INTRODUCTION With the UltiPro 2016 Spring Release (v12.1.1), Ultimate Software continues to deliver automated, flexible, and convenient UltiPro features that help you build an employee-centric environment within your organization. New people-first tools and enhancements further simplify your work life and foster business success. Statutory updates ensure your compliance with 2016 government and payroll tax requirements for the U.S. and Canada.

RELEASE SCHEDULE Ultimate will apply the Spring Release to your environment between May 21 and 22, 2016. Your SaaS focal contact will receive an email with your specific upgrade date. If you’re not sure who your focal contact is, go to the Customer Success Portal to verify this information and change or update any other account details.

HUMAN RESOURCES The Spring Release gives you and your employees greater visibility and control of workforce information using:

UltiPro’s Organization Chart. A new, visual Organization Chart - that can be personalized with employee images – provides the perspective and information you need on your workforce structure and people. Easily accessible by all employees via a QuickLink on the ‘smart’ homepage dashboard and from the main navigation menu (under UltiPro > My Company > Organization Chart), Organization Chart displays a complete diagram of your peer relationships and reporting structures. Using intuitive features designed for all workforce levels, you can: o See information most important to you; the default org chart view outlines your

immediate peer reporting structure. o Pan across and zoom in and out around the organizational diagram for a better

visibility. o Export and print the org chart as a PDF file. o Search for an individual in other parts of the organization to view his/her org chart. o Select an employee to view more information - such as email, phone number, job, and

manager - on an employee details card.

To enable Organization Chart, go to UltiPro > System Configuration > Role Administration > select role > Web Access Rights. Expand My Company and select the View checkbox beside Organization Chart.

Enhanced Mobile Employee Profile Features. Employees’ UltiPro Mobile experience gets even better with Spring Release enhancements to improve overall usability. The Your Profile screen has a more contemporary look and feel, displays additional employee information, supports employee profile self-service, and respects workflow approvals if such processes are enabled on the UltiPro portal. What’s great is that employees can easily update their own Your Profile data on the go using a mobile device, including: o Name o Address o Phone number o Email o Social Networks

TAX COMPLIANCE

The Spring Release delivers the federal, state, and provincial statutory updates you need - such as modifications to tax tables, state withholding forms, Form W-2s, T-4A slips, and RL-1 slips - to comply with 2016 government and tax reporting requirements for the U.S. and Canada. Note: To review all compliance details and any late-breaking UltiPro updates delivered with this release, please read the Release Notes available April 25, 2016 on the Learning Center under UltiPro Releases > UltiPro 2016 Spring Release (v12.1.1) – Release Notes and Supporting Information. If necessary, additional tax updates will be delivered as new requirements from tax jurisdictions become available.

PAYROLL PROCESSING Flexible and automated new UltiPro features simplify payroll processing:

The Wage Attachment Gateway. UltiPro’s new Wage Attachment Gateway (under UltiPro > Payroll Processing > Wage Attachment Gateway) serves as a single location for you to quickly access and view all your employees’ wage attachment information (money deducted from an employee's pay as the result of a court order or action by an authorized agency, such as: creditor garnishments, student loans, bankruptcies, and child supports). You no longer need to navigate to each employee to see garnishment details and/or run a Business Intelligence report for specific wage attachment data. The Wage Attachment Gateway lets you: o Quickly search data and/or filter - by employee, garnishment, or jurisdiction, for

example - to locate information you need. o Select an employee’s name to view the individual’s Wage Attachment Details

(garnishment, calculations, and disbursement data). o Print and/or export gateway contents as an Excel or CSV file for additional use. o Access a new Alerts tab to view deduction stacking information and notifications.

Deduction Stacking. Reduce manual and cumbersome payroll administration by taking advantage of deduction stacking tools (available for all U.S. employees, except for those residing in Kansas due to state regulations).

With the Spring Release, you can easily set up multiple “creditor” garnishments and have them process automatically (if specified) in an established order according to the date you, as an employer, receive the court order. To set up this process:

1. Select the new ‘Include in deduction stacking’ checkbox under Add/Change Deduction Details.

2. Complete the ‘Deduction Stacking Options’ section. Enter judgment/order details and specify conditions such as: automatically start withholding once certain specifications are met and/or continue withholding until there’s manual intervention.

