1. Introduction – The Business Opportunity

On an ongoing basis, companies continue to wrestle with the constantly evolving practices and new technological pace of today’s global and local business landscapes. This elevated techno-logical pace is being driven by three powerful business game-changers – Mobile Devices, such as Samsung tablets and smartphones, Cloud Services, and now a relatively new phenomenon, Mobile Business Applications.

Together, these elements have ushered in the age of digital-only busi-ness workflows, rendering paper-driven practices nearly obsolete. Re-ducing administration costs and man hours associated with transcribing paper reporting into back office systems has helped businesses become leaner and more efficient.

In the recent past, only truly global brand companies could consider mobilizing processes and going paperless, and even these companies were limited to “rugged proprietary” devices. Today, smartphone and tablet hardware capabilities have grown leaps and bounds over the last few years, enabling businesses to utilize mobile devices for more and more company activities. Advances in smartphone and tablet hardware and design have dramatically improved mobile usability, as it relates to speed, tools, data processing and storage, allowing for the age of digi-tal-only business to firmly take shape. Factor in breakthroughs in mobile device design and concept, such as the creations of Samsung’s Galaxy Note and Galaxy Rugby Smart, and mobile capabilities for business use continue to skyrocket.

Cloud services have also advanced the digital workflow movement, let-ting workers in the field store, access and share large amounts of data and work-related documents. Synchronizing company data with several devices has proven to be a real time-saver and leg up for businesses practicing good cloud management. It’s made firms with mobile workers lighter, increasingly agile and more cohesive as a team. Now more than ever, thanks in large part to cloud services, having workers in the field no longer slows down team collaboration.

Concurrent with advances in mobile device hardware and cloud services, has been the absolute explosion in consumer application development across multiple platforms, including on the An-droid OS platform. Produced for the masses, these Apps have made consumers’ lives simpler and more convenient.

However, there are limitations as to what most consumer Apps can do. Consequently, the mobile business application market has now seen its own share of incredible growth. More sophisticated and designed to handle SMB and Enterprise needs, business mobile applications are capturing the imagination of business and technology managers alike. Mobile business applications are changing how companies think about their processes, including the integration of and custom-ized connectivity to cloud services.

Further evidence of increased business digi-

tal workflow on the go is aplenty. For example,

research firm TechnoMetrica’s 2011 findings

revealed that nearly 50 percent of small busi-

nesses use smartphones as part of their pro-

cesses. Moreover, according to Morgan Stanley

Research, sales of smartphones are expected to

exceed those of PCs in 2012. Both research re-

sults only confirm the increasing business role

The main challenge for companies is to find business Apps that can handle more than just indi-vidual users or uses. Rather, business Apps must support multiple groups (teams), be secure, fully manageable, and capable of adapting to company growth, while not losing the simplicity and power that have made personal mobile Apps a part of our everyday lives.

We now operate in a near limitless mobile business environment, where workers are no longer chained to their desktops – or even their laptops.

Chief among these powerful new business Apps is the ProntoForms solution. More than a simple App, ProntoForms is a business workflow solution, able to dispatch office data to and collect data from the field, as well as connect to back office systems and route data to and or through cloud services.

2. Cloud Computing – Changing the Business Game

Business done from the field or on the go is now possible because of smartphones and tab-lets. But the sheer ability to store, access and share data virtually has been nothing short of a revelation to companies everywhere. Indeed, the cloud has changed the game.

As recently as a decade ago, small and large companies alike still had extensive office square footage devoted to storing and running servers. Fast forward to today and more and more firms are taking advantage of the benefits of cloud services.

The cloud is all about improving data accessibility, storage and sharing, while cutting down on traditional data storage and management costs. The ability to now access pivotal company-specific data, no matter your location, speaks to the core advantage of cloud usage.

To be an essential part of mobile business workflows, cloud service pro-viders offer an easy way to connect to different systems, with power and simplicity. In addition, cloud service providers also offer connectivity to legacy non-cloud systems that some corporations still rely on as part of their day-to-time processes.

