Introduction

Thank you for registering as an exhibitor at the SANLiC 2017 Conference. We trust that it will be a beneficialexperience for your company. This manual has been compiled to ensure that you have the information youneed to prepare for the exhibition and conference. The conference programme will be regularly updateduntil it is finalised and will be available in PDF format on the conference programme page on the SANLiCwebsite. The conference venue has a capacity of 200 persons (in compliance with safety requirements). Todate 100 persons have already registered.

This SANLiC Exhibitor Manual should be read in conjunction with Annexure 1 (GL events South Africa showManual) If you require further clarity or assistance, please contact Naomi Gaines, Administrator at SANLiC(see Key Contacts).

Interaction with Delegates

The programme has been designed with optimal interaction between delegates and vendors in mind.

• The delegates will be encouraged to take full advantage of the opportunities to interact withexhibitors.

• All teas and lunches will be served in the exhibition hall in order to ensure maximum traffic at thestands.

• On Day One, there will be an official opening of the exhibition hall after the keynote addresses andbefore morning tea.

• Day One will also end with an “Exhibition Buffet Dinner” in the exhibition hall.

• Delegates will be encouraged to use any free time they have to visit the exhibitions and to interactwith exhibitors.

The venue is Umhlanga Coastlands Hotel,Durban.

The conference will be held on the secondfloor except for the Gala Dinner (11th floor).All presentations will be in the “African Fire”conference hall and the exhibitions andrefreshments in the “African Heritage” room.

Exhibition Stands

Reserving your exhibition standThe exact layout of the exhibition hall will be finalised at a later stage. Every effort has been made tooptimise the flow of traffic past each exhibition stand in relation to the exhibition hall entrances/exits andrefreshment tables. SANLiC will allocate stands in the order of registration and will make every effort togive each exhibitor their first choice of stand location. Please wait for SANLiC to contact you in this regard.To date 26 stands have been reserved which means only one or two are vacant. The list of stands alreadyreserved is on the conference Exhibitors page.

Basic Exhibition Stand

The basic exhibition stand will have a backwall and one or two sidewalls (dependingon its position in the venue. The standincludes:

• A Fascia board with your companyname printed in BLACK Arial font.

• A single electrical power (plug)point and ¼ DB board.

• Spot light lighting

• Chairs and a table (supplied by thehotel).

The hotel will supply you with as manytables and chairs as you require covered inblack stretch cloth.

Exhibition Stand service provider and stand extras

GL events South Africa will be responsible for the stand build and are happy to interact directly withexhibitors who wish to have more than just the “basic exhibition stand”. The price quoted in theregistration documents is for the basic exhibition stand as described above. Please note that all the frontfascia boards will be standardised and printed in BLACK with company name and stand number only. Anyextras that you wish to order can be sourced directly with GL events South Africa who will invoice youseparately. The GL events show manual 2017 can be found in Annexure 1. SANLiC will not be responsible inany way for stand extras. For extras, contact Carrie Groenveld, Key Account Manager, GL events SouthAfrica.

Exhibition Setup and Dismantling

The stands will be built on Monday 22 May in the morning and exhibitors will be able to set up / dress theirstands from 14h00 until 19h00. The exhibitions stands will be dismantled on Friday 26 May. This meansthat exhibitors must have packed up their stands by no later than 19h00 on Thursday, 25 May, the last dayof the conference.

Delivery of Exhibition Material to Umhlanga Coastlands Hotel

Due to back-to-back events at the hotel, delivery of exhibition material should only be on Monday 22 May.Arrangements can be made to have it stored on the 2nd floor but access to the exhibition hall will only bepossible from 14h00. If it is essential that resources be delivered earlier, exhibitors will have to negotiatedirectly with the Hotel Banqueting Co-ordinator. If you need to have goods stored, ensure that they areclearly labelled SANLiC 2017 Conference together with the name of the exhibitor.

Responsibility of Exhibitors

Exhibitors should be aware that the safety of their goods and property will remain their sole responsibilityespecially during the breakdown period. Exhibitors are advised to be alert and responsible at all times andnot to leave displays or goods unattended. The hotel will supervise the cleaning of the exhibition hall eachday at the end of the day. Thereafter the venue will be locked until an agreed time, probably 08h00 eachmorning. Exhibitors will be responsible for the removal of everything they have brought onto the stand.Items not removed will be disposed of by the organiser at the exhibitors’ expense.

Exhibition Stand Terms and conditions

• The quoted items are for hire and remain the property of the hotel or GL events South Africa. Thestand material is recycled and any damaged or removed materials will be billed to the exhibitor inquestion.

• Risk of all equipment shall pass to the exhibitor on handover of the stand at the commencement ofthe event.

• The exhibitor shall ensure that adequate insurance cover has been secured against all kinds of riskthat may occur, including Public Liability insurance.

• The exhibitor shall ensure that nothing hazardous is brought onto the stand or is part of the exhibitor could jeopardise the health and safety of anyone present.

• SANLiC, Umhlanga Coastlands Hotel and GL events South Africa cannot be held responsible for anyloss of exhibitor property from stands, including graphics, signage and/or any other equipment.

• All exhibitor items must be removed by the client before the commencement of the standbreakdown.

• GL events South Africa terms and conditions are included in Annexure 1.

