PREAMBLE
In late 2009 Southern Zone called for submissions of interest from all the Zone clubs into hosting the
2011 Trials. As a result two clubs put formal submissions to the Southern Zone Committee for
consideration, these being Hobart & Districts Pony Club and Huntingfield Pony & Riding Club. In March
2010 Southern Zone formally accepted the submission of Hobart & Districts and forwarded this to the
PCAT State Council for consideration. In the annexures to this report is a copy of the H & D submission.
In April 2010 Southern Zone appointed a separate organising committee for the Trials. This committee
consisted of AN executive appointed by Southern Zone and a representative from each club. It should
be noted that each of these representatives was not necessarily the DC. In addition, there were several
additional Hobart & Districts parents who joined the committee representing specifically their host club.
MEETINGS
Committee meetings were held once a month up until the Trials. Generally these were on the same
night as Zone meeting but when the business was lengthy, they were held separately.
Minutes were kept for each meeting, essentially the format of each meeting was to update the standard
PCAT checklist. Each item on the list was discussed, actioned etc and worked through. The checklist
was then updated and immediately circulated to all the committee after the meeting for further
updating and/or action.
TRIALS VENUE
Southern Zone was very fortunate to have the Tasmanian Equestrian Centre at Lauderdale (TEC)
available to conduct the event at per the Hobart & Districts Pony Club. A very good working relationship
existed due to the efforts in particular of Hobart & Districts DC Erin Hunn. Although all the
infrastructure was in place, the facilities were given a facelift before the event. This included particularly
a new cross country course designed and built by Leon Hunn. Onsite facilities were boosted by
additional tents, coffee van, pergolas, Secretary’s caravan, portaloos erc. TEC also had additional horse
yards constructed just before the weekend.
SCORING
Southern Zone was indebted to Sally Smith, ably assisted by Carol Collidge, who undertook the scoring
for the entire event using the Australian recognised software KBT Eventing Programme. Scoring was
extremely efficient and hassle free, providing both accurate and fast results. The software used was also
able to calculate all the various team results without error. This did require the various combinations
and parameters to be entered into the software prior to the event. However, it paid big dividends on
the weekend as the rules had already been programmed into the software and allowed the results when
the pressure was on to be simply printed out and posted.
RIDERS DINNER
This year the Zone returned to the concept of a sit down semi-formal dinner. This was held at a nearby
church convention centre and was extremely successful. The entertainment for the evening was two-
fold, the formal presentation of each of the competitors and clubs to the rest of the clubs, but the
highlight of the evening was the Guest Speaker, Beijing Silver Medallist Sonja Johnson. Sonja provided
both a very entertaining, enlightening and enthusiastic talk to those present. A very tight timing was in
place for the function and this was strictly adhered to. This ensured that the function finished on time
and all competitors were able to leave the function centre by 9.30 pm to return to their various homes
and accommodation ready for the cross country phase the following day. In all 285 riders, supporters
and officials were seated at the dinner.
An 80 seater bus was contracted by the organisers and for a gold coin donation competitors and
supporters etc were collected from TEC and the nearby Orana Guide Camp and transported to the
function centre and obviously returned at the end of the evening. This proved most successful and
avoided unnecessary traffic and also avoided a lot of riders etc having to unhitch their floats etc.
Professional caterers were contracted for the function. This alleviated the need for extra Zone
personnel who were already in short demand by this stage in looking after the catering etc. It also
ensured the function ran without any hitches.
SPONSORSHIP
As with most events, this is one of the most difficult items to achieve. Zone managed to obtain
reasonable sponsorship but it would have been obviously better if more sponsorship could have been
obtained. Like all junior sports and/or sports that are not the big crowd pullers like cricket, football, golf
etc it is very hard to obtain sponsorship dollars. To supplement the sponsorship already achieved the
Zone ran a special raffle to ensure that there were enough funds to cover the costs of bringing Sonja
Johnson over from Western Australia to be the Guest Speaker and Guest Commentator etc. It should be
noted however that although there was a reasonable cost in bringing Sonja to the Trials, we believe it
certainly paid dividends. Sonja was a great ambassador and spokesperson for both Pony Club and
equestrian in general to the media and certainly lifted the profile of the weekend. There are a lot of
Pony Club riders especially in the lower ranks who had never had the privilege of meeting such a top
sportsman in their selected sport.

