School Calendar and Work Days
The extension of the 2018-2019 school year created MANY absences for the June 16 through June 18 extended days. Please understand that the school year could be extended and staff are required to work if it is extended.
Waivers by the State Superintendent of Schools are very rare now. If CCPS uses more than 3 snow days for the 2019-2020 school year, then the school/work year could be extended into the week of June 15-19, 2020. Staff should not schedule vacations during this week.
Please see the excerpt from the 2019-2020 Approved School Calendar (page 2):
*Emergency Closing Days
If any of the three (3) emergency closing days are not used, the last day for student and staff are as listed below:
One (1) day not used – Last Student Day – June 11th, Last Staff Day - June 12th.
Two (2) days not used – Last Student Day – June 10th, Last Staff Day – June 11th.
Three (3) days not used – Last Student Day – June 9th, Last Staff Day – June 10th.
In the event that the school year is shortened due to unused emergency closing days, the last student day will be a two-hour and
forty-five minutes early dismissal. The one-day immediately following the last student day will serve as a professional day for
teachers.
If a fourth (4th) emergency closing day is used, the school year may be extended to include Monday, June 15, 2020 as the last
student day and will be a two-hour and forty-five minutes early dismissal. If additional emergency days are needed, the Board
will request a waiver from the requirement that the school year end no later than June 15, allowing make-up days to be
scheduled beyond this date.

The Department of Human Resources is pleased to announce the new Staff Bullying & Harassment Form available for CCPS employees who feel they have been the victim of bullying, harassment or intimidation by another CCPS employee. This form is accessible to all employees through the eForms icon via the Technology Services Web Portal.
Reports received through this electronic reporting tool will be investigated to ensure all employees have a work environment free from bullying, harassment and intimidation. Information provided through the reporting process will be kept confidential to the extent possible to ensure a thorough investigation and a resolution of the complaint received.

Pension Plan: Annual Personal Statement of Benefits
The Maryland State Retirement & Pension System did not mail paper Personal Statement of Benefits for the fiscal year ending June 30, 2019. Instead, each employee was sent a postcard with directions for downloading the statement from their website.
To find your statement, go to www.sra.maryland.gov. Click on Members at the top of the page, and then choose Personal Statement of Benefits. On the PSB page is a link to begin the access. Enter the requested information (last 4-digits of your SSN, date of birth, first name, last name, zip code, employer name, and system of participation). The system will then show a link to the online documents, and you can view statements for 2019 and years prior (back to 2015).

Absences Requiring Human Resources Approval
The following absences must be approved by the Department of Human Resources
(in addition to your normal leave approver):
Use of a personal business day preceding or following a holiday
Use of non-compensated (unpaid) days, whether separately or in
combination with other paid leave
You may email or send requests in writing to Stephanie Rauen,
[email protected], to receive approval. An approval memo will be provided
to you, your cost center administrator, and Payroll. Once approved by Human
Resources, the absence should be entered in the Absence Management system or
provided to your supervisor using the normal method for processing. This approval
process should be done in advance of the absence.
Absences for sick leave, vacation, or bereavement leave preceding or following holidays do not require approval; however, you should be prepared to provide a
doctor’s note for a sick day or verification of the bereavement upon request.
Public Service / Teacher Loan Forgiveness
Many of our educators are already aware of the Public Service/Teacher Loan Forgiveness program, but if you are not, and you have student loans outstanding you may want to visit the following website: https://studentaid.ed.gov/sa/repay-loans/forgiveness-cancellation/teacher. After reviewing the website and the requirements, if you qualify, please complete sections 1 and 2 of OMB No. 1845-0110 or OMB No. 1845-0059 and submit it to Kelly [email protected] in HR. Once completed, the form will be electronically sent back to you for submittal to the agency.
Certification Check
As the relatively new school year continues, now is a perfect time to do a certification check. Renewals creep up on you faster than you can blink an eye! All requirements for certification must be completed by the last day of the validity date of the certificate. For those renewing January 1st, everything must be completed by December 31, 2019. For those renewing in July, everything must be completed by June 30, 2020.
Don’t know where you stand? There are two options available to you. The first one is to log onto the state’s website at https://eisportal.msde.maryland.gov/_layouts/15/educator/Login/Default.aspx. From here you can print out certificates, and check on your expiration date. The second option is to log onto the HR Center through the Technology Services Web Portal. After arriving at this site, you can view your expiration date and you can also see all the coursework that HR has on file for you. By checking this program periodically, you can be assured we received the documents to post to this database. If ever you discover something is not posted, be sure to follow up with an official transcript. Please note, one of the most often missed items is coursework completed through McDaniel cohorts. McDaniel does not automatically send out transcripts. These must be requested by you.
If after checking the HR Center you have any questions, do not hesitate to contact Sharon Adams or Kelly Keith. Please know that it is the certificated employee’s responsibility to stay abreast of all certification needs. We will assist you with any questions you may have but we do not provide regular updates. In January we are processing approximately 70 certificates and for July 1 renewals it is close to 400 employees.
We are certainly here to assist you and help, but prior to calling please be as informed as possible so we can clarify things quickly for you.

National Board Recognition
We would like to recognize our Nationally Board Certified teachers that recently renewed their certificates. Not only is it a difficult and arduous process to become certified, but it is also an involved process to maintain certification so kudos to the following individuals:

Reminder — Fieldtrip Chaperones
Just a friendly reminder to please check the chaperone list for a field trip at least three days prior to the date of departure. Do not wait until the day of the trip, or assume that every selected chaperone has completed his/her volunteer training. This can hold up the departure for the trip, and cause frustration and anxiety for the prospective chaperones. Staff in your main office can assist with accessing the list of approved volunteers who may serve as fieldtrip chaperones for your school.
Tuition Reimbursement Reminders
Tuition Reimbursement is a benefit provided to contractual employees. The amount of reimbursement per fiscal year is available in each employee bargaining group’s Master Agreement. Our online Tuition Reimbursement System provides an electronic workflow process to facilitate the request, approval, and reimbursement process for this benefit, and can be access through the HR Center via the Technology Services Web Portal. Reimbursement requests and all supporting materials for course work taken in the fall semester must be received in Human Resources by June 30th of the same fiscal year. We allow until October 1st to receive tuition reimbursement requests and all supporting materials for course work taken from January 1 through June 30 of the same calendar year.

Monday, December 23, 2019 through Wednesday, January 1, 2020.
Schools and Offices will reopen on Thursday, January 2, 2020.
Pre-Retirement Seminar
Wednesday, January 29, 2020 (a non-student day) —2:30 p.m. at Winters Mill High School is the second and final pre-retirement seminar offering. The program will include an overview on the retirement benefits, insurance benefits at retirement, and the process for retiring. If you are interested in gathering information on retirement, please plan to attend. There is no registration for this seminar, just show up and bring your questions. Spouses are also welcome to attend with the employee.
