During the delivery process, the shipping department cangenerate the necessary packaging documentation. Trackinginformation and shipping status details are easily accessedwhilst warehouse quantities are also automatically updatedwhen a delivery is made.

A return can be processed in multiple ways; with or withoutcredit or even for repair returns using the returns documents.

The sales invoice automatically creates a corresponding journalentry. As a result, users can create an automatic receipt if thecustomer pays part of the invoice immediately.

Purchasing

SAP Business One provides your business with the tools that itneeds to handle its entire procurement process, includingorders, receipts, invoices, and payments.

ProcurementSAP Business One enables users to order materials or servicesfrom suppliers which will immediately be reflected in theavailable quantities for the stock item. Users are able to split asingle purchase order into multiple parts when, for example,items need to be shipped to multiple locations. Splits orrevisions are required so that different packing slips anddelivery notes can be created for each shipment. Any line itemwithin a purchase order can be shipped to, or specified as, adifferent warehouse location.

Warehouse and Accounting IntegrationGoods receipts enable users to receive a delivery at thewarehouse or allocate deliveries to multiple warehouses. Purchasing

When processing supplier invoices, SAP Business One alsocreates a journal entry. This information can be used to processsubsequent payments to the supplier. Credit memos can beissued to the supplier for returned merchandise. The requireddata can easily be imported from the original invoice, as it iswith any other sales and purchasing document.

SAP Business One enables users to calculate the purchaseprice of imported merchandise. They can allocate the variouslanded cost elements (such as freight, insurance, and customsduties) to the Freight on Board (FOB) costs of each item,updating its actual warehouse value.

Scenarios can be run for a range ofitems or item groups. The userselects the desired criteria in thescenario, such as existing stocklevels, open purchase orders, salesorders, work orders, and stock thathas reached its minimum level, aswell as pre-defined sales forecasts.

Once a scenario is executed, the solution presents arecommendation to ‘make’ or ‘buy’ items in arecommendation report. Drill-down options are available toallow planners to view the net requirement calculations andview the actual documents driving the gross requirements.Exception warnings and visual queries are also available.These help users identify orders that need to be expedited.

Stock and DistributionThe stock capabilities of SAP Business One enable users toaccurately manage inbound and outbound shipments, itemmaster information as well as price lists. Item Master DataThis feature allows users to define production (make) items,purchase (buy) items, or non-stock items, including labour,travel or fixed assets. SAP Business One also supports different stock valuationmethods on a per item basis. The methods currentlysupported are standard cost, weighted moving averageand First In, First Out (FIFO).

Planning data is also maintained within item master data.Users can define a procurement method (such as make orbuy) as well as the order intervals in which to purchase anitem (such as monthly, weekly or daily). They can alsodefine the lot sizes in which to purchase items, as well asthe minimum order quantity and average lead time.

Stock Control

Serial Numbers and BatchesSerial numbers can be automatically generated based ontemplates. They can also be manually created and assigned onlyon release of an item from stock or optionally on everytransaction. Users can assign batches to products and classifythem by shelf life or any other freely definable attributes.Thebatches can then be defined for these products in sales orders,delivery notes, and stock movements.

Stock ValuationDifferent situations or market conditions may require changesof the valuation method for your stock. With the update stockvaluation method report, users can easily select items from alist and change the current valuation method to an alternativemethod.

Stock LocationsMultiple levels of stock location can be defined within awarehouse which will enable the stocking of goods withinindividual bin locations. These locations can be configured withtheir own parameters, restrictions, and requirements.

Stock CountingIn large warehouses, counting stock is often a continualprocess. This function streamlines the process by identifyingwhen each item in stock is due to be counted.

The alerts and reports produced help ensure that items ofdifferent levels of importance are counted as frequently asrequired.

Price ListUsers can define any number of price lists and link them withcustomers or suppliers. It is also possible to specify prices byunits of measure. For example, price per unit or per variantbased on pack, box, case and so on.

Pick and PackThe pick and pack capabilities allow users to manage thepicking and packing process within three queues. As salesorders are entered, they are displayed in an ‘open’ queue whichcan be released for picking and then delivered.
