INTRODUCTION

CURLING ALBERTA PROVINCIAL CHAMPIONSHIPS

Provincial Curling Championships are the responsibility of Curling Alberta. Curling Alberta

works with a local Host Committee to assist in the organization and presentation of the

event. Ongoing communication should occur between the Host Committee and the

Curling Alberta office.

An agreement (Letter of Understanding - LOU) will be signed between the provincial Host

Committee and Curling Alberta, acknowledging hosting and financial obligations.

This manual identifies the major organizational aspects and related decisions required to

successfully stage the event. The Chairperson should receive a copy of the entire manual;

each sub-committee should receive a copy of their respective section.

GOALS & OBJECTIVES OF PROVINCIAL CHAMPIONSHIPS:

Curling Alberta and the host committee commit to the following objectives:

• To stage a premium event that provides the best facilities and conditions in which the

curlers may compete on an equal basis to the best of their abilities

• To make the volunteer experience as enjoyable as possible

• To ensure the event is organized in an efficient and cost-effective manner

• To promote the sport of curling

The Provincial Championships governed by Curling Alberta are:

• Alberta Scotties Tournament of Hearts (Women’s Championship)

• Alberta Boston Pizza Cup, presented by Best Western (Men’s Championship)

• Curling Alberta Mixed Provincial Championship

• Curling Alberta Mixed Doubles Provincial Championship

• Curling Alberta Junior Provincial Championships (Men and Women)

• Curling Alberta Senior Provincial Championships (Men and Women)

• Curling Alberta Masters Provincial Championships (Men and Women)

• Curling Alberta Optimist U18 Provincial Championships (Boys and Girls)

• Curling Alberta Wheelchair Provincial Championship

• Curling Alberta Curling Club Championships (Men and Women)

• Curling Alberta Curlers Corner U15 Provincial Championships (Boys and Girls)

• Curling Alberta U21 Mixed Double Provincial Championship

AUTHORITY

Curling Alberta has the authority to make decisions related to its competitions and Excel

Points, as it considers necessary, to handle any situation not covered by the rules or its

policies.

Curling Alberta is the policy decision forum for Provincial Championships. All matters

that are of concern to a Host Committee should initially be directed to the Curling Alberta

Championship Coordinator or Executive Director.

A subcommittee of Curling Alberta’s Competitions Committee, known as the

“Competitions Tribunal” is delegated the authority to make pre-event policy

interpretations. This subcommittee is comprised of three members, appointed by Curling

Alberta’s Board of Directors.

During a Provincial Championship policy interpretations are the responsibility of the

event’s Chief Umpire.

SPONSORS AND PARTNERS

The sponsors of curling contribute substantially to the sport. There are currently many

different sponsors at the national, provincial, regional, local and team levels. In addition,

federal, provincial and local governments provide funds and funding opportunities to

Curling Canada, Curling Alberta and many curling facilities and associations.

Curling Alberta’s sponsorship agreements are continually evolving to meet both the needs

of the sport and those of the sponsors. The Host Committee is asked to recognize the

importance of the support curling receives from these partners. Without the contributions

of our corporate and government sponsors, the quality of our Provincial Championships

would be greatly diminished.

RESPONSIBILITIES

CURLING ALBERTA

OVERALL:

• Sanction and set the dates for all Provincial Championships

• Appoint a Championship Coordinator for each event

• Adhere to all responsibilities outlined in the Letter of Understanding (LOU)

• Determine the event format, special rules (as per Competitor’s Guide related

Appendix), roster, draw, schedule of events practice schedule (Curling Alberta to work

in consultation with Host Committee)

• Appoint/approve Head Ice Technician in conjunction with Host Committee

• Set officiating to be utilized at each event (eg. timed events, number of officials

required)

• Appoint the Chief Umpire and Deputy Umpire, if required for the event - assigned by

the Curling Alberta Officials Coordinator

o The Chief Umpire will handle all on-ice issues during the event

o Curling Alberta is responsible for the Chief Umpire honorarium

o Curling Alberta is responsible for the Deputy Umpire (if required) per diem,

accommodation and mileage (as per policy)