ProntoForms makes optimal use of cloud services and other connectivity options with its dynamic workflow design. Integration of this workflow has two basic elements: data flowing into the workflow and data flowing out of the workflow. For data coming into the workflow (data sources into a form), ProntoForms allows users to upload CSV files into its portal, delivering these tables to the device. The tables can even be consumed by the mobile form when there is no network connectivity (offline). Alternatively, the user can automate the delivery of these CSV files by using a ProntoForms published REST API to deliver the data source table directly to the mobile form.

For data coming out of the system, the product has a spectrum of powerful integration capabili-ties:

• Traditional portal reports generation (including mapping and graphs) from the browser and the ability to export them into different formats (including Word, PDF, HTML, with custo-mized options and support available)

• Email and cloud notification systems for company users or external parties

• Advanced document and mark-up language cloud integration (records available in XML+XSD or JSON to integrate into your back-office systems)

• Record-based integration options to structured-data systems, with traditional SQL and relational-based schemas

These preceding capabilities can leave the data in the ProntoForms cloud system or can employ Pass-through technologies (more in section 7) to merely relay the data to its destination without storing it in the cloud. However, pass-through maintains tombstone data as an audit trail of the transaction. A few mouse clicks can enable these capabilities – highly important in keeping up with the speed of business.

All connectable with ProntoForms, these specific cloud vendors have ro-bust, popular mobile Apps, most of which are available on Samsung An-droid devices. They range in offerings, pricing and connectivity features.

• Evernote allows for the creation (in the form of a text note), clas-sification and storage of files, with the ability to synchronize the data with various destinations

• Microsoft SharePoint is a multi-faceted content management plat-form, complete with intranet and extranet capability and the ability to be configured for a variety of business purposes

Overall, this breakthrough in cloud accessibility makes business on the go that much more pos-sible, effective – and necessary. As the speed of business reaches another level, companies ev-erywhere must adapt and implement their own mobile solutions capable of working with cloud services, such as ProntoForms on Samsung devices.

“We have several Samsung Galaxy devices with ProntoForms out in the field, and because of the rave reviews from our clinicians and staff members, it looks like we’ll be ordering a lot more,” offers Justin Shelton of Home Healthcare Solutions, a Missouri business and ProntoForms client that sends health professionals into the field for home visits.

“We have 80 stores and our field reps have to visit four or sometimes five stores a day. We use the Box.net connectivity option with ProntoForms. Our field reps can classify their reports by store, upload their work and cross-reference and access previous specific store reports. It’s been a great implementation into our mobile processes,” says Eric Conner, Senior Field Manager for Primo Hoagies.

This northeast food chain has seen its processes become leaner and significantly more efficient with the adoption of ProntoForms.

Social Media and Email: Using Facebook and Twitter, as well as email to notify team members

With Facebook reaching a billion users in August 2012 (iCrossing) and Twitter surpassing 500 million users in February 2012 (Media Bistro), it’s clear that the majority of the workforce is very comfortable utilizing these two social media platforms.

As it pertains to the use of social media, mobile business solutions are now incorporating more connectivity options with these platforms. In the case of ProntoForms, the mobile solution lets users rely on Facebook and Twitter (as well as conventional email) as a team notification service for various field updates and data submissions, right to and from any mobile device.

“Twitter is a part of our team notification process and it has really enabled us to turn around and rent out our equipment faster, sometimes as much as seven days quicker,” says J.P. MClain, Product Sales and Support Man-ager for the half-century old ROMCO Equipment Company in Texas.

After undergoing an audit of its processes, ROMCO, sellers and renters of heavy construction equipment, decided to implement ProtoForms and deployed Samsung Galaxy tablets at each of its eight locations.

“We used a few other tablets when we started with ProntoForms. There is no comparison to what we currently use – the Samsung Galaxy Tab. The speed is second to none.”

MClain and his team are using the Samsung Tab with ProntoForms to inspect heavy machines and have also been impressed by the Tab’s ability to easily connect and report.

