The Library Network Steering Committee Meeting Minutes

Salem-South Lyon District Library May 17, 2016

Attendees: Present: Jim Pletz, Patty Braden, Joyce Farkas, Doreen Hannon, Michael McCaffery, Zaley Nelson Absent: Toni LaPorte, Teresa Natzke, Connie Jo Ozinga, Call to Order 10:00 AM Motion to approve the minutes of the March 15, 2016 Steering Committee meeting at Plymouth District Library made by J. Farkas and seconded by P. Braden. Motion carried unanimously. Chairman’s Report: None Director’s Report: J. Pletz asked for feedback regarding the Michael P. Tyler Lecture held April 13, 2016 at the Novi Public Library. D. Hannon stated that the event was thought-provoking and a deserving honor for Mr. Tyler. P. Braden asked that for future lectures, to place a break in the middle since it was a two-hour event. J. Pletz discussed continuing education (CE) direction for the membership that he is actively investigating. Many of the member libraries are part-time employment fields, with some employees working at four different libraries. He is hoping to acquire some beneficial learning opportunities for employees at member libraries at a reasonable cost. One idea is to offer a Leadership Academy through TLN. Mr. Pletz has been in communication with MBC Training and Development, LLC. They could offer 10+ refresher sessions at $1,365/session for 10- 15 students. One-time cost for materials would be $395/person. There is the possibility of obtaining some continuing education financial support from the Library of Michigan. TLN has budgeted $25,000 for continuing education. Mr. Pletz asked for some feedback from the Steering committee regarding this idea. J. Farkas stated that it would be difficult for her part-time employees to make this type of time commitment. Discussion ensued regarding the need for directors to make a commitment to develop their staff employees and whether this program would be for upper level employees. M. McCaffery stated that typically he has found success in “cherry-picking” which types of continuing education opportunities are most suitable for the needs of his library’s employees. J. Pletz asked if perhaps he should poll the membership to find out if they would be interested in this CE/ able to attend/could afford to fund.

P. Braden felt the time commitment might be too intense and suggested every other month, similar to the Leader Book Club. J. Farkas suggested providing members with “modules” on various topics that members could select from. J. Pletz stated that he is looking at implementing continuing education in October 2016 and carry it over a two-year period. Upon receiving feedback, J. Pletz will talk to MBC and ask for fewer sessions in a modular approach. M. McCaffery asked if MBC is able to focus on library-related challenges. D. Hannon stated that two of Salem-South Lyon’s circulation employees attended an MBC workshop at MLA in Okemos in spring, 2015. The employees felt the session was extremely beneficial and appreciated the interactive applications which they could then bring back to fellow employees. Z. Nelson stated that she would be interested in finding out who in the cooperative is talented in certain areas so that members could reach out to one another for assistance. J.Pletz asked the committee members to select their top choices for training sessions from MBC, with the following rising to the top:

• Module 4: STAR Service: Managing Difficult People and Situations

• Module 6: STAR Service: Taming the Change Monster – Surviving and Thriving through Change

• Module 8: STAR Service: Championship Teamwork – Everyone Makes a Difference

• Module 1: STAR Service: Beyond Excellence

• Module 2: STAR Service: Communicating for Results

Z. Nelson expressed concern for the MBC approach and suggested acquiring a psychologist to speak to the members, as she had done this with her staff at Northfield Area Township Library and it worked out well. J. Pletz asked that Z. Nelson chair the task force looking into alternative/additional training approaches and bring this to the TLN membership meeting/ picnic in Farmington on July 15, 2016. Summary of the continuing education discussion:

1. J. Pletz will look at framing a Leadership for directors’ opportunity at a reduced cost, with possibilities of modular packages, with the intent to hold workshops in more than one location.

2. J. Pletz will look into scheduling a continuing education workshop from one of the modules for the general membership, with the intent to hold workshops in more than one location.

3. Z. Nelson will head the task force that will augment what TLN does with MBC and report to the membership at the July 15, 2016 membership meeting.

4. J. Pletz plans to have the Black Belt Librarian return in 18 months, in fall 2017. The ideal location for this crowd-pleaser is the Livonia Civic Center Library.

One last topic for the meeting: J. Pletz advised the committee that TLN has joined the American Library Association’s Libraries Transform campaign and is looking to involve the membership in fall 2016. Position: Support Services Library Assistant, Part-time

Job Duties:

Greet all patrons with courtesy and friendliness as Circulation is the first contact the patron has with the library.

Gain complete knowledge of the automated system.

Check out items to patron and receive Library print and non-print materials.

Process new and replacement cards in the automated system.

Accurately input and update data in the automated system.

Maintain the non-automated records.

Follow and enforce all library rules, policies and procedures.

Follow circulation guidelines and patron privacy laws.

Answer telephone and accurately give information and when necessary, direct calls to the correct location or staff for information.

Calculate and collect funds due from the public.

Ability to operate basic office equipment including computers, copier, fax, cash register, charge machine and calculator.

Ability to use alpha-numeric organization.

Empty all book and audio/visual drops, discharge all items and organize according to the Dewey Decimal System for shelving.

Sort library materials for shelving; shelve or shelf read as directed to maintain good order. Learn and perform all functions of inter-library loan process and software including Melcat. Process all types of materials for BTPL collection and link in automated system. Repair collection items as necessary. If scheduled, open or close the library, following established procedures. All other duties as assigned.

Job Requirements:

Minimum: High school diploma.

Customer service and/or library experience. Public service attitude, computer skills, and good communication skills. Have appropriate math abilities to calculate and collect funds due from the public. Have appropriate reading abilities to sort and properly shelve materials according to the Dewey Decimal System. Able to lift at least 25 lb. Must be able to work independently as well as with a team. Will be required to work nights and weekends.

Salary: $11.00 per hour Benefits: None Hours: 12-20 hours per week includes nights/weekends