• If there is a local Best Western property, arrange room block

• Schedule Umpire training courses in consultation with Host Committee

• Sole contact for all provincial title and presenting sponsors and related fulfillment

obligations

• Provide related Championship trophies, medals, pins, apparel to finalists

• Distribute to all attending teams: Competitor’s Guide and Appendix, crests, draw, and

welcome letter (letter provided by Host Committee)

• Ensure that all Team Alberta forms and photographs are forwarded to Curling Canada

following the event and handle all Team Alberta requirements

PROVIDE TO HOST COMMITTEE:

1. Provide Hosting Guide, Competitor’s Guide and all related documents

2. Continued support and resources during the planning stages

3. Onsite and/or 24/7 on-call representation from Curling Alberta during the event

4. Curling Alberta and provincial event sponsor banners and signage, and sponsor

fulfillment guidelines

5. Arrange umpires’ clinic, if required

6. Provide time clocks, digital measuring devices, umpire apparel and other required

officiating equipment

7. Provide draw boards and standings boards

8. Provide one set of team name boards

9. Provide all in ice decals required

10. Ensure setup of online scoring

HOST COMMITTEE

1. Appoint a Host Committee Chairperson and Directors; share contact list with Curling

Alberta’s Championship Coordinator.

2. Adhere to all responsibilities outlined in the Letter of Understanding (LOU).

3. Provide all event facilities, including practice ice.

4. Overall financial responsibility to organize and run the event, in conjunction with

Curling Alberta Championship Coordinator.

5. Costs associated with the installation of ice including Head Ice Technician, crew,

equipment, foam, Jet Ice equipment, rocks and handles, and required ice technician

accommodations and meal expenses, when applicable.

6. Responsible for payment and coordination of event curtains and carpet requirements,

when applicable.

7. Meet the needs of the TV broadcaster, in consultation with Curling Alberta. (Men`s

and Women`s Only)

8. Obtain any permits and insurance deemed necessary or required by local authorities,

i.e. Special Event Insurance, permit(s) for scaffolding, engineering regarding weight of

T.V. cameras (Men`s and Women`s Only) and lighting may be required.

9. Host Committee must comply with all local municipal by-laws.

10. Arrange the rental or borrowing of 1 - 2 trucks to pick up and return time clocks and

other required provincial equipment from either the North or South Curling Alberta

office, in coordination with Curling Alberta Championship Coordinator.

11. Host Committee is responsible for the Chief Umpire per diem ($60/day),

accommodations and mileage, as per policy. Ask Curling Alberta for current policy.

12. Schedule other umpires in coordination with Curling Alberta:

• 1 volunteer per draw to update Curling Alberta’s website with scoring and draw

boards following each draw.

• 1 timer per sheet (level 1).

• 1 on-ice observer per sheet (or 2 per sheet in an arena setting) (level 1).

• 1 timing supervisor per draw (level 2).

• 2 - 4 game umpires per draw, depending on number of sheets in use (level 2).

• Two statisticians per televised game (Men’s and Women’s semi/final games).

13. Arrange for Level 1 and/or 2 training opportunity with Curling Alberta. Provide

meeting/classroom space for the course(s) at no cost.

14. When there is no local Best Western, arrange room block for teams, officials and

dignitaries.

15. Ensure use of Curling Alberta title/presenting sponsor products throughout venue

(retail sales booths must be approved by Curling Alberta).

16. Ensure that local sponsorship is not in conflict with provincial sponsorships

• Provide a list of all potential local sponsors to Curling Alberta prior to

solicitation.

• Send draft copy of local sponsorship (sales) package to Curling Alberta prior

to solicitation.

• Use Official Title of Event verbatim for all print, on-line and verbal

communication. Contact Curling Alberta for your events Official Title.

17. Collaborate with Curling Alberta to ensure proficient sponsor fulfillment.

18. Send all promotional items, website and/or ticket proofs to Curling Alberta for

approval prior to posting/printing.

19. Ensure that all on and off ice signage is approved by Curling Alberta.

20. In Mixed competition, a spare pool will be provided at the Provincial Championship.

The substitute or replacement player must be the same gender as the missing player

and play either position appropriate for his/her gender. A minimum of two players per

gender must be available per draw and schedule practice time to allow teams to view

players in spare pool. Player pool to be approved by Curling Alberta Championship

Coordinator a minimum of fourteen (14) days prior to the event.

