Employee Central New Functionality

12© HR Path 2020

• What is it?

You can now flexibly configure the hiring process to cater to different needs for your workforce. You create templates where you specify only the blocks needed for the type of employment you are hiring for, meaning that you can add, remove, and rearrange the order of the blocks as well as add standard and custom MDF objects to the configuration.

In addition, this gives you the ability to add custom content while hiring. For example, you can add a National ID that has a different format than the standard supported format or you can add a custom block to collect T-shirt sizes to order uniforms for the new hires.

• Prerequisites

• You need to have the Administrator Permissions > Manage Hires > Manage Configuration Templates permissions.

• Configure desired templates in Manage Data tool

• What is it?

You can now configure the Internal Job History block in the People Profile to view a summarized version of an employee's job history at the company.

This is a read-only block, showing a filtered version of the job history for an employee based on a rule scenario configured to show selected fields from Job Information. Whereas typically only HR admins have access to the details in the Job History (in the Job Information block), the selected information on an employee’s history as part of the Internal Job History Block is typically useful for a broader audience.

The Job History Block was added for Employee Central customers who wish to view a summary of an employee’s internal job history at the company. This block allows a customer to filter the data based on the Job Information fields they would like to see.

The new Manage Hires section contains all the hire-related permission settings so that granting access to HR admins and managers for new users is more efficient.

Moving all the hire-related permission settings into one category provides an easier overview of all the settings as well as who can create users in the system.

The new category is Administrator Permissions Manage Hires and contains the following settings:• Add New User• Manage Pending Hires• Rehire Inactive Employee• Rehire Inactive Employee with New Employment• Rehire Inactive Employee with New Employment (by 'match in New Hire)'• Rehire Inactive Employee (by 'match in New Hire)'• Add New Employee for Fixed Term• Include Inactive Employees in the search• Add Contingent Worker• Allow users to manage all drafts including those saved by others (By disabling this option, users can only work with

drafts saved by them)• Manage Hire Configuration Templates

• How does it work?

We provided a new, special-purpose business rule scenario for you to create business rules that trigger workflows.

You can find the new business scenario Trigger Workflows under the Employee Central Core category on the Configure Business Rules page. This scenario removes irrelevant options or settings that are visible in a generic business rule scenario and offers special support when you define the THEN statement of your business rule. It is recommended to use this business scenario to create all your workflow business rules going forward.

• What is it?

This new feature allows customers to skip all the consecutive workflow steps with the same single approver, except the last step.

• How does it work ?

After customers enable the option Skip workflow steps with duplicate approver in Company System and Logo Settings, the steps immediately close to each other and having the same single approver, except the last one of them, are automatically skipped. These steps are marked as "Skipped" on the Workflow Participants dialog box and in the Activity area of the Workflow Details page. Only the last step of these consecutive steps needs to be processed. By skipping other steps, customers can shorten a long approval chain, improving efficiency without affecting data quality.

Live Profile User Information is a custom data block that you can add to your People Profile to display and manage additional information about contingent workers. In Employee Central, there's limited information shown for contingent workers on the People Profile, which implies that you can only view and edit information that's available. To modify other details, you must import the required data using different methods such as OData APIs or Employee Central Imports.

Admin Alerts 2.0 now monitors HR data issues arising out of incorrect or invalid Foundation Object

configurations in the Job Information of users, in addition to monitoring issues related to inactive

dynamic role users.

As a Manager or an Administrator, you can proactively identify and resolve the reported Job

Information issues to maintain data integrity. We intend to make Admin Alerts 2.0 the preferred

application to manage HR data issues and deprecate the legacy Admin Alerts in a future release.

• Prerequisite

Following permissions are needed:

- Administrator Admin Alerts Access Admin Alerts.

- Administrator Admin Alerts Object Permissions Job Information Admin Alert, with the

permission to edit/view Job Information alerts.

• What is it

Now you can import work permit data in a new way based on the Centralized Services.

As a collection of specialized services governing different processes in Employee Central, the

Centralized Services bring many improvements to the data import process. In the case of work

permit importing, we validate business keys to ensure their uniqueness, adopt the Full Purge

mode, and import data based on user ID, instead of person ID.

The shift from the legacy approach to this new one to importing work permits improves data

quality and reduces maintenance costs.

• What is it?

You can now select an event reason from the UI while hiring or rehiring contingent workers. You no longer need to rely only on business rules to derive an event reason when you hire or rehire contingent workers.

• What is it?

We've updated the integration process between SAP Fieldglass and Position Management.

When you create an SAP Fieldglass requisition from position organization chart, the entire position object is now passed to SAP Fieldglass.

This enhancement eliminates the manual effort of creating and attaching a business rule to map fields between Position Management and SAP Fieldglass.

• What is it?

