Practical
Create and tag Earwig records
Produce vivid timelines
Evidence
Module
Get Started Online The Earwig Evidence and Assessment package runs on the Earwig website which is at
www.earwig.uk.com
So, let’s start there. Use any browser.
You will arrive at the login screen.
You should have received a
‘Welcome to Earwig’ email before
your training started. This will
include your login details –
username and password.
If you don’t have these, just click
on ‘Forgot your password?’ and
enter your school email address.
The system will send you a new
password.
Sign in.
TIP - You can always change your password to something more memorable later, by clicking on
‘Your account’ top right on your dashboard.
Your Dashboard
This is what you see when you log in. All you need to know is these four buttons.
The Image Bank 1 Open the Image Bank. The default view is only the images that have not yet used in
a record. (To see your images only, select yourself from the Creators dropdown)
2 If you can’t see any images, choose ‘Select ‘All images’ in the filter Panel.
3 Hit ‘Upload New Media’ and import some images, documents or video from your
device or school network. (Videos make take a few minutes to format.)
TIP – Double-click on a thumbnail to enlarge an image, open a document, or view a video.
Create a Record Select a thumbnail image (or several). See the white ticks.
The buttons above the images change. Now you can see Create a New Record. Select that.

Create Your Record 1 TITLE - Apply a title to your record. (A title is required)
2 COMMENTARY - Add a commentary. (External = visible to parents. Internal = staff
only. (Only relevant if the school has extended Earwig to parents) Commentary limit
is 2,000 characters - i.e. lots)
3 CLASS – Hit the Class dropdown and select Practice Class. (To select an additional
Class or Group, use the ‘Select Another’ button)
4 PUPILS - Select the pupils relevant to this record. (If it is the whole Class or Group.
Choose ‘Select All’.)
5 TAGS - Select the appropriate Subject (s) and Tag (s). To bring up a tag, type the first
three letters of the word in the box. (A Tag is something that is not a subject but which
the school would like to be able to track.)
6 If it’s an important record, select Key Record.
NOTES
Only the school Earwig Administrator can create new Subjects and Tags.
Tag the Record with a Target or Statement
1 Choose the appropriate grey Framework button.
2 Click on the relevant Subject, Level or Topic to expand it.
3 Keep clicking on the relevant lozenge until you reach the lowest layer, which will
contain the Target(s) or Statements(s) that you want to select. This will change colour.
(If you see ‘Next Steps’ ignore this, for now.)
4 Choose another grey Framework button if you want to select a Statement or Target
from another scheme.
5 Decide whether to make this record ‘Internal Only’ (Not visible to parents.)
6 Hit PUBLISH.
Check the Record List
1 See the list of records created at the school, including yours. (The default date
selection is the last month.)
2 Use the filter ‘Staff’ to see only the record(s) you created. (Just practice in using the
filter.)
3 Click on the thumbnail image to open the record. (Scroll the images, if more than
one, or double-click on the image to run a video.)
4 Click on ‘Create PDF’ to create a PDF of that record. (Click on ‘Edit’ to edit the
record.)
Use the Timeline Filter
To select only the records you want to show.
NOTE – If your school has just started with Earwig, there may not be many records in the school
account. So the timeline may appear a bit thin. If you prefer, for practice purposes, you could
log out (‘Your account’ - top right corner in the dashboard) and log into a test account -
[email protected] and password.
1 In the dashboard, select the big blue TIMELINE button.
2 Choose a first filter.
3 Then, to filter the selection further choose from the second line filter options.
4 Click the timeline icon to open the timeline.
5 To edit further use the red
or purple buttons, as
shown.
6 Then hit ‘Report PDF’ and
follow the cues to create
a quick report from these
records.
Have a look at the Assessment Grid
NOTE - Click on the Earwig LOGO (top left) any time, to get to the dashboard, from anywhere.
1 From the dashboard, mouse over the grey ASSESSMENT button to choose an
assessment framework.
2 The Assessment Module will open at the red Assessment Grid filter panel.
3 Choose the Practice Class from the list of available Classes and Pupil Groups.
4 See the grey ‘Subjects’ and click the down arrow to open up the other levels in the
framework. Keep going until you get to the ‘Can do’ targets or statements.
5 Apply a grade.
6 See how the score adds up.
NOTE – The Assess Grid is only one of several
screens in the Assessment Module. The others
are accessed via the buttons at the top of the
page.
You are welcome to take a look at these to
familiarise yourself with them.
How to use them
will be covered in Training 2.
Three Additional Hacks
A Creating Multiple Records
1 Back to the Image Bank.
2 Select several images. See the purple ‘Create Multiple Records’ button appear.
3 Select this. You will see the Create Record screen appear, but, this time with
additional instructions in green writing.
4 Bring up the Practice Class. Click on an image and then a pupil. You’ll get the idea.
5 When all the images have at least one pupil attached, complete the record.
6 See the record marked as ‘Multiple’ in the record list.
NOTE - The lozenge with the MULTIPLE
button is the original record, with all
the pupils tagged – for the school
record.
Click the MULTIPLE button to see all
the copy records. These will appear
in the relevant pupil timelines.
B Grading a Pupil While Creating the Relevant Record.
1 Create one more record. (Image Bank - select one image – Create Record button).
2 Practice Class. Select ONLY ONE pupil. Apply tags if you want.
3 Select a framework (grey button).
4 Drill down to a statement. You will see that as long as you only have one pupil in that
record, you can apply a grade to the pupil for any targets or statements, right there.
5 You can also see how many records have already created and tagged to that
statement for that pupil.
C Is One of Your School Frameworks Based on Pupil EHCPs?
If so, look at this. If not, move on.
1 Dashboard – ASSESSMENT button. Choose EHCP framework.
2 Select Practice Class.
Choose ONE SINGLE
PUPIL.
3 Open up the
framework.
4 Click on the crayon
icon (shown) to
create your own
individualised target
sets for a pupil.
5 Click on the ‘+’ icon
to add another
lozenge.
6 Apply a grade
against the tar
7 gets you have set.
Always against the
targets in the lowest
level in the cascade.
8 See how the scoring
works.
Now do it Using the App
Get hold of a school tablet with the Earwig app loaded. Or just install the Earwig app on your
phone or tablet – for practice purposes. (App Store – search ‘Earwig’ – hit Install)
1 Click on the icon to open the app. Log in.
2 Follow the process shown below.
NOTE – The app is there to do one
thing only – create records.
Anything else that you want to do
in Earwig is done online, through a
browser.
NOTE – When Adding commentary
you can click on the microphone
icon on your virtual keyboard and
dictate this.
NOTE – If in doubt, scroll down and
hit ‘Next’.
NOTE – You can make records even
outside wifi coverage. The system
will hold the record until you have
internet access and then upload
your records.
NOTE – You will see an option to
make the whole record ‘Internal’
just before you publish.
NOTE – When you hit ‘PUBLISH’ it
may take a few moments to upload
the record to Earwig (longer, if it’s
a video). During this time, you can
go back to the Start screen and
create new records as fast as you
like.
That’s it. You’re done!
Congratulations!
You are now qualified to create and tag
Earwig records at your school.
We recommend that you now go and make some real records, as soon as
possible, while it is all fresh in your mind.
