Overview of PaNDA
PaNDA, which stands for Pan Northern Database of Assets, is a computer system that has
been developed for the Northern Ontario School of Medicine (NOSM) to consolidate and
streamline the processes and information involved with Clinical Rotations, On-Line
Applications to the Northern Ontario Electives Program and Rehabilitation Studies
Program, Clinical Facilitator Availability, and Accommodations.
Overview of Learner Screens
To access the Learner Screens in PaNDA you must be classified in the system as a
NOSM Learner. This would include Dietetic Learners, Rehabilitation Learners,
Residents, Students, Visiting Residents and Visiting Students. Once you log in to
PaNDA you will go automatically to the Learner Screens. Individuals who are not
classified as NOSM Learners, such as Program Coordinators, Evaluation Coordinators
and Housing Staff have access to the information found in the Learner Screens through
the scheduling, housing and evaluation screens in the main PaNDA menus.
Logging into PaNDA
To log into PaNDA you go to the NOSM homepage as www.nosm.ca.
From the NOSM homepage, click “Current Learners” from the list at the right of the
page.

On the Current Learner page, click on the PaNDA link on the right side of the page.
You will then be prompted to enter your username and password. If you do not know
your username or password, please contact the PaNDA Coordinator.

When you first log into PaNDA you will be brought to the Program Year Screen. This
screen will identify which program you are currently registered in at NOSM with a blue
arrow. PaNDA will also retain information from previous program years.
Panda Help Screens
At the top of every screen there is a Help button, beside the Welcome. Clicking on the
Help button will open a new internet window with instructions and descriptions for the
specific screen you are currently looking at. At the bottom of every help page is an
option to return to the main help menu. From here you can locate information on all
screens in PaNDA.
Main Menu
To view your information, click on the Program Year to access the main menu. You can
also access the main menu through the link on the left hand side of the screen.

Depending on your specific program requirements you might not have access to all menu
options shown above.
Through the menu you will be able to view your personal information (Registration
Data), see your schedule and accommodation information (Schedule), (Requests not
used), enter preferences for electives (Preferences), read your system generated messages
(Messages) and (Assessments / Evaluations not used). Click on the appropriate menu
option to go directly to that page in PaNDA.

How to View Schedules
To view your schedule click on Schedule from the main menu or My Schedule for the
links on the left hand side of the screen.
At the top of the screen there is a filter to allow you to select the date range of scheduled
items you wish to view.
The following information is given on the Schedule screen:
• Type column indicates what type of event has been schedule. Clinical events are
rotations or placements, Academic events are for lectures, tutorials etc.
• Schedule Item Description column will give a brief description of the event. In
the case of rotations or placements it will display the discipline, Clinical
Facilitator or Preceptor, Community and the status of the rotation or placement
(planned, confirmed, completed). For Academic events the description is the title
of the event.
• Start Date and End Date columns show the dates of the event.
• Materials column will hold specific materials that have been created for the event.
These materials could be documents or website links. Clicking on the paper icon
will open the Materials screen.

Schedule year refers to the academic year. You cannot overlap the date range to cover
more than one academic year. For example if your academic Year 1 ran from September
1, 2012 - August 31, 2013 and your Year 2 ran from September 1, 2013 – August 31,
2014 you would not be able to see all of the rotations assigned to you during the date
range June 1, 2013 – November 30, 2013. Since this date range crosses the academic
year start you would only be able to see the scheduled events that are scheduled in the
academic year listed in the Schedule Year box.
Attached Materials
When you click on the paper icon from your schedule you will go to the materials page.
The material page displays information on the type of materials that have been attached
to the scheduled event. By clicking on the link in the Resource column you will open the
materials. The materials are opened in a new window.

How to View Rotation Accommodations
To view your accommodation information click on Schedule from the main menu or My
Schedule for the links on the left hand side of the screen.
Click on the Housing tab at the top of the schedule.
The following information is given on the Schedule screen:
• Rotation Name column indicates which rotation the accommodations are being
reserved for.