21. For Men’s and Women’s categories: establish a website and Facebook Page

and update leading up to and during the event. Prior to going live, Curling Alberta

approval is required.

22. Book a photographer to take team photographs around the time of pre-event

practice; winning team(s) photo will be required immediately following the event.

23. Provide 4 banquet tickets to Curling Alberta and 2 banquet tickets to the following

year’s Host Committee. Allow admittance to Curling Alberta staff and Board Directors

with Curling Alberta passes. The Host Committee may also be required to provide

passes to Provincial and National sponsors as per Provincial and Curling Canada

agreements. Confirm with the Curling Alberta office. Establish setup and take down

schedules in communication with Head Ice Technician, Display Company, and Curling

Alberta Championship Coordinator.

24. Event passes for a spouse or guest of the competitors can be distributed at the

discretion of the Host Committee.

25. Provide First-Aid services, and security on-site for entire event (i.e. St. John

Ambulance or equivalent).

26. For Men’s and Women’s categories: Provide to Curling Alberta Championship

Coordinator a banquet or approved social function program, to include all attending

teams and dignitaries.

Note: Liquor is strictly prohibited during Junior, U18, U15, and U21 Mixed Doubles

banquet/social events. Players and coaches attending the Juniors, U18, U15, and U21

Mixed Doubles, WILL NOT be allowed to consume alcoholic beverages or use any

non-presciption or banned drugs from the time they leave home for travel and until

they arrive back at home. Violation will result in immediate suspension of the players

or coaches involved for the remainder of the event.

27. Recruit volunteers and provide adequate volunteer recognition.

28. Host Committee will be responsible for storage and shipment of all signage to next

event location (all provincial sponsor banners, signage and bumpers to the following

year’s site – all shipping will be done collect to the following year’s host site).

Contact Curling Alberta’s Championship Coordinator for instructions on the

shipment of the Curling Alberta properties to the next event location.

29. Prepare a final report with recommendations to Curling Alberta within 30 days of

completion of event. Send your final report and invoice together. Report must be

received by Curling Alberta before a payment will be issued.

HOST COMMITTEE STRUCTURE

A Host Committee should be established to organize the delivery of the event. All

meeting minutes should be sent to the Curling Alberta Championship Coordinator.

It is suggested that each committee member be assigned to a specific area. The following

is only a suggestion of division of responsibilities for each Director. Each Host Committee

Chairperson will be responsible to determine the roles and responsibilities of each

Director.

HOST COMMITTEE CHAIRPERSON

1. Determine committee configuration required to organize the Championship, and

select Committee Directors to fulfill the following requirements: Supply the Curling

Alberta Championship Coordinator with the name, position, phone number and email

of each committee member.

2. Sign LOU with Curling Alberta.

3. Be in direct communication with Curling Alberta Championship Coordinator. Establish

timelines and responsibilities.

4. Be in direct communication with the Chief Umpire appointed by Curling Alberta.

5. If the Championship has a Title or Presenting Sponsor, work with Curling Alberta to

ensure title and/or presenting sponsors fulfillment is carried out. The Host Committee

will not contact provincial and/or national sponsors without written permission by

Curling Alberta.

6. Prepare a welcome letter and send to Curling Alberta for distribution at least 10

days before the first Provincial Qualifier leading to your event. Include: Schedule of

Events, accommodation information, banquet ticket details, and practice schedule.

Final contents must be approved by Curling Alberta.

7. Attend banquet.

8. Media inquiries.

9. Promotional presentations.

10. Ensure visible identification for all volunteers (ribbons, accreditation, and/or clothing).

Host Committee members should have special identification from other volunteers

(i.e. different jackets or accreditation). Include Curling Alberta embroidered crest on

all volunteer apparel; contact Curling Alberta for approved logo.

11. Provide accreditation for players, volunteers, dignitaries, media and other stakeholder

groups as necessary.

12. For use of the Final Report, keep electronic files of decisions, statistics, feedback

and samples to forward on to Curling Alberta. Ensure all Committee Directors do

the same. These e-files will be used to pass information on to future Hosts. Submit

final report and e-files to Curling Alberta within 30 days of the event. A memory stick

containing all files and report can be mailed to Curling Alberta office or a shared

folder link emailed to the Championship Coordinator.

