Terms and ConditionsMenu selection:

A choice of menus are offered and are served subject to quality and seasonal availability

All prices quoted include VAT and service charge All beverages will be charged extra during lunch and dinner based on

consumption Firm prices will be supplied on final quotation No choices are available on the day, unless the a la carte package is

chosen; all packages that indicate a choice of menu are to be confirmed 1 week prior to arrival.

Co-ordination service:

The services of our management and co-ordination team are available to clients throughout the planning stages and throughout their function.

Kindly note that the clients are free to make their own choices outside of our supplier database, should they so require.

Service:

In order to ensure that the event runs smoothly, a waiter will be available to assist you.

Furniture and equipment:

The provision of the Hadjiantonas Winery’s standard supply of furniture and equipment is at no extra charge. Please ensure that the equipment supplied is satisfactory prior to your conference

Any additional items, not listed under “Standard equipment”, can be hired by the Hadjiantonas Winery at the client’s expense.

Accommodation:

Hadjiantonas Winery works closely with a range of hotels in the area and will assist in obtaining competitive rates

Parking and transport:

Parking is available for vehicles at the entrance of the Winery We can arrange transport by luxury minibus from a central point at an

additional cost

Bar services:

We require clients to brief us with regard to their requirements for the provision of a cash bar, full bar or wine and malt bar on their account

Clients are welcome to set a ceiling on the total bar spend for their account. In order to maintain control of this account, we are willing to supply a regular reconciliation of the bar account during the conference. Our management team assists clients by advising them as to how to save on and control bar accounts where necessary

No wines, spirits or food may be brought onto the premises for consumption without the prior consent of Hadjiantonas Winery management.

An updated list of normal bar prices is available on request Any changes to the bar requirements at any stage are to be done in

writing All wine supplied by Hadjiantonas Winery is from our house range of wines.

Any other wine requirements need to be discussed with management.

Smoking Policy:

Due to recent legislation, Hadjiantonas Winery is a non-smoking venue. However, arrangements have been made to ensure that an area for smokers has been delegated in accordance with this legislation. Applications need to be done in writing.

Set up and cut-off times:

Hadjiantonas Winery will set up the conference venue as per your requirements, should you require external suppliers to set up equipment, please confirm a suitable time with our Operations Manager

Subject to availability, the room will be made available to clients on the day prior to the function at a variable extra charge for set-up purposes. This is to be confirmed one week prior to the function

Payment requirements:

Booking is secured by 50% down payment on package selection. Settlement of account to be paid 7 days prior to the event.

Please note Hadjiantonas Winery has credit card facilities and can accommodate payments made on budget.Authorization may be given for the winery to deduct a deposit from recognized credit cards.Drinks, extra secretarial services and any additional charges must be settled on departure.

Cancellations:

Should a client need to cancel a reservation within 7 days, full cancellation fees will be charged.

In the event of no pre-payment within the time specified, Hadjiantonas Winery shall be entitled to cancel a provisional booking without further notice or liability to the client

Hadjiantonas Winery reserves the right to cancel any booking forthwith and without liability on its part in the event of any damages to, or destruction of the venue by fire, shortage of labour, strikes, industrial unrest, or any other causes beyond the control of Hadjiantonas Winery, which shall prevent it from performing its obligations. In these circumstances every effort will be made to find an alternative venue

All changes and cancellations must be confirmed in writing by the client

Risks / loss / damages:

Hadjiantonas winery shall not be held responsible for any interruptions of services (water, electricity, sanitary services)

Whilst every precaution will be taken to ensure the safeguarding of your belongings, Hadjiantonas winery will not be liable for loss or damage to any property whatsoever (décor props, valuables, vehicles etc). We recommend that all personal and valuable property be removed directly after the function

Equipment hired externally must be removed by 09h00 on the day following the function, subject to prior arrangement and approval of management

Should the Hadjiantonas Winery buildings, surrounding gardens, décor or napery be damaged in any way during the set up time period of a function, the client shall be held responsible and will be billed accordingly

Should you wish to make a reservation…A pro forma invoice will be sent to the client to be signed and this together with the bank deposit slip (cheque or credit card) must be returned to Hadjiantonas Winery in order to guarantee the venue.
