAIS Alumni and where many job opportunities and related current event articles are shared.

Mass Text Messaging This year we also began experimenting with mass text messaging to remind members about events and notify them of important updates. We use Remind101 (www.remind101.com) to allow members to sign up and control how they receive text messages, which allows us to focus on content versus moderating.

AIS Social & Résumé Book AIS Social is the first dedicated social network for a UF student organization-- built entirely by our UFAIS Labs Developer Group. UFAIS Social offers a number of social and collaborative features to enhance member communication and productivity: Member Profiles & Search – Professional profiles, private to only other UFAIS members, populated with useful information. Members can connect to others based on their semester and concentration.

Need to connect with someone who knows Java, SQL, or accounting? With the Advance Search Filter you can find members possessing the skills you need to get projects off the ground.

LinkedIn Integration – Easy one-click sign-up with your LinkedIn account, which populates profile information.

Member Groups – Form public, private, or hidden groups around interest, classes taken, anything you want! Groups contain their own discussion forum to share content and stay informed.

Member Activity – Post status updates or view activity of fellow members.

Private Messages – Send a message to another member. He or she will be alerted through e-mail.

Member Forums – A complete message board to ask questions and get the answers you need.

Event RSVP – Sign up to attend the various events throughout the semester.

Mobile — Our website and all its features are mobile responsive and accessible on any tablet and smartphone, which allows members to access phone numbers to call or text each other instantly.

Recruiter Connection – Through the Interactive Résumé Book, recruiters have a separate portal to will be able to search the database of member profiles and view the resumes of members based on the qualifications of the members they’re looking for.

Chapter Operations Our organization accomplishes its goals each year through great people, supplemented by technological processes that we as Information Technology practitioners are constantly developing and refining. It is a testament to the quality of our people and our process that the plethora of events and initiatives that are planned and executed each year is primarily through six elected leaders each semester:

1. President 2. Vice President of Corporate Relations 3. Vice President of Professional Development 4. Vice President of Networking 5. Vice President of Treasury & Membership 6. Vice President of Media & Communications

These positions are rotated each semester, and thus our organization is unique in that two UFAIS elected boards serve each year. The speed and stability of these officer transitions is dependent upon the comprehensive IT infrastructure we have built.

Google Apps for Education We are one of the few organizations fully operating in the cloud. Our Google Apps for Education account allows us to communicate with dedicated @ufais.com e-mail inboxes, collaborate and share documents and calendars, and easily create web forms and websites for member communication. Our officer portal features over 200 documents, including financial records, member and recruiter CRMs, web forms and surveys, in addition to hundreds of e-mails that are passed seamlessly from one board to the next.

Executive Cabinet, Committees & Directors One way to promote member involvement is through the active planning of working with all six AIS officers through the Executive Cabinet and the various committees formed underneath. Each committee is comprised of four members on average. Our organizational structure allows for both team-based projects with clear deadlines and deliverables and spontaneous crowdsourced input to deliver results on short notice.

Asana Project Management System Our success as an organization comes not from the number and scale of our various projects and events, but from the number of tiny details that need to be considered and executed in order to achieve our initiatives. We use the collaborative project and task management system Asana to plan events and the hundreds of to-do’s involved with each, assign responsibilities and meet deadlines.

Officer Elections & Real-Time Voting App UFAIS is one of the few organizations in the country that votes its candidates in through a custom built, web-based voting application—built entirely from our UFAIS Labs Developer Group. Tech Specs: The voting app is a full-stack, Microsoft ASP and SQL web application using the Model View Controller (MVC) design framework. The application is written in C#, ASP, and Transact-SQL and is hosted on a single Amazon Web Services (AWS) EC2 Instance. Members are able to login with their unique @ufl.edu credentials and single voting transactions ensure that members are allowed to only vote once for each candidate. Access control by IP restricts access to only members connected to the

UF wireless network, preventing users from voting at home. Votes are tallied in real-time and produce dynamic graphs as votes come in, determining the winner.

This year we achieved a 35% share of the MS-ISOM population as active members of UFAIS in the Fall semester. Our conversion rate decreased in the Spring semester to 20% as is expected due to the overall decline in corporate recruiting, which remains the primary perceived member benefit of the organization.

Data collected from ISOM department student spreadsheets reflects the overall MS-ISOM population. Information Systems & Sciences (26%) include IT, IS related majors. Engineering (23%) include all non-IT related engineering including Mechanical, Biomedical, Industrial, and Civil Engineering. Business (21%) includes Finance, Marketing, Accounting, Economics, and general Business. Liberal Arts & Sciences (21%) includes a variety of liberal arts and science majors including Mathematics, Chemistry, Biology, Film & Theater, English, and History. Supply Chain (5%) consists of related majors including supply chain management and logistics management.

Member Knowledge and Skillset AIS Social allows us to collect member profile data and perform keyword analysis.