SPONSORSHIP

1. Recognize that all title and presenting sponsorships belong to Curling Alberta.

Do not contact existing Provincial or National sponsor without approval by Curling

Alberta Executive Director or the Championship Coordinator (including local branches

or locations).

2. Ensure that the Sponsorship Package is designed with the official title of the event

and if there is any Title or Presenting Sponsors, that the most up to date, high

definition, logo is used. Submit to Curling Alberta office for approval prior to sharing

the Sponsorship Package.

3. Do not approach any potential sponsors who may be in conflict with the Curling

Alberta event sponsors (title, presenting, and accommodations). Contact

Curling Alberta office for a complete list of Event Sponsors and who to avoid ensuring

exclusivity contractual obligations. Submit potential sponsors to Curling Alberta

office for approval prior to solicitation.

4. Work collaboratively with Curling Alberta, Host Committee Chairperson and Director

of Finance.

5. When there is a Title or Presenting Sponsor, ensure sheets of ice where

Championship is being played are logo-free unless supplied by Curling Alberta.

Curling Alberta will provide an ice logo layout for placement of in-ice sponsor

logos.

6. Work with all Committee Directors to establish a budget. Determine how much money

is required to be raised through sponsorships.

7. Consider your approach in raising money. Some suggestions from Curling Alberta:

a) Sell advertising with different levels of sponsorship available

b) Sell sponsorship based on specific events or services, i.e. banquet, bleachers,

piper, program, printing, signage, or anything that must be paid for. This could be

with monitory or in-kind donations, in full or for a discount.

c) Consider packaging multiple events if Host Club or Committee has been awarded

more than one event

d) Hold a silent auction at the event

e) 50/50 Draws

f) Contact the Curling Alberta office for templates, suggestions or guidelines. Start

early. Twelve months ahead is not too soon to ask for a donation.

8. Send a letter to a person, not a department and follow every letter up with a phone

call. Personal contact is recommended. Be sure to use the official title of the event

and applicable logos on print material.

9. Use all possible contacts. Do not ask the same company twice, especially if they have

already said yes. Keep a tracking document and notify the Host Committee and Chair

of every letter or request sent.

10. Deliver what you promise. Co-ordinate with Director of Event Program if sponsors

gain recognition in the program.

11. Make sure all sponsors are thanked. Even the smallest donation requires a thank-you.

NOTE: The area of sponsorship in the sport of curling has changed considerably

over the past number of years. Curling Alberta is bound by national and provincial

sponsorship agreements that have become critical to the financial viability of national and

provincial championships. These agreements vary by event and make co-ordination

between local sponsorship committees and Curling Alberta a must. The Director of

Sponsorship should contact the Curling Alberta Executive Director prior to engaging in

any sponsor acquisition.

FINANCE

1. Ensure a process is in place to record and account for hosted event funds and ensure

it is separated from regular club accounting.

2. Receive all funds (including those from committee member’s i.e. volunteer fee to

cover clothing costs).

3. Write receipts for all donations.

4. Receive all invoices and approve for payment.

5. Prepare a financial report, including budget figures and actuals, and submit to the

Host Committee Chairperson within 30 days of completion of event for final event

reporting to Curling Alberta.

6. Ensure those funds provided by Curling Alberta Host Committee and sponsors are

used where agreed.

7. Work collaboratively with Director of Sponsorship and Host Committee Chairperson.

FACILITY

1. Arrange for curtains and carpet requirements. Host Committee responsible for

costs. Contact Curling Alberta Championship Coordinator for event display company

contacts.

2. Attend site visit with TV broadcaster for equipment and layout needs required during

Event (Men’s and Women’s Championships only).

3. Establish setup and take down schedules in coordination with Head Ice Technician,

TV broadcaster (via Curling Alberta), and other set-up companies.

4. Obtain any permits and insurance deemed necessary or required by local authorities,

i.e. Special Event Insurance. Permit(s) for scaffolding, engineering regarding weight of

television cameras (Men`s and Women`s Only) and lighting may be required. Ensure

Host Committee complies with all local municipal By-laws.