Using a private Twitter setup and ProntoForms together has seen an in-crease in the speed and quality of communication between all eight ROM-CO sites. Collectively, all locations have never been on the same page as effectively as they are today.

3. App Features – Powerful Tools

Mobile applications must be high performance in order to make the grade with any business team. An App must be user-friendly, process information and tasks in a speedy fashion, and have two-way connectivity with the office.

Such are the characteristics of ProntoForms, a mobile application known for the variety of tasks it can accomplish. While its name suggests a concentration on efficient form usage, it’s the robust nature of these customizable forms that makes the mobile business solution unique.

Since its inception in 1981, Kencor has been pro-viding elevator service across several northeast-ern states. Management knew something had to change, with respect to the company’s paper processes. Instituting ProntoForms on Samsung devices has been a tremendous upgrade in how the company goes about its business.

“We needed to get more accurate and timely with our information processes. Creating weekly hand-written work tickets was no longer acceptable,” explains John Dodds, COO of Kencor Elevator Systems Inc. Working with Samsung Galaxy tab-lets in the field, Kencor has dramatically increased its productivity in areas such as timesheets and invoicing.

“Our old process saw paper forms shuffled from one person to another. In some cases, invoicing was taking up to two weeks. With ProntoForms, it’s a real-time process, right from the field.”

ProntoForms is designed to make filling out and processing reports in the field as real-time and as simple as possible. Like any leading business App on the go, ProntoForms has included several can’t-do-without features for any business that relies on reporting and forms in the field, including dispatching.

With ProntoForms Dispatch, an administrator can direct a form to the ProntoForms App inbox of a specific user. Better still, the administrator can optionally pre-fill data into the form for the mobile user. The pre-filled data could be read-only, or could be available for editing on the mo-bile device. The bottom line is less mobile data entry, fewer errors and better results for your business.

There are two methods to dispatch to your mobile workforce. The first option is to use the Pron-toForms Web Portal to dynamically generate a dispatch template for your form. Download the template, add-in your dispatch data, and upload back to the portal to trigger the dispatches to your mobile users.

Businesses that demand integration and automation should employ the second method, dis-patch via the ProntoForms API.

ProntoForms clients each have specific features that are critical to their field reporting.

“With our use of ProntoForms on Samsung Galaxy devices, our field supervisors can now take employee pictures when filling out employee evaluation forms and I can see if they are wearing the proper uniform and using the proper protective equipment,” explains Laramie S. Stevens, Human Resources Director for Inner Parish Security Corporation. The Louisiana-based contract security company provides services to Gulf South clients.

All of the ProntoForms features are contained within its form workflow. This workflow can be categorized into three parts:

Standard – A worker in the field gathers information, enters the data into the digital form on his/her Samsung mobile device and sends it in real-time to the company’s back office system.

Advanced – A worker in the field can accomplish everything from the preceding Standard cat-egory, plus he/she can also customize a given form, with dynamic data from the business, making data capture faster, easier, and more accurate – in both an online and offline network connectiv-ity states.

Sophisticated – A worker in the field can accomplish everything from the preceding Standard and Advanced categories, plus he/she can be dispatched unique work orders and have forms already partially populated by those who manage the ProntoForms Web Portal (see section 5 for more on the Web portal).

The major element to the ProntoForms Sophisticated workflow category is the Dispatching fea-ture. It allows office managers to deliver a record to be completed in the field and then returned back to the office for further processing. For example, in the case of work orders, the Pronto-Forms system enables the office to upload record(s) via CSV or REST API. Then, based on record information, such as user ID, it routes the work order to be executed and completed to the appropriate user. From there, the system can then receive it back with all the details so the work order can be closed and most likely fast tracked to the invoicing department.

Not only does dispatching save managers time, but it also saves the workers from having to receive their work orders the traditional way – workers in the field having to drive all the way to the office for a meeting and to pick up their schedule/work orders. Dispatching saves companies time, fuel costs and from the burden of coordinating a meeting with each worker’s schedules.

