Children will not be permitted to attend the program until all necessary documents have been completed.

Drop-off procedure: Drop off for regular day camp begins at 8:20am. Early camp drop off is 7:30am. If using acac transportation, please see page 7 of the camp guide for drop off times and locations.

A. Drop off will occur via express drop off at the field entrance. An acac team member will greet your child. If you wish to walk your child to the entrance, please park in a designated parking space and walk your child to the gate for check in.

B. If morning weather is unfavorable, drop off will occur at the Adventure Central Main Arena entrance.

Pick-up procedure:

A. A parent/guardian or authorized person must sign their children out with the counselors. Please park your vehicle in a designated parking spot and turn the motor off before entering the building to pick up your child. We ask that you drive conservatively and obey all speed limits in the parking lot as there are many children at play!

B. For safety reasons, acac Summer Camp staff will not release any child to an individual not listed on the child’s summer camp registration. It is our policy to ask for a valid photo identification card, such as a driver’s license, if someone other than the parent arrives to pick a child up from camp.

C. If using acac Transportation please see page 7 of the Camp guide for pick up times and locations.

Late pick-up: As indicated on each child’s application or bus schedule, there is a specific pick-up time, 5:30pm, that children must be picked up. There is a $15 fee for pick-up after 5:35pm and $25 fee for pick-up after 6:00pm. If you know that you are running late, please call to notify the acac Adventure Central staff at 434-978-7529. If pick-up times are consistently missed, acac reserves the right to refuse future attendance. If a child has not been picked up within ten minutes after the specific pick-up time and acac has not been notified by the parent, acac will attempt to contact the parent(s). If the parent(s) are unreachable, the emergency contacts will then be contacted. If no one can be reached, and acac has still not been notified of a late-pick up, acac will contact the Department of Social Services. Multiple infractions of late pick-up at bus stops will result in forfeiture of transportation services.

Illness: acac reserves the right to release a child if he or she appears too ill to participate in the Summer Camp program or is considered contagious. acac will notify the child’s parent/guardian or emergency contact and request that the child be picked up within a half hour. If the child has not been picked up within the allotted time frame, acac reserves the right to take any action necessary to ensure the health and safety

of the child. If a child has been diagnosed with a fever in or outside of the center, the child is not permitted back to the program for 24 hours after the fever has subsided.

Head lice and disease: acac must be notified within 24 hours or the next business day after a child or any member of the immediate household has developed any reportable communicable disease as defined by the State Board of Health. Life threatening diseases must be reported immediately.

Communicating an emergency: In an emergency, acac will attempt to contact the participant’s parent or guardian. If the parent or guardian is unavailable, we will attempt to notify the emergency contacts listed on your child’s Summer Camp registration. acac will take necessary actions in the child’s best interests until the parent, guardian or emergency contact has been reached. If there is an objection to seeking emergency medical care, a statement should be obtained from the parent(s)/guardian(s) giving the reason for the objection.

Medicine: acac Summer Camp will administer emergency medication only (such as epi-pens and inhalers). A MAT form must be completed before acac will administer medication to your child during camp hours. This form authorizes acac to administer medicine for up ten days without a doctor’s signature. Medication must be in the original box with the prescription label and accompany a completed MAT form in order to be accepted.

Reporting child abuse and neglect: acac is responsible for reporting any and all signs of child abuse or neglect. This report will be completed by the Director and forwarded to Social Services in accordance with state policy.

For the safety of children, all items brought from home must have your child’s name and date clearly labeled on the outside of the lunch box.

Visiting: acac has an open door policy regarding custodial visits. We strive to foster a child’s independence and growth while allowing parents the opportunity to observe their child at play. acac is committed to the safety of the children at our Summer Camp program; we therefore require all visitors to check in at the Front Desk and be escorted by a staff member. If you wish to accompany your child at any time during his/her day, please notify the Director.

Safety policy: During any unforeseen crisis, such as natural disaster or similar events, acac will cease regular day activities and follow the appropriate plan outlined in the Adventure Central emergency preparedness plan. If you would like to see the Adventure Central plan for emergencies, please ask the director. acac will evacuate the premises if necessary in which case children will be transported to acac Albemarle Square for pick-up. Parents will be contacted if children are to be released early from the program. acac will notify the proper authorities in the event of any emergency.

Medical records: As stated on the Summer Camp Registration Form, a copy of the Virginia School Health Form and proof of identity must accompany the child’s registration. This is extremely important for the safety and health of the children and staff. All paperwork is due one week prior to the first day of the first camp session. acac will notify the parent/guardian if a child’s file is incomplete. Children will not be permitted to attend the program until all necessary documents have been completed and filed.

What to bring: Please send your child with a backpack containing the following: swimsuit, towel, sunscreen, sneakers, (not sandals) socks, lunch and snacks. (Lunch and snacks are available for purchase). Please label all of your child’s belongings. acac is not responsible for lost or damaged items and/or money. (Our lost and found is emptied every two weeks). We ask that your child does not bring toys or electronics from home.

Sunscreen: Sunscreen must be in the original container and labeled with your child’s name. acac recommends sunscreen be waterproof, hypo-allergenic, and have a minimum SPF of 15. acac team members will administer sunscreen to children under the age of 9. Children should arrive with sunscreen already applied, sunscreen will be reapplied after lunch and prior to swimming at the waterpark.

Confirmation: If your child is registered by June 1, 2016 acac will send a confirmation email to each child’s parent(s) with a copy of their balance and schedule.

Lines of authority: The acac Summer Camp Team is comprised of Camp Counselors and Team Leaders who report to the Assistant Camp/Program Director as well as the Operations Manager who reports to the General Manager.

Contact information: You may contact the director or staff with questions at (434) 978-7529.