5. Arrange for lockers and changing room for curlers and coaches (male and female).

6. Reserve chairs for coaches, timers, and statisticians (if used, confirm with Curling

Alberta Championship Coordinator).

7. Make sure chairs are available on the ice area for on-ice umpires.

8. Work with Head Ice Technician and Chief Umpire as to cleaning and pebbling of ice

for practices, games and fifth end breaks.

9. Work with other committees as to requirements for opening and closing ceremonies,

banquets, and decorations.

10. Arrange for extra bleachers, if required. Contact Curling Alberta Championship

Coordinator for event bleacher company contacts.

11. Provide signage area for Team Sponsors. In the off-ice area, the teams will be allowed

a maximum space of 1 meter by 2.6 meters (3’ x 8’) to display their Sponsor Banners.

12. Arrange for media area and seating with ice visibility (men’s and women’s events

require a minimum of 6 seats; all other events 4 seats). Power must be accessible

from this area. Wi-Fi and internet connectivity is required.

13. When there is a Title or Presenting Sponsor, ensure sheets of ice where

rooms; Juniors – 60 rooms; Seniors – 40 rooms; Masters – 30 rooms; U18 & U15 - 40

rooms; Club Championship – 40 rooms; Wheelchair – n/a). Additional rooms will be

required for supporters.

2. Curling Alberta will provide accommodation-booking assistance when a Best

Western hotel is available. Best Western has a first right of refusal as Host

Hotel; Curling Alberta will block rooms when host hotel is a Best Western

property. Host Committee, is responsible for blocking rooms when there is no Best

Western property.

3. Answer all accommodation inquiries from coaches and competitors and handle all

complaints.

4. Supply welcome signs at host hotels.

5. Ensure Chairperson receives accommodation booking details for use in the

competitor welcome letter.

6. The Host Committee may decide to have ‘welcome gifts’ (e.g. fruit basket, toiletries,

wine, etc.) placed in the hotel rooms for the competitors.

BANQUET (OR APPROVED SOCIAL FUNCTION BY CHAMPIONSHIP COORDINATOR,

CURLING ALBERTA)

1. Book banquet room for each social event as required.

2. Arrange times for social events around draw times (must be approved by Curling

Alberta Championship Coordinator).

3. Arrange for caterers and plan meals.

4. Arrange for printing of tickets and banquet program through program and printing

committee. (Tickets and program must be approved by Curling Alberta

Championship Coordinator).

5. Plan program – introduction, non-denominational grace, speakers (banquet/social

function program must be approved by Curling Alberta).

6. Send written invitations to all speakers, and head table guests. All Curling Alberta

staff, Board and Sponsor invitations should be sent to Curling Alberta office for

distribution, at least 8 weeks in advance of the event.

7. Supply banquet tickets for curlers, coaches, Chief Umpire, and special guests.

8. Have extra tickets available for purchase if possible. Include ticket information in the

welcome letter for competitors.

9. Arrange for place cards and determine those who sit at the head table (usually

dignitaries and those who are speaking at event).

10. Arrange for P.A. system.

11. Ensure that Curling Alberta is consulted with the banquet program and Schedule of

Events.

12. Thank you cards should be forwarded to dignitaries, guest speakers, etc.

NOTE: Liquor is not permitted during the Junior, U15, U18 and U21 Mixed Doubles

banquet/social event.

MARKETING AND MEDIA

1. Host Committee is responsible for arranging a working media area with a view of the

ice and to provide W-Fi connectivity. NOTE: at Men’s and Women’s Championships, a

media scrum area is recommended so media know where they can interview athletes.

2. Share results to media. Ensure that Curling Alberta approves all media releases and

media/social media plan.

3. Men’s & Women’s event: receive biographies of competitors from Curling Alberta and

have available for media reference.

4. Provide press with copies of scoring sheets, plus any other information pertaining to

the event as it progresses.

5. Provide media passes to games, and at least one social event.

6. Create promotional pieces and post/share. Ensure all communication pieces display

the official title and required logos (Curling Alberta, Title and Presenting Sponsors). All

pieces must be approved by Curling Alberta.

7. Distribute results to Curling Alberta.

8. Establish a media liaison to act as contact for all out of town press.

9. Arrange for photographs of all teams (Hiring a professional or a photographer from a

local newspaper is recommended). Time of photographs: recommend just after first

pre-event practice.