FINANCE
At the end of this report is a copy of the final financial breakdown for the event. In Southern Zone
historically both the Trials and the Showjumping/Dressage Championships are run as a Zone activity and
underwritten by the Zone. This means that when a Showjumping/Dressage Championships are held any
profits which are normal for this weekend, are kept by Southern Zone and put aside in a special account.
This account is then used to subsidise the subsequent Trials in two years’ time. Obviously it would be
great to have $50,000 or $60,000 to run a Trials event but this is just not possible and as per in the past
such an event would not be possible without the generosity in time, materials and experience from the
many volunteers who make it possible.
MEDIA
An all out effort was made this year to ensure that media coverage was obtained. Media coverage was
obtained in the Hobart Mercury each day including photos on one particular occasion, footage and
reports on all three TV stations, ie. Southern Cross, WIN and ABC. Articles in local newspapers, 10
minute interview with TD Bruce McCarthy on the Leon Compton show on ABC Radio on the Monday
morning. However, the highlight for the weekend was the live presentation of the one hour long ABC
Tasmania Grandstand Show from TEC on the Saturday morning. Zone is really indebted to local
presenter Peter Newlands who spent most of Friday before the Trials walking and driving the course
with Erin Hunn to look at the course in detail so it could be discussed on air on the Saturday morning.
Peter also interviewed on the Saturday morning Erin Hunn, Sonja Johnson as well as some of our older
riders. An audio CD of this program is available if requested.
PRESENTATIONS
From previous observations it would appear that the State Pony Club Trials weekend is the highlight of
the Pony Club calendar/competition. It also should be remembered it is the State Championships and all
our riders have worked very hard to get to this level and they should be considered on an equal par to
any other young sportspersons who managed to qualify and compete at State Championships be it
cricket, football, soccer, swimming etc and they should be treated to the same kudos and dignity. It is
for this reason Southern Zone wanted to make sure that all the riders felt special for the weekend by
having the sit down dinner, the media coverage and then finally a presentation ceremony fitting for a
State Championships. In this particular case every effort was made to ensure that all the riders and their
mounts were assembled in a very regular horseshoe/semi circle and all riders were presented well in
their club uniforms etc. It was also essential to ensure that all the results were well documented and
correct to ensure the presentations ran smoothly. Southern Zone also took a gamble to provide
entertainment/formality to the function by asking Southern Zone Pony Club Member, Tori Percival, to
sing a beautiful rendition of the national anthem at the beginning of the presentation.
PCAT and Southern Zone dignitaries were invited to present the various ribbons and trophies etc.
PUBLIC ADDRESS
Southern Zone were lucky with the infrastructure at H & D with their existing PA system. This was
further supplemented by additional wireless microphones to ensure better coverage from both the final
presentations, the dressage rings and the cross country course.
VETERINARY SERVICES
To obtain a Vet to be onsite for the whole weekend for any event is a great ask. However, we were very
lucky to attain the voluntary services of previous Pony Clubber Penny Dow, who is now a practising Vet
in Scone, New South Wales to be available for the weekend. Penny volunteered her whole weekend
while the organising committee paid for her airfares from Scone and provided meals and
accommodation for the weekend. This, however, was a far cheaper exercise than paying for a local Vet.
Penny was fantastic in that she was always available to assist in any way, not only with veterinary
requirements but also in assisting and advising the committee in all manner of matters, not just
veterinary.
ACCOMMODATION
In the initial information that went out to all Pony Clubs throughout Tasmania all the local and nearby
accommodation resorts were listed. Nearby Pony Clubs, being Hobart & Districts and Monmouth Pony
Club, made available through some of their members, local agistment. In addition to this the Orana
Guide Camp which is essentially next door to TEC, was hired for the whole weekend. This worked out to
be a great venue for those clubs who took up the opportunity to both reside and agist their horses next
to the Trials site. Orana had available 80 bunks, excellent showers and toilet facilities and ample
camping areas. Information about the Orana Guide Camp and agistment can be found in the annexures
to this report.
