What does the monitoring mean?

Monitoring • a long term process • on going in order to ensure activities are

taking place according to standard• In our case according to the application form• to find out weaknesses and gaps within the

project. • Involves the team that is implementing the

project (all of you)

MONITORING is:A continuous processTo provide information to day-to-day

decision making (adjustments)It is carried out by the project teamFor the project team (to adapt and

improve the impacts) and the NA (to follow the progress)

Page 6: Project monitoring for the period of 2014 - 2015

The monitoring system should provide information for evaluations.

MONITORING

• continuous, systematic and critical review of operations

• in order to measure their evolution and • adjust them according to circumstances and

project’s objectives.

The projectThe project

Different steps of project’s monitoring..

It involves collecting and analysing data/information – see bellow…

Page 10: Project monitoring for the period of 2014 - 2015

What is in the project application form written?

What must be observed?PHASE 1 – COLLECTING DATA

Have we established a Management Commitee? (as we promised in an applicaton form)Indicators on which we must focus: We should prepare (for next meeting or earlier) a pattern to determine what has been done and what still remains.

Page 11: Project monitoring for the period of 2014 - 2015

1) Activity plan - terms of the organizing project meetings

and learning/training students activity meeting (changing against the plan should be mentioned in the monitoring report)

2) Outputs- Project websites - it is good that each

country should have its own websites for our project where every stakeholder will present their activities and results and inform about the project.

All other meetings should be checked if you agree with the project application form. Spanish meeting, Training activities in the Czech Republic….

Page 14: Project monitoring for the period of 2014 - 2015

Project website should include such section:

• About Partners • Project Meetings• Project Activities • Joint Results for communication and

dissemination of the project activities

We committed these in the project !!

Page 15: Project monitoring for the period of 2014 - 2015

3) Dissemination:Dissemination will be the responsibility of each partner on local basis but also on national and international level.Project results will be disseminated to:-school staff locally and regionally and nationally-school governors-parents-local and national press-the local community-school Inspectors-European partner schools

Can you manage to meet these requirements? How? Check it with your progress report you sent to your NA.

Page 16: Project monitoring for the period of 2014 - 2015

Can you manage to meet these requirements? How?

Check it with your progress report you sent to your NA.

Page 17: Project monitoring for the period of 2014 - 2015

How? • report writing• press releases• website reports• staff and parental meetings• ICT presentations• wall displays in school and in the local

community• reports to governors

Page 18: Project monitoring for the period of 2014 - 2015

In these cases we have to use quantitive indicators! It is necessary to back up all your activities!!- numbers of YouTube viewers- numbers of created presentations/slideshows- numbers of meetings – important to create

record/note about that!- website visitors – remember to put the counter

on your website- face to face interviews conducted with target

group

Current status (what has been done)1.- Contract a webhosting and domain service for the project.

We are using the hosting services provided by the Polish Educational Authorities. But, there are serious problems with this service, so it is very likely that we should migrate our system to an external hosting service.

2.- Install moodle:- Create the sub domains and /or directions for Moodle and its data OK- Get and unpack Moodle and upload it to the server OK- Create the data directory OK- Create the Moodle database OK- Set up the cron job OK- Activate the installation routine and specify settings for our Moodle site. OK

3.- Create course categories OK4.- Create course subcategories OK5.- Create courses OK6.- Create groups (classes) within courses OK7.- Assign roles OK8.- Create / Upload users OK9.- Users create learning content OK10.- Backup courses. OK (it was impossible to make a full backup due to hosting service)

Impact:

What is the expected impact on the participants, participating, target groups and other relevant stakeholders?

The students, teachers are the main target groups of our project. The expected impacts are as follows:

Page 29: Project monitoring for the period of 2014 - 2015

• improving basic ICT skills of the students• sharing innovative technologies across the schools in

Europe.• creating dynamic lesson plans for the development of

digital literacy• discourage early school leaving• improvement in the professional skills of the

teachers• introduction of innovative e-learning tools and

methods in the schools• relating stakeholders to the project and enlarge the

impact to a wider community

Page 30: Project monitoring for the period of 2014 - 2015

• developing key competences for lifelong learning• improving the efficiency of the education in schools• establishing links with different schools across

Europe

Page 31: Project monitoring for the period of 2014 - 2015

How to measure this impact? The following tools will be used for measurement:- surveys- questionnaires- data base- news on the media- the popularity of the project in social media- monthly discussions- tools for monitoring- reports by the participants

Page 32: Project monitoring for the period of 2014 - 2015

5) Budget:Each partner is responsible for its own budget and it is under control by its NA.

Each budget consists of several items - ou can move up to 20% between items, but be carefull the item Project management and Implementation may not be used to increase.

Page 33: Project monitoring for the period of 2014 - 2015

1) Project management and implementation2) Transnational Project Meetings3) Intellectual Outputs4) Learning/Teaching/Training activities5) Exceptional costsSome partners don´t have no. 5

I think that this indicator is easiest to control, but it would be easier if Mobility tools works.

Page 34: Project monitoring for the period of 2014 - 2015

6) Sustainability of the project is required!!!!Every partner is responsible for it!

Page 35: Project monitoring for the period of 2014 - 2015

PHASE 2 – Processing data and analysis

This part is the most important. You'll find what are the weaknesses and what are the shortcomings by using the indicators. This analysis should be done before every international meeting (we are a little behind). After this phase follows the third phase.

Page 36: Project monitoring for the period of 2014 - 2015

PHASE 3 – taking decision and corrective action

Based analyse take measures to eliminate the identified deficiencies

The task: Let's discuss over how and who will work on specific parts.

Page 37: Project monitoring for the period of 2014 - 2015

The EndThank you for your

attention.