10. Send out thank-you notes to dignitaries, sponsors, media, etc.

11. Team Photographs:

a. Sent in jpeg format and of good quality, lighting, and high resolution (minimum 300

dpi and 3 x 5 image size)

b. Teams must be in team apparel, standing in the following order (L to R): Skip,

Third, Second, Lead, Coach (standing shoulder to shoulder; Coach must be in

photo for Juniors, U15, U21 Mixed Doubles and U18; no hats preferred).

c. Taken off-ice with a blank (neutral) background – NO advertising.

d. NO Medals, crests or awards in hand.

e. Gold medal team photos are required to be sent to Curling Alberta Championship

Coordinator immediately following the final game.

PROGRAMS AND PRINTING

1. Determine program content and format – advertising, sponsors, messages, draw grid

and standings grid. Ask Curling Alberta Championships Coordinator for templates

and samples.

2. Seek sponsorship and/or contract for printing of programs, tickets, signage, etc.

3. Set price for sale of programs.

4. Attain and include Provincial Qualifying team photos for the program (except

Mixed Doubles and open events with no Provincial Qualifier). Be in direct contact

with Curling Alberta office to ensure delivery of these photos following Provincial

Qualifiers.

5. Include draw in program.

6. Must allow space for team sponsor recognition. This is usually done under the team’s

names below the photos in the program.

7. As per the LOU, when there is a Title/Presenting Sponsor, reserve inside and outside

of the back cover of program, along with one-two additional pages for Curling Alberta

sponsor ads.

8. Have front cover approved by Curling Alberta. Ensure use of official title of the event

and include Curling Alberta logo and approved event logo(s) via Curling Alberta.

9. Must leave room for greetings from: Title/Presenting Sponsor, Curling Alberta

President, Host Committee Chairperson, Host Club President and local government

officials.

10. Curling Alberta to review draft of program and approve prior to printing.

MERCHANDISE AND TICKETS

1. Have admission tickets ready for sale, different colors for each day or each draw.

Event pass punch cards are acceptable. Recommend taking ticket and provide stamp

on hand to reduce re-entry problems.

2. Decide on prices – per game – per day – per event (subject to approval by Curling

Alberta).

3. Sell programs.

4. Any merchandise and souvenirs (shirts, hats, etc.) subject to Curling Alberta approval.

5. Provide Curling Alberta with Merchandise Program booth space (6’ x 10’ area, 2 x 6’

tables and 2 chairs), if required.

6. Prepare a time schedule for personnel to sell tickets, programs and/or merchandise.

7. For statistics and future event coordination, track daily attendance, regardless of

whether tickets are used for entry.

CEREMONIES

OPENING

Opening ceremonies will consist of (send program to Championship Coordinator 5 days

prior to the Opening Ceremonies):

1. Teams and dignitaries being piped onto the ice

2. Welcome from the Master of Ceremonies and singing of O’ Canada.

3. Introduction of Dignitaries

4. Introduction of the Host Committee Chairperson(s).

5. Delivery of the Ceremonial 1st stone.

6. Title Sponsor may be given opportunity to speak; this must be coordinated with

Curling Alberta.

CLOSING

1. Closing ceremonies occur immediately after final draw. Ceremonies usually held in

lounge area of venue or may be held on ice depending on crowd in attendance.

2. Arrange for table to display awards; use black table cloth to drape the table. Consider

displaying all medals, trophy and awards for the final games. When TV coverage is

present, dress up the table with flowers as they will utilize the display in their

camera shots.

3. Coordinate with the Curling Alberta Championship Coordinator regarding presentation

of the awards and Curling Alberta Sponsor participation.

4. Closing remarks from Host Committee representative and winning skips, if desired.

5. Ensure all paper work and Team pictures are completed and forwarded to Curling

Alberta Championship Coordinator within 24 hours of the final game.

TRANSPORTATION

1. Arrange for reserved parking in front of curling rink for teams and umpires.

Providing transportation is not mandatory, however if transportation is not being provided,

having reserved parking for teams, sponsors and Curling Alberta delegates should

be arranged.

If providing transportation, drivers responsible for transporting teams, sponsors and

Curling Alberta delegates should all have class IV driver’s license, if possible.