When you set up deduction stacking, you can choose to have one of the following happen once the first garnishment withholding option (amount, days of expiration, or expiration date) has been reached: o A deduction for the subsequent garnishment will automatically be withheld from the

employee’s next payroll. o You receive an Alert within the Wage Attachment Gateway to take manual action

before deductions for the subsequent garnishment can start.

To give user-roles access to the Wage Attachment Gateway and deduction stacking features, go to UltiPro > System Configuration > Role Administration > select role > Web Access Rights and expand the new Wage Attachments Gateway section. Then, expand the Wage Attachments section as well. From there, select appropriate checkboxes for Wage Attachments Gateway, Wage Attachments, Wage Attachment Details, and Alerts.

TALENT MANAGEMENT New talent features simplify employee pay and performance processes with:

COMPENSATION MANAGEMENT Future-Dated Salary Plans. Enjoy additional automation for employee salary planning when

you enable ‘Use future dating’ (under UltiPro > System Configuration > System Settings > Display). What’s great about future-dating is that employee records are updated automatically when the salary change effective date is reached for: o Salary increases o One-time payouts o Units

Compensation Plan Access. With the Spring Release, Compensation Administrators can only view salary details and associated budget information for those employees they have access to view based on the role assigned to them by the System Administrator (under UltiPro > System Configuration > Security > Role Administration). This simply means that Compensation Administrators only access relevant employee information when: o Looking at individual compensation plans. o Viewing and editing employee payouts. o Closing and posting payouts for compensation plans (when the Compensation

Administrator has access to all employees in the plan).

PERFORMANCE MANAGEMENT Inspirational Leadership Quotes by Simon Sinek. With UltiPro’s predictive and prescriptive

analytics, not only can managers view retention risks and individuals with the potential to become high performers, but UltiPro suggests activities to help retain those individuals and

UltiPro’s Leadership Actions feature provides a library of suggested activities for managers to use when engaging those employees—across 16 different categories of engagement, such as tenure, collaboration, difficult conversations, and growth opportunities. Based on the manager’s category of focus, he or she will also see inspirational messages about effective leadership from best-selling author and thought leader, Simon Sinek. This continues the transformation and evolution of performance management from continuous feedback to coaching. These quotes combined with Leadership Actions provide inspiration, insight and words of wisdom to help make managers better leaders.

Mobile Self-Review Capabilities. The Spring Release delivers new mobile Performance Management features so that your people can easily respond to their reviews any time, any place. Once logged in to UltiPro Mobile, employees receive an alert when action is required by a certain date on a review. From there, the performance self-review experience mirrors that of the portal. An employee views his/her goals and/or competencies on the Review Summary screen and then can click through to see manager comments as well as respond quickly by selecting a rating for himself/herself and adding comments.

TIME AND LABOR

The Spring Release delivers more robust and convenient timekeeping features that include:

TIME MANAGEMENT

Mobile Time-off Management. The Spring Release expands UltiPro Mobile for managers, making it quick and easy to approve or deny employee time-off requests on the go.

o A new Your Team’s Time screen displays events that need a response, using the same

categories available in the UltiPro portal: all requests, new requests, modify pending, cancel pending, and history.

o To facilitate next steps, administrators and supervisors can also view the following

details on their mobile device: Comments from employees. Time-off balances (before and after approval comparisons). Alerts, which you can set up via Time Management preferences in the UltiPro

portal, so you know when, for example, more than three employees have approved time-off on the same day.

To take advantage of these new capabilities, make sure UltiPro Mobile time-off is enabled and also grant access to certain user groups:

1. In the UltiPro portal, go to UltiPro > System Configuration > Role Administration > select role > Web Access Rights, and select the Mobile Website checkboxes for specific user-roles. Then, expand the Mobile Website section and select the Your Team’s Time checkbox.

2. Next, in Time Management, go to Access > Advanced > Scheduler. Expand the Time-Off Requests section and select which access group – supervisor and/or administrator - can