PHOTOGRAPHER
A local Photographer, Roger Stapleton of Fetlock Photos, was engaged by the organising committee to
take photographs as the official photographer and place these on his website. Some of the photos
taken by Roger were fantastic and were available for competitors etc to purchase via his website.
TECHNICAL DELEGATES (TDs)
The organising committee was very appreciative of the hardworking TDs for the event, namely State TD
Andy de Kaste and Zone TD Bruce McCarthy. Both these gentlemen were hard working, very supportive
of the committee and its endeavours and carried out their tasks as required without any problems
providing a hassle free weekend.
CROSS COUNTRY & SHOWJUMPING PHASE
In previous years, especially in the Trials report for 2010 it was commented that most spectators want to
see the higher grades and unfortunately miss them because they are normally the first class to be run.
This year Southern Zone decided to run the grades in reverse order for the cross country and
showjumping phase so that the high grade riders, ie. Grade 1, were the last ones to compete. This
obviously made it a great spectator opportunity but also made it easier to have the media in place at a
more reasonable hour. It also gave the opportunity for the younger riders to relax and watch the older
riders complete that particular phase.
TROPHIES, MEMENTOS AND RUGS
This year the Committee decided to present a small trophy memento to each of the trophy winners as a
small reminder in 6 months’ time of their success at a State Championships when they have to return
their respective Perpetual trophy. This included all team members of team based trophies. Rugs were
also presented to individual winners in Grade 1, Grade 2, 3a, 3b and 3c. The mementos were paid for
out of the general running expenses of the event whereas the rugs were donated and the sponsors
noted on each of the rugs. We believe that both those small gestures were very much appreciated by
the recipients and yet again lifted the profile of the weekend.
SUMMARY
The 2011 State Trials was a most successful event and Southern Zone were very proud in what they
managed to achieve. This would not have been possible without a truly dedicated committee who put
many hours in to making sure it was successful. This was further supplemented by Southern Zone clubs
and in particular Hobart & Districts Pony Club and the management of the Tasmanian Equestrian Centre.
Congratulations go to all our riders who conducted themselves very admirably and did their clubs proud.
As previously mentioned Southern Zone were very keen to run a very successful event both
competition-wise and also as a major sporting event. It is unfortunate that in a lot of cases minor sports
such as Pony Club and their administrators have a mindset that the sport does not receive as much
funding, media coverage or membership as some of the other major sports. However, to be able to
achieve these goals the Pony Clubs and their events need to ensure they have a product worthy of
displaying especially at a State Championships level. We believe we achieved this goal and look forward
to travelling to northern Tasmania in 2012 for the next State Trials.

Hobart and Districts Pony and Riding Club proposal to host 2011 State Pony Club Trials.
Hobart and Districts Pony and Riding Club wish to host the 2011 State Pony Club Trials at their grounds the Tasmanian Equestrian Centre (TEC) at Lauderdale. Venue: The TEC has the following facilities:
• Separate male and female toilets (more porta loos would need to be hired); • Shower; • Full canteen facilities, which includes table seating for judges catering; • Camping area; • Plenty of parking, where visitors can be parked close by and separate from the
horse floats; • Recently installed PA system; • Yards for horses; • Wash bays.
Tents would need to be loaned/hired to be able to provide shade for sponsors, score boards and shaded seating for catering.
The cost of using the TEC would be $75 per day and $3 per rider – these costs include the use of all the facilities mentioned, for example you do not pay extra to hire the pa system. Dressage: The TEC has three permanent full size sand arenas that could be used for the dressage phase; there is also area for another two arenas to be set up on the dressage park. If necessary extra dressage arenas can be set up on the fenced show jump area in front on the club house. The centre has a large fenced warm up area, as well as areas for competitors to warm up on their own should their horse need a quieter area. There is a designated area for competitors to be able to lunge their horses.