NOTE: It may be difficult to secure a vehicle sponsor, volunteer drivers, volunteer

drivers with Class IV, and/or insurance. Some teams may opt out of using provided

transportation. (If you need guidance with Transportation, contact the Curling Alberta

Championship Coordinator for assistance.)

HOSPITALITY

1. Prepare a welcoming package for participating teams including:

a. Schedule of Events (schedule approved by Curling Alberta)

b. Team photo schedule

c. Practice ice schedule – local teams practice first (schedule approved by Curling

Alberta)

d. Event/souvenir program (Program approved by Curling Alberta)

e. Hospitality room number and hours open, if applicable

f. Emergency phone numbers (doctor, dentist, hospital, etc.)**

g. Cell number of Chief Umpire**

2. Put together grab bags – items collected from local merchants, Host Club pins, town

pins, maps, programs, accreditation (name tags), banquet tickets, etc.

3. Set hours for hospitality room, supply snacks, and arrange for a hostess. The Host

Committee pays to stock room (no alcohol to be available in U18 or Junior hospitality

room).

4. As the alternative to a hospitality room, snacks and coffee could be provided at the

Venue if desired.

5. Work with Host Chairperson to ensure that an information package (welcome letter

and schedules) are forwarded to Curling Alberta.

6. Ensure bar and kitchen facilities will be adequately staffed and stocked.

**Past Committees have found it helpful to print these contact numbers on the back

of player accreditation cards. (i.e. if an illness or injury occurs away from the venue

the team can contact the Chief Umpire to request a spare).

DECORATIONS

1. Provide decorations appropriate for the Championship. Work closely with the Director

of Banquets and Ceremonies to ensure needs are met. When TV coverage is present,

use of floral arrangements both around the ice surface and on the display (medal/

trophy) table is suggested. Ensure a black table cloth is used to dress the display

table.

2. Use sponsor banners, logos, etc. (provided by sponsor) for display. Coordinate Title

and Presenting Sponsor signage and displays with Curling Alberta Championship

Coordinator. Always ensure that the Title/Presenting Sponsors have the most visual

recognition. In consultation with Curling Alberta Championship Coordinator, ensure all

non-event sponsor signage is draped off, removed or covered if required.

3. Use Curling Alberta banner(s).

4. Co-ordinate décor and set up with Director of Facilities.

5. Have color schemes of decorations approved by Curling Alberta Championship

Coordinator.

OFFICIATING AND PLAYER POOL

1. Schedule umpires:

• 1 volunteer per draw to update Curling Alberta’s website with scoring and draw

boards following each draw

• 1 timer per sheet (level 1)

• 1 on-ice observer per sheet (or 2 per sheet in an arena setting) (level 1)

• 1 timing supervisor per draw (level 2)

• 2 - 4 game umpires per draw, depending on the number of sheets in use (level 2)

• 1 statistician per televised game (men’s and women’s semi/final games only)

2. Ensure accommodations for Chief Umpire and Deputy Umpire (if required) are

included in the host hotel room block. Host Committee is responsible for:

• Chief Umpire per diem ($60 per day), accommodations and mileage, as per policy

(if residence is greater than 50 kms away from host venue; review policy for details,

contact the Championship Coordinator for policy).

o Curling Alberta is responsible for the Chief Umpire honorarium and Deputy Umpire

expenses, if required.

3. Provide designated seating for umpires and coaches. Layout will vary by Host

Committee and approved by Curling Alberta.

4. Coordinate the posting and updating of draw board and standings board at venue.

5. Display team name boards for each draw on scoreboards.

6. Schedule and book space for Umpire meeting with Coaches 1.5 hrs prior to the 1st

draw; conducted by Chief Umpire.

7. Provide to officials for each game: line score sheets, clipboards, pencils, paper, time

clocks, strategy boards, team roster, etc. (as necessary).

8. Sufficiently appreciate all volunteer Umpires.

U21 MIXED DOUBLES

Official Title: 2021 Curling Alberta Mixed Doubles Provincial Championship (to be

Competition format for the Provincial Championship will be a 24-team round robin format

with a maximum of 4 pools of 6 teams each. Following round robin a total of 8 teams (i.e.,

the first place and second place teams in each pool, assuming 4 pools) will qualify for

single elimination playoff to determine a Provincial champion. If the Provincial entries are

less than 24 teams, the draw and pool format may be adjusted accordingly by Curling

Alberta.This event shall be completed in no more than three days, and with rare exception

(tie-breakers), no team should play more than three games in one day.

