VIRTUAL MEETING $50,000ASTRO preserves the Annual Meeting scientific sessions and all of the meeting’s vital information as a Virtual Meeting. The digitally recorded sessions are audio synchronized to speaker presentations and provide an excellent recap and informational source for attendees and those who could not attend. Enhance the educational element of your company’s noteworthy products and services with a presentation in an Industry-Expert Theater. ASTRO has created a venue in the Exhibit Hall and in a session room in the convention center to hold live presentations or activities during special times. The Industry-Expert Theater is a “plug-and-play” operation. You provide the speaker(s), and the speaker(s) bring their presentations on a flash drive. ASTRO provides the venue with seating for up to 150 attendees and a complete AV package including one on-site technician. ASTRO to provide pre-meeting and on-site promotion. Morning, midday and afternoon slots are available. Each slot is an hour long. Three slots are offered daily during each time slot. New this year is a video and audio package capturing each session with links to be provided post meeting. Exhibit Hall Theater Locations Only.
Please note: Food is not included, however, it is available for purchase at all time slots directly from the Convention Center.
ARRO/RESIDENTS’ PROGRAM$20,000The Association of Residents in Radiation Oncology’s (ARRO) Annual Meeting program attracts more than 500 residents/young members each year. The program consists of a daylong seminar, two luncheons and a reception. Sponsors will be allowed a tabletop exhibit outside events, slide recognition during meeting breaks and will be listed on promotional materials and announcements.
NURSES’ LUNCHEON$10,000The Annual Meeting Nurses’ Welcome Luncheon is an important networking event for the nurses who attend the ASTRO Annual Meeting. Approximately 150 nurses on average attend the annual event that is included in their registration fee. The non-CME event includes a nurse speaker and time for interacting with peers. The sponsor receives a table top display during the lunch and an opportunity to address the nurses briefly at the start of the program, as well as, recognition in meeting materials referencing the luncheon.
SCIENTIFIC POSTER SESSION $10,000 Attendees are invited to view displays of more than 1,500 posters in the Poster Hall. Sponsors receive name recognition on signage leading up to and throughout the event.

RESERVE A HOTEL ROOM DOOR DROP OPPORTUNITY1. To reserve your Hotel Room Door Drop
opportunity, submit your Application and Contract for Door Drop, full payment and insert proof by August 11, 2017.
2. All inserts must be submitted to SPARGO Inc. for final approval by ASTRO. A copy of the insert must be approved by ASTRO regardless of prior approval of other promotional opportunities at the meeting. Submit insert proof to Terri Landis at SPARGO Inc. at [email protected].
SPARGO Inc. will notify you of approval. If changes are necessary, the corrected insert must be resubmitted for final approval. Participant is responsible for costs associated with production of insert.
3. All inserts must be shipped to arrive at the advance warehouse by September 1, 2017. SPARGO Inc. will supply an address label to be completed and placed on the outside of each box that is shipped, along with your official carrier’s shipping label.
TERMS AND CONDITIONS1. Full payment is due upon receipt of Application and
Contract for Hotel Room Door Drop.2. No cancellations are accepted.3. No agency commission or cash discounts permitted.4. Inserts are due at the advance warehouse by
September 1, 2017. If inserts are not received by this deadline, they will not be included in the door drops.
5. Quantity is based on projected attendance and room blocks at the time rate card is printed.
6. ASTRO and SPARGO Inc. are not held liable for a hotel’s failure to deliver to rooms within designated hotel blocks. In the event bags are not delivered, they will be available for pick up in registration at the convention center. No discounts or refunds will be given.
7. If participant does not send the quantity specified on the rate card, ASTRO and SPARGO Inc. will not be held liable for bags that are missing that insert.
8. A minimum number of inserts must be reserved for the door drop to be conducted. ASTRO and SPARGO Inc. reserve the right to cancel any delivery in the event the minimum number of inserts is not reserved. In this instance, ASTRO and SPARGO Inc. will refund 100% of monies paid. ASTRO and SPARGO Inc. are not obligated to offer or replace the door drop service with any other advertising vehicle.