Exhibitor Presentations

Space is being reserved in the programme for exhibitor presentations to the plenary and will be charged ata rate of R1,000 per minute. Vendors are free to choose the duration of their presentations within thelimits of available programme space. SANLiC reserves the right to limit presentation time on a pro-ratedbasis if it is oversubscribed. If you have already registered for the conference and did not reserve apresentation as part of your registration, you can send an email request to the SANLiC Administrator. Thedeadline is 3 May 2017 when the programme will be finalised. Your request should include:

• Title

• Short Abstract

• Short presenter biographical information

• Presenter portrait photograph

• Indication of minutes required

If the programme allows it, depending on the final number of member papers being presented, breakawaypresentations in smaller venues with smaller audiences (approximately 15-20 persons at a time), will befacilitated. These will provide limited opportunities only as the smaller venues cannot accommodate all thedelegates at the same time. The rate charged for these presentations will be R100 per minute with aminimum slot of 10 minutes. If your company is interested in a smaller presentation option, please emailthe SANLiC Administrator with what you have in mind.

Advertising and Sponsorship Opportunities

SANLiC and its membership appreciates it when vendors show their support through advertising andsponsorships. This income helps to keep the cost of attendance down for staff from member institutions,thereby enabling them to attend and interact with vendors. Therefore, we encourage you to consider someof the various advertising and sponsorship opportunities outlined here. Please contact the SANLiCAdministrator or Director to reserve your sponsorship or advertising preferences.

Advertising in the Printed Programme

The printed programme proved to be very popular at the 2015 conference. Vendors are invited to placehalf page or full page adverts in the printed programme. Costs are as follows:

Miscellaneous Information

Private meetings

The small, private venues may also be hired independently by exhibitors who may wish to have privatemeetings at the conference. SANLiC will, however pass this cost on to the exhibitor. This should bearranged no later than 3 May via the SANLiC administrator. This space will be subject to availability whichwill only be confirmed when the programme is finalised.

Exhibitor badges

All exhibitors and their assistants will have name tags marked “Exhibitor” together with their name andcompany.

Additional Promotional Material

Please contact the SANLiC Administrator should you have items for the conference bags. Branded pens,pencils, notepads and other small items are welcome! These must be delivered to the venue on Friday 19May and clearly marked for attention of the SANLiC Administrator and labelled “for Conference bag”.

WiFi

There will be free Wi-Fi throughout. However, the hotel will not be able to control usage by visitors andtherefore cannot guarantee the quality of the service.

ACTIVITIES

Activities (unless otherwise agreed) must remain within the confines of stands. NO ambush marketing will be tolerated. Exhibitors are only allowed to hand out marketing material within the confines of their stands. Noise volume should be kept to a level that does not cause disturbance to other exhibitors (music, audio visual

material). No unruly or loud misconduct by exhibitors will be tolerated. Please keep your stands neat and tidy.

GENERAL NOTES & INFO

The organisers will have a temporary office at the venue during the Show period - including build-up. This will serve

as the central point for enquiries. Please note: Should exhibitors wish to phone or be contacted, please arrange for your own phones. Exhibitor admission: Exhibitor passes (badges) will allow exhibiting companies and their staff access to the

exhibition - including build-up & breakdown. The issue thereof is therefore strictly controlled. Please let us know in advance the amount required (maximum of 4 - see reply form).

No children will be allowed on build-up and breakdown days for their own safety. In order to underwrite security during the period of the show - build-up and breakdown included, admittance may be

refused to anyone who cannot produce an official exhibition pass. Please ensure that your badge is displayed at all times.

Access to the venue before or after hours, to be arranged with the organisers. All stands must be manned except for static displays (no later than 15 minutes before opening time) Each exhibitor should ensure that there are no potential fire or safety hazards on his stand. Please be aware of the

emergency exits and firefighting equipment. The official security contractors appointed to the exhibition will be the only security company allowed in the venue.

24 Hour security will be provided from build-up to breakdown. Exhibitors will be responsible for the security of their own stand during build-up, open times and

breakdown.

In their own interest, exhibitors should arrange for representatives of their companies to be on the stands during build-up, whenever the venue is open, and until move-out is completed. Insurance and public liability cover is essential!

It must be stressed that Show Management and security contractors, whilst taking every reasonable precaution, expressly decline any responsibility or liability for any loss or damage, which may befall the property of an Exhibitor for any cause whatsoever. Please be vigilant and do not leave your stand unattended. Security provided will cease at on the last day of the show. Insurance: Exhibitors are responsible for the safety of their own staff, property, their stand and its contents and are therefore advised to take precautions where necessary and to insure their goods accordingly.

It is a condition of exhibiting that the organisers at no stage and for whatever reason accept liability for any loss or damage or injury that may be sustained.

Fire arms: Firearms are not permitted to be displayed on exhibitors or personnel employed by exhibitors at the venue.

The organisers will not take responsibility in accepting goods on behalf of the exhibitors.

Services Guide Introduction GL Events provides a turnkey service for exhibition organisers through innovative products, systems, services and solutions. It offers state-of-the-art products and is constantly seeking new ways to innovate in the exhibitions and events industries. The inventory of stock, worth R125-million, is continually updated to reflect new design trends and client demands. G L Events is an international supplier of infrastructure for exhibitions and events, sourcing stock and know-how from its own independent companies, including electrical supplies, audiovisual and sound equipment, and hiring of furniture. Please direct any queries regarding services to [email protected] Electrics Exhibitors who require more than one 15 amp plug need to order a DB Board 5B and send them to [email protected] Exhibitors who have purchased space only stands need to note that should they require a plug point or spotlights, they will have to purchase a distribution board with those electrical items. Additional services Exhibitors who would like to order additional services listed in the services guide need to fill in the appropriate order forms for those items and send them together with the Cover sheet (Form 1) to [email protected] or fax to 0315791256 Order Confirmation & delivery Once your order has been processed you will be issued an invoice which is your order confirmation and must be brought to the exhibition along with proof of payment. Your order will be delivered to your stand by the GL Event services team, during build up for the Exhibition. Deadline for services orders All orders for services must be received on or before the 12TH MAY 2017 orders received after 12TH MAY 2017 will be subject to a 20% surcharge.