• Start Date indicates your check in date and time which you are able to begin
staying at the accommodations.
• End Date indicates your check out date and time.
• Full Name column gives the name of unit assigned to you and the street address
of the unit.
• Bedroom(s) column indicates which bedroom of the unit has been assigned to
you. Before you accommodations are booked a default value of All is displayed
here. If you have been booked for individual accommodations you will see which
bedroom you have been assigned. If you have been booked for Family
Accommodations you will notice that all bedrooms will be assigned to you.
• Parking Space(s) column indicates if a specific parking spot has been assigned.
Currently we do not have assigned parking through PaNDA. Please read the
materials attached to your reservation for details about parking availability.
• Phone column displays the phone number for the accommodations.
• Restrictions column indicates any restrictions for the unit, such as Adults only.
• Resources column contains 2 types of information:
� Maps - by clicking on the icon a new window will open displaying
a map to the accommodations.
� Documents - By clicking on the icon a new window will open to
display housing procedures and protocols and documentation about
the unit. Each document has a separate icon to access it.
• Assess / Eval column indicates the status of the site evaluation. Evaluation forms
are generated during the last week of your stay. See PaNDA Icons at the end of
the document for a description of the various icons. Clicking on the icon in the
Assess/Eval column will open the referred Assessment / Evaluation form.
Reservation Details
To view more detailed information about your reservation, click on the box icon in front
of the housing information line to open the Reservation Details screen.

From here you can see the address and phone number for the unit, the date you arrive (the
first night you can stay in the unit) and the departure date (the last night you can stay in
the unit). At the bottom of the screen there is a comments field. If there are specific
details that the Accommodations staff need you to be aware of they will be documented
here.
How to View when Keys were sent
To view the information about your key transfers, click on the Key Transfer Tab on the
Reservation Details screen.
Here you will see which set of keys have been sent to you and when they were sent.
Accommodations staff will include a comment regarding how the keys were transferred
to you in the Comments column. Once your keys have been received by the
Accommodations staff they will add a second line to indicate when the keys were
returned.

How to Complete a Housing Inventory On-Line
There have been recent changes to housing processes. Learners are no longer
responsibley for completing housing inventories. We are currently updating the PaNDA
system, however, you may still receive auto-generated emails prompting you to complete
start and end inventories. Please disregard these notices while we work on system
upgrades.
How to Complete a Housing Evaluation – If applicable
Please note that currently only Health Sciences learners will require to complete a
housing evaluation through PaNDA. All other learners will be directed via email to the
One45 evaluation system for entry and exit surveys.
To start a housing evaluation click on the circle under the Access / Eval column for the
reservation you are evaluating.
You will now be presented with the evaluation, simply fill out the required fields and add
any comments that you might have and click “Save Assessment / Evaluation” when you
are done.

The circle under Access / Eval should now be filled in. If it is only half filled in then the
evaluation was incomplete and you must re-enter the evaluation and make sure all
necessary fields are filled out before saving again.

How to View Messages
PaNDA will automatically send messages to your email address informing you when you
have required actions in PaNDA. An example would be when you accommodations have
been confirmed. These messages are also recorded in PaNDA. To view the messages
that have been sent to you, select Messages from the main menu.
Messages that have not been read in PaNDA are highlighted in yellow. To view the
contents of the message, click on the line and the message will open.
Clicking on the link in the message will bring you directly to the page referred to in the
message.

How to Add Preferences
Preferences are used to indicate your choices for your elective rotations. To access the
preferences screen, select Preferences from the main menu.
To add a new preference click on the green plus sign.
Using the drop down menus enter your selections. Please note that PaNDA will refresh
the system in between each drop down menu option. If you start to enter the next field
before the refresh has completed your entry will not be recorded. Once you have entered
all your information, click the green check mark to save your preference.

Panda ICONS
Below is a list of icons that are used in PaNDA.
The plus icon is available on screens where you are able to add new information.
To add new information, click on the plus icon.
The pencil icon is available when you are able to edit information. Simply click
on the pencil icon to modify the entry.
The check mark icon will save your changes. This icon is available after you
click to add or edit information. In order to save any changes in PaNDA you
must click the check mark icon.
The arrow icon will cancel your changes. This icon is available after you click to
add or edit information. In order to cancel the changes you have made during
adding or editing, click on the arrow icon.
The recycling bin icon will delete the information. Clicking on this icon will
delete the information associated with it. Use this option carefully; there is no
un-delete options in PaNDA.
The white circle icon is an evaluation form that has not yet been started.
The half circle icon is for an evaluation form that has been accessed, but not
completed.
The black circle icon is an evaluation form that has been completed and
submitted.
The black checkmark is an evaluation form that has been accepted by the Program
or Evaluation Coordinator. Evaluation forms that have been completed by the
Clinical Facilitator will be marked with a checkmark when they are listed on the
Learner’s Evaluation screens.
The eye icon represents an evaluation form that has been reviewed. Evaluation
forms that have been reviewed are only accessible through the My Schedule page.