FINAL REPORT

Use the following template to complete the Host Committee Final Report. This report is

due 30 days after the event is complete, upon which a Host Committee reimbursement

payment will be issued, as per the LOU or understanding with Curling Alberta. An

electronic folder can be shared via Google Drive or mailing in a USB Flash Drive

containing your final report and all final e-copies and samples of promotional items:

program, tickets, posters, media posts/news, etc.

Thank you for taking the time to share with not only Curling Alberta but future hosts on

what your Committee experienced, what decisions you made and the recommendations

you would suggest. Samples and feedback will only help simplify and strengthen the

success of our future Championships for volunteers, competitor’s and fans. Contact the

APPENDIX B

SOCIAL MEDIA STRATEGY/GUIDELINES FOR HOST COMMITTEES

Overall Objective: To create awareness of a particular event throughout the community

and to have a consistent voice.

To have a consistent voice on social media it is best to have 1 dedicated individual

responsible for the social media account(s). The host needs to determine which type of

social media voice they would like to utilize: Examples; paternal/maternal, whimsical,

witty, casual, educational, inspirational. These are not all exhaustible examples of

voices that can be utilized. Whichever voice the host intends to use, it does need to

be consistent. Curling Alberta utilizes both Facebook and Twitter as their social media

platforms and if the Host Committee wishes to utilize more than these two platforms,

they are free to do so, knowing that Curling Alberta only utilizes Facebook and Twitter

and does not have a social media presence on other platforms. In all posts relevant to

the Hosts’ event, it would be prudent to “tag” Curling Alberta in these posts. This will

increase the reach and engagement of the post as Curling Alberta may have certain

followers on their social media accounts that the Host may not have. Curling Alberta

would recommend utilizing the clubs social media platforms to promote a Provincial

championship rather than starting a social media account from scratch.

Benefits:

• The club already has followers and the posts of a provincial championship will only

increase followers/likes, which increase the reach and engagement over time.

o As an example, if the club already has 1,000 followers, these followers do not need

to be gained by a new social media account.

• New followers will also be more aware of next year’s Provincials if the club signs a

multiyear agreement to host several Provincials.

• The new followers that have been gained will be kept up to date on the clubs

activities, thereby potentially increasing club membership in the long run.

Stipulation:

• Use the correct title of the event for every post associated with the event and tag

Curling Alberta in posts associated with the respective Provincials.

Benefit:

• This will increase brand awareness for a particular Provincials year to year and the

re-share by Curling Alberta will drive more traffic to the original post and potentially

increase engagements and followings for the particular event.

Curling Alberta recommends mentioning and tagging particular event sponsors if a post is

relevant to a particular sponsor.

For example: We wish to give a shout out to @BostonPizzaNA (Boston Pizza Northern

Alberta) for generously providing our hard working volunteers with their post event meal at

the 2018 Alberta Boston Pizza Cup, presented by @BestWestern (Best Western Hotels &

Resorts) and add a picture of the volunteers eating Boston Pizza.

APPENDIX C

TIMELINE/CHECKLIST

Before the Event

• Sign a contract with Curling Alberta

• Establish host committee and assign roles and if possible, shadow the prior year’s

committee

• Create event budget

• Develop sponsorship package and later obtain and produce sponsor signage

• Recruit Head Ice Technician if not appointed by Curling Alberta. Host Committee

responsible for all costs association with Head Ice Technician including fees, lodging,

meals, paint supplies, foam dividers, rocks and handles

• Arrange for curtains and carpet requirements. Host Committee responsible for costs.

• Recruit volunteers

• Create a welcome letter for teams outlining the facility and contacts for the event

– submit to Curling Alberta Office by December 1. Welcome letter should include

(but not limited to) welcome address from Host Committee Chairman, Schedule of

Events, Practice Ice Schedule (Supplied by Curling Alberta), Special Events, Banquet

Information, Lodging Information, Transportation information and contact list for Host

Committee Departments
