Year Round Payment (YRP) Enrollment Employees who are on Contract Calendars less than 240 days are eligible to enroll in the annual YRP program. Eligible employees who wish to participate in this program must enroll during the enrollment period before the first day of their contract calendar year. The enrollment status does not carry over from year to year, therefore, employees who are currently enrolled in the YRP program for the 2013-2014 year must re-enroll during the open enrollment period if they wish to continue the YRP program for the summer of 2015. The enrollment process is through Employee Self- Service (ESS) as follows: Spring Enrollment Period (Current Employees) May 21, 2014 through June 19, 2014 Summer Enrollment (New, Rehired, and Employees returning from leave) July 8, 2014 through the day before the start of their contract calendar If an employee enrolled in the 2014-2015 YRP program, decides to cancel, they may do so via ESS prior to the start of their calendar. Annual Vacation Hours – Use It or Lose It Vacation accruing employees are encouraged to review their vacation balances to determine if they will exceed the maximum annual accrual limit. Excess hours should be used by the last payroll in June as those hours will not be carried over into the new fiscal year. The Payroll Department will run the annual vacation accruals through June 30 th , 2014 as follows: The AA payroll will update on the May 23 rd The BB payroll will update on the May 30 th This will allow employees to see their complete vacation accruals through the end of the fiscal year via Employee Self-Serve (ESS) and offer them an opportunity to plan accordingly. The following matrix lists the maximum annual accrual days allowed by their employee group. Compensatory Time Hours Per certain contracts, payout of compensatory time (Comp Time) should be made by August 31st of each year. Please refer to the “Compensatory Time Eligibility” matrix for hours eligible to carry-over and payout. The matrix can be obtained from the Employee Relations website. http://www.broward.k12.fl.us/employeerelations/Comp%20Time_matrix10_1_08.pdf Daily Attendance Documentation Daily attendance records such as timesheets, time cards, vacation/leave, overtime and compensatory time forms must be maintained at all locations to substantiate hours worked. Please refer to the Standard Practice Bulletin (SPB) PR 100 for detailed information pertaining to this and other Payroll procedures. Off Cycle Check Requests Reminder: Off cycle check requests must be received by NOON on Wednesdays for payment to be processed on Friday of that week. Any request received after NOON on Wednesday will be processed the following week. A+ Fund’s for Terminated, Retired and Inactive Employees Reminder: In order to make this process more efficient and adhere to the deadline dates below, please do not wait until the last day to email the list to your assigned Payroll Processor. 2014-2015 Payroll Schedules The 2014-2015 Payroll Schedules are available on our Website. http://www.broward.k12.fl.us/payroll/Payroll_schedule.html Holiday Schedule The District will be closed Monday, May 26th, 2014 in observance of Memorial Day, so please remember to treat Tuesday as Monday for that week. The Payroll correction window will be open from 7:00 am until NOON on Tuesday, May 27th. No master data changes are allowed on Tuesday, May 27, 2014. Summer 4-Day Work Week The 2013 – 2014 summer work-week schedule will begin on June 9th and ends on August 8th. The week of June 30 to July 4, 2014, employees are required to work their normal work schedule due to the 4th of July Holiday.