Cross Country: The Cross Country Course at the TEC recently had a second water jump and sunken road constructed. Because of the size and flexibility of the TEC ground new tracks can be developed using existing fixed facilities and the installation of portable jumps. Leon Hunn Equestrian Australia level 3 Course Designer is available to build the course and is enthusiastic about the opportunities available on the course. The Southern Tasmania Eventing Association (STEA) would work in conjunction with pony club, as they would be holding the State Eventing Championships not long after the state pony club trials, this would be a financial advantage to southern zone, H&D and STEA. Both STEA and H&D pony club are in a sound financial position to be able to make solid financial contributions towards developing a number of new and innovative jumps. Showjumping: There are two fenced areas that would be available to hold the showjumping phase, both with top quality grass surfaces and safe fencing. Therefore added flexibility could be offered to the trials programme by running two showjumping arenas concurrently if required. H&D pony club has a top quality set of competition showjumping equipment and access to electronic timing equipment from STEA. By having access to two fenced areas it removes the necessity of building temporary fences for show jumping. Fundraising/ Sponsorship: Following on from the recent Dressage and Showjumping Championships a number of contacts were established with local businesses that would be happy to again sponsor an event such as the State Trials at the TEC. Social Functions: The Dinner could be held at one of the following locations:
• Barilla Holiday Park- Cambridge • Citywide- Mornington • Bellerive Oval- Bellerive
A themed BBQ on the Sunday night could be held at the TEC. This could be coordinated by another pony club or the opportunity provided to a rotary club (for example). Accommodation: There are a number of Accommodation places in close proximity to the TEC including:
• Wyndham resort- Seven Mile Beach; • Seven Mile Beach Caravan Park; • Cosy Cabins- Mornington; • Shoreline Hotel; • Barilla Holiday Park- Cambridge; • Airport Hotel; • Mornington Inn;
• Numerous accommodation options at Richmond. Agistment: Agistment in the local area will be available for riders who do not wish to agist their horse at TEC. This can be co-ordinated by H&D. Conclusion: The TEC is now a well developed ground that has the facilities to host a professional and safe event. With the cooperation of southern zone clubs, H&D and STEA we look forward to presenting a safe and exciting 2011 trials to Tasmanian pony clubbers.

with the monthly southern zone meetings until recently when a special trials committee was appointed by
Zone. All Southern clubs hare represented on the Committee. This Committee will now see the Trails organisation in consultation with the Zone through to fruition.
Decisions / Action to date are;
1. The venue will be the Tasmanian Equestrian Centre (TEC) at Equestrian Drive, Acton Park 2. The event will be held over 3 day with Dressage on the Saturday, Cross Country on the Sunday and
Show Jumping on the Monday
3. It is hoped to have an information, / entry package out to all clubs before Christmas 4. The Welcome Dinner / rider’s dinner will be held at the City Light Baptist Church, 400 Cambridge
Road, Mornington. This has a seating capacity of 300 people 5. We are investigating the feasibility of having several buses available to transport people from TEC
to the City Light Baptist Church and return, thus making transport for all riders and their parent etc far easier
6. A BBQ or spit roast family function is a possibility at TEC on the Sunday night.
7. Agistment will be available at both TEC and nearby properties. Camping will be available at TEC as well
8. The Orana Guide Camp which is next door to TEC has also been booked. Competitors and supporters have the choice of either camping or staying in several of the large dormitories and
bunk rooms. There are two large commercial kitchens for self catering as well as ample hot shows
and toilets. Horses can also be kept onsite. Orana can cater for about 85 in bunks and an endless number camping. Powered sights are also available.
9. Several large Sponsors are being sourced but have not yet been finalised 10. Hobart and Districts have most of the onsite works in hand in conjunction with the TEC
management Committee and Leon Hunn
11. A coffee Van has been booked! 12. H&D are liaising with the Clarence City Council for not only City event status but also assistance in
kind. 13. Negotiations are still being conducted to enable an official photographer to be appointed.