4. Out with Proprietary Rugged Devices – In with Samsung’s Galaxy Note and More...

As advancements in mobile technology continue to evolve at an accelerated rate, traditional rugged proprietary mobile devices are becoming obsolete. Once championed as THE solution for in-the-field data collection and durability, old school rugged devices have a difficult time measuring up to the capability requirements or budgetary objectives of today’s business world.

No longer the most cost effective or most productive manner for field workers to gather data and report on the go, rugged proprietary devices rank behind Samsung mobile devices in nearly every relevant category. From powerful OS, broad selection of mobile applications and cloud connectivity ca-pabilities, to purchase, administration and support costs, choosing a Samsung mobile device over rugged proprietary devices makes better business sense in every way.

The only argument that an old school rugged device used to have a monopoly on, was its durable, shock absorbent design. With the launch of Samsung’s Rugby Smart, a device specifically developed for workers who work in rigorous field situations, old rugged proprietary devices no longer have any exclusive mobile advantage. However, durability isn’t a only a quality exclusive to the Rugby Smart.

“Currently, we are running 12 Samsung Galaxy tablets and they have impressed us so much that we have made it our standard tablet moving forward. The Galaxy Tab is flexible, durable and fast. It serves all of our needs in a tablet,” says J.P. MClain of construction equipment seller and renter ROMCO.

Featuring an intuitive, accurate S Pen, the Note is a smart-phone with a tablet concept, offering users faster data entry (thanks in large part to the S Pen) possibilities and the largest smartphone screen size on the market.

Running on Android OS, the Note, and the balance of Sam-sung’s smartphone device models, are infinitely more sophisti-cated than old school rugged proprietary devices – and priced significantly lower as well.

In terms of value and performance, the Note’s high level fea-tures and fast processing speeds make it a rising choice among business professionals and ProntoForms clients.

5. Web Portal Management– Your Online Command Center

While work in the field is now possible with today’s Samsung devices, it’s still very much neces-sary to have an online control panel or Web portal. Commonly referred to as a dashboard, an online Web portal gives managers the ability to create, assess, download and monitor all activi-ties that are happening in the field.

In the case of ProntoForms, account managers have a powerful Web portal tool, designed to give full access and permissions called FormSpaces. It allows managers to easily configure and manage several important aspects of the ProntoForms service, including:

7. Device Security – Protection and Flexibility are Must-Haves

With any new business initiative that’s introduced and integrated, companies are always wary of its potential security risks. Fortunately, Samsung’s leading mobile business solutions take all the requisite precautions – and then some – in order to protect the information and activities of its clients.

In January 2012, three Samsung devices received Federal Information Processing Standard (FIPS) approval. Certified by the National Institute of Standards and Technology.

“Samsung proactively sought FIPS certification to show our current and potential government and business customers that we take their

security and interoperability needs seriously,” said Cho BumCoo, Senior Vice President of Enterprise Solution Team at Samsung Electronics Co., Ltd., in a January 2012 press release.

Simply put, these three specific FIPS approved Galaxy products (SII smartphone model and two Tab tablet models) are appropriate for

government institutions and any business with high level mobile security requirements.

For ProntoForms, security is a core priority. No user data is stored on the Web or application servers. Moreover, no third parties have access to customer information.

The ProntoForms architecture runs in industry-leading cloud infrastruc-ture that features state-of-the-art physical security, data and network se-curity, and procedural security and compliance. Great efforts have been taken to eliminate single-points-of-failure in the architecture and to en-sure redundant storage of data. “Simply put, our pass-through option means that no data records are ever persisted in our cloud server. Data records enter our server and are held in memory until destination processing is complete, at which point, all data records are then cleared. SAFE™: “SAFE™” (Samsung for Enterprise) is a mark for a Samsung device which has been tested against Samsung’s own internal criteria for in-teroperability with certain third party security-related solutions for MDM and VPN. The testing includes field testing with local network connection and menu tree testing which tests functionality of the solutions in conjunction with the Samsung device. During the testing, the device is tested with the security solutions to see if the solutions work with the device as described by the third party security solution providers.