As of 2H 2020 release, the XML template for deriving event reasons for Job Information and Compensation Information is deprecated.

From now on, business rules must be used for deriving an event reason. There's a new rule scenario to support onSave rules in Job Information and Compensation Information for event reason derivation.

We've introduced this feature to give you, as an administrator, more flexibility in the system. You no longer need to submit support tickets to adjust the XML

Migration takes place only if you’ve the Enable youCalc rules engine for HRIS setting enabled in Provisioning.

For each object, one business rule is created. All the migrated rules start with the postfix 'migrated rule' to make it easier for you to review and edit the rule.

Note : Requires provisioning access to update the settings.

Time OffImportant Changes

46© HR Path 2020

• What is it?

The administrator can create a business rule to create a customized message for the user if they want to split advance leave payment across fiscal years.

This rule function based on the requirement to display a customized message to the user, this message depends on the start date and end date of the absence. The message is also based on the selection of the option to split the payment across fiscal years.

• Prerequisites

The rule created needs to be selected in the Take Rules section of the Time Type.

Time OffNew Functionality

48© HR Path 2020

• What is it?

• Some changes to an employee's job information, for example, changes to the work schedule or time

profile, cause absences or attendances, accrual recalculations to be recalculated. Changes to actual

absences or temporary changes to time information can also result in recalculations.

• The retry counter prevents erroneous time sheets, absences, and accruals from being recalculated more

than three times.

• After three unsuccessful recalculation attempts, an alert is displayed. After solving the issue that caused

the recalculation to fail, you restart the recalculation manually in “Time management recalculation event”.

• Limiting the number of automatic recalculation attempts improves system performance.

Recalculation in Time Management- Retry Counter

© HR Path 2020

• What is it ?

You can now create ad-hoc time accounts that can be used for occasional compensatory offs, purchased

leave etc., or relocation.

• Prerequisites

The time type that you assigning to the ad hoc time accounts should exists in the time profile of the

employee.

Ad Hoc Time Accounts

© HR Path 2020

• What is it ?

The transfer dates determined by the (Initial) Accrual Transfer Date rule might need to be adjusted in case an

employee takes a certain type of leave, such as leave without pay.

With this functionality, the Accrual transfer dates are now adjusted automatically when the employee takes

those leaves

e.g. Absences will not be counted as time in service

Automatic Adjustment of Accrual Transfer Dates

© HR Path 2020

• What is it?

• A cross-midnight shift is defined as one that starts on one calendar day and ends on the next calendar day.

• Absences crossing midnight can now be created as one absence. For example, if an employee is working a

midnight shift from 10:00 p.m. to 6:00 a.m. the next day, they can record a full-day or a partial-day absence

crossing midnight.

Cross-Midnight Absence Recording in Time Management

© HR Path 2020

• What is it?

• It is now possible to enter one continuous planned working time segment from one day to the next.

• Prerequisites

• Use Period model and the Schedule Model, It is not available for work schedules of the Simple model.

• Choose the Clock Times time recording variant in your work schedules. It is not available for

the Duration variant

© HR Path 2020

• What is it?

• Employees can purchase additional time off or leave. Deductions from payroll fund the leave purchase time account.

• Prerequisites

• You have to assign the Manage Purchase Leave in Manage Time Off permissions .

• To make deductions to an employee's salary: Configuring Deductions

Leave Purchase for Time Accounts

© HR Path 2020

• How does it work?

• The administrator designate the conditions for a purchase leave request, for example, how much or how

often the employee can request to purchase leave, a workflow can be assigned.

• That gives you the flexibility for employees to fund an additional period of leave through payroll

deductions.

Leave Purchase for Time Accounts

64© HR Path 2020

• What was it?

• In the previous version, the Deduction Start Date field had two options – As of Date and Next Pay Period.

The behavior of option Next Pay Period varied across benefit types. For benefit types Pension, Insurance,

and Deductible Allowance, the deduction entries were created based on the paycheck issue date. For

benefit type Savings, the deduction date was always the start date of next pay period.

Enhancements to the Deduction Start Date - Next Pay Period

© HR Path 2020

• What is it?

• Partial year enrollments in the US Savings Plans (Flexible Spending Account, Limited Flexible Spending

Account, Dependent Care Reimbursement Account) are now supported in Global Benefits.

• When there’s a new hire or a work or life event resulting in the employee participating in the plan for less

than a full year, the system provides the opportunity for larger per pay period contributions. Therefore, the

employee can reach the maximum annual amount by the year end.

• This feature is required by the employees doing mid-year enrollments in the US Savings Plans.

• Savings plans benefit type is relevant for USA only.

• Prerequisites

• The pay calendar must be configured so that the system knows how many pay periods are remaining. The

Deduction Start Date field must be set to Always Next Pay Period to accurately calculate the estimated

contribution at year end.