14. The H& D Club website will the official website for the event with obviously direct blinks from the main PCAT site. This will allow H&D quick and easy access to updates etc. It is hoped to have a
live connection at TEC for the event that will allow real time posting of results on the web to allow
those not at the event to monitor progress etc 15. It is hoped to launch in the very near future a competition between Southern Zone clubs to design

GENERAL 1. Organisation
The XC course was basically finished on the Friday afternoon with just some tidying up and
dressing of fences left to do. Fence judges were invited to walk the course on Thursday evening and
be allocated their fences and ask questions relating to judging the particular jump, this was an
excellent idea and contributed to a smooth cross country phase. The course was opened for riders at
4.00 pm on Friday with plenty of riders taking the opportunity to do so. There were 2 official course
walks on the Saturday the first one being with the cross-country judge and the second with Olympic
rider Sonja Johnson, which many riders took the opportunity to do. Dressage on Saturday started
exactly on time and for most rings went to schedule. Cross-country ran smoothly and was well co-
ordinated with grade 3 starting first and finishing with grade 1. One fall resulted in 3 horses being
stopped on course an time taken; this was handled well with no- one being disadvantaged. The
commentary and radio communications were good throughout the event with radios on all fences.
Marshalling, starting and scoring were excellent as was the hospitality offered to volunteers, judges
and officials. Show jumping ran according to schedule and presentations were well organised,
starting before 2.00 pm and finishing around 3.00 pm.
2. Facilities/Course (including if up to grades’ standard)
The advantages of having an event at this venue are apparent; there is ample room for parking and
having all equipment in place for all phases prior to the event starting. Dressage arenas were well
presented, using the three permanent sand arenas and two of the plastic chain type.
Leon Hunn produced a championship xc course that was well up to trials standard at all grades, the
quality of construction was professional and much detail was paid to dressing fences and ensuring
there were adequate ground lines, there were quite a few brush fences on course which jumped
extremely well including a Keyhole fence that had only one fault all day. All due attention was paid
to safety and mistakes were generally rider error. The fences for most part were inviting and natural
in appearance and rode quite well. The entry to the second water caused some problems, mostly in
grade three. There were few eliminations related to individual fences, most were for having four
stops on course. The track was firm without being hard and had been mowed several times during
the lead up to the event. The show jumping course was worthy of a championship, well presented
and decorated and rode well with about half the competitors having clear rounds.
3. Discipline/Incidents
There were several riders that continued after having 4 stops on course; all were made aware about
this. There were also two instances where onlookers were warned about coaching at fences. There
were eight cross country falls with six related to stops, one after a fence and one from the horse
shying between jumps. There was one incident where a spectator was injured while standing behind
a rope barrier that a loose horse bolted through, this person was treated by first aid personnel and an
incident report filed. All horses were inspected by the vet after finishing or being eliminated and
there were no major concerns relating to horse welfare.
4. General Comments
All in all it was a very well organised and extremely well run event, the Southern zone organising
committee and in particular Hobart and Districts Pony Club are to be congratulated on a job well
done. It was a pleasure to be involved.

Improvements 1. Instructions for riders post xc in vetting box should have been announced – best time to do this would have been at the
two official course walks. Hence avoid rider confusion of veterinarians role.
2. Cooling techniques and education of fitness training of horses needs to be improved from individual club roots.
3. Mention of swabbing in TD talk and social networks suggestion of horse competing on illegal substance. Concerns
include:
Cost of swabbing kits and official people to carry out swabbing procedure
Creation of acceptable fines, charges, removal of placings/prizes and competition bands (nothing in place at
moment so really no point swabbing if no fines in place)
My thoughts are that the place of swabbing in Pony Club is not quite ready or able to be implemented yet. However all
clubs/riders should be given a list of illegal substances and withdrawal times – found on FEI website and made aware
that Pony Club follow similar rules to EFA. I would presume that most riders would have no real knowledge of illegal
substances as opposed to deliberately medicating the horse. Also mention that old pony school masters should be able to
be treated and compete on illegal substances (ie phenylbutazone) is purely ridiculous! Irish horse Glengarry competed at
the 2008 Olympics at age 20!!!
